Assign Agent Inbox Address

Dear expert
In our system (CRM 5.0), we made all required settings for an incoming email to appear in the agent inbox. It was working fine until we change the organizational structure.
We had an organizational unit and under it positons and business partners. All users under this org. unit was able to see the incoming emails. But we changed it a bit and created 3 sub-org unit under the first org. unit. Now users are not able to see new incoming emails and we cannot see emails processed by someone who would be under sub org 2, if we are under sub org 1.
Regarding the first issue: nobody can see new incoming emails.
I found that a dummy business partner under the first org unit had the inbox email address under his system user. If I copy this position/bp/user, under sub org 1 then users under sub org 1 can see incoming emails. But I don't want to replicate this position/bp/user under each of my sub org, because this dummy may be used for other processes. If I assign the email address directly under org 1 or sub org 1,  users under sub org 1 still don't see incoming emails .....
Regarding the second issue: is it possible for users to display incoming emails that are processed by someone in a different sub group?

Hello Stephanie,
Let's first clear things out.
Suppose you have three levels
Level 1
   |-Level 2
               |-Level 3
(When posting it's not very clear but level 3 is under level 2 and level 2 is under level 1)
If you assign the emails to be received in level 1 everyone belonging to level 1, 2 and 3 will see the e-mails, even when they are in process.
If you assign the emails to be received in level 2 everyone belonging to level 2 and 3 will see the e-mails.

If you want everyone to see all incoming mails, assign your emails to level 1 and everyone (in level 1 and any level below level 1) should see all mails.

  • The agent inbox doesnu2019t display email

    Hi Gurus,
    I need to customizing the email inbound in agent inbox, but I cannot see the email in agent inbox only can see it in the E-mail Inbox with salespro business rol.
    I did the following:
    1.- I created a user MAILADM with the Email (emailin@company) and Comm. Method (RML Remote Mail)
    2.- I Maintained my user with the Email (emailin@company), Comm. Method (E-Mail) and Comment (emailin@company).
    3.- In the tx CRMC_IC_AUIGNADR, Address / Number (emailin@company), Comm. Method (INT) and Workflow Priority (High).
    4.- In the tx CRMC_IC_AUI_GEN, Reply Address (emailin@company).
    5.- In the tx CRMC_IC_AUICOMM, Object ID (14008030) and Comm. Method (INT).
    5.- I assigned Agents for E-Mail Handling. My Position.
    6.- In the tx So28, Recipient (emailin@company), New recipient - SAP object instance - AUI: Support object (emailin@company).
    7.- I maintained Inbound Processing, with (emailin@company).
    8.- I defined Agent Inbox Profile, and Assigned Main Categories u2013 INT.
    Please, somebody know what I need to do for solve this problem

    From information provided I understand that trx: SWI1 shows no Instance of WS14000164,  although  most of your customizing looks to reviewed/set. I understand that WS14000164  has been activated (trx: CRMC_IC_MAIL_WF) and E-mail address properly maintained at SO28.
    Confirm that Event: <ICAUISUPP, MAILRECEIVED,  WS14000164>, is not getting deactivated (trx: SWE2).
    Via Event Trace (SWEL/SWELS) you can determine, if event is being triggered or not. If No Event is being triggered and E-mail actually shows at SOIN,  activate SAPConnect Trace, refer to Note:194926. Check if SAPConnect Trace provides further information
    about your case.
    From an e-mail sent by Juan Miguel Silva, I noticed you have setup SO50, as test could you please check if such entries are conflicting with E-mail handled by Workflow: WS14000164. Make note of them and remove them temporally. Repeat your test. Check if Event is triggered and Workflow is started.
    If no e-mail is shown at SOIN, confirm you have setup inbound e-mails, refer to SAP Note: 455140, if so, send for example, an inbound e-mail to a SAP-User, which can review it via SBWP. If no email is shown at SOIN, I am afraid problem would be outside SAP CRM system. You may follow Note: 607108, to send an e-mail via TELNET command to SAP CRM System to address maintained [SO28], and check if e-mail are received. If so, contact your Mail Administrator  to review why E-mails are note getting to SAP CRM System.

  • CRM 5.0 - IC WebClient - Agent Inbox - Forward to Function

    Hi Gurus
    In the Agent Inbox I can view Emails, Service Tickets & Follow-up Transactions.
    Currently I can forward Emails to other employees, but I cannot forward Service Tickets or Follow-ups.
    Is this purely config, if so where must I look?

    Hello Panduranga,
    Responsible group is a (SAP standard) partner function. Just add that partner function in the partner determination procedure of that transaction type(s).
    Responsible groups will only work when you have maintained your organisational structure.
    When you assign a responsible group to a transaction everyone in that responsible group (in the organisational mgmt) can see the transaction in it's inbox.
    A responsible group will be an organisational unit of the organisational structure. Everyone assigned to that organisational unit will be able to see the transaction in it's inbox.
    Maintain org. structure
    Transaction PPOMA_CRM
    Maintain partner determination procedure
    SPRO->CRM->Basic settings->Partner processing->Define partner determination procedure.

  • ERMS work items not visible in IC Web Client Agent Inbox

    We have configured ERMS rule modeler with a routing to an organisation unit if email content contains a specific word.
    ERMS seems to work fine as workflow is triggered and work items created in the relevant user SAP inbox (any user assigned to the organisation unit used in ERMS routing.
    When I log into the IC Web client and check for email items in the Agent Inbox, the emails are not visible!!!
    Has anybody faced a similar issue?

    ->Agent Inbox ->Setting for Asynchronous Inbound Processing -><b>Define Receving Emails/Fax settings</b> inthis Set Comm.method as <b>INT</b> i.e E-Mail.

  • ERMS: Inbound mails are not displaying in Agent inbox from IC web

    Hi Experts,
                       We are implementing ERMS solution.. in CRM 2007 system. I am not able find the inbound mails in Agent inbox. I have done the below settings..
    1. Mail settings has done by BASIS team and whenever i sent a mail to ( cust@example) from my out look i can see the mail in SCOTT.
    2. I have done the inbound distribution for the mail id customer@example to ERMS support2 BOR object
    3. I have followed the rest of the steps from  "ERMS_How_to_guide " document.Hope all the set up inplace according to the document.
    Pleasse provide me some inputs what may be the reason for not displaying the e-mail in Agent inbox from IC web. Thanks

                     I have checked the org unit settings in CRM_ERMS_WF_CUST and its fine.  I have checked the E-Mail work bench from IC_Manager role and i could find the mail which i have sent with the status 'In Que'. If i go inside by clicking the hyper link of the mail which is received into the inbox i could find the below mentioned log.....

  • Inbound Letters within the Agent Inbox

    Can someone let me know what the process is for interacting with inbound letters within the agent inbox?  We are using the OAWD transaction to upload letters into the CRM system, which then appear in the agent inbox as a Letter type.  The issue that we are having is that after you confirm the customer that is related to the letter, you no longer have the letter on the screen to view when creating additional transactions.   How is this process supposed to work in the CRM system?

  • "Forward To" option in Agent Inbox

    Hi,
    We are facing issue in "Forward To" functionality in Agent Inbox.
    We have done below configuration steps to execute "Forward To".
    - Define Reciepient profile:
    Here define responsible groups (which are already maintained in Org model as a Org. unit).
    -  Assign Reciepeint profile to agent inbox profile:
    We forward inbox item to particular group. Now forwared item should be visible in that particular group.
    The issue is "Forwarded item is not reflecting in that group.
    Please let us know if we missing any steps.

    Yes we are using IC_Agent role and inbox profile is assigned this role.
    I am trying to forward inbox item (service order , interaction record etc.) to different groups and these groups are maintained as Org. unit in org. model.

    I have some clarification regarding the IC Agent Inbox search.
    We have a situation were mails have been assigned under particular agents name.
    When he/she tries to search for the mails in "inbox search" by applying criteria like Transaction type , Categorization schema,assigned to - "my group"
    and enter search it is not pulling all the records what is expected.
    Can you guys please tell me what might be the problem here any code change or customizing changes required to set this right ?
    Please give a suggestion ASAP possible as it very urgent issue needs to resolved.

    If I were you, I would debug the query involved in work item search, and see the conditions used to retrieve the work items, and see why some are note retrieved.
    In the past, we also had some strange behaviour regarding agent inbox, so I would also check OSS notes, under application area CRM-IC-UNI.
    The DB tables involved are, if I am not mistaken, SWWWIHEAD (header info) and SWWUSERWI (assignement of workitem to users).
    By checking those 2 aspects, you might find out what is the issue in your system.

  • Agent Inbox in WebIC always empty ?

    We have an Account in CRM. It has been assigned as Sold-To-Party to 4 Sales Orders.
    But, when we search the Account in WebIC, the Agent Inbox and Field Worklist is always empty.
    Any idea why this must be happening ? Are we missing any customizing ?

    Hi Ashish,
    On Agent Inbox, you must enter you account # to search, if it still does not show your records, then check if the category drop down box has your required transaction type in the list, if not then the search does not show the list.
    in this case if you want to add the transaction type to the drop down list please do the customizing changes, follow below path to do the same.
    SAP Implementation Guide->Customer Relationship Management->Interaction Center WebClient ->Agent Inbox ->Inbox Search Definitions->Define Item Categories for Searches.

    For Default Searches you will have you use the following 2 table views. You can access them via SM30. Create your quick search and assign them to the Business Role.

  • Agent Inbox Search Oldest Emails

    For high inbound email call centers, does anyone have a best practice to handle the requirement of returning the oldest emails to ensure the agent can process the oldest email?
    We are thinking of doing this:
    use the custom_hit_list to sort by posting_date asc if they sort by creation date
    if the status filter is set to Non-Complete, set the max hit results to 1000 to ensure that the agent can process the oldest email as the sort still returns the newest emails.

    Hi, please check your configuration.
    Find out the Agent inbox profile and go to customizing tcode CRMC_IC_AUI_PROFILE (SPRO --> CRM --> Interaction Center WebClient --> AgentInbox --> Define Inbox profiles).
    Select your inbox profile and check main categories assignment. Might be that you have to remove entries.

    _A Service Ticket should be assigned a Date Profile, by manipulating a the Date Profile you can parameterise the Due Date value.
    I have a date profile with date types assigned to my ticket and i want that the ticket should go red on completion of one of the date types for which i maintained the settings in
    Agent Inbox>Map Item Attributes to Inbox Attributes>Define Advanced Warning for Due Date_
    but the due date being picked is from somewhere else did i miss some customization ..

  • Agent Inbox - restrict blank search boxes

    Hi
    If I am searching with the filters within the agent inbox everything works well however,
    If all search boxes are blank everything for all org unit's is returned which is not correct as the users are only meant to see what is in
    the org's that they are assigned to.
    We are using one business role. How do I restrict users from using blank search boxes?
    Any help would be great.

    You can enahance the search and include a logic if all the values are blank in the search, the system should automatically add the users Org unit in the search criteria and display the result with the assigned values.
