• Asset Year End - B/S Issue

Hi Guys,
We have carried out the year end closing of our company code for the FY 2009 on 20th Jan 2010 in FY 2010. (the transaction AJAB for this company code for 2009 was run on 20th Jan 2010 ).
What happened was, our company has already reported the BS figures ...for 2009.
And when we ran this AJAB, the depreciation difference postings between dep. area 01 and dep. area 02 started appearing on our Balance sheet in SAP for the period 12, 2009.
We want to correct this situation as this contradicts what we have reported and bring back SAP figures in line with the BS figures.
I have done some analysis and the depreciation differences between area 01 and area 02 were posted to the Balance sheet upon running the transaction ASKBN ( periodic postings run : May be AJAB has automatically trigerred this transaction in background and the difference postings for area 25 took place as the dep area 25 was configured to post these periodic postings for the differences ).
However, there is not supposed to be any difference between area 01 and area 02 in FY 2009 and we have corrected this situation in FY 2010 by changing the key of the area 02 to the same key as area 01.
But now, how can we rectify the depreciation differences that got posted on the Balance Sheet ( These were not meant to be like that and by accident, the dep.key for area 02 remained different in FY 2009 ).
Is there any way to reverse the postings that happened for FY 2009 for the depreciation differences between area 01 and area 02.
Thanks a lot.. Any valuable input is greatly appreciated.....
Srikanth....

Hi Paul,
Thanks for the reply.
I donot understand 1 thing. If i post a FI entry in this particular year 2010, How will it adjust the Balance sheet for 2009 ??
How will this posting affect the 2009 depreciation difference posting ?
Also ... one more thing..I could not understand about the currency conversion that you have mentioned..can you explain a little..
Thanks again

• Reasons for/against starting a new Payroll mid-year verses year-end?

Hello,
We'd appreciate feedback please on your experience, pros/cons of the Timeframe to start/migrate a newly acquired company's Payroll into our current Oracle Payroll processing. Our year-end is 12/31.
Our internal teams are split on whether to start processing at a Year End? verses sometime during the year - at any Month End?
thank you

If you are talking about a North American company, the easiest and less time consuming way is to start on 01-Jan-2013 or any year beggining or quarter beginning. The reason is, if you are planning for a year end go live, there will be the balance conversion process which becomes very complex if you do not plan properly. Also, you need to run the year end process to issue W-2s or T-4s from Oracle system. Instead, continue using the legacy system for Payroll till year end and turn on the Payroll for the newly acquired company on 01-Jan-2013.
Hope this helps..
Thanks

• Issue with GL Account creation leading to problem in Year end Carry forward

Dear Sirs,
I am new to this network & this is my first thread .
We have one GL Account which had been created as Account Group as Fixed Assets and ticked wrongly as P&L Statement Acct, instead of Balance Sheet Account.
There are some entries posted in this GL Account . When doing the Balance Carryforward process , the system is considering the balance in this GL to be transferred to Retained Earnings being wrongly defined as P&L Statement Account.
Infact this balance should not be flown to Retained Earnings and should be carryforward to new fiscal year as Balance Sheet Account.
Is there any way of changing GL account from P&L Statement Account to Balance Sheet Account even after entries are posted in GL and also cost element is created for that GL.
Please guide us to come out the issue.
Looking eagerly for your kind guidance and helpful reply.
Regards,

Hi Umapati,
Welcome to SDN.
Well the easy way would be to create a new GL account as B/S item transfer the line items to that account and block the wronly created account. Then you can perform B/F in new account
Alternatively: You can change the tick from P/L to B/S in the change mode, but first you must delete cost element assigned to that G/L account in KA04.
But this is not advised as it will create audit issue as you are using number assigned to P/L to B/S item.
Hope this helps
Pls assign points as way to say thanks

• Year wise GL account retained earnings

Hi Friends,
My client has ECC5 version. This is 2nd year of closing (march 09). Now he wants 2008 year profit to be posted to Retained Earnings 2008 GL account.Like wise he is asking me to maintain year wise retained accounts.
Last year ie 2007, in OB53, assigned 2007 retained earnings. Now they have created 2008 retained earnings gl and they are asking me to assign in OB53. They are expecting that when they do carry forward / year end process, 2008 year profit will go to 2008 retained earnings account.
I am doubt that will it happen like that? If i change as them and do, what will be the consequences?
I never come accross these situation... Please help me.

• Retained earnings issue

hello gurus,
what is the entry for retained earnings a/c.
regards
jana

Hi
Retained earnings is the net of the operations of the business after setting aside all expenses and other adjustments.
In our case, the balances of all P & L accounts is carried over to the retained earnings account at the year end by the following entry:
If Profit : P&L A/c. Dr.
Retained earnings a/c. Cr.
and vice versa if there is loss.

• Retained Earnings Statement (Financial Statement Version) Issues

1. If I post any thing, will it update Retained earnings account automatically or can I create any formula?
2. The requirement is  how the Retained Earnings –Beginning of year will update from P&L statement?
3. How the Retained Earnings P+L result will update
Note: If you tell the solutions for 2 & 3, then my problem will get resolved…
Regards
Sap Guru

Hi,
At the year end, whenever the balance carryforward is done, it will set the Retained Earnings G/L to the net balance of all Profit and Loss G/L Accounts for the fiscal year. Thereby when the new year is opened all the P&L G/L Accounts will have zero balance, while the Retained Earning will show the balance carried forward as the net value.
So, as and when the balance carryforward is done, the retained earnings get updated. Also, once you have done the balance carryforward to any financial year, even if you post again in the previous year, the retained earnings will keep getting updated automatically without executing the balance carryforward again for the same fiscal year.

• Issue in year end closing

Hi
I have an issue in year end closing. What would be effect if i do not clear the open items in GR/IR Account as part of year end acitivity. The balance in my GR/IR Account is zero as of my balance sheet date.
What would happen if i run the balance carry forward program?
Regards
Sanil Bhandari

This program will reclassify the entries for the Balance sheet reporting. Since your balance is zero there should not be any impact on the reporting side. Whether you run this program or not it will not have any impact on the balance carry forward program. Since these entries will get reversed at the beginning of the next period in any case.
The config setting will be in OBYP
The following config document may help you in better understanding.
Define Adjustment Accounts for GR/IR Clearing
The goods receipt/invoice receipt (GR/IR) clearing account is posted to whenever you receive goods that have not been invoiced yet or whenever you receive invoices for goods that have not been delivered yet.
In this activity you define the numbers of the adjustment and target accounts for the automatic postings for the GR/IR clearing account.
Transfer postings have to be made at the balance sheet date to reflect the goods invoiced but not delivered and the goods delivered but not invoiced. The program that analyzes the GR/IR clearing account adjustments this account by posting any outstanding amounts to an adjustment account. It makes the offsetting entry to the account for goods delivered but not invoiced or to the account for goods invoiced but not delivered (target account).

• Asset year end closing issue

Hi, I run ajab to close year 2010 (not 2011)and encounter below issue:
Asset 004110000555-0000 in company code 0000 (depreciation incomplete)
Message no. AU070
Diagnosis
The planned depreciation was not completely posted to Financial Accounting for asset 004110000555-0000 in company code IN00 in depreciation area 90.
System Response
Year-end closing cannot be carried out for company code IN00.
Procedure
Post the depreciaton using the appropriate posting program (Periodic processing) in Financial Accounting. Then start a repeat run for this asset, if necessary
My depreciation area 90 is "Post assets periodically in General Ledger", what should I do?

Hi
Is depreciation fully posted for the year 2010. Try to run AFAB in repeat mode for the last period of 2010 in test run to see if any values are coming for posting.
If depreciation values exist, then same needs to be posted before you close the Asset fiscal year.
Also please note for posting the depreciation your Fiscal year and period should be open in accounting.

• Issue at Year End

Hi All
We had problem at Finance go live cos of phasing out cutover for logistics seperately and FI seperately; so when we went live, there was such a mess up , plus the JPY transactions went in with a wrong rate etc etc...
so the end result was we had a discrepancy on the AP and AR side ok; I loaded the Customer items and the vendor items - customer/vendor wise..however, the totals by customer/vendor account was identical to the legacy amount - however, when we looked at the recon accounts, they wouldnt match
obviously due to the conversions. So we had 52,841.91 on the AR side and 58,262.19 on the AP side. So what i did was, I created a Dummy migration vendor and customer and posted these manually making the offsetting entry hit the AP and AR data migration account - thereby balancing my GL
Now i have this vendor/customer sitting out there with this amount - but th GL recon account is ok
I have assigned this vendor to the customer and vice versa on the master data.
I have to correct this at year end - so what i want to do is - change the Recon account on both the vendor and customer to a new account and do an F-02 to clear the entries - Cr (PK16 or 18) and Debit the new GL account.
After that I will i will post both these vendors to a foreign currency valuation account; so the net difference between AP and AR is 5000 something
But what happens to the amounts siting in the new account?
Any thoughts on this? Please advise
Thank you
Rukshana

Hi Bhanu
Thanks much for the input..
So i will do as i mentioned but by creating that recon account that will not be included in the FSV - afterwhich i will delete and block the account(s) for posting..
Is that the correct way to go about it
Thanks again

• Funds Management Year-end Issue

For Funds Management Module year end activity, it mainly involves commitment and budget carry forward.
For a particular Fund / Fund Centre, we transferred the commitment and the budget from 2011 to 2012. However it was not distributed accordingly in 2012. From the screenshot below, you can see that the budget (Sender) had multiple levels (Fund Centres).
1.MIMOS
2.1000
3.MM05
4.MM0501
5.MM050107
However, the receiver was only at the highest level which is MIMOS. Now under the budget reports, it is showing insufficient funds @ the Fund Centre level.
Please guide me on how do I redistribute Funds to the lower levels Fund Centres.
Please refer to the screenshot at: http://nazrinrizal.blogspot.com/2012/01/funds-management-fm-year-end-issue.html
Help would be very much appreciated. Thanks!

You could try out transaction FM9P for year 2012 in your test system to reconstruct the distributed values.
To me it seems that the actual budget for 2011 has only been entered for the top-level MIMOS and distributed from there (I assume you are using Former Budgeting), and thus the carryforward only considers the "actual" fund center + fund combination for which the budget was entered.
If budget would have been entered to the lowest-level fund center, you would have to run FM9Q to sum it up for the above fund center hierarchy levels.

• Retained Earnings Account balance not carry forwarded to next year

Hi,
We have problem in Retained Earnings Account Balance C/F to next year
example:
G/L Account closing balance in 2008 - 1000.00 (as per FS10N) after c/f balances to 2009
G/L Account Opening balance in 2009 - 850 (as per FS10N) (there is a difference 150.00)
If we double click on Cumulative balace of 850 it will give us - 1000.00 and if we see in report : FBL3N it will show correct balance. Only FS10N is not showing correct balance.
Can you please let us know what will be the reason ?
Thanks
Ravi

Hi Ravi,
We are using 4.6C version and last few years there was no problem and we have other company codes which are showing correct balance. But only one company code this difference is coming.
If we double click the FS10N report opening balace it will give us the correct balance. But in display there is showing less amount.
Thanks

• Retained earnings account

Hi,
Can we maintain retained earnings accounts as open item management account?
our client has changed the status to Open item management account recently, due to this reason he is unable to do year ending carryforward through F.16. They are getting error analsys that change the status to without open item management.
treat this issue on priority ...
Thanks & Regards,
Prasad

Hello Prasad,
Retained earnings account is balance sheet account. At the closing of fiscal year, we need to carry forward balances of P&L accounts to retained earnings account. We have to create Retained earnings account at IMG level. Profit or Loss is carried forward to this account at the end of the year. Normally, companies use one retained earnings account. For this reason, X can be used as the key. In the chart of accounts you enter X in the P+L statement account type field.
Have you done any time year end closing functionally?
What we will be doing is drawing the "P & L account" transferring all balances in Rev & Exp to "P & L acc".
This P & L account in SAP is widely called as retained earnings account. At the end of the period, all your Rev & Exp are posted to this account which is a Balance sheet Item. This you are identifying as Retained earnings account type X and assigning a GL account. When you create this as a GL account system understands that this is Retained earnings account.
Profits of the organization are always Liability. Losses are Assets. As profits form part of "share holders funds".
You assign this retained earnings account in your financial statement version in such a way if the balance is credit in the liability side and if the balance id Dr then asset side

• Retained earnings account- differences between F.01, FS10N, FBL3N

Hi Sap Gurus
Maybe someone can help me. When Iu2019m trying to control the amounts for the retained earnings account comparing the FS10N, FS10N drilldown, FBL3N, and F.01 they give me all different values.
I understand that the differences between the FS10N and FBL3N can be related to the carryfowrd process.
But, okey. Why when Iu2019m double click on the FS10N report the system shows a different value from the FBL3N? Another problem is when I compare the amount from FS10N and F.01 for the same retained earnings account, the system show complete different values, how I can verify the amounts for control and audit process?
Regards
Gabriela

I cannot speak on F.01 but between FS10N and FBL3N and FS10N drill down, they should equal in grand total. Keep in mind that FS10N GL Account balance display is based on one fiscal year display but the cumulative balance should be all activity from day 1 that has been carried forward.
Try running FS10N for the last fiscal year possible. If carryforward for the retained earnings accounts have been performed for each year, then the ending figure in the cumulative balance column will equal the same total ending balance you get when you execute FBL3N GL Line item display for the same retained earnings account (providing you select "All items" and don't include in posting date restrictions or any others on the selection screen).
Using FS10N for each fiscal year, you can check to to see if the beginning cumulative balance is the same as the previous years ending cumulative balance. If not then they may be a carryforward issue.
