Approved invoices can not be edited  - Approval process

Hi Experts -
I have recently raised an incident with SAP about Approval process - the complete message and support reply is as follows - but i believe we need a change in the approval process - if the approval required is only one but you have defined two people (Either or OR) in the approver list - the system should allow the document to be edited if one of the approvers reject it.
please let me know and i believe we need  a change in design - unless otherwise a solid reason is given to justify the existing design

     We have created approval procedure for all the invoices which are entered into the system., The
'Accts' user enters the invoice into the system - the invoice comes for approval to 'Manager' user.
When the Manager opens the invoice via Alert window - he/she wants to modify certain information

The invoice which gets opened from the alert window - does not allow the user 'Manager' to modify at
all. All the information on the invoice are greyed out.
The system should allow the user 'Manager' to modify the information. Since the manager has full
authorization to the system.

Thank you for contacting us.
When the originator sends the document for manager's approval, note that the at that stage, the document is still in the 'Approval Process'. This is because the system is waiting for the 'Manager' to 'Approve or Reject' the document. Hence, looking at the Document, it is still in 'Draft - Pending' Status.
When the document is in 'Draft-Pending' Status, the document is not available for editing, because the system considers that it is still in the waiting process. In your case, the manager cannot edit t he document.
To amend the document, an action is required from the approver either to reject it first. Once rejected, it can be amended and re-sent for approval.
I have checked our knowledge base and noted that there is an article which describes the approval process. Please refer to the Expert on Phone Wiki Article (March 2009) with title: Why a draft documen t in an approval process cannot be modified by the originator?

     Thanks for the reply. The scenario is when the Manager receives the
document for approval, he wanted to edit and add it. Your reply (and
documentations) states that it needs to be rejected first before it is
available for editing. When it is gets rejected - the person who
orignated the document gets an alert and he can edit it. Here the
Manager must get an alert so that he can edit the Rejected document.
When the 'manager' rejects the document, and goes back to the alert
window to open the document - it is still greyed out !!
How does the 'manager' reject the document and edits it ?

If after the Manager rejects it and still the document is not editable (greyed out), it means that the document may still be in the 'Approval Process'. When it is greyed out, what is the status of the document in the header? Does it say 'Rejected' or 'Pending'?
If it is still in 'Pending' mode, please verify the number of 'Approvers' set in the 'Stages' tab of the 'Approval Template - Setup' window. If there is more than one user listed as 'Approver', and o nly 1 approval is required, the system provides an opportunity to other 'Approvers' to approve or reject the document. If in your case, the number of approvers is 2, and manager 'rejected' it, the sys tem still keeps the document in Pending status as it waits for another approver's decision to reject or approve it.
Also, verify the number of 'Approvals' required. If the number of 'Approvers' who have not rendered their decision is greater than or equal to the 'Approvals' required (e.g. approvers - 2, required ap provals - 2) the system keeps the document within the approval process. This is to allow the other 'Approvers' to decide on the document.
I hope this clarifies the behaviour. If you can provide us a step by step screenshot of the issue, this may help us to provide a more accurate response.

1 - In the approval templates - we had mentioned number of approvals
required as '1'.
2 - in the number of approvers - we had mentioned two users
Though the template requires only one approvals (Either or OR) the system
expects both of them to approve or reject -
Can u please let me why is this behaving like this - or is this is the
way it is designed ? - if this is the way it is designed - i beleive it
is wrong - weneed to give a solution to the customer

Thank you for the information. The behaviour is a current system definition documented as per Note 1321234. I have attached the said Note for your reference. When only 1 approval is required and there are 2 or more persons are allowed to approve the document, the document does not get automatically rejected when 1 person 'rejects' it. The system waits for other approvers to render their decision b ecause a person may still approve or reject the document.

    It is so strange. I noticed that the Approval Requested message was sent to two moderators: Administrator and TruongCM. Please confirm if the Approval button is missing in both moderator's Outlook.
    Please close Outlook, then send a test email and receive it by using OWA or Outlook Online mode to check whether the issue persists. Also create a new Outlook profile to have a try.
    Please update your Outlook 2010 with the latest patches and service packs.

    I am sure u r doing MIRO w.r.t PO after u have done MIGO of that document...
    Check that how many line items u have in MIGO and wether it is coming it MIRO or not...
    I would also suggest pl look into the MAP and Standard price in accounting view of material.

  • Approval Preview Graphic not syncing with Approval Text in SRM 4.0

    We are currently using SRM 4.0 in an extended classic setup and have the following issue.
    When creating a shopping cart/PO in SRM and looking at the approvals pending/processed or waiting the approval preview screen is different when choosing graphical display as opposed to text display.  The graphical display appears to be the accurate source showing the current status of the work items but the text display will show something the work item as awaiting approval by the individual.  The In process since description and processed on descriptions on the text display appear correct but the status and the approver are inaccurate. 
    Has anyone seen this issue before and can lend a hand to what could possible resolve it?

    I faced the same in SRM 4.0. As usually users are not looking into the text display
    we did not further follow up on that issue. Usually Graphics and Text should be
    same. It depends on the saved cookies and stored internet pages corresponding
    to the used Browser Version.
    I cannot recap SAP's answer on that issue - did you also open an OSS?

  • Can not find edited pics on the phone with my computer

    I am running OS5 and i can not transfer the edited pic's that I edited with the phone. I can view them on the phone but when I am connected to it from the computer I can not see them on my computer to save them. Any ideas?

    Are you on a Mac? Did you try Image Capture (it's in the Apps folder on the Mac)? Maybe try rebooting your desktop or rebooting your phone and then plugging it in again.

    I assume you are using wrong dynpro (2100) instead of 2500 for MP002700. So please check first in T582A for IT0027, if
    you have maintained 2500 as single screen then make sure that in table T588M you are using module pool MP002700 with screen 2500.  Hope it helps,

    As captioned, After I deploy the BPM project to server, why cannot i see it in the workspace?

    It can be because the user that you are using for log-in to Workspace is not mapped to the Initiator role for ur process.
    Check the role mapping for your process either by going to BPM Workspace --> Administration --> Organization --> Roles
    OR
    OEM --> Application Deployments --> Right Click on any application --> Security --> Application Roles --> BPMProcessRolesApp

  • Can not add Infopackage in Process Chain

    Hi,
    I am in BI 7.0. I want to insert an infopackage to the process chain, but this is not possible. I get the popup to enter an infopackage, but the input field is not ready for input. If I press F4 I get the message 'No data selected'. Then when I press the create button, I get the message 'Create an InfoPackage first in the DWB'. But infopackages are already created in the sytem.
    Is there a setting that I am missing?

    I have keyed  in an invoice (through Logistic) but there is a message at the bottom

    When I log on to my wife account (same computer) her firefox opens and preforms just fine. I even unistalled firefox and reinstalled and it does the same thing..

    You can kill the process manually by right clicking in the task bar (next to the time and date) and opening the task manager.

  • Incoming Payment Applied to Wrong Invoice can not be unapplied

    Hi:
    A Very annoying missing functionality in SAP Business One Payment Entry screen.
    When you receive a payment (Incoming payment) - for a customer and apply to an invoice - but later realized that it was applied to a wrong invoice and we need to cancel the application of the payment and re-apply to a new invoice - the solution given to me by the Support Center is to cancel the payment altogether and re-enter the payment.
    This will create unnecessary entries in to the customer ledger and the statement will look very odd with those entries. 
    I believe that this is a very genuine requirement and it is being addressed by all the small end software (like Tally, Pastel, Quickbooks etc) - when the customer moves from one of these software to SAP B1 - they expect small things like this is taken into consideration

    Current situation:

    Receivable adjustment does not adjust the customer balance/open items.  It only takes $ from the receivables and moves them to a separate g/l account.

    I have a code that I have to generate lots of excel file from ole2 object. I have a loop and I generate excel file in it. my problem is that after each step that one excel file created and quit from that, excel.exe process will remain in memory(you can see it in task manager) and all of excel.exe process will kill after end of the program. I want that I have one excel.exe process in my memory for each step of my loop. this is my code :

    Why are you programmatically opening an Excel sheet in C# instead of using the DataFlow task with an Excel input?
    Since your task is programmatically starting Excel via "new Microsoft.Office.Interop.Excel.Application();", it is your responsibility to stop it.

  • Having problems with firefox 4 using creloaded (oscommerce cart) it is turning the price weight section etc into a table which can not be edited.

    As above to be honest but the entire section of the top of the product add is uneditable and all information is set to zero. Which means I can no longer add products correctly to my website.

    unfortunately there are tons of people with this issue but Apple has not given any answers for us to fix this issue yet. I wish they would allocate more people to solving these problems when they roll out new versions of itunes along with new hardware.
