Billing Reversal

Hi All!
I'm facing an issue here pertaining to Billing Reversal:
1. Sales Dept posted an Invoice in Sept 2007.
a. VF01
b. Release to Accounting (automatically)
c. Accounting Document is created
2. Finance Dept cleared the Invoice within a few days.
a. Incoming payment was received / completed
b. Clearing was done
c. Bank reconciliation was processed
3. However, in April 2008, the Sales Dept managed to reverse the Invoice.
a. Invoice reversal created successfully
My question are:
1. Is this standard in SAP?
2. Logically speaking, once all the financial processes has been
completed, shouldn't the Logistics-side be disallowed from reversing
the Invoice? For business reasons, reversal is allowed but this is for
newly created Invoices. For Invoices cleared by Finance, shouldn't SAP disallow reversal?
3. Are there any functions / customization available to disallow
reversal especially when Finance has cleared the Invoice?

Hi Jyoti,
Creation and Reversal are veiwed as two different business processes by SAP. Thats why you have reversal process for every creation process.
It really doesnt matter, if the finance postings have been done for a particular invoice or not...........it is a business functioanlity that is provided by SAP. Creating Credit memo or Debit memo are part of this reversal process.
As you know, Billing / Invoicing comes under the SD functionality. When an invoice is created, an accounting document is automatically created. In the actual business scenario.........the invoice amount is still due.
But the actual payment is physcially received by the company, the finance dept does an payment receivables and clears the postings.
Creating an invoice and sending a copy to your client is a part of the business process that is handled by the sales dept.
on the other hand, handling the amounts received from the customer is your internal process i.e. postings.

    Hi all experts,
    We recently implemented the Grants management module and SPL 90 is now active.
    We are now having a problem with automatic clearing for billing reversals.
    When I go to VF11 and try to reverse a document, the FI postings and FM postings seem to be happening. But the automatic reversal does not go all the way through because when it tries to post to special purpose ledger 90, it does not find the original document there and hence, stops.
    Can someone tell me how to fix this?

  • STPO intercompany billing reversal

    Hi All,
    We have an issue with stock transport order (different company code). User has done the outbound delivery, PGI & intercompany billing through EDI.
    Now while doing MIGO with reference to outbound delivery iam unable to post the document and the error message is "Value of the goods movement is negative:" but we have stock in transit. however when we see PO item change the user has changed the net price value so i have to reverse all the documents.
    Can anybody please tell me how to reverse all the documents from intercompany billing, PGI and outbound delivery.

  • REVERSED BILLING DOCUMENT

    Hi
    Until 15th June 2011, all the Billing reversal documents has posting key as 12. The original billing document and even the reversal billing documents are getting cleared. But from 15th June 2011 onward all the reversal documents are posted with posting key 11 and both are open documents. How to change the status of both documents as cleared documents by putting the original billing document in clearing doc field.
    Presently In OB41 against 01 posting key, reversal posting key assigned is 12 only. But in OBXW the posting key is 01 and 11 for reversal. No changes made recently.
    Please suggest is there any BADI or User exit.

    As far as I understand there seems to be a change in the treatment of business transactions from 15-Jun-11 onwards.
    Before this date the Invoice was getting reversed (posting key 11) and because of this, there is no open item.
    From 15-Jun-11 onwards it is Credit memo (posting key 12) and because of this it is an open item.
    Please use T.Code: F-32 to clear the customer open items.

    System Response
    Documents which were not originally posted in Financial Accounting also cannot be reversed in Financial Accounting.
    Procedure
    Reverse the original transaction.  You can display the original document from the FI document via 'Environment' -> 'Original doc.'.

    Proabably you are using Billing
    Reverse at VF11 - Cancel
    Other wise go to FB08 and enter FI docuemtn and go to environment and Original document there you can find the Billing number and then go to cancel at VF11

  • Contract terminated for billing reasons flag did not remove

    Hi
    We have a critical problem.
    We are using SAP ISU 4.72 version with CRM 4.0.
    Sometimes when user is doing final bill reversal and moveout reversal from CRM, the flag "Contract terminated for billing reasons" (EVER-BILLFINIT) in SAP ISU is not removing automatically and this gives problem for further billing of the contract.
    Can anyone suggest a solution for this problem that how to correct this problem or any notes to be applied to correct this.

    I have already checked this note. It seems that this note is for manual billing problem which is not carried out here.
    In our case if we are doing in SAP, the removal of flag is happening with reversal of final bill.
    But sometimes when we are doing through CRM the reversal process, sometimes this flag is not deleting.
    I am not very sure whether it is an ISU issue or this issue happens only from CRM.

    Document Type:
    Utilities Industry/Invoicing/Invoice Processing/Define Document Types for Print Documents
    then allocate document types to print document:
    Utilities Industry/Invoicing/Invoice Processing/Allocate Document Types to Print Documents
    In this define creation reason, company code & document type

  • Not able to put reason for rejection at sales order level.

    Hi Gurus,
    I have an issue where I am not able to put reason for rejection for line item in sales order. It gives error as please delete the follow on document purchase order line item number 10. I have already deleted the line item in purchase order. Then tried but did not work. Tried by deleting the purchase requision item also but it did not work.
    Tried to undelete the item from PO and then again tried to put reason for rejection but it could no worked out. 
    Please guide me what can be the solution.

    As far a I understand you created PO for line item
    So first check whether GR is reversed or not for PO
    Then mark this line item for deletion in PO and then in PR
    Check if you have created any billing document for PO if so reversed that invoice
    Also check if you have created any delivery for the Line item in sales order if yes then reversed the same
    If you have Sales order related Billing, and if you have done billing reverse the same
    If you have Delivery related Billing, and if you have done billing reverse the same
    After reversing all docuemnts created for Sales order then only try to reject the line item
    You can check table VBFA for document flow

  • Automatic clearing of accounting document

    Hi,
    When I reverse a bill thru VF11, the accounting document which gets generated is not getting cleared with the previous accounting document., the document type is showing RV instead of DA(Bill Reversal) and posting key 11 instead of 12.
    Kindly provide inputs in which situations system picks up wrong document type and posting key.

    When I reverse a billing document [normal invoice], the accounting document which gets generated is not getting cleared with the previous accounting document. The accounting document type in both original and reversal is u2018DDu2019. I have also checked the reversing document type settings in OBA7.
    The above scenario is working fine with one company code [ABC], but with other company code [XYZ] the auto-clearing of accounting documents is not happening. The sales document types in both the cases are same.
    On further analysis, I found that the reversal accounting document is having posting key 11(credit memo) instead of 12(Reverse invoice), but in other company code[ABC] the posting key is appearing correctly in the reversal accounting document i.e. posting key as 12.
    Can you please confirm if this happening due to incorrect posting key? Also kindly suggest how this can be corrected?

    I have one question to confirm with you all:
    Our indonesia office need to print out tax invoice when billing document is created.
    The format is TTS.BBB-YY.NNNNNNNN , and only TTS is fixed, the other 13 digits changes.
    And we can only get one number range from tax office for almost one month's usage, which means we can not maintain the number range for one whole year in one time.
    Question 1:  How to maintain mulitple of number ranges for one year:
    I'm thinking if we can maintain different number  in table "V_OFF_NUM_ID"
    2014/01/01 – 2014/12/31  900    ID0114  01
    2014/01/01 – 2014/12/31  901    ID0114  03
    2014/01/01 – 2014/12/31  902    ID0114  04
    2014/01/01 – 2014/12/31  903    ID0114  05

    But the "code 2" is same sometimes, so I have to do so

    The SAP standard use new tax invoice no.
    How to realize it?
    Question 3:
    YY is year and defaulted from billing date?

    You are correct that this is statutory requirement, and SAP deliver the solution, you can refer to note
    1033737 - Indonesia: Tax Invoice & VAT Reporting 1107 .
    However, from 04/2014, the requirement changes
    TTS.BBB-YY.NNNNNNNN
    Before: Only NNNNNNNN changes and SAP suggest using one number range
    Now: BBB-YY.NNNNNNNN  changes, and there are quite a few number range per each year.
    Can not get one number range for one whole year.
    Therefore, I raised my question as above. However, I think I have answer to my question, just I'm looking for one more perfect solution if there is:
    1> The answer for 1st question
    When the "code 2" is same sometimes, I will maintain as below
    2014/01/01 – 2014/12/31  900    ID0114  01
    2014/01/01 – 2014/12/31  901    ID0114  03

  • Need Profit centre field as mandatory field in the sales order

    Normally Profit center data maintained in the material master, same data will get coipied to the sales order while creating sales order in VA01 transaction.
    My requirement is if profit center data is not maintained/available in the sales order system should give the error message
    For this I need Profit center field as mandatory field in the sales order(VA01).
    Can you please give possibilities ASAP.
    Give the SHD0 maintenance step by step.

    I beleive that you are talking about the Profit centre field not maintined in sales order hence not picked in delivery and billing and there is an FI posting error  (GL account error) because of that
    Profit centre is maintained in MMR and the same flows thro the sales cycle and i am quite sure if maintained in MMR it will be picked automatically and no need to make it mandatory in sales order( as the purpose is already solved)
    But there is no standard option in SAP like (even if Account assignment category of the material is not maintained in MMR it can be given in VF02 and the document can be released for accounting) to give the Profit centre in the billing and release the same
    Profit centre field field is picked from masters and flows in the entire flow and that field is greyed out (like no option of inserting it inbetween)
    As told by others incompletion log in sales doc type will take care for future orders and for the already created orders the standard option is cancel billing, reverse delivery and open the sales order and give   Profit centre field and process it (if only a few orders are there)
    But if the already created orders are many then from the FI Area  you need to go for development ( we also faced this issue as profit center not maintained in MMRs and hence accounting got hit and there were tons of billing docs and our FI consultant made some development to open it and solve it) FI consultant should be able to do this for already created orders
    Instead of making Profit centre field as mandatory field in the sales order better make it a mandatory entry in MMR

    I have a sales order done in 02/02/2007, which is delivered and billed to.ooo...
    Can I delete that total sales order with delivery and billing?
    I have to do cancel billing, reverse goods, and then cancel delivery...etc...right???
    My client says he does not want it..how to delete that...nothing should be updated...the system should not find that sales order to billing doc again...

    You will not be able to delete a sales order, unless the subsequent documents are cancelled. In your case you can cancel the invoice with transaction VF11, reverse the goods issue by transaction VL09, delete the delivery by VL02N, then as per your requirement delete the sales order by VA02.

  • Stock removal from supplying plant

    Hi.
    We have done STO between company code to company code. We did delivery and billing and the material has been received by the receiving plant and the invoice entry completed.Total process got completed.
    After that there was a need of reversing the delivery. we cancelled the billing, reversed the delivery and subsequently deleted the delivery (by mistake) instead of making changes.
    Because of this there is a imbalance now exisitng between supplier and customer in accounting. Anyhow the imbalance can be done adjusted manually by accounts department but the concern is how to remove the stock from the issuing company code plant.
    Please note while reversing & deleting the delivery the delivery stock quantity reversed and gone back to the issuing plant. we can't go further to reverse the good receipt of the receiving plant as the stock from the receiving plant already got consumed.
    Now my question is how to remove the stock from the issing plant (it is merely showing in stock overview and not physically available, want to get write-off from the issuing plant. Client wants to remove the stock without affecting any account entry. I guess it is impossible.
    I am thinking physical inventory, scrapping but these will affect account entries too.
    Is there is any way to do the removal of the stock at table level.
    Please suggest your expertise ideas...

    The STO cycle got completed.
    somebody deleted the delivery number by mistake.
