Automate approval process

Hi All,
Here is the scenario..
when we upload document(s) into a KM folder which is enabled for Approval process, we want to skip the first step "User clicking on submit for approval" button for starting the Approval workflow, whenever we create documents it has to go directly to approval workflow.. any ideas on this...

  • Are 'read only' items causing my automatic row processing to fail?

    I have a form that uses automatic row processing to update my table.
    I recently had to add a check to lock down the fields using the read only condition where a record has been 'approved'. So, I turned off all of the fields and hid the update button.
    Now they want me to check to see if the user is a manager, and if so, allow them to see the update button, and make a single field on the form modifiable.
    I have the user identified as a manager, and can make the field accept the change (a yes/no combo box). Yet when they click the update button, the form just sits there. A branch is supposed to fire on hitting that button, taking them back to the previous report, but it doesn't happen. The source of the combo box in question uses a column on the table, and works fine when the form has all of the fields showing for modification.
    I had some validations that I finally set to never fire, thinking that they were failing and just not giving the error messages. I know a bad sql or pl/sql atatement in a validation will cause the form to just keep sitting there doing nothing, and thought it might help.
    Several of the various fields are combo boxes, several are text boxes.
    I'm stumped.
    Shall I keep the regular update button hidden whether it is a manager or not (because it has been 'approved'), and enable a new button that fires off a process to update the one field that the manager may want to change? Does making a field 'read only' always have a detrimental effect on the auto processes I've been counting on? Is that if fact what is happening now?

    My version is 3.0.0.00.20
    I have received info to set up the application, though I have not activated it as yet. I'm reluctant to try to load up the various tables to make it work. It could be done.
    My workaround is to that the user (a manager) fires off to another form to show an individual record, and ask if he/she really wants to make this change. On submit, they will be taken back to the original locked down form, and I will update the single field in that process of returning them. This will actually be a plus, in that I expect to show them all of the 'duplicate' entries for that item, and show them that by 'activating' this particular item, they will 'deactivate' the one duplicate that is currently active. Or, if they are deactivating the sole item that is active, that there will in fact be no active items in the system. Convoluted as heck, but they swear this is how they've been doing business with their briefcases and file cabinets of Excel files. I'm surprise they even float at this point (these are ships we're talking about).
    This all may be due to the form originally having a next/previous/count process once arrived at my clicking on the edit button of the report of items. All of that has been hidden away, and though the fields exist of the form, they are not used. They only see the current item that they clicked on from the report.
    I read up a little on session state, as well as posts with the debug error I was getting. I'm still not on board with the whole issue of 'state'. Items stay as they are until they're changed, no? I suppose that sounds simplistic.
    One of the things that caught my eye was several combo box lists that on read only mode, showed [] square brackets. Which, in some cases is okay.
    What I'll try to do is set up a public application - for future use if nothing else. I'm going to be working on this for awhile. I have more than a bit of work to do to cleanse the data as well as get rid of the single sign on requirement (I'll assume that I should have to do this) in order to share the app.
    I know you're expecting me to have this up and running for you to look at, but I'm under the gun. And they actually like my workaround.
    I'll keep everybody informed, one way or another.

  • Approved invoices can not be edited  - Approval process

    Hi Experts -
    I have recently raised an incident with SAP about Approval process - the complete message and support reply is as follows - but i believe we need a change in the approval process - if the approval required is only one but you have defined two people (Either or OR) in the approver list - the system should allow the document to be edited if one of the approvers reject it.
    please let me know and i believe we need  a change in design - unless otherwise a solid reason is given to justify the existing design

    When the originator sends the document for manager's approval, note that the at that stage, the document is still in the 'Approval Process'. This is because the system is waiting for the 'Manager' to 'Approve or Reject' the document. Hence, looking at the Document, it is still in 'Draft - Pending' Status.
    When the document is in 'Draft-Pending' Status, the document is not available for editing, because the system considers that it is still in the waiting process. In your case, the manager cannot edit t he document.
    To amend the document, an action is required from the approver either to reject it first. Once rejected, it can be amended and re-sent for approval.
    I have checked our knowledge base and noted that there is an article which describes the approval process. Please refer to the Expert on Phone Wiki Article (March 2009) with title: Why a draft documen t in an approval process cannot be modified by the originator?

    available for editing. When it is gets rejected - the person who

    When the 'manager' rejects the document, and goes back to the alert
    window to open the document - it is still greyed out !!
    How does the 'manager' reject the document and edits it ?

    If after the Manager rejects it and still the document is not editable (greyed out), it means that the document may still be in the 'Approval Process'. When it is greyed out, what is the status of the document in the header? Does it say 'Rejected' or 'Pending'?
    If it is still in 'Pending' mode, please verify the number of 'Approvers' set in the 'Stages' tab of the 'Approval Template - Setup' window. If there is more than one user listed as 'Approver', and o nly 1 approval is required, the system provides an opportunity to other 'Approvers' to approve or reject the document. If in your case, the number of approvers is 2, and manager 'rejected' it, the sys tem still keeps the document in Pending status as it waits for another approver's decision to reject or approve it.
    Also, verify the number of 'Approvals' required. If the number of 'Approvers' who have not rendered their decision is greater than or equal to the 'Approvals' required (e.g. approvers - 2, required ap provals - 2) the system keeps the document within the approval process. This is to allow the other 'Approvers' to decide on the document.
    I hope this clarifies the behaviour. If you can provide us a step by step screenshot of the issue, this may help us to provide a more accurate response.

    required as '1'.
    2 - in the number of approvers - we had mentioned two users
    Though the template requires only one approvals (Either or OR) the system
    expects both of them to approve or reject -
    Can u please let me why is this behaving like this - or is this is the
    way it is designed ? - if this is the way it is designed - i beleive it
    is wrong - weneed to give a solution to the customer

    Thank you for the information. The behaviour is a current system definition documented as per Note 1321234. I have attached the said Note for your reference. When only 1 approval is required and there are 2 or more persons are allowed to approve the document, the document does not get automatically rejected when 1 person 'rejects' it. The system waits for other approvers to render their decision b ecause a person may still approve or reject the document.
    The design is not an application error. If you would like to change this design, please post your requirement in our SAP Business One Product Development Collaboration

  • Creation of auto approval process for assigning role for a user in oim11g

    currently i'm doing a scenario like a user must be automatically assigned to a role by using approval policy where the user is already there in oim and then we use csv file in that we take 2 columns like userlogin and role name so by running this scheduled task user must be automatically approved to that role.But i have to use the default auto approve policy in oim without creating any bpel process for that so can any one suggest me how to proceed with this scenario.

    If I understand correctly, You have users and their respective roles in csv file. Users are present in OIM. You want to assign those roles in csv file to respective users?
    If this is the scenario, you need to write a custom code for schedule task which will read data from your csv file, create roles and assign them to respective users.

  • Approval process should proceed if deadlins is missed

    Hi all,
    In the workflow WS10400002 (One-step approval) in SRM, when the deadline had exceeded the approval should happen automatically.
    While checking in the latest end tab, an alert mail can be triggered. but how do we make sure that the approval process happens automatically if the deadline is missed.

    In the Latest End tab you need to make a Modelled deadline not a Display Text. If modelled deadline is done you have to name an outcome that branches out from the task where deadline is set. Now you use this step to complete the approval step automatically and after that create a Process control step that will complete the Workflow. 
    Just follow the steps
    1)You can use Latest End Tab in a Step which is attached to a task. Use Modelled deadline. Using this another branch is created from the step.
    2)Activate the Outcome Processing obsolete for the Step that needs to be sent to the Manager.
    3) Now put a process control in the branch that has been created due to modelled deadline. Use "Set Workitem to Obsolete" in the Function and provide the Step number in which the deadline step is incorporated.
    4) Now create another step at the branch Processing obsolete of the step that has the deadline and copy the above step with deadline removing the deadline part. This step is only for manager.
    use this accordingly in your Workflow.

  • Trigger approval process when deadline had exceeded

    Hi all,
    In the workflow  WS10400002 (One-step approval) , when the deadline had exceeded the approval should happen automatically.
    While checking in the latest end tab, an alert mail can be triggered. but how do we make sure that the approval process happens automatically if the deadline is missed.

    As such there is no system functionality to achieve what is required..
    Please create a program to check for deadline and use a workflow approve FM to explicitly approve your cart.. And run this program as a batch job..

  • Item Based Automatic Approval

    Hi,
    Is it possible to set up a workflow so that an automatic approval is performed at item level?
    The requirement is that if the Item is incomplete (i.e. will go on to create a PR), then the item is automatically approved.
    I have an expression to determine if an item is incomplete, but can only select decision type 1 for the Automatic (System) Approval.
    Help would be appreciated.

    Hi,
    You can go for Item based decision for partial document (i.e., decision type 4).
    Example:
    In the first process level, check for the incomplete level of the item based on the expression, if it is incomplete skip the level and go for automatic approval in the next step.

  • Automate  Approved Purchase Requsition to  Approved Purchase Order

    Hi all,
    How can we automate the flow from the Approved Purchase Requisition to Approved PO.
    What are the basic setups(ASL, SOURCING RULES) needed?
    To brief it, by Requisition Import process we get approved PURCHASE REQUISITION.
    In a similar fashion, can we automate(not with autocreate) creation of approved PO without choosing supplier, for each item/requisition ?

    Find below the set up steps for Auto creation of PO.
    1.Valid Contract agreement need to be available for the supplier site.
    WF set up :
    Create Documents workflow attribute :
    “Is Automatic Creation Allowed?” set to “Yes”
    Should Contract be used to autocreate Doc?” set to “Yes”
    "Is automatic approval allowed" set to Yes
    "Should Non catalog requests be autosourced from contract" set to YES
    "Is contract required on requistion line" set to Yes
    In req. approval WF :
    'Send PO Autocreation to Background' set to NO for launcing the WF background process to be launched immediately.
    In PO module :
    PO: Automatic Document Sourcing -- set it to NO
    create Sourcing rule and ASL ,Provide the Contract info in ASL and set the release method as "Release using Autocreate"
    Note : In case of NCR from iproc which has the item category alone,ASL is not required for auto creation of PO.
    Once all this setup is done ,import the req and it would be converted into a std. PO.Hope this suffices.

  • "Ask to buy" and "Sign in to Approve" process is not working

    Last weekend I setup Family Sharing for the first time, but the "Ask to buy" and "Sign in to Approve" process is not working. I am the Family Organizer and I created an account for my child under 13 with "Ask to buy" enabled. My child can go in to the App Store, click "Buy" for a desired app and I get a notification on my iPhone 5s... as expected. When I open the Notification I have the option to Decline or Approve. If I select Approve, a box pops up asking me to enter the password for my child's iCloud account to complete the request. (It seems odd to me that I'd have to enter his password instead of my own, but whatever.) So I enter his password and the box goes away for a second and then comes right back like I typed it wrong or something. I enter it again and again and always the same box comes back and the request is never completed. We've tried this several times over several days and always see the same behavior. I have also tried entering my password instead of his (since that makes more sense to me) but I encounter the same problem.
    I have verified that I am signed in to my iCloud account and my iTunes account on my iPhone 5s. I have also verified that my son is logged in with his iCloud/iTunes account on his iPod touch, so why isn't this working? Additionally, if I disable "Ask to Buy" then I can successfully install apps on his iPod from the iPod itself.
    Is it normal for the "Sign in to Approve" box to show his iCloud address instead of mine? And if so, why doesn't it complete when I enter his password? Am I missing something completely? This is driving me crazy.

    We are looking to implement self-registration with a bit of workflow when we move to Portal 10.1.2 A system where a user requests access, their request is approved (or denied) by another person and then an account is created with appropiate permissions.
    We are currently using an Excel spreadsheet e-mailed back and forth, we have begun designing the process with standard forms and reports in it's own schma, but the last piece will still need to be manual (creating the account).
    Does anybody know of a way to automate this process of account creation?
    Does Application Server 10.1.2 self-registration have similar capabilities? if so, where could I look to learn what it can do?

  • Automatic approval workflow does not work anymore

    Hi,
    Our automatic approval workflows configured via standard business configuration sets (process controlled) do not work anymore. They did work previously.
    After changing the BUS objects 'automatic approval' workflow into the 1-step manager approval workflow it does work.
    - The 'automatic approval' workflow does not seem to generate a workitem, the bbp_pd 'workflow' part is empty. In addition previously approved documents via 'automatic approval' do not contain workitem details via bbp_pd either anymore.
    - We applied a new SP (SP07) not that long ago.
    - These documents go into status: 'awaiting approval', the documents 'approval' details tell us the following:
    001 Automatic Approval Valid (Can be Started) Open (No Decision Made) SYSTEM system
    However the system does not execute the task, how come? What normally ensures the system executes these 'automatic approval' tasks (report?)?
    Any input is very much appreciated.

    Approval or digital signature process in PLM involves creating authorization groups, signature strategies and assigning individual signatures to signature strategy groups.For example, to create digital signature for Engineering Manager, you create authorization group say ENGMGR and define it as individual signature and assign it to a signature strategy group.
    Business workflow is used to automate a business process.For example,it can be used in PLM-DMS for document review process.This can be triggered by status change(has to be defined in customizing) in document.

  • Auto approval process in workflow

    Hi,
    We are implementing customized workflow with approval/rejection process
    There should be a auto approval process when agent does not complete task within 3 days.
    When the approval is done then we are sending emails and performing some actions.
    When the auto approval happnes after 3 days we do not want the workflow to terminate but it should end.
    Kindly suggest if it is possible.

    Rahul,
    You can use a 'modeled deadline' to set the original workitem to obsolete after (say) 3 days.
    There is a wizard available to help you with this (in ECC 6.0).
    Then, on the obsolete outcome branch, you can add a new (background) step that approves
    the item automatically. (This is assuming you have an 'approval' method available for the object).

  • Approval Process in OIM

    Hi All,
    I am new to OIM. I tried creating an approval process for SUN Java System directory server.for this i create an task assignment adapter and added it to the Approval process. the problem here is that when i tried to assign the "Resource" through Requests tab on Admin interface to any user it goes to approver inbox but after approving the request user is not provisioned in the target resource.It shows nothing in the Resource profile page of the user also.
    Any pointer or help will be appreciated.

    Aaah....i think i was not able to explain my problem properly...let me explain you what i did...
    1. i have imported the connector for SUN java system directory server as explained on oracle site in Oracle by example.
    2. This connector have created the iPlanet user (provisioning) process for iPlanet User object name automatically having create process and no. of conditional processes (Disable user, enable user etc..).
    3. Now i wrote one Adapter having approval logic and attach it to one custom process of Approval type and assign it to iPlanet User as Object type. There is no table definition attached to it and when i tried to attach the available Form "UD_IPNT_USR" to it, it gives me some sdk error.
    After this i have tested the approval process in two ways...
    1. Through admin console (as xelsysadm), i have created a test user and assign this user to resource "iPlanet User" through Resource Profile combo tab. The user is successfulll provisioned with no approval required but i was expected that it should go to approver as per logic.
    2. In second scenerion, i assigned the resource through Request tab (Requests-->Resources-->Grant Resource). It goes to xelsysadm Pending approval items first and after this approval it goes to the other approver as per logic defined in adapter. After this approver approved the Request, it goes complete with no provisioning. I am wondering if i need to attach the Approval and Provision Process so that first it goes to approver and after approver approves it, gets automatically provisioned.
    Please look into the problem and suggest some solution. I am sure it should not be as tedious as i made it, but i don't have other option :(
