Workitem Preview in workflow
We have a problem with one user who, when she clicks on the preview option to preview the workflow item, is given a different workitem in the preview. For example, if she has clicked on work item ABC, and then clicks on work item DEF, when she previews that work item object it pulls up ABC. It reverts back to the previous item.
She is the ONLY user with this problem. We have looked at the security roles and they are correct. We have made sure her parameters are like other employees with the same access who aren't having these problems. We have verified her workflow settings and her SAP options. It has to be something tied to her user specifically, because other users can log in to her PC, and they don't have this problem. Can someone suggest any thing that we may have missed?
What a strange problem.
How about reinstalling the SAP GUI, although you already mentioned that on the same computer a different user doesn't have this problem?
Then, how about deleting the user and recreating it, by copying an existing one.
Have you checked the layout options?
It's the button to the upper left, or press Alt+F12.
If that doesn't work, create an OSS messagge.

"Display form" Button in Workitem Preview
Hi,
We are trying to prototype the "new business package for Travel".
Using the standard Workflow template we are able to test the requirement
successfully.The template we are testing is WS20000040, and the approval task
is decision TS20000131, when viewing the workitem preview in portal, we see the
outcomes as push buttons, along with the outcomes it displays one more push button
as "display form". When we click on this button, it displays the Adobe form for the trip.
But we tried copying the same decision TS20000131 to a cstom task, we did not change
anything, except the text in the outcome steps(added our custom text here)....and when we test our workflow, in
the workitem preview, we do not see the button "Display form", we see the button "Open Task".
Not sure if there is any config that needs to be done to enable this option.
I did check in SWFVISU , but there is no entry for the task TS20000131 and it works fine
without it.But not for the custom task.
Any input is appreciated.

1. If it is a custom task and if you want to execute from portal then you need register in SWFVISU.
2. Portal button will be displayed as Open Task by default. If you want to display according to your task then you need to download the XML content of UWL and customize by giving the task id of yours and try to change action name of the button.

Read all workitems of a workflow
I'm a java web dynpro programmer and I'm completely new to workflows so sorry if I'm my question is incorrect or even a bit absurd.
I want to read from web dynpro all workitems generated for a certain workflow, and if possible, filter them by step, user (responsible for each step), etc..
Is there any bapi that I can use for that purpose?

Whenever a workitenm is being created for a particular workflow, then a workitem is being generated by the SAP standard program itself. The SAP maps the workitem with the workflow number through a table name SWWIHEAD. You can access this table and select the entries from the table where the workflow number is equal to the workflow number that you have mentioned.
This will get all the workitems created for that particular workflow.
I do not know about the protal, I think you have to create one Business Service (RFC enebeled function module) to access the details from the R/3 SAP system to the portal.

Calling transaction from Workitem - Credit Management workflow

Our client have a requirement to have a link in the workitem and when we click on the link it should open transaction S_ALR_87012218.
The requirement in Credit management workflow, in which we are having included object as sales order, when we click on it, it will open transaction VA03.
Similarly the client requires to have one more link below sales order, clicking on which it should open transaction S_ALR_87012218.

I got the below mentioned answer, How ever, Can you please help me to set id of workItem object in Manual Action defination?
"Before you create your workItem generate a new id using the following function:
<invoke name='getUniqueId' class='com.waveset.util.Util'/>
Then in your manual action assign this id so that way you will know the workItem id in advance. "
Actually my requirement is: I need to send the "URL of workItem Object form" in the email notification. So my thought is if I can get the id of workItem Object then easily prepares the URL.

This can be taken from the table T5ASRPROCESSES field is REFERENCE_NUMBER.
You pass this reference number in SCASE transaction and get details of WF container.

I am using a custom workflow for ESS leave application. How can I get the Workitem ID of the Workitem when a Workflow is triggered from ESS Leave Application.
I have to get the Workitem ID to a program wherein, it will show the trace of the workflow like who all have approved the workitem, with whom the workitem is pending right now etc.

JubishIt this is ECC 5.0 and above then you can check this in
SPRO--> Employee Self Service -> Application Specific settings -> WorkTime -> Leave -> processing of leave -> Select type of leave you are applying
and then open details, it should list workflow template used for New leave, Cancel and delete leaves.

Portal Runtime Error when opening Webflow workitem in UWL
Hi,
I have recently configured the UWL to pick up workitems from SAP workflow on a background system. The workitems are appearing OK in the Task folder. However, when I try to open a workitem by double-clicking on it, I get the following error:
Portal Runtime Error
An Exception occurred while processing your request. Send the exception ID to your portal administrator.
Exception ID: 05:33_30/09/10_0010_24209150
Refer to the log file for details about this exception.
NB. This only seems to happen for items that would be shown via the SAP GUI (E.g. a Confirming a task completion or user decision). The workitem runs OK if it is for a task that is visualised as a Web Dynpro app and specified in transaction SWFVISU.
I have not configured Delta Refresh options in the Workflow Administrator so do not know if this is a possible reason (I assumed that this would not cause a problem and would simply mean that refreshes only occur once every 60 seconds). Any help would be greatly appreciated. I am fairly new to Portal & UWL I would also be grateful if someone could tell where I can find the relevant log files referenced in the original error.

Welcome to UWL :). Portal Runtime Errors in UWL don't always signify that there is a UWL issue. This could be a permissions problem, etc. I'm not sure what version of the portal that you are using. But here is a little trick for you when checking logs...you can enter in the following: irj/servlet/prt/portal/prtroot/com.sap.portal.runtime.admin.logviewer.default
and check the log file with the id that was given in the error.
Exception ID: 05:33_30/09/10_0010_24209150 is your exception id. Search for the log files in the default trace and see what the exact error message is. If you can post this here it would be great.
The log files can be found in the following location:
/usr/sap/<SID>/JC<InstanceNumber>/j2ee/cluster/
server<number>/log
or by entering the URL that I mentioned above.

You can get this information by doing the following:
a. log on to the portal
b. backspace out the irj/portal section of the URL
c. click enter.
d. You are now at the J2EE administration page.
e. Next, click on the system information link
f. Please click on the all components link
g. Please attach this information to the message.

Please note, that note number 1133821 is an important note that is needed in the UWL. Did you maintain your RFC destination accordingly?

Regarding workflow suspension(entry in table SWP_SUSPEN)
Hi Experts,
I have a workflow whose one of the workitem goes into enqueue error during it's processing when user tries to perform some parallel activity , now when user stops the parallel activity & come back to his inbox, it allows him to process the workitem properly. (That is workitem is successfully processed.....status is completed). But after this workitem execution, the workflow hangs / gets suspended. Step histroy of this workitem shows there was an error when processing this workitem (Enqueue error) even though finally user was able to continuue & process the workitem successfully & status is completed too. It creates an entry in table SWP_SUSPEN With workflow Workitem ID & workitem id of the workitem under this workflow & error type as "0001" i.e:- Enqueue error callback to workflow) & status of the workflow as "1" ...i.e: - "In Process " & not in error.
I also analyzed that once the entry in the table SWP_SUSPEN is removed or gets deleted, the workflow continues from the point where it stucked.
So what i wanted to know is, what this entry in SWP_SUSPEN means by indicating "Error type" as 0001 & Status as "1" . & how this entry gets deleted, i thought there is some background JOB RSSWERRE that does this but when i checked i found RSSWERRE only checks for items in SWP_SUSPEN with workflow statuses as "02" i.e:- In error. where as my workflow has status "1" in SWP_SUSPEN under status field (as mentioned above)which means "In Process" I also found that this entry is getting deleted after sometime, so there must be some background job that is doing it, so i wanted to know what is that background Job if not RSSWERRE.

This is what i got from one of the Notes:
ou use parallel processing where you have a fork with 2 branches (1
Branch necessary for completion). In one branch is a dialog activity
step and in the other is a 'Wait for Event' step. While the dialog
step is being executed by a user the Wait for Event step receives its
event and continues along the branch and completes the fork (Remember
only 1 branch needed for completion). Once the end of fork is reached
the dialog work item should be set to status Logically Deleted but
this does not occur due to the lock/enqueue on the work item while the
user is executing it. Since a callback is essential for a workflow to
continue running, this callback is suspended (stored in the SWP_SUSPEN
table). These callbacks are started again via the RSWWERRE report. If
you have not scheduled report RSWWERRE then the work items will remain
in table SWP_SUSPEN and the work items will not receive their callback
and will therefor will not continue.
If there are examples of work items hanging then check table SWP_SUSPEN to
see if the callback work item ID is there. If it is then make sure you have
the RSWWERRE job running in order to redeliver it. If RSWWERRE is running
and the entry is not being delivered then please check for notes using the
search term "RSWWERRE" and "SWP_SUSPEN". If there is no entry in
SWP_SUSPEN, then check the workflow definition to see if the work item is
asynchronous i.e. needs a terminating event as in Example 1 above. Check
the event queue via transaction SWEQADM to see if the terminating event is
being buffered there. If it is then it should automatically be redelivered
so do a notes search in relation to the event queue.

My question is can I insert the properties of a related object of the parent workitem in a workflow email notification?
For example, I want to include the name property of the RequestedByUser related object of the parent workitem object in a review activity notification.Thank you for your reply. Prior to deleting a workflow first Delete/Cancel all the workitems of that workflow. It will help you to avoid unnecessary dump while executing those workitems. Its better to cancel the workitems if it is a productive system.
To delete workflow delete the following items in below mentioned order.
1. Workflow
2. Tasks
3. BO/Classes

Customizing of Universal Worklist (UWL) Preview
Hello,
i have to customize the UWL preview, that is shown in the portal for every work item below the list view.
The customization shall be done only for the current project, so there are only a few worksteps involved that should use the customized preview.
I already read the UWV configuration documentation, but i hav absolutely no clue how i can do the customization if it is possible at all.
What i have to achieve:
- remove Buttons from the workitem preview (e.g. forward)
- remove attributes from the workitem preview (e.g. priority)
- the configuration shall only be done for specific work items because other projects want to see the preview.
