Archiving and document viewers

I'd will like to display my archived workitem and do no use any third party archiving system but SAP could you tell me how to use SAP AS interface to display archived document and workitem ?

Yes i do use SARA to be more specific in transaction SARA i do use arkivingsobject workitem but after i run the program and the worsitems are archive on disk i will like to find a way to look into the archiving object and the document in it.

    I was asked by my manager to look for possible solutions to convert our archive paper file cabinets that are full of student records into digital format. We do not utilize sharepoint yet at the school but I was researching and found that sharepoint does a good
    job in archiving and content management. The ultimate goal for us is:
    1-  to be able to scan the documents in the file cabinets and save them into folders on sharepoint. We want to be able to create a folder under a specific students' name and then scan all documents related to that student into that specific folder. 
    2- Give permission to specific staff members to access and search for docs by student name. 
    I wanted to ask if  and how this is possible to achieve by Sharepoint knowing that we have an estimate of 120,0000 paper docs to scan.

    Hi all
    I read somewhere that one of the functionality in EHP3 is we can create sales document like debit memo request and credit memo request from the archived billing document. I am working on EHP3 system only but i am not able to create the sales document. the system throws an error that billing document doesnt exist
    If any one of you have worked on such functionality kindly suggest me why its not happening here also let me know Is ther any customization required for the execution of this functionality in spro.

    I suggest you open that question in an SD forum together with the support package you run and if you have an industry solution or any business function sets activated or not.

  • Problem with sending and archiving pdf document

    Hello experts,
    I have created the following SAP PI scenario:
    First a pdf document will come from our partner to a specified directory. The ftp adapter sender get this file and also set the filename in the adapter specific messages. Then a udf mapping starts to read the filename of the pdf document, because the filename includes a ordernr for a sales order in sap. So the filename will be mapped to an easy rfc structur, afterwards the RFC Adapter will be called. After this I have to archive and delete the pdf document in the origin directory. But this will not work. I tried following steps.
    After calling the rfc adapter another receiver determination will be called. That means a ftp adapter receiver is called that gets the filename and copies the pdf document to another directory. This works, but if I try to open the pdf document then it does not work, because the pdf document includes the structure of the rfc function module, filled with the filename param.
    Furthermore the archive function of the ftp adapter sender does not work. Everything is correct set, but the pdf document will not copy to the right folder. Before I create a Java adapter module for the file adapter sender, that copies and deletes the file in the origin folder,  another solution would be better.

    Ideally the processing mode Archive should work for your case.
    This works, but if I try to open the pdf document then it does not work, because the pdf document includes the structure of the rfc function module, filled with the filename param.
    Why are you using the RFC structure  for the other receiver in receiver determination. Use some dummy name in the Interface name and interface mapping and still the scenario will work. In the receiver channel, use the File type as binary.

    When i try to view the print preview for a perticular doc type, system is giving the error as "No archive information found for object type  and document type"
    Diagnosis
        No information was found about optical archiving. This may be due to
        either of the following reasons:
        1.  No valid archiving parameters were passed
        2.  Your system is not configured for optical archiving
    System Response
        Processing is cancelled.
    Procedure
        Specify valid archiving parameters or check whether your system is configured for optical archiving

    Hello,
    You are trying to Print & also archive by selecting the option Print & Archive.
    You have to do archivelink configurations and then create document type and assign to the object type with content repository with archivelink table.
    If you want to archive the spool or output then you have to use object type as DRAW. If you are archiving invoice document or letters or so on then you have to know the object type/Business object of the transaction.
    Please note that for archivelink configuration, attachment will be either stored in archive server or in SAP database table based on business requirement.
    Hope this will give you some understanding on archiving area.

    WSDL (Web Service Description Language),
    XSD (XML Schema Definition Language),
    DTDs (Document Type Definitions)
    Imported Archives: its used basically for java and xslt mapping where you create the required mapping externally using some tools
    (java-eclipse/NWDS .XSLT-stylus studio).You can also implement XSLT and Java mappingsf and save them as archives in the Integration Repository.

    Team, I need to configure the archiving objects and residence time to Archive and delete EM objects. there are three steps of configuration, and I have never done this before.
    Can any one of you help me in setting up this config and the programs that need to run to archive and delete these objects.

    I was told that it would be possible to display archived and deleted event handlers using BAPI /SAPTRX/BAPI_EH_GET_DATA_GEN. I tested it, but could not verify this statement. SAP Help reads:
    "The archiving object /SAPTRX/A0 only supports a technical view in the Archive Explorer of the Archive Information System. This view is similar to the display in transaction SE16."

You can integrate archived billing documents in your business processes more easily. Since you still have electronic access to archived invoices during the sales process, you can manage archiving without delay and execute further sales processes electronically.
    You can more efficiently use the rebate agreements from SAP ERP for your marketing activities. In particular, customers who use SAP CRM (Trade Promotion Management) with a large volume of data for campaigns, target groups, and product segments can define a custom-made logic for their rebate determination and thus avoid potential database problems.

    For rebate processing, you can store your company's check logic in the interface of the Business Add-In (BAdI) Enhancements for Rebate Processing.
    So check if you have activated the business function.

    when you have archived the document the document is not available in SAP. In that case how you find out the invoice and relate?

  • Archive Link Documents

    Hi Experts ,
    I am currently working on the Web UI component GS_CM . The requirement is to display the name , description and the  created by fields entered by the user during the upload process correctly on the web UI. The user would click the advanced button and then click the attachment button in the advanced assignment block to upload documents. These documents are added as archive link documents.  In the current state only the extension name ( E.g. xls ) is displayed. The data entered by the user is being populated correctly but I am not able to figure out where the attributes are being set and where wrong information is being picked up . Could anyone with experience in attachments and who has worked with the component GS_CM please help me out? Could this be a standard issue? Any reference to SAP notes would be really helpful.
    Also is there an API that would fetch the information directly from the database?

    P.S: These attached documents are added within a single folder within the Archive link folder. Hence the view for the advanced assignment block has a context node with a tree structure. It is this mode which holds the name , description and the user name.

    First you must have Services for Objects enabled. Then you will need further enhancement to "Store Business Documents" if yo are truly using "archivelink" documents. If you use create attachment you will just be writting to the SOFFCONT1 table in SAP.

    Dear all,
    I am running ECC 5.0.  I am trying to archive EHS documents with ADK using the object CV_DVS. I am following the documentation from IMG, Under the step "Check Document Types and Document Statues" I create the status HI, AL and AR for the document type SBR.  I ran the preprocessing step for CV_DVS and I get nothing to archive.  I check the log and here is the message.

    Change report bodies:
    Report DW_PERFORMI XXX_US_SDS E 00002 is not archived; document for report missing in SAP database
    The status you enter does not exist

    I just wonder have anyone using CV_DVS to archive those MSDS reports and would like to know how do you configure 
    "check document types and document statuses"? it seems something is missing in my ECC 5.0 default configuration for the table.

    As you experienced all DIALOG function modules will not work in Batch because the is no connection with a frontend (PC).
    You have to get your PDF on a server so you can process them in Batch.
    Maybe you can than use the FM: ALINK_DOCUMENTS_CREATE_FILE

  • Can't display archive change documents for agreement (COND_B)

    Hello,
    I want to display archive change document for object class : COND_B (agreement) via transaction MEB3:
    The archive works fine, and I can found the archive change documents form SARA.
    (Archive Objetc = CHANGEDOCU
    Archive info structure = SAP_CHANGEDOCU2 (is active))
    But the display from the application transaction : MEB3 doesn't work.
    In the DEBUG:
    the Function module is called automatiquely: COND_B_DISPLAY_DOCUMENT
    THEN SUBMIT RSSCD100
    THEN The function module is called with the no parameter READ_CHANGEDOCU (ie with space value)
    THEN the program reads only from DB
    Question : HOW I oblige the program to read from the archive  (READ_CHANGEDOCU = 'X') ?
    I checked these SAP notes 1050935,1299903, 1308024, 1128954, 1050335
    but no results.
    May be I forgot some customizing ( SARA,, AOBJ )?

    Hi,
    As I understand, the change documents archived using the CHANGEDOCU archiving object are no longer available using the application object.
    Refer to Notes 1257133 and 140255 where they mention the above point.
    If you want to read change documents along with the application, then you must first archive the change documents along with the application.
    In your case, for agreements, you should use object SD_AGREEM so that the change documents also gets archived along with the agreements. Refer to note 761281 to check whether the archiving class CHANGEDOCU is already defined along with object SD_AGREEM in your system.

  • Cannot Assign Archive and Retention Policies in Outlook 2010

    We are having problems figuring out how we enable Archiving and Retention tags in Outlook.  We have a new Exchange 2010 server with an Enterprise license key. We have run Microsoft Office professional plus 2010 on all of our clients (licensed through
    our volume license service agreement). We have configured an Archive mailbox store and assigned accounts to use that store. The archive mailbox appears in the users Outlook, but they cannot assign policies to folders or items. The ribbon does not show the
    option. I can see that it is configured to be part of the ribbon (when customizing the ribbon), but the option is not available to the user to actually select. I see user tags assigned to the user in Exchange, so I am at a loss as to where else to look for
    the problem.
    I see lots of documentation that says this is a licensing problem, but I am running the right components and think I have the right licensing. Is there a trouble shooting document or things I can check to make sure I have everything the way I need it to
    be?

    We found our own answer on this. Not sure why, but we had to use powershell to start the Managed Folder Assistant for the user name we had configured:
    Start-ManagedFolderAssistant -identity <username>
    My guess is that if we had waited long enough this would have resolved itself.
