Business Process Modeling and Organizational Change Management

Many Change Management interventions are based on the business understanding the TO BE processes, how the process will change end-to-end, including not only the processes within SAP but also how they will interface with the entire application landscape. I’d like to hear experiences and best practices. Who, how and when should those business process models be completed? What would be the role of Change Management in this piece?

Hi Claudia
Very interesting question!. This is the most challenging task an org unit is facing today. Before implementation you must be able to foresee what impact a new end to end business process would have on the present organizational set up. To visualize you need to have people who has knowledge in their respective business. It is no easy task. That is why you need to break & analyse each process in minute detail and compare “to be process” with the present process. To have an effective process in place you have to examine who is the Business process owner, if the owner does not follow or comply with the new process what is the risk involved, & what makes it mandatory that the process owner follows it and so is all down the line managers. What I mean to say is that by analyzing each and every new process you should be able to derive some KPI from this. This is how control can be built. This is all simple management technique but I have seen many new processes in ERP failing or not being used because of lack of Management control. I have answered who & how part. Now coming back to when part. The change management initiative has to start long before the actual ERP implementation. One has to prepare the organisation for taking a massive leap from a mere paper based organisation to accepting a system that can touch almost any business application. An organisation which has not prepared itself to accept the changes and hurriedly implements a system for the sake of project completion can see that the benefits projected in the business case may never be realized.

  • Business Process Modeling in SAP Solution Manager

    Hi.
Even ther an Solution Manager space, i wish to get some opinion related to Business process Modeling.
We are working in an upgrade project. R/3 4.6 C to ECC 6.0. The customer decide to use Solution manager to map their process, based on the transactions of the new version.
    Company Business Process:
    1.Based on ISO standards.
    2.By product line
3.The process are defined using an structure with 4 Levels: Macro Process, Business scenarios, Business Process and Steps/activities.
There are 2 possibilities to map the process into the Sap Solution Manager:
    1. Map the process by component.
    - Single Project
-It means to make a list of all sap components with their process without mattering the business process.
-Each product line can be a variant for an specific process. e.g: Sales by line
    2. Map the process as ISO Standards
    - Several projects : For each product line
Which cold be the better option in order to:
    - Easy configuration activities
    - Easy design of Unit and integration test
    - Easy activities of Process enhancement and optimization
    Theres another option?
    Thanks
    Alvaro Hernán Rojas R

Hi Alvaro Hernán Rojas R ,
The product line is the hierarchy of the finished goods.
It is pertinent that the finished goods has emerged due to some process(es) carried on the raw material.
Thus logically you should map in solution manager based on the process only.
The macro process while depicts the processes at the highest level. The Business scenarios, Business Process gives a good idea about how you should go about configuring. The Steps/activities helps you to map in to SAP thro' T/Codes.
From the point of view of all of the below three, namely,
    Easy configuration activities
Easy design of Unit and integration test
Easy activities of Process enhancement and optimization,
the option   Map the process as ISO Standards
    - Several projects : For each product line, will be most ideal.
It is the processes that drives the activities. The control activities like internal control etc are all process based.Given these, divorcing the business process from the configuration -as in -is certainly not a good practice.
    Hope this helps.

  • SAP XI and Business Process Modelling and Monitoring

    hi All,
Could anybody tell me whether SAP XI has any Business Process Modelling tools or any Process Monitoring tools?
If any, are these analogous to IBM WBIs Modeller and Monitor? Also does SAP XI provide any human interaction?
    Regards,
    Shree Norway

    Hi,
In the XI-Repository you can build Business Procces with the Process Builder.
for Monitoring you can use the Workflow Monitoring on XI.

  • Best practice business process models

We have been using ARIS for well over a year now for realizing our vision for Business Process Management.
Recently, the management has been looking for ways to benchmark, evaluate and compare our processes with that being practised else where in the world, with a view to ensure requisite process controls, automation, transparency, staffing levels and KPI's.
Having said that, we tried to search for ready-made out-of-the-box ARIS business process models (up to level 4) in areas such as Human Capital Management, Supply Chain (Procurement), Supplier Relationship Management and others, but we were unable to find any source. While we did find purchasable ARIS processes for ITIL, but other than that our search had yield no result.
Are we approaching this right? and is there such a source available from SAP or any third-party vendors?

    Hi Sunita,
The concept of development component are relevent from desing time perspective , at runtime there is no difference whether you create Model + Component + Application in one DC or multiple . The DC concept helps to increase the reusability and guides to have better design of your application . For example if you have model in a DC while your Components + UI in seperate DC . Changes in Model ( Reimport / Delete / ...)  could be well abstracted from using DC . More over the same model DC could be re-used at multiple places /DCs.
As far as performance is concerned yes it increases from dc build and application development point of view.
I would suggest to have model in seperate DC as this is better desing approach and offers maintenability.

    Hai,
    Organizational Structure
    Use
In order for the workflow system to establish the relationship between the requester and their superior, you must create an organizational plan in the system.
For this tutorial, of course, this organizational plan does not have to be complete and valid across the enterprise. To keep the test as simple as possible initially, define an organizational plan that only contains one administrator and one head of department.
Assign both items to yourself. As a result, all work items will appear in your own Business Workplace. Later you will modify the organizational plan such that you will have to work through the scenario with two users.
    Procedure
The organizational plan required for this tutorial consists, when complete, of one organizational unit (= "department"), which contains two positions: a head of department and an administrator.
Each position is described by one job and each position is assigned one user as holder. The head of department position is also designated as chief position of the organizational unit.
Of course, a "real" organizational plan is created by arranging several organizational units with their positions in a hierarchy. Usually several positions are described by one job.
For further information, refer to the documentation  Organizational Plan.
The procedure in this unit is divided into four parts:
    1.     You create an organizational unit.
    2.     Enter necessary jobs as required.
    3.     You create a position for the head of department in the new organizational unit.
You define a position in three steps:
    i.     You create a position that is assigned your organizational unit.
ii.     You assign a holder to the position.
iii.     You assign a job to the position.
    3.     You create a position for the administrator in the organizational unit.
    Creating an organizational unit
    1.     Choose Tools &#61614; SAP Business Workflow &#61614; Development &#61614;&#61472;Definition tools &#61614; Organizational Management &#61614; Organizational plan &#61614; Create.
    2.     Confirm the validity period proposed in the dialog box Creating a Root Organizational Unit.
This takes you to the Create Organization and Staffing (Workflow) screen. This user interface is divided into four screen areas:
    3.     On the Basic Data tab in the details area, enter an abbreviation and a name in the Organizational unit input fields.
    Abbreviation: <ini_sales>
    Name: <OrgUnit: Sales (ini)>
    4.     Choose  .
You can now create the position for a head of department and one administrator.
    Create jobs
When enhancing an organizational unit, the necessary jobs are usually already available. For this tutorial however, you create the necessary jobs for head of department and administrator yourself.
    1.     Choose Edit &#61614; Create jobs.
You go to the dialog box Create jobs. The lower area contains a list of existing jobs and the upper area contains an input table in which you can create new jobs by entering abbreviations and names.
    2.     In the input table, enter an abbreviation and a name for each of the new jobs.
    Job - head of department:
    Object abbreviation: < ini_dhead_C >
Name: < job: head of department (ini) >
    Job administrator:
    Object abbreviation: < ini_admi_C >
Name: < job: administrator (ini) >
    3.     Choose  .
Creating Position for Head of Department
    1.     Change to the overview area in the staff assignments of the organizational unit, in order to assign positions, jobs and holders. Choose the arrow  on the right next to the  and then the staff assignments (list).
    2.     Choose  .
A new position is then created in the staff assignments and is displayed in a new line in the table. The position is vacant and no job is assigned to it.
    3.     Open the details view for the new position in the details area by double-clicking on the entry in the table.
    4.     On the Basic Data tab, enter a code and a description in the Position input fields. Overwrite the previous contents.
    Abbreviation: < ini_dhead_S >
Description: < position: head of department ( ini ) >
Assigning a holder to the position
You now assign R/3 users to the positions. The staff assignments for your organizational unit are displayed and you see the vacant position in the table.
    5.     Select User in the search area and enter the search criteria in order to find your user names.
All of the user names that match your search criterion are listed in the selection screen.
    6.     Select your user name in the selection area and drag it to the Person/User column of the position in the overview area.
Confirm the message that the relationship period of the validity has been changed.
    7.     Set the Head of own organizational unit indicator in the details area.
Assigning a job to the position
Assign the job of the head of department you created earlier to the position.
    8.     Select Job in the search area and enter the search criteria in order to find the job of the head of department.
All jobs that match your search criterion are listed in the selection screen.
    9.     Select job: head of department ( ini) in the selection area and drag it to the Job column of the position in the overview area.
    10.     Choose  .
The job is assigned the position. Check this by switching to the staff assignments of the organizational unit. Select the organizational unit in the overview area, choose the arrow  on the right next to the  and then the staff assignments (list). The newly created job is displayed in the job column.
Create position for administrator and assign holder and job
You are now in the staff assignments of the organizational unit.
    1.     Choose  .
A new position is then created in the staff assignments and is displayed in a new line in the table. The position is vacant and no job is assigned to it.
    2.     On the Basic Data tab in the details area, enter an abbreviation and a name in the Position input fields. Overwrite the previous contents.
    ID: <ini admiS >
    Description: < position: administrator ( ini ) >
    3.     Choose  .
    4.     Select User in the search area and enter the search criteria in order to find your user names.
    5.     Select your user name in the selection area and drag it to the Person/User column of the position in the overview area.
Confirm the message that the relationship period of the validity has been changed.
    6.     Select Job in the search area and enter the search criteria in order to find the job of the administrator.
    7.     Select job: administrator ( ini) in the selection area and drag it to the Job column of the position in the overview area.
    8.     Choose  .
    Result
Display your entire staffing schedule again and make sure that all the information listed is correct.
You can display a detailed view of jobs, users, and positions. Choose the relevant cell in the table by double-clicking it.
In the details view of a position or job, all of the assigned tasks are displayed on the Tasks tab.
You have now completed the first unit (defining the organizational plan). You can now start on the next unit. To exit processing of the organizational structure, choose Back.

  • Test Repository - Use of our own business process model as structure

We want to use our own business process model as structuring element in the test repository.
I entered my hierarchy by the transaction STWBM using environment/application hierarchy / Customer.
But my hierarchy is not visible in the test repository. Instead, there is always the SAP hierarchy.
How can I use my hierarchy in the test repository?

    I have the same problem.
We are new on using the solution manager to do the test.
Now we want to put all the test cases (manual) in the test repository, and in other time link they to the other projects.
But the question is: How can i storage the test case in the repository to garantee when I do a new project I dont forget any test case needed from  the repository?

  • Business Process Modelling Language Desirable Features

    Hi All,
It will be quite interesting to see what features the BPX community would want to be in the “Visual” Business Process Modelling *** programming language which on one end use self-contained applications that use Web services as activities that implement business functions and on the other  has interactions with other J2EE like web components .
For example I would like to see something developed by SAP where the Business Process mapping can be done with a strict protocol in ARIES so that applications can be built in the Visual composer and the BPX can visually do the one or more of the following
    1.     On Screen “chain End Chain ” valdiation
    2.     Loop conditions
    3.     Branching conditions
    4.     Variable initialization
    5.     Web service message preparation
The idea being the BPX can generate a running prototype for pattern based processes through grahhical interfaces and unless something really typical needs to be done, the coding can be eliminated.
    Taking an example:
On a simple sales order if the stock is not adequate a purchase order needs to be fired.
The Business process mapping of the same can be done in ARIES where some available components (business objects like sale order) from R3 etc are available for modeling.
If this process is to be web enabled then one can use the business process modeling to develop a quick application in Visual Composer where one can use ESA for Sale Order as a Model and build screens based on that. The screen flow can also be built in Visual Composer to take you to through the various tabs.
The data flow across the various tabs also can be done through the component controller and the BPX should be able to map that visually.
The business event (Stock < Sale order quantity ) can be handled through a branching condition  and web service message preparation to either generate a email message or fire a purchase order (handled in XI and exposed in one common place of the Business Process modeling Tool).
Marilyn : thanks for the offer of acting as a interface between the SAP development team and some of us with the wishlist. I would certainly love to be involved in the epochal development

Why leaving the tool? Why ARIS and VC and CAF and many more different tools?
I would prefer a tool that gives me - depending from the user - different flavors and views of my model. A tool that in one flavor allows me to define the process on a higher level, then in another flavor allows me to implement the application(s) of the process in a non-coding approach and then a flavor that allows me to pimp the application(s) with a coding approach.
All three flavors are working on the very same model. The different flavors immediately see the changes done by other flavors. A kind of realtime modelling.
The tool itself is not necessarily a single-environment approach, but can have one flavor running in the browser, the other one in a locally installed IDE. But still all of them use the same terminology. A data service here ,is a data service there, Business Object here is a Business Object there (and not a bean or a class or entity service etc.). That also would allow to have the different modeling users naturally move between the flavors, with a hard core programmer also being able to move to the Business Process Modeling tool, and the BPX also being able to write a small conversion routine.
Perhaps the proper term is "BP & App Suite", which serves all types of modelers involved: Business Process Modelers, Business Process Experts, Developers.
In the SAP world these tools could be: ARIS, Visual Composer, DevStudio/ABAP Workbench/.NET.
Today this is not the case: we have more than 200 tools (and we say we are not a tools company) and not really an exchange of models between those tools. Not to mention the different terminology...

    Dear Mandar,
I will put the format of traceability matrix in Wiki as lot of people have requested me for this. Weightages we use for evaluating differences between client's expected std processes and builiding block (SAP ) std processess again depends on the interaction between client and the consulting company. As the more deviation is more standard proces, the more is the cost to develop and further maintain Z-functionalities.
A method used to validate the compliance of a process or product with the requirements for that process or product.  The requirements are each listed in a row of the matrix and the columns of the matrix are used to identify how and where each requirement has been addressed.
    Basic details of Traceability Matrix:
    Description
A table that traces the requirements to the system deliverable component for that stage that responds to the requirement.
    Size and Format
For each requirement, identify the component in the current stage that responds to the requirement.  The requirement may be mapped to such items as a hardware component, an application unit, or a section of a design specification.
    BASELINE TRACEABILITY MATRIX
    Description
A table that documents the requirements of the system for use in subsequent stages to confirm that all requirements have been met.
    Size and Format
Document each requirement to be traced.  The requirement may be mapped to such things as a hardware component, an application unit, or a section of a design specification.
    Traceability Matrix Table (Sample)
    Identifier Requirement
    Priority (e.g., (M)andatory, (D)esirable, or (O)ptional) Change Requests
Module (or Hardware Component, Application Unit, Deliverable Section, e.g., Design Specification) Test Case or Test Scenario
Change the topics as appropriate for the project and traceability matrix function.
Add a line for each requirement, for example:
    1 Accounts Payable
1.1 Maintains multiple bank accounts for payment purposes M CR003 Setup Bank Information S1

  • Business Process Modeling for Online Mobile Solutions

    Hi,
I like to know what are the options available for business process modeling for online mobile applications? I feel Guided Procedure can be used for that but one issue is the standard GP Runtime view may  not be suitable for Mobile displays and needs to be modified. Is there any other option available specifically for mobile solutions? Also I read in one article in SCN about a product call Mobile Fast Track (MFT) which is supposed to be delivered on Visual Composer. Is it already available? If yes which release and how to get that?

  • Read about the Redefined Business Process Modeling Methodology Forum

We have moved all obvious technical workflow related questions to the newly renamed SAP Business Workflow forum. That is the place for technical, tool oriented questions.
Our hope is that in this newly renamed forum, the <b>Business Process Modeling Methodology</b> forum, the discussions will focus around methodologies, how to choose a process model and how to use a language that is easily understood by the business. Since process models are often needed to help understand and enable an actual process, we should be discussing best modeling practices here.
In addition, we can discuss various process information gathering techniques. Lastly, we can also discuss here the various enabling technologies available and perhaps further discuss their merits.

SAP PRA (Production Revenue Accounting) module is fairly independent module. It has several sub modules (Production, Contract Allocations & Balancing, Valuation, Revenue Distribution, Royalty Reporting, Tax Reporting, Regulatory Reporting). In the final posting step results are posted in FI using a BAPI. PRA does maintain its own set of tables for keep track of journal entries. PRA is primarily geared towards US market and have reports that comply with US State regulations. However several customers are using it for Production and Contract Allocations globally.
