Best way to archive projects for future use

I use Adobe Premiere Pro CS4,but this is a more generic question.  I shoot videos that people want to save for a long time.  I burn my projects to DVD's (or Blue-ray discs if the client does not mind the cost).  DVD's can be destroyed, lost, wear out.  What is the best way to preserve these memories?  I know that some people charge the client and use a dedicated external hard drive for each project.  What technique is not too expensive, but will last the longest?

OK, I meant to tack this question with my last one, my client wants me to take her 1 hour video and compress it to a format that she can store/watch on her own hard drive.  What format would retain audio and video quality best, and not be enormous and still be able to run on a computer (ie not burned to a DVD or Blu-ray Disc)?
Second part to this question:
one of my projects is 5 years old - not done on a external hard drive - which means that I can no longer access the project for conversion purposes.  What choices do I have  if I only have a DVD disc to convert to a file that can play/be stroed on a computer?

    Backup (of all your files) is considered essential. Many use multiple methods; ext disk, DVD, offsite, etc. You want to back up the GB Project folder, not just an exported copy of the song. Newer versions of GB will open Projects created on older ones, but not vice-versa (although: http://www.bulletsandbones.com/GB/FAQPages/OpenNewVersionInOld.html)

    That depends on what kind of "files" you're talking about and what your employer's policy is on using cloud storage.
    I found dropbox and/or OneDrive work very well for keeping documents in sync between multiple machines.

    Hi, I need to clear off the captured video for several projects off my hard drive, and close out those FCE projects. What is the best way to archive my finished movie? I thought it would be to create a 'self-contained' Quicktime file, but learned that if I want to import such a file into DVD Studio Pro, it won't work. Should I save the movie as a 'self-contained' Final Cut Express Movie file (which will import into DVDSP) or is such a file inferior to a Quicktime .mov file? Or is there some other option?

    Thanks for your reply. I've been experimenting and here is what I found.
    Yes, iDVD does import a Quicktime file, but DVD Studio Pro doesn't. Go Figure. DVDSP gives an Alert Box that says, "Incompatible Format". (FCE will import either a Quicktime file or a FCE Movie File.)
    I saved a short movie (about a minute and a half) both as Quicktime file and FCE Movie file. Both are 'self-contained'. Interestingly, the (highest quality) Quicktime file is only 163 MB while the FCE Movie File is 304 MB.
    So they are not the same. I would tend to think that the FCE file is better for archiving, assuming that the larger size (304 MB) means better quality. But, on the other hand, it seems that a Quicktime file is something that is more universally used. For instance, I may want to send a file to be used by someone who doesn't have Final Cut.

  • Best way to archive old footages

    I have a few hundred VHS, miniDV, 8, and Hi-8 tapes with footages I do not want to lose.
    What's the best way to preserve them in the long run? I'm afraid my Canon 8M, Sony Hi-8, and Sony miniDV (with Firewire) cameras won't last for too much longer, and my VCR just died.
    Am I better off to:
    a. Digitize all of them using FCP or FCE and store the clips using a big hard drive or burn them on DVD's for future use. Any suggestion for a database to store EDL
    info?
    b. Get another miniDV cam with firewire and just archive the VHS, 8M and Hi-8 tapes using the new miniDV camera. Any suggestion on a good quality one at a reasonable price?
    How long do miniDV tapes last anyway? I have several that have been at least 5-6 years old.

    From the storage perspective i think StudioX has you covered. I do have a couple of thoughts about my recent experiences to share.
    I have been working with a lot of of old (25+ years) VHS and (40+) reel to reel tapes lately. Think about it-that's actually a lot longer than I think any of us actually expected them last. The older VHS tapes tend to become sticky and the plastic mechanisms of the actual VHS shell are breaking down. Physically inspect every tape that you prepare to archive. Press that little button in on the side of the cassette and physically operate the door and look at the tape. Don't forget to remove those little plastic tabs on the back that keep you from recording over the tape-yeah I know but you would be surprised (;>)
    Get good at taking apart shells and moving the reels from one cassette to another. Practice splicing. I have a master shell that I modified by removing the door that closes to cover the tape to make one less thing to go wrong.
    Dealing with animal p p is another topic altogether so if you need any help there just let me know and I will share.

    There are lots of posts re archiving video projects, but I can’t find info about the best way to archive still images used in projects. . . .or not used in projects, for that matter. I just wasted a bunch of time (again) searching for a still I need. No matter that I try to label photos literally and/or chronologically, this keeps happening.
    Anyone know of a site that would help or where I might get some suggestions as to the best method to go about this? Would be most grateful.

    Nearly all photos I use in a project are put through Photoshop first. . . . .lighting isn't quite right, some photos get merged with another, background gets dropped out, etc.
    Problem comes when I put all the versions of a photo into a folder, usually part of a larger project folder. (I don't keep all this in iPhoto.) Later, maybe a year down the line, I need a photo but end up searching bunches of folders looking for it. Naming things as literally as possible hasn't helped. Generic sort of shots (a sunset, good ocean shot, etc) are the worst.
    I may try a larger search of the web for articles about efficient organization of this kind of thing.

    I make family history movies that often need to be resurrected a year down the track to add a new scene (e.g grandson getting married). I've just stepped up to FCP from Final Cut Express and would like to know two things:
    1. What is the best way to archive a project to an external drive so that I can recall it later with everything intact (media, transitions, titles, everything); and
    2. What files (or folders) do I need to keep from the six FCP Documents folders? I'd like to trash those that aren't necessary.

    Use the Media Manager.
    It will consolidate your project to a single folder and give you various options for your unused footage.
    The FCP user manual has a section explaining MM in detail.

  • Best way to archive a bunch of DV / Digital Hi8 tapes?

    I have a bunch of MiniDV / Digital Hi8 tapes (and the associated cameras) that I have not gotten around to cleaning up and put on DVD.
    I am looking at a Flip MinoHD as a replacement for both. I live the quality / features of our Sony MiniDV but it's size and tape requirements result in it being left home most of the time.
    So I am looking to get the video off the tapes and onto a HD or DVD for future use (and sell the cameras). Is there an easy way to take a DV tape and export to a MPEG4 / H.234 file etc. that I can drag and drop directly into iMovie '08 / iMovie HD6?

    In short, no. The math will never change: the larger the file size the better the quality. In the case of H.264 or MP4 content, this is highly compressed and iMovie won't edit it in it's native form, it is converted to AIC which again has a file size much closer to that of DV material if not larger actually. Any flavor of MPEG compression (including the camera linked to) is throwing away frames. What you want to know is can you compress DV to MPEG and then Uncompress it later. Sure... but you will take a quality hit on the compression and again when uncompressed. As example, DV material is 30-frames per second, when compressed it to MPEG 2 it is now 2-frames per second with the encoder "remembering" the motion difference. When de-compressed again, the application will attempt to restore the 28 missing frames. Google MPEG 2 compression for more of an explanation.
    It might help to think of it this way: you have a beautiful 16x20 wall print that you want to store for future use. If you store the 16x20 it's going to take up the appropriate space. To save on space, you could store a wallet size image. Then when you wanted the 16x20, you could scan the wallet and uprez it to 16x20. Won't be the same- but you saved some space. Again, the math doesn't change.
    You can compress your DV movie to a DVD (MPEG2). And hopefully the quality is visually the same- but that is NOT archiving source material by any means.

    Visualhub is a transcoder with multiple input and output formats with specific setting for iPod,iPod touch. Costs around $19-used to work great but recently everything I convert suffers audio crash than closes out the player. Hopefully they will fix it.
    Elgato H.264 hardware transcoder is $99 dollars(USB stick that plugs in to Mac)-speeds up encoding of any file quicktime can handle, settings for apple tv, iphone/touch, ipod,Sony PSP. Worth the cost if you transcode a lot of video for the Touch or own an elgato HD tuner. Files work flawlessly and look great.
    Mpeg streamclip-free. Works great, has presets or can customize the output.

    I was wondering what would be the best way to prepare photos for iPhoto printed book on a Macbook Pro so to achieve the most realistic results to what's on the screen
    ie. which software should I use to change photos from RGB to CMYK, photoshop or iPhoto itself. I'm guessing maybe the autofix feature in iPhoto? (I don't have Aperture)
    Secondly, which monitor color setting should I set the screen at? I'm guessing it's either Apple RGB or Colour LCD, maybe even ColorMatch RGB?
    Any any other tips that people can give in achieving the most realistic results to what you have on the screen when your printed iPhoto book gets sent back. I don't want the mid tones to disappear or become too bright because the gamma and color settings were different to what they use at the other end.

    The situation has changed a little, our original photos are in RAW format and some of them are slightly over saturated in the higher tones.
    I've read on other threads that it is a good idea to run the 'Enhance' tool on all photos before sending the iPhoto Book away.
    Since iPhoto's 'Enhance' tools seems to do a lot of helpful things like sharpen, adjust the levels, etc it also seems to notch the contrast up and this would prove destructive for the lighter and darker tones not captured by the camera's dynamic range.
    So as I've been advised it's best to use Apple's own tools before sending the iPhoto Book away, so I'm going to download the trial of Aperture.
    Does anyone have any more recommendations on which monitor colour profile setting to use etc. I've also read that iPhoto prints best from JPEGS so the RAW will obviously need changed. Will Aperture automatically save to Profile name: Camera RGB Profile after I've done some editing there?
    What would be the best way to prepare RAW images in aperture where some of them might need an Image Overlay in Photomatix then imported back to Aperture for printing an Apple/iPhoto style Book?

    I am starting a huge archiving projet of possibley 100-200 hours of footage from all kinds of sources (VHS tapes, Mini DV, Super 8 film).

    One strategy is to purchase a Canopus ADVC300 analog/dv converter. It has a TBC incorporated.
    You connect your original source material (for example - VHS deck) to the Canopus via analog cables then from the Canopus via firewire to your computer. This will turn everything into DV format.
    Play the tape through the canopus and record to your hard drive.
    Take good notes for each tape. Create a logging sheet and make notes as the system captures.
    Once you have the tapes in the computer, break them into 1 hr or less segments by some reasonable system - chronologically, by personalities, locations or whatever makes sense to you.
    Then write out each 1 hour segment back to a DV recorder. Give each tape a unique reel number - and make the reel number part of the file name on the computer.
    When you are done in a year or two ( lol ) you should have two matching sets of material - one on the hard drives and one on tape - with names that make it easy to cross reference and a binder full of logging information. If you want to be fully digital, look into a nifty application like CatDV. It will help organize a mass of video info like this.
    DV runs at ~13-14GB/ hr. Plan you storage accordingly.
    Purchase professional quality DV tapes - not drugstore junk.

    When I delete a photo from a page, it does not stay in the assets panel. My client uses in browser editing daily. Once a week he changes a photo just for a day, then needs the previous photo to replace it. The original photo is not in the asset panel (or folder) for him to choose.
    When you upload a photo, it has an arrow in the asset panel. How do you use this as an asset?

Then I've tried to export them fully for future use as back up, but I could not find any option to do so. Exporting library and playlist only saves info for basic tags but no lyrics in it. So what should I do? I've tried iTunes Export and mp3Tag but I still could not do it.

    I forgot to mention the dimensions I need the file to be at, sorry. Overnight Prints requires that the uploaded file be at 2.13 inches wide by 6.13 inches high (or 638 by 1838 pixels) at 300 dpi. I think I understand what Scott Falkner means by pixels are not a unit of measure. However, I have been using inches in Illustrator, with the file being set to the height and width (in inches) required by Overnight Prints.
    Here is what I have uploaded to Overnight Prints so far:
    - Illustrator file set to 2.13 inches wide by 6.13 inches high – Upload preview on Overnight Prints is correct size, but shows the bookmark as pixelated/blurry.
    - Saved above Illustrator file as copy: “Press Quality Preset” PDF – Upload preview on Overnight Prints is correct size, but the bookmark is still pixelated/blurry.
    - Exported same Illustrator file as a PNG (638 pixels wide by 1838 pixels high - 300dpi) – Upload preview on Overnight Prints is correct size, but shows the bookmark as pixelated/blurry.
    - Creating an Illustrator file at 638 by 1838 pixels makes any file that is uploaded preview on Overnight Prints as too large, but not pixelated/blurry (I think I now understand why, just covering all my bases).
    So, I guess my more specific question would be:
    How can I create a file that I can upload to Overnight Prints (TIF, PDF, JPG, EPS, PNG, or AI) that ends up at the dimensions (in inches) required, while not appearing (at least in the upload preview) as low resolution (pixelated/blurry)?
