Audio Best Practices- Help

Hi everyone,
I've been working with Captivate for a while and am currently
using version 2. An issue I haven't really solved successfully has
to do with distributing audio timing in a non-tedious fashion.
When making a demonstration, Captivate makes separate slides
for each click. Now, let's say I record my demonstration and have
an MP3 narration file to record for the whole project. I choose the
option to manually distribute the audio file over separate slides.
The problem is that the slide length doesn't adjust...so when
I click next slide, the slide bar goes to a different point than
the one I want. In short, Captivate doesn't adjust slide lengths
through the timeline audio editor, according to the audio sync-ing.
I know that smooth narration can be done throughout all of the
slides, from those tiny "click" slides to the longer ones...but
HOW? Some slides change mid-word in the audio file, or contain only
a fraction of a word. Without really intense audio chopping., how
is this done?

Thanks for your response.
Yes, I have recorded audio directly in Captivate, though not
in a demonstration movie. I imported screenshots that were provided
to me. When you record audio directly, it adjusts the slide length
as you record? (I did change the default to be really short...also
for objects)
I have a bunch of movies and am replacing the existing audio
files with new, external audio files that just won't sync...but I
will try re-recording the audio in Captivate. My co-workers record
audio externally and import per slide, but I want continuous
narration while the animations are playing, which gets tricky with
audio editing like that. I've seen this done well, so I know it is
possible.
So the scripting workflow would be to record the movie, then
designate the slide changes in the script (even those tiny slides
that have a partial word for audio) and just record in Captivate,
advancing to the next slide while speaking?

    Be in the monitor window where u got the below issue
    when I start the "schedule process" the status getting still "yellow 14:27: 31(194 from 0 records)"
    and go to environment in the menu options TransactRFC--->in the sourcesystem...
    give the logon details and enter and from there give the correct target destination as ur BI server and execute...
    if u find some idoc's pending there push that manually using F6..
    and come back to ur load and refresh....
    if still it doen't turn green u can manully change status to red in STATUS tab and come to processing tab and expand ur processing details and right click on ur data packet which was not yet updated and select manual update...
    it shows busy status and when it comes out of that once again refresh...

  • Best Practices - Help required

    I am struggling to understand how Best Practices (warehousing ) could be implemented for SME's (UK) in ECC 6.
    Any advice, pointers to documents which are practical  would be useful.
    Is there a set of steps that one needs to follow in order to map the existing client business process and then superimpose that on the best practice templates chosen?

  • Audio - Best Practice

    Hi,
    I have been using Captivate for a while now, and am slowly
    starting to get the hang of it!
    I am currently working on a project which includes static
    instructional material that is broken up by interactive software
    demos, all deployed through a LMS.
    I have not delved into using audio in my captivate projects
    before however am about to take the plunge . . .
    I am wondering what information to best include in the audio
    tracks?
    Should i essentially cover the (limited) content that is
    shown in the captivate captions or should I expand on these and
    provide more in depth detail (i.e. information taken from the more
    theoretical static content)?
    I want to steer away from providing any new information in
    the audio tracks because I do not know if all users will turn the
    sound on :)
    Any thoughts, advice, or links to articles covering this
    topic would be most appreciated.

    I have had similar questions and I decided to look for some
    answers rather than give my own experience. In attending seminars
    on learning and e-learning I remember getting conflicting advice
    from experts. Some say the audio should be exactly the same as the
    text and others say they should not be the same.
    Ask your self, what value will the audio add to the project?
    Do all of your users have audio and do they have headsets or
    speakers? Why are you adding audio? Is it because you want to
    experiment or because your audience is asking for it?

    Some of the other ideas in this google search may be good but
    they are blocked by our security. At any rate, this is food for
    thought.
    My own preference is to have text and audio be similar but
    different. You have to think about the people who can only read vs
    those who can only hear. Do they both get the same story as the
    people who do both? At least with text, screen readers can do the
    audio for those who cannot see and it still works for those who
    cannot hear. Another thought is with text people can read at their
    own speed. With sound, you have to listen at the rate of the
    machine. The other thing is audio takes up a lot of computer space
    especially over the web. Captivate files are huge when adding
    sound.

  • Scripting Audio - Best Practices

    I had gotten into a fairly productive routine, using CP to
    produce quick tutorials to support the many applications in my
    company. Once i had captured and cleaned up the process using CP,
    my next step would be to select the first slide in my presentation,
    open the Recording panel, and begin scripting my narration
    slide-by-slide using the slide notes pane. The arrows in the
    recording panel would navigate from one slide to the next
    (displayed behind the recording panel) and present the script for
    each slide as I edited them.
    In CP2, however, I am finding that:
    The recording panel has a notes pane that displays notes that
    are added by editing the slide properties, but adding/editing notes
    in the Notes pane in the Recording panel does not save the notes --
    once you close the Recording panel, the notes are lost.
    The slides are not displayed in the background as you
    navigate forward and backward through your slides in the Recording
    panel. This creates the awkward situation where you must write a
    script for your presentation without being able to see the
    presentation slide that you are writing the script for (without
    considerable clicking and frustration).
    Perhaps this is just my buggy installation, or is this a know
    "issue" with CP2, or is it more simply just the new way the app
    will work and I'll have to modify the way I script and narrate?

    No argument from me! You guys do a bang-up job of working and
    testing these applications prior to their release. Overlooking a
    few "issues" here and there are absolutely to be expected --
    especially when dealing with the more esoteric functionality of the
    application.
    I found the Notes pane (well, "noticed" it really -- afterall
    it *was* looking me right in the face the whole time) in the
    development window shortly after I jotted my first remarks. It's
    all well and good to have them there, but not much help to the
    scripting/recording process as it worked so well in the prior
    release. Where it does come in very handy is when adding the Closed
    Captioning content.
    Since I script my narration verbatim in the notes pane, it is
    a simple matter to cut-n-paste the notes into the Closed Caption
    editing interface (though there's an interface that could use a
    little improvement as well).

    I recommend finding out exactly why they would need administrative privileges and find GPO settings that would work for your organization. If they only need to install Drivers lets say, then only give them privileges to do that. 
    I personally work in the IT Department (Army of two) in an environment that has hundreds of users. They program, manufacture, and design various products and we are not flooded with requests. No user has administrative privileges aside from the us two in
    the IT Department. This allows us to better control the environment.
    By allowing your users to have administrative privileges, they will always have the capabilities to "Override" your policies for at least the computers they have administrative privileges.
    Of course, each environment is different and should be considered differently when setting up users rights and privileges. To perform their daily functions, ask yourself what administrative privileges do they need? Maybe only allow them those privileges
    through GPO.

  • Best practices for TOC, versus PROJ title, filename

    I am seeking "best practice" help from the forum. Say a TOC
    is to have numbers as part of the organization, 1,2,3...and topics
    will be sub-numbered (as in 1.1, 1.2.1, 1.2.2, etc). I am not aware
    of any way to automatically manage this, they must be explicitly
    typed in the TOC editor.
    I have heard some say that the "view" in the Project should
    mirror the view in the TOC. That would imply that folder
    organization, filenames and titles would be in sync with the TOC,
    and also include the section/chapter numbering.
    If you have to make a change and resequence things, or insert
    a new chapter between 2 and 3 then there is a LOT of work to do.
    I am leaning in the direction of having filenames and titles
    be separate from the TOC structure, and not use Field[title] in the
    documents to simplify the update process. This would also simplify
    updating links within the documents.
    However, I am still pretty new with Robo and don't have the
    seasoning some of you have with long term effects of particular
    organization.
    Any help, or best practices that can be shared?

    Thanks for your input Colum,
    I am actually considering the opposite of your comment - to
    have numbering in the TOC but NOT with the Project folders. I
    consider the TOC much more volatile and flexible than the folder
    structure. As long as one knows what goes with what. So the good
    news is there is not a sacrosanct line drawn between the project
    names and structure and that in the TOC. This helps. If I have to
    resequence section 2 and section 5, I mainly just change the TOC. I
    would not have to move or rename any folders in the Project view.
    The other part, using the document title (in the topic
    properties) to automatically update the topic title in the text I
    like quite a bit and I think can make the case with my peers. That
    offers a lot of flexibility. As in the above mentioned
    resequencing, I would have to access the properties for each topic
    in the project folder that used to be in section 2, and edit the
    document title to reflect its new position in section 5 (and vice
    versa). That is pretty straightforward. I do NOT have to rename all
    those folders and files in the Project view.

    Can you please help with any pointers / links to documents describing best practices for "who should be creating" the GRC request in below workflow of ARM in GRC 10.0??
    Create GRC request -> role approver -> risk manager -> security team
    options are : end user / Manager / Functional super users / security team.
    End user and manager not possible- we can not train so many people. Functional team is refusing since its a lot of work. Please help me with pointers to any best practices documents.

    In this case, I recommend proposing that the department managers create GRC Access Requests.  In order for the managers to comprehend the new process, you should create a separate "Role Catalog" that describes what abilities each role enables.  This Role Catalog needs to be taught to the department Managers, and they need to fully understand what tcodes and abilities are inside of each role.  From your workflow design, it looks like Role Owners should be brought into these workshops.
    You might consider a Role Catalog that the manager could filter on and make selections from.  For example, an AP manager could select "Accounts Payable" roles, and then choose from a smaller list of AP-related roles.  You could map business functions or tasks to specific technical roles.  The design flaw here, of course, is the way your technical roles have been designed.
    The point being, GRC AC 10 is not business-user friendly, so using an intuitive "Role Catalog" really helps the managers understand which technical roles they should be selecting in GRC ARs.  They can use this catalog to spit out a list of technical role names that they can then search for within the GRC Access Request.
    At all costs, avoid having end-users create ARs.  They usually select the wrong access, and the process then becomes very long and drawn out because the role owners or security stages need to mix and match the access after the fact.  You should choose a Requestor who has the highest chance of requesting the correct access.  This is usually the user's Manager, but you need to propose this solution in a way that won't scare off the manager - at the end of the day, they do NOT want to take on more work.
    If you are using SAP HR, then you can attempt HR Triggers for New User Access Requests, which automatically fill out and submit the GRC AR upon a specific HR action (New Hire, or Termination).  I do not recommend going down this path, however.  It is very confusing, time consuming, and difficult to integrate properly.

  • Best practices for making the end result web help printable

    Hi all, using TCS3 Win 7 64 bit.  All patched and up to date.
    I was wondering what the best practices are for the following scenario:
    I am authoring in Frame, link by reference into RH.
    I use Frame to generate PDFs and RH to generate webhelp.
    I have tons of conditional text which ultimately produce four separate versions of PDFs as well as online help - I handle these codes in FM and pull them into RH.
    I use a css on all pages of my RH to make it 'look' right.
    We now need to add the ability for end users to print the webhelp - outside of just CTRL+P because a)that cuts off the larger images and b)it doesn't show header, footer, logo, date, etc. (stuff that is in the master pages in FM).
    My thought is doing the following:
    Adding four sentences (one for each condition) in the FM book on the first page. Each one would be coded for audience A, B, C, or D (each of which require separate PDFs) as well as coded with ONLINE so that they don't show up in my printed PDFs that I generate out of Frame. Once the PDFs are generated, I would add a hyperlink in RH (manually) to each sentence and link the associated PDF (this seems to add the PDF file to the baggage files in RH). Then when I generate my RH webhelp, it would show the link, with the PDF, correctly based on the condition of the user looking at the help.
    My questions are as follows:
    1- This seems more complicated than it needs to be. Is it?
    2- I would have to manually update every single hyperlink each time I update my FM book, because I am single sourcing out of Frame and I am unable (as far as I can tell) to link a PDF within the frame doc. I update the entire book (over 1500 pages) once every 6 weeks so while this wouldn't be a common occurrence it will happen regularly, and it would be manual (as far as I can tell)?
    3- Eventually, I would have countless PDFs inside RH. I assume this will eventually impact performance. So this also doesn't seem ideal?
    If anyone has thoughts/suggestions on a simpler way or better way to do this, I'd certainly appreciate it. I have watched the Adobe TV tutorial on adding a master page but that seems to remove the ability to use a css across all my topics and it also requires the manual addition of a manual hyperlink to the PDF file, so that is what I am proposing above, anyway (not sure the benefit, therefore).

    Anything other than CTRL + P is going to create a lot of work so perhaps I can comment on what you see as drawbacks to that.

    Larger images.
    I simply make a point of keeping my image sizes down to a size that works. It's not a problem for me but that doesn't mean it will work for you. Here all I am doing is suggesting you review how big a problem that would be.
    Master Page Details
    I have to preface this with the statement that I don't work with FM. The details you refer to print when they are in RoboHelp master pages. Perhaps one of the FM users here can comment on how to get FM master pages to come through.

  • Help: Best Practice Baseline Package experience

    All,
    Can I ask for some feedback from folks who've used the Best Practice Baseline package before - I'm in a project implementing ECC 6.0 and we're planning to use this package to quickly set up and demo the system to the business.  I've limited experience in config and system setup so your advice is much appreciated
    Specifically my questions:
    1.  Has anyone used the package for a similar purpose (quick setup to demo to business)?  Does it save a lot of time or should our team just configure the system manually?  Are there pitfalls I should be aware of?
    2.  I understand a limited amount of config / master data customisation can be done and there's even a wizard.  Is it effective and error-free - i.e., will I be better off by installing the base package and make changes later manually ?
    3.  Assuming after the demo we have firmed business requirements, which approach would be faster and easier?  Configuring from scratch vs. using existing BP baseline then doing delta configuration?
    4.  Does the documentation tell me exactly what was configured and the settings used?

  • Best practice for application help for a custom screen?

    Hi,
    The system is Netweaver 7.0 SP 15 with e-recruiting .
    We have some custom SAP GUI transactions and have written Word documents with screen prints and explanations. I would like to make the procedure document accessible from the custom transaction or at least provide custom help text that includes a link to the full documents.
    Can anyone help me out with options and best practices for providing customized application help for custom SAP GUI transactions?

    sorry I though you might be still in a design or proof of concept phase where the decision for the technology is still adjustable.
    If the implementation is already done things change of course. The standard in-system documentation is surely not fitting your needs as including screenshots won't work well.
    I would solve the task the following way:
    I'd make a web or pdf document out of the word document and put it on a web ressource - as you run e-recruiting you have probably the possibility for that.
    I would then just put a button into the transaction an open a web container to show the document.
    I am not sure if this solution really qualifies as "best practise" but SAP does the same if you call the Help for application in the help menue. This is implemented in function module SAPGUIHC_OPEN_HELP_CENTER. I'd just copy it, throw out what I do not need and hard code the url to call.
    Perhaps someone could offer a better solution but I think this works a t least without exxagerated costs.

  • Best practice for copying help...

    I am creating a webhelp project to be accessed from an internal homegrown intranet app(by clicking on a help button within the app it fires up the help screens in a new window).... I published the help out to a network share however now in testing opening this from my app it takes a long time to fire up the new window...
    Is there a best practice for this type of scenario?? Do I need a way to copy the help project down locally for each user? If so what is the best technique being that they are accessing the help in a webapp not a winapp?

    Hi there
    Typically you leave WebHelp on a server and access it from wherever. That's the beauty of it.
    You might begin by creating a simple shortcut or hyperlink from your desktop to open the help. Check the time it takes. If it opens really fast, you know there is an issue to be addressed with the way your application is opening it.

    We are doing a Proof of Concept on using NDS to develop non-SAP Java applications. We are attempting to determine if we can replace our current Java development tools with NDS/WAS.
    We are struggling with SAP's terminology and "plumbing" for setting up/defining Java projects. For example, what is and when do you define Tracks, Software Components, Development Components, etc. All of these terms are totally foreign to us and do not relate to our current Java environment (at least not that we can see). We are also struggling with how the DTR and activities tie in to those components.
    If any one has defined best practices for setting up Java projects or has struggled with and overcome these same issues, please provide us with some guidance. This is a very frustrating and time-consuming issue for us.

If so, the german version of the book (Java-Programming with the SAP WAS) is already available for purchase and really useful. Then, you can also use the information provided by the University of Potsdam. They have an introduction about how to setup a track in the SLD and then how to setup SCs.

  • Audio & Captivate: Looking for best practice

    Good Morning,
    i'am looking for some sort of best practice, handling a lot of audios within single captivate slides. Please let us take a look at the workflow:
    I write concepts in Word or OpenOffice, describing on a slide-base the content, media (pics, animations, ...), interactions
    The client read these concepts, and write a reading report with all changes, additions
    We held a harmonisation meeting for every 3-5 hours calculated e-learning-concepts, argueing about the clients annotations and looking for a stable agreement
    I produce the first version, in this case with Adobe Captivate, and for the audios i use text2speech.
    The client checks this first Version, send me his audit report.
    I produce version 1.
    So, where is the problem? My problem is the handling of the audio-files, up to 10 per slide. In version 1, all audios are spoken by professional speakers from german radio-stations, recorded in our own studio. And i'am looking for a comfortable way to exchange all synthetic audios without leaving anything within captivate, the final version must be as clean and slim as possible.
    For the handling and tracking i use AlienBrain, because in some projects, we have a few hundred of thousands assets to watch and track ... and it is no problem if anything wents wrong, just some clicks and i've restored the older version of a pic, audio or a complete project.
    Using other tools, i do not care about this. Within the project-folders, they are stored within a modul-based audio-folder. And every single audio-files as an unique identifer (A024_37_12_004.mp4, "A" for Audio, then chapter_module_page_sequentialnumberperpage.mp4/mp3/wav). After i have recieved the spoken audios from the studio, i just overwrite the synthetic audios and the "real" audios are automatically embedded in my slides, so if i make a new release, everything is fine. Older, synthetic version kept by AlienBrain.
    In Captivate, everything seems to be ... hm, i have to be polite ;-) ... a little more complicated. Or even worse, i'am unable to see the solution. Maybe somebody may share a working and fast way for the needed audio-procedure? Or something like a proofed workaround?

    Additional information:
    Mostly, we have 3-5 audios per slide/page. 10 is absolutely maximum.
    And because we are talk about overall thousands of audio-files, i hopefully find a good way to keep them as external sources and Captivate embedd them just at the moment, when i have to produce a new release. (That is the main problem - sorry, my english language modules are still asleep after a long and busy weekend) And as i've learned, object-audio can't be used with external audio-files.
    At the company, we've talked about the best process (theres is another huge project running and the guys - experienced people - are also new to captivate). At this moment, the prefered solution is to connect all audios, 4 by example. And then we can "Play/Pause" the audio at our needs. It is a little bit like stumbling blindfolded through heavy mist.
    Another idea, brought up by me, was to multiply the slide so the first slide shows paragraph/pic/audio. After a click, next slide loads, exactly in the same state as the previous slides ends, next text/pic/animation and the next audio. But with that, i will end up with thousends of slides only because of the audio-handling.
    Maybe it is a good idea to explain a really typically update process which may show what we like to see:
    The modul is ready, delivered and the client is happy
    After 6 months, there is a technical change within one part and the client need a single new audio
    In reality in one special module, part of over 200 hours learning, after a year we've been instructed to record new versions for 35 of 80 audios ... in just one of somehundred modules
    In captivate we try to avoid touching every single slide again.
    At the moment i own just a standalone version of Captivate (5.5), the eLearning Suite has been ordered and arrives next week.
