Alerts in Worklist

Dear all,
In CRM 7.0. a new functioanlity worklist has been introduced. It has Alert inbox available.
Now we have a requirement where we want to capture Alerts happening for contracts expiring in 30 days and we want to show these alerts inside CRM Web UI in the "Alerts" section in the Worklist.
Please advice if you have any documents or information how this can be done.

Hi,
1. Configure Alert Management
2. You have to first create a Alert Category using transaction code: ALRTCATDEF
3. Then use this in Action Profile. Select method "Trigger Alert" in processing definition.
4. Assign Alert Category to Action.
However, if you want to make custom changes you need to implement BADI: ALERT_EXIT_LOCAL_PPF
In the BADI which I mentioned write the code about the contract end date condition.

  • Process Chain alerts not visible in UWL

    I have carried out the weblog test that Ginger published at
    /people/ginger.gatling/blog/2005/06/16/integrating-alerts-into-uwl--its-no-problem
    and everthing worked fine.
    We are, however, trying to use Process Chain alerts from CCMS.  These alerts are visible if we run transaction RZ20 in the back end system but the UWL does not see them.
    Is there a guide or something showing how to configure this?

    Hi Bernard,
    I've checked out a couple of systems - you can create alert categories for process chain alerts, and once you have the category you can of course assign recipients.
    In fact you should see some existing categories in your system for process chains in transaction ALRTCATDEF.
    The UWL essentially reflects what is in the BSP ALRTINBOX as it is using the same/similar routines to derive the alert inbox worklist.   So if you don't have anything in ALRTINBOX then it is correct that nothing is showing in UWL inbox as well. 
    You need to set up the categories and recipients against your process chain alerts.
    I'm not all that familiar with BI Process Chains but a couple of minutes looking at the IMG in transaction SPRO showed that in transaction RSPC when you select a process chain you can use menu option Settings > Maintain Alert Categories to make the link between the process chain and the alert categories.  You'll probably know what to enter here better than I do.

  • Customizing of Universal Worklist (UWL) Preview

    Hello,
    i have to customize the UWL preview, that is shown in the portal for every work item below the list view.
    The customization shall be done only for the current project, so there are only a few worksteps involved that should use the customized preview.
    I already read the UWV configuration documentation, but i hav absolutely no clue how i can do the customization if it is possible at all.
    What i have to achieve:
    - remove Buttons from the workitem preview (e.g. forward)
    - remove attributes from the workitem preview (e.g. priority)
    - the configuration shall only be done for specific work items because other projects want to see the preview.
    Can you please help or point me to some documentation/ guide?

  • Oracle Periodic Alert -Not sending Email Notifications

    Hi,
    I configured a periodic alert in my test and development instances. I had a SQL Query in Select Statement. When I verified the SQL Statement Oracle Alert successfully parses the SQL Statement . When I run it rows are getting selected. I defned Actions, Action Set, Action Set Details, Action Details. In the Actions Tab---> Action Details I listed out the persons to whom Mail needs to be send.
    I checked the below ones...
    Notification Mailer is Up
    Periodic Alert Scheduler is Activated
    But the notified persons are not recieving mails.
    I has one more question
    Is that if the Select Statement after parsing doesnt return any rows... Alert will not be triggered. if it returns 0 rows.
    What else needs to be checked.. Let me know if you can sort it out...

    Please post the details of the application release, database version and OS.
    What is your ATG patchset level? If you are on ATG RUP4 or above, then please confirm that Oracle Workflow is configured and working properly with no issues -- Check the Workflow log file for any errors.
    Is the issue with all alerts or specific ones only? Can you reproduce the issue with all end-users for the same alert or with specific users only?

    The Universal Worklist (UWL) gives users unified and centralized way to access their work and the relevant information in the Enterprise Portal. It collects tasks and notifications from multiple provider systems – SAP Business Workflow, Collaboration Task, Alert Framework and Knowledge Management Recent Notifications - in one list for one-stop access.
    Administration and configuration for the Universal Worklist (UWL) is described.
    General Prerequisites
    1.     As an administrator, you have full administration rights for the Portal and the required business workflow rights in back end system (reference roles such as SAP_BC_BMT_WFM_UWL_ADMIN and SAP_BC_UWL_ADMIN_USER). Refer to SAP note 941589.

    UWL administrative and/or end users are not allowed to perform or look up business workflow functions or data in the backend system.

    Corresponding adminsitrative and end users in the backend systems are created from scratch and have zero initial authorization.

    Attributes
    1.     Make sure that each user is known to all connected SAP systems as per role requirement (make sure that there is one-to-one mapping between the portal user and the backend user)
    If an iView is based on a system object defined in your system landscape, you must assign user permission for the relevant user, group, or role to the system object, as well.     Authorizations needed for working with Business Workflow

    1.     ●      Function group and transaction SWK1 (for back end systems using WP-PI plug-in)

    User Mapping:
    1.      Navigate to User Administration ®identity Managementà User Mapping.
           2.      There are three scenarios:
    ○     Portal user ID is different than the back end SAP user ID and back end SAP user IDs are different in all back end SAP systems connected to the portal (UIDPW)
    1.      Maintain the user mapping for each portal user corresponding to all the respective back end systems
    2.      Portal user ID is different than the back end SAP user ID and backend SAP user ids are the same in all back end SAP systems connected to the portal (logon ticket)

         Procedure
           1.      Navigate to System Administration  ® System Configuration  ® Portal Content. Open the folder where the existing systems were created.

           3.      Assign permissions. Make sure that under the Administrator column you assign Read permissions for the assigned role (for example for role eu_role). Also mark the check box End User.
           4.      Choose Save.
         Registering the Provider Systems
    Each UWL iView can retrieve work items from multiple Business Workflow back end systems. Register each back-end connection to be used with the following procedure:
    On the port...
           1.      On the portal, choose System Administration ® System Configuration ® Universal Worklist and Workflow ® Universal Worklist Administration.
    The Universal Worklist Systems list appears. Here you can define connectors and systems as item providers for the Universal Worklist.
           2.      To add a new entry, choose New. To edit existing information, select (highlight) the row and choose Edit.
           3.      To save the current system registration, choose Ok.
           4.      Multiple system connections are defined by repeating the above steps 1 to 3.
    Table describing the parameters
    Parameter     Description and Use
    Connector     This is the identifier with which the connector is registered. It indicates the type of items retrieved through the connection. For example: WebFlowConnector.For connector types WebFlowConnector or Alert Connector item types have to be registered with the UWL service after defining a new system connection.
    Configuration Groups     Leave this blank, when working with the default UWL iView. You can add a number of configuration groups separated by commas but only one configuration group per iView. first installed, one UWL iView is defined.  The System Configuration Group property for that iView is empty (blank). This means that no System Configuration Group is named, but in effect there is only a single group. The default behavior for the blank setting is this: when any user logs onto the UWL iView, UWL tries to log that user onto all registered back end systems. There is a limitation with the blank setting. When a large number of systems are accessed during log on, the overall portal load is increased. Also, the user receives error messages from those back end systems that have no user account for the particular UWL user. For large system landscapes do the following:...       1.      Partition back end systems into groups. This is accomplished by creating additional UWL iView instances, each of which refers to a specific group of backend systems. The group is defined, using the System Configuration Group iView property.       2.      Then use the value of the System Configuration Group property when registering back end systems by placing it in parameter Configuration Group, when you register the SAP system.
    System alias     The name of the alias for the back end system, as defined in the system landscape. The length cannot exceed 25 characters.If Web Dynpro applications are configured on a SAP NetWeaver Application Server which is different from the SAP NetWeaver Application Server of the system alias, then specify that system alias as a Web Dynpro system

    User Roles     Restricts who can get work items via the user role. For example, you can assign a portal role here, such as buyer. Only users with the role buyer will see items from the provider system in UWL.You can have multiple user roles separated by semi-colon.     Pull Channel Delta Refresh Period (in Seconds)     Delta Pull mechanism of UWL enables new items to be fetched from the back end SAP systems every minute by default every 60 seconds, and every 30 seconds for alerts. However, this can be configured. The user does not need to use the refresh function to update the inbox. Once items are retrieved, timestamps are updated for the users whose items are successfully retrieved. These retrieved items are updated in the UWL cache. Setup necessary from Business Workflow to enable Delta Pull MechanismSome configuration settings are required if you use the UWL and the Extended Notifications for SAP Business Workflow. Define the following two batch jobs:...●      Background job (for example UWL_DELTA_PULL_1), consisting of a single step of ABAP report RSWNUWLSEL in FULL mode, using a report variant.Run the job once a day.1.     ●      A background job (for example UWL_DELTA_PULL_2), consisting of a single step of ABAP report RSWNUWLSEL in DELTA mode (default mode is delta, so report variant is optional).Run the job every one to three minutes (depending on the performance of the back end SAP system).Setup necessary from UWL to enable Delta Pull Mechanism The UWL service user in portal, with user id uwl_service, has to be granted access to the corresponding back end systems. This is a predefined service user provided by UWL. When the back end system is configured in the UWL administration page, an automated process is triggered to create a corresponding UWL service user in the back end system.Check role assignments and profiles status of this automated generated UWL service user and perform user comparison if necessary.●      If SAPLogon ticket is used (without using user mapping), you first create the system entry. A message about uwl_service user appears. Then in the back-end system give the uwl_service user an initial password. Now edit the system entry.●      If user mapping is used, you can first configure the back end system in the UWL administration page. Then access the respective back end system to initialize the password for the user uwl_service. Then, do user mapping in the portal as usual for service user uwl_service.In case uwl_service fails to be created in the back end and does not exist, you can manually create a back end user with the id uwl_service and assign the role SAP_BC_UWL_SERVICE and the rights as other end users.ORMap uwl_service to an existing back end user. Make sure that there is no multiple user mapping (there must not be two portal users mapped to the same back end user). This back end user must have the role SAP_BC_UWL_SERVICE.
    Snapshot Refresh Period (in minutes)     All items at the current time are fetched from the backend (for example from the SAP Business Workflow). The cache is synchronized thereafter. New / modified / deleted / updated items are fetched every session (every log on) if you leave the field value empty or enter a negative number.To specify a particular time frame for which the refresh occurs, enter the number of minutes
    The above registration procedure is usually sufficient to use a UWL iView. Item type retrieval and registration requires a connection to the systems and may take a couple of minutes.
    For each system, they are generated as the configuration named uwl.webflow..
    In Manager Self-Service (MSS), the Universal Worklist groups together in Workset: Work
    Overview the various workflow tasks and alerts that are relevant for a manager.
    The standard MSS delivery includes the configuration file com.sap.pct.erp.mss.001.xml for the universal worklist.
    1. In the portal, choose System Administration →System Configuration →Universal
    Worklist and Workflow →Universal Worklist →UWL Systems Configuration.
    2. Create the following system connections:
    If you have already registered a suitable connector to the system connected to
    the system alias, the existing connector is sufficient and you do not have to
    register an additional one.
    ○ System alias: SAP_ECC_Financials
    Connection types:
    ■ WebFlowConnector

  • Show Custom Attributes of GP Tasks in the Universal Worklist

    Hello,
    I have created a GP Process and i can see and execute its task in the universal worklist.
    But it only shows standart propertys like : Process,From, Sent, Due, Status.
    I want to add Custom specific task propertys, but i couldn`t find the way. Reading javadoc documentation :

    It says de we only can retrieve custom propertys from this connectors:
    ABAP_BOR - for SAP Business Object Repository
    WEBFLOW_CONTAINER - for Business Workflow container
    UM - for Portal user attributes from user management
    ALERT_CONTAINER - for alert container 
    GP_Connector is not in the list.... this means that it won`t be possible to show specific task attributes in the UWL if the tasks belong to a Guided Procedure Process?

    As I explained, my problem is not showing the GP tasks in the UWL ( in fact i have created a GP connector, and my GP tasks are correctly shown in my UWL ). The problem is that i can´t manage to show custom properties of this GP tasks in the universal worklist.

    then i save and clicked on Register button. Then i get the following error message :

    After configuration changes in the backend system, you must re-register the system.

    it has registered successfully.
    But when i login with my user id, it is giving me following error.

  • Alert Recipients in CRM

    Hi All,
    Requirement:
    Alert category defined with elements passed to the container using the ALERT_EXIT..BAdI. Alert gets triggered using the action. recipient receives the mail too with all the values required.
    Used Rule based recipients option to trigger to recipients but the problem is that, there are Org. Units which are responsible for certain regions depending on where the customer site is.
    ex: if Customer site has region TX, then an RSM and ASM, which are positions assigned under South West Ops (TX) should be determined and alert sent to the BP/USER assigned at this position.
    So on..depending on the region of the customer, the respective org unit and the positions should be determined and alert sent to the respective partners.
    Challenge :
    Though I have defined the Rule and the container elements, my binding in the "Process Data Flow" seems to be incorrect.
    Has anyone worked on a similar requirement?

    I am not aware of any way of mass updating the values.
    For the user navigation you first need to customize your navigation bar so that it contains the workcenter called CT-WORKLST. This will make the Worklist visible in the navigation bar.
    When the users then click Worklist they subsequently have to click on "Personalize alerts" which will take them to the page where they can select/deselect e-mail and also subscribe/unsubscribe to specific alert categories. To be able to do the latter I believe you also need to give users authorizations via auth. object S_ALM_ROLE.

    Hi Kiran,
    The Guided Procedures runtime and administration portal worksets (and thus the Guided Procedures inbox) should only be accessible by administrators.
    The UWL has to be configured to retrieve workflow items generated by the Guided Procedures framework.
    The Universal Worklist is used as the central access point to tasks, alerts and notifications. You can access
    the UWL to manage and track your tasks.

  • Controlling recipients when creating alerts via FM SALRT_CREATE_API

    Hi all,
    I have successfully managed to make a badi implementation which based on certain checks triggers and alert via FM SALRT_CREATE_API. I have a problem though limiting the users that receive the alert.
    I want to control recipients via the import table called IT_RECIPIENTS. But I have a problem if any users are assigned as fixed recipients to the alert category used because then they always get alerts of this category whether or not they are part of IT_RECIPIENTS. In other words if a user has an entry in table salrtcatus for the alert category I am triggering via the FM then he/she gets all alerts of this category which does not make sense in my scenario.
    I realize that a solution would be to make sure that no values exist in table salrtcatus. However, I would like to be able to use this table so that users can manually select per activity category if they at all are interested in receiving alerts of a particular category. And as far as I can see the table salrtcatus is the only place to store such information. The table can be maintained by each user if they go to theie worklist in the navigation bar and then click on "Personalize alerts". Then they can choose to sunscribe/unsubscribe to each alert category. How do I ensure that the subscriptions made here do not result in the users getting all alerts of a subscribed category but just the ones where they are purposely selected via import table IT_RECIPIENTS?

    You can do it like this (it works for me):
    1. in spro for actions define for your alert one additional parameter. In my example I trigger alerts via method call and I trigger method ZTRIGGER_ALERT (modification of standard TRIGGER_ALERT method in class CL_ACTION_EXECUTE).
    So I defined new parameter, for example RECEPIENT for which I specified ABAP dict. data type CHAR4. Under Initial value you then specify the key for recepients group. For example RESP for employee responsible.
    2. Then you have to do the following coding in ZTRIGGER_ALERT method. Below you have the sample for sending alert only to person belonging to employee responsible function. So in this way you can define as many recipient groups as you like.
    data: recipient(4) type c.
    READ TABLE lt_container INTO ls_container

    How do set up alerts, notifications and tasks that go into the Universal Worklist?
    Is this governed by workflow or a change in ERP Infotype data?

    What you need to do is create a System Connector to connect to the ECC system and all the available tasks in SBWP will be available in the portal UWL....if you want to show custom tasks of a Custom Workflow you need to add them as attributes in the UWL XML file.....
    You can also define action event handlers in the XML file which will allow you to open specific iviews,pages on the click of a button in UWL....
    You can also customize the UWL to change the arrangement of the Tabs like tasks,Alerts etc..
    If you want to show all the R/3 Inbox emails you can go for the SONIC connector which has to be downloaded separately from SMP and deployed using SDM...

  • Unable to display opportunity linked to an alert

    Hi,
    When I try to click on the Subsequent Actions - opportunity no then system generates the following short dump.
    Business Server Page (BSP) error
    What happened?
    Calling the BSP page was terminated due to an error.
    This link is in Alert section. When I click one alerts...then in sub. action click on the opportunity no. then i get this dump.
    Any Idea how to fix this.

    Step 1:
    Creating Alert Category
    Go to T-Code u201CALRTCATDEFu201D create a new alert Classification u201ECRM_ALERT‟ and provide a description
    Step 2:
    Select the Classification u201CCRM_ALERTu201D and create a new alert category u201CALERT_MAILu201D with description u201CAlerts for Sales Managersu201D and press ENTER.
    Step 3:
    In the Container tab create a new container element
    Step 4:
    Select tab u201CLong and Short Textu201D
    Enter the information required for Alert. To add Container element in the text, select
    And add the relevant element.Save the Alert Category.
    Step 5:
    Select Authorization Subscription. Click on new entries and add the role u201CSAP_BC_ALM_ALERT_USERu201D or we can use any other relevant role. (Make sure that the role is assigned to the Alert recipient in SU01)
    Setting up Method call u201CTrigger_Alertu201D
    Step 6:
    The standard Method call u201CTrigger_Alertu201D would be used to trigger alerts. But the method call won‟t call the container elements. We need to change the Method Call and do the necessary changes to get the values in the alert.

    Go to initial value tab and Give the initial value as the Category we have created.
    Save the Action and assign to relevant transaction.
    Webui Configuration
    Step 10:
    Log on to Webui > Select the worklist from the navigation bar
    Select u201CPersonalize alertsu201D and Click subscribe for the alert u201CCRM_ALERTu201D and save
    Step 11:
    Testing of Alert Category Note: This Program used only to test whether the alert triggers to the recipients or not. It will not pass any Container values of the alert category; it will pass only the text entered in the alert category.
    To test our alert configurations run the report u201ERSALERTTEST‟.
    Specify the alert category u201CALERT_MAILu201D that we have created in ALRTCATDEF. Execute (F8).

  • How to escalate the workitem into the worklist of new agent

    Hi,
    We have created a workflow for complaint management in SAP CRM system that includes mainly:
    Triggering event is CREATED event of Business Object: BUS2000120 (CRM Complaint).
    Activity for assigning the complaint WorkItem in the WokList of agent determined through rule of category: Function module to be executed.
    Now the requirement is to escalate the WorkItem into the worklist of some other user after 7 days from the creation date of complaint and into WorkList of some third user after 14 days.
    We have written the code to find the actual agent based on creation date in the FM of rule, but not finding any way to trigger the FM after 7 days and after 21 days again to redetermine the agent and reassign the WorkItem into the WorkList of newly calculated agent.
    I am very new to Workflow design. Please help if anyone knows the procedure how to escalate the workitem into the worklist of some new user.

    if you want to configure worklist go to se63.there are four level of hierarchy. there in object types u can add ur workitem..if you are going for a universal worklist then u should have
    ● SAP NeWeaver Portal
    ● Application Server Java (AS Java)
    ● SAP Business Workflow
    ● Collaboration Task
    ● Alert Management
    also  you  must be an admin..
