Archiving emails?

I have a few queries regarding archiving emails from Mail.
1) If I use the drag & drop method I've seen mentioned, is that mailbox only ever recoverable on a Mac?
2) How would I go about archiving say any email from 2008? Could I just do a search for those emails then copy them into a folder and then store them on an external hard drive?
3) Any favourite methods that are recommended?

I'm not sure what "the drag & drop method" is, or what you mean by "archiving," since that can mean a variety of things when it comes to e-mail.
If you want them tucked out of the way but want to still be able to search them, just put them into a mailbox (or a nested hierarchy of mailboxes) created "On My Mac." I have a mailbox called Archive, inside which are mailboxes "Sent 2005," "Sent 2006," etc and "Trash 2005," "Trash 2006," etc. I've got thousands of e-mails in there, and never really pay any attention to them (except at the end of the year, when I make new boxes in there and clean out my never-emptying Trash and Sent mailboxes), yet they are still searchable.
If you need to tuck them away somewhere and forget about them for all intents and purposes for a period of time, and will never need to look at them except in some kind of unusual situation - kind of like you would do with tax records - you can select a mailbox and choose Mailbox -> Archive Mailbox. You can put the file wherever you like, but won't be able to easily look at the messages it contains without re-importing into Mail.

  • Mail deleted a current inbox and restored an old deleted inbox. It won't restore from Time Machine, and I'm missing archived emails from the old account. I'm pretty sure there is other stuff missing, but it's hard to tell. Any ideas why it would do this?

    Our Mac was working fine last Monday, then Tuesday morning one of our current inboxes was gone, and an old, archived inbox was restored--twice. Other than some trouble-shooting on Tuesday, we've pretty much left things alone as we were busy doing other stuff.
    I tried restoring the files from Time Machine, but it didn't work. I followed plisk restore instructions--nothing. It's a mess. We have no idea what would have caused this. We're above average users--we weren't mucking about with anything. It was just so strange.
    I went back into Time Machine, and it just makes no sense that I can't restore anything. We're now missing important emails--nothing too tragic, but still a pain in the butt. Thankfully the current inbox that was somehow deleted had a back-up on our email server, but the archived/deleted inbox file that was magically restored had all the archived emails that we kept deleted.
    Any ideas would be wonderful.

    Could be many things, we should start with this...
    "Try Disk Utility
    1. Insert the Mac OS X Install disc, then restart the computer while holding the C key.
    2. When your computer finishes starting up from the disc, choose Disk Utility from the Installer menu at top of the screen. (In Mac OS X 10.4 or later, you must select your language first.)
    *Important: Do not click Continue in the first screen of the Installer. If you do, you must restart from the disc again to access Disk Utility.*
    3. Click the First Aid tab.
    4. Select your Mac OS X volume.
    5. Click Repair Disk, (not Repair Permissions). Disk Utility checks and repairs the disk."

    Then try a Safe Boot, (holding Shift key down at bootup), run Disk Utility in Applications>Utilities, then highlight your drive, click on Repair Permissions, reboot when it completes.
    (Safe boot may stay on the gray radian for a long time, let it go, it's trying to repair the Hard Drive.)
    If perchance you can't find your install Disc, at least try it from the Safe Boot part onward.
    If 10.7.0 or later...
    Bootup holding CMD+r, or the Option/alt key to boot from the Restore partition & use Disk Utility from there to Repair the Disk.

    We use Acrobat Pro 9.4.6.
    Our office will not update to Acrobat X until CS6 becomes available for purchase.
    We run Office 2010 Pro 32-bit on Windows 7 64-bit.
    We need to archive email in a way that can be sorted in a PDF Portfolio by date or attachments to email.
    I wrote VBA code to save email from an entire folder or several selected folders as .HTML files with the same folder structure on disk as was in Outlook. This works for sorting by date of email, but it does not allow for the attachments to stay attached to the email.
    I thought about downgrading Acrobat to 9.0, but I am unsure if this is possible.
    Has anyone found a way to archive email in Outlook 2010 as PDF portfolio which would allow sorting by which email have attachments?

    P.S. A few extra steps would definitely add more benefit than cost.

    To resolve error 0x8004010F , identify the current location of your default Outlook data file, and then create a new Outlook profile.
    Step 1- Locate the default Outlook data file
    Click Start, and then click Control Panel.
    In Control Panel, click Mail.
    In the Mail Setup - Outlook dialog box, click Show Profiles.
    Select your current Outlook profile, and then click Properties.
    In the Mail Setup - Outlook dialog box, click Data Files.
    Select the Data Files tab in the Account Settings dialog box, and then note the name and location of the default data file for your profile (a check mark will denote the default data file).
    Click Close.
    Step 2 - Create a new Outlook profile
    Step 3 - Configure your new Outlook profile as the default profile

  • Update to Acrobat 9.5.1 breaks Flash functionality for reading archived emails

    On installing update 9.5.1 to Acrobat Pro on WinXP, I can no longer read the index of previously archived email collections created using the Email to PDF macro in Outlook 2007.
    The PDF data file indices were readable before, and are still readable in Acrobat X Reader.  Hence the data file content seems to be correct.
    I get the error message as below and then on Cancel (as the download page does not work) I can only see the first email in the collection as a two pgae PDF, which is limited to say the least.
    Please advise how I should restore the functionality I had prior to this upgrade.

    Yes, as I said in my original post.the link to the download page did not work.  Also as Acrobat X Reader worked (on the same computer), then the required Flash software was already somewhere on my computer
    However, this issue has now been resolved by applying the recent update from Acrobat Pro v.9.5.1 to v.9.5.2, reopening the PDF portfolio and following the link in the new dialog box that appeared, to go to the correct Adobe(R) webpage to download and install the Flash Software update.  This latest webpage has a date of this month (August 2012).
    As of v.9.5.2 this problem is solved.

  • Acrobat XI aborts when archiving emails in Outlook 2010

    I'm trying to archiving emails in Outlook 2010 as a PDF.  When I set the folders to archive and execute, it will run but abort and cancel the job after only partial completion.  There is no specific folder or email where this happens.  It appears to be random but I have yet to complete a full archive on my Outlook emails.  I know others have had similar problems but there doesn't seem to be many  responses.  Perhaps Adobe personnel could provide some solutions to this.  I'd appreciate any help.  Thanks.

    Is Acrobat working fine with all other tools?
    Please try repairing Acrobat from the Help menu.
    Have you tried setting up automatic archival of the emails from the Adobe PDFMaker option?
    What happens? Is this working fine?

  • Archiving email into PDF portfolio

    I'm trying to set-up for archiving emails from my Outlook 2007 (Win) to one or more PDF Portfolios.  I have Acrobat Pto XI  v. 11.0.3  I made a test portfolio from a small number of emails and it works great-- fully sortable and easy to do-- the Adobe TV how to was very helpful.  However, I'm bringing in a folder of received email and a folder of sent email, and the directory listing of emails at the top includes the "From" field, but not the "To" field, so for all of my sent emails there is no useful info (they're all from me).  How can I make the portfolio display the "To" field, as well?  I know that the info is in there because I can filter on the "To" field.  One other question, since I plan to use this solution, my plan is to bring a large number of emails in, many with large attachments--do I need to be concerned about limitations on number of emails or total file size for each portfolio?

    If you go to the top of the table listing in the Outlook Portfolio and right-click, you can turn on the To: column.

    How do I read my archived email stored as a pdf by adobe? I have been archiving my email in adobe x.  When I go to view it I cant seem to access the information, but the file is 200 mb and growing. I can read the first email but that is all.

    I set up the archiving as per the “Setup Automatic Archival” instructions and it
    appears to be archiving things in a pdf, however when I go to open up the saved
    file “text.pdf” all that I see is the first e-mail in the collection as a pdf
    and nothing else.  I can’t seem to access the rest of the e-mails.
    They appear to be there, if I look at the volume of the file, 200 mb (screen
    shot 2).  I have tried opening it from acrobat pro x, outlook, acrobat
    reader and other various programs to no avail.

    We use Outlook as an email client, since we don't have a Exchange Server. When I make an archive 2 months ago, it works perfect, I could see all my older messages in my inbox and folder created.  For  some reason (I believe after the last office
    update or patch), every time i make an archive, when I open the file this message appear  "We didn't find anything to show here in archived emails" and it's very annoying. Nothing appears even it says that there are unread emails on the folder.
    How can I fix it?

    Previously in outlook, I could do this by saving the PST file on the shared folder and pointing to that file when I opened the outlook at home. The file would be always current. IS there a way to do this in Entourage? Is there a specific way to point to the database, so that either work or home opens to a "shared" drive rather then the local C drive?

    Hi. My emails are filling up my .mac storage space, yet everything in there I need to keep as they are a record of my business transactions. How can I archive emails (incoming and outgoing) from a smart folder to my local hard disk and then erase the files on the server to create more space? Thanks. Erryl

    Assuming you are not accessing your .Mac account as a POP account with the Mail.app, create/utilize "On My Mac" location mailboxes which are stored locally on the hard drive.
    Transfer messages from the account's Inbox mailbox to the designated "On My Mac" location mailbox. This process will store the transferred messages locally on the hard drive and remove the messages from the server at the same time.
    If you are storing sent messages on the server, do the same with sent messages.
    After the transfer, take the account offline and back online which will synchronize the server stored mailboxes in Mail with the server removing the transferred messages from the server. Quitting and re-launching Mail will do the same.
    Using a Smart Mailbox will not achieve the same.

  • Unable to Archive Emails in Mavericks!

    I am unable to archive emails in Mavericks.
    This is what happens:
    1. I am archiving emails in one or all mailboxes and then I switch to a different mailbox in Mail.
    3. Then I switch back again to the previous mailbox and all the emails I tried to archive earlier, appear in the same mailbox (inbox)
    Any sollutions?

    I've posted this question elsewhere (going to close it now) and I fixed it by selecting "Rebuild" from the Mailbox menu. It took a while to complete (see the floating activity window), but once that was done, Archiving worked.
    Oddly it worked for me on some messages but not others, and there was no pattern to which worked (from, to, subject, etc.)
    Try this and let's see if it works for you too.

    Hi Experts,
    I am trying to archive E-mails recieved in the CRM system.
    To do so, I am trying to schedule a SARA job to archive WORKITEMS in the system.
    But when I try to execute the report WORKITEM_WRI in test mode and enter the parameters, I get the following error:
    "No work items for archiving exist for your selection".
    Is it the correct way to archive e-mails? Else, what is the exact procedure to be followed for the same.
    Any help on the same would be highly appreciated.

    Work Items archiving and Email archiving is entirely different.
    Important table related to CRM Emails:
    1. CRMD_ERMS_HEADER - Statistical data header
    2. CRMD_ERMS_STEP - Statistical data step
    3. BCST_SR -  Status of Send Orders
    4. SOOD - Object Definition - When email comes to SAP system then this table is updated.
    5. SOC3 -  DB for objects (import/export)- This table contains the content information of the email.
    6. SOFFCONT1 - Table for Document Contents (import/export)- Attachments are updated in this table
    7. SOFFLOIO -   Instances of Logical Information Objects - Only out going emails logical ID are updated in this table
    8. SOFFPHIO - Instances of Physical Information Object - Only out going emails physical ID are updated in this table
    9. SOFFPHFK - File Name of Last Checkout.
    There are 2 things that you have to consider inorder to archive Emails:
    1. Relocate attachments from Incoming and outgoing mails or attachments from SAP Office from table SOFFCONT1 table.
    >> For Relocation you have to run program RSIRPIRL
    2. Archiving of emails in text format from SOC3
    >> For archiving email text in sap office you have to run Mass archivng program from transaction SOY8.
    Suggestion: If you are concerned on SOFFCONT1 table (Normaly it consumes more space in database) then just run the relocation program with all required configurations.
    As email information in SOOD, SOFM, & so on will not occupy more space so you can consider not to archive this.
