Clearing of Customer items through bank statement.

Hi
I want to know the Clearing process of EBS. How EBS clear the cusotmer invoices on what basis?
I know that we assign external bank transaction code to posting rule. but I wanted to know which algorithm I need to use to clear the cusotmer items.
at present I used standard 001 but it is not clearing. it is not identifying the cusotmer no..
My requirement is system should identify the customer no from the payment note filed and it should post to that respective customer account. (In payment note filed we get customer no and name, some time only customer no and some time only name)
To identify the customer no which algorithm should I use, so that my cusotmer items will get clear.

Hi Sesh,
May be using algorithm 21 or 22 could help you, but i think you should use algorithms 901-909 (Customer defined algorithms) in conjunction with the "Posting Rules". Check out this thread

    There is no link from VBRP to BSEG directly.
    This is because the data in BSEG is posted to various accounts and the VBRP is usually for a Sales Order or Delivery.
    However there is a link from BKPF to VBRK and VBRK is linked to VBRP.
    BKPF-AWKEY has the the Invoice number VBRK-VBELN

  • Clearing of GL items through F-03

    Hi,
    We have defined 2GL 22000 as an open item management account and when we are trying to clear the line items on this account with difference of about Rs.8 the system saying that the amount is too large and cannot allow to post.Incidetally we have defined the Tolerences for this Co Code as Rs.100 OR 2% whcih is there in customizing.
    Now if we are trying to post the value of invoice of about Rs.14600 compared to Rs.14608 the system shoud allow us to post the same becz it is under tolerence but still we are getting the error.
    So can you anybody explain me why this is happening and how to resolve this.

  • How to clear Vendor Debit item Through F110

    Hi All,
    I have a new requirement,
    I have a vendor for which transactions are posted in multiple currecies, like USD & EUR.
    I have 2 invoices for this vendor, one is in EUR, and other one is in USD, along with this i have a dabit balance for this vendor which generated through a credit note.
    now when iam trying to make the payament for this Vendor thrugh F110, and try to clear the debit amount also, the system is throwing one error message saying that "Enter incoming payment method for the debit amount "(whici is in USD)
    Please let me know how to solve this issue

    Summary
    Symptom
    When you execute a payment run, you select credit memos and invoices for a
    customer or a vendor, but the system does not clear them together. In the
    payment (default) log, the system may generate the error message FZ
    347:"...none of the payment methods defined can be used for these items".
    Other terms
    F110, SAPF110S, clearing, FZ 347
    Reason and Prerequisites
    The items to be cleared do not match in particular fields (see below).
    Therefore, they are not paid together.
    You can set a payment method only for either outgoing or incoming payments.
    This explains the error message FZ 347.
    Example
    - Payment run is executed with payment method U for outgoing
    payment.
    - Credit memo is not cleared against invoice.
    - Invoice is paid with U.
    - Error message FZ 347 is generated for the credit memo.
    Solution
    The following explains in general how to clear, and describes some options
    for eliminating errors. The logic of the grouping in the payment program is
    independent of the type of the documents (for example, invoice, credit
    memo, down payment, cross-company code posting).
    General information
    o You can pay open items together using the automatic payment
    transactions, but only if certain fields are identical. The
    structure ZHLG1 specifies these fields. Important fields are:
    - Currency
    - Receiver
    - Payment method in the item
    - Bank details in the item
    o Whenever invoices and credit memos are in different payment groups,
    you cannot clear them together, even if the credit memo contains an
    invoice reference. If you set a payment group for a business

    partner (grouping key in the master record), then this is saved in
    structure ZHLG1 (field PAYGR). This way the invoice reference in
    the credit memo is overridden if they do not belong to the same
    payment group.
    o Invoice and credit memo must be due at the date of clearing. The
    due date of a credit memo without invoice reference (BSEG-REBZG) is
    the baseline date for payment (BSEG-ZFBDT), and for a credit memo
    with a fixed value date (BSEG-REBZG = 'V'), the due date is
    calculated in the same way as for an invoice. For credit memos with
    invoice reference, the due date of the invoice applies.
    o You cannot clear credit memos and invoices if the payment is
    supposed to be made using a payment method set for the POR
    procedure.
    Invoices are grouped with a POR number with the document number as
    an additional part of the grouping key so as to save the individual
    payment required for POR payment methods. Invoice-related credit
    memos for invoices with POR numbers receive the same grouping key
    as the related invoice. This ensures that the clearing is
    performed. However, you can no longer make payments using the POR
    payment method because this payment method allows only one item to
    be paid. However, you can make the payment using a different
    payment method.
    The POR procedure is only relevant for payment transactions with
    the Swiss Postal Service. Consequently, the relevant fields in the
    document and in the business partner master record are only of
    importance in Switzerland.
    What can you do?
    o Check the payment methods in the line items (field BSEG-ZLSCH). For
    clearing, these must be filled with the same value.
    o If you have entered a specific payment method for the items, then
    check Customizing for this payment method (transaction FBZP). The
    indicator "Single payment for marked item" should not be set there.
    o Check the field "Grouping key" in the master record of the business
    partner for payment transactions in the company code. If, for
    example, there is a grouping set according to assignment number,
    then the invoice and credit memo must have the same assignment
    number in the business partner line for clearing. Using transaction
    OBAP, you can define which fields of the key you want the system to
    use for grouping.
    o Check the indicator "Pay all items separately" (LFB1- or
    KNB1-XPORE) in the master record of the business partner for
    payment transactions in the company code. If this field is set,
    each open item for this business partner is paid separately.
    o If you have set the indicator "Separate payment for each Business
    Area" (T042-XGBTR) for the payment program (all company codes) in
    Customizing, check the business area in the items. They must match
    in this case.
    o Check the house bank in the line items (field BSEG-HBKID). The

    values must also match for clearing. A document without house bank
    can only be cleared with a document with house bank if this house
    bank is defined in the master record of the business partner
    (LFB1-HBKID or KNB1-HBKID).
    Make sure that the house bank from the payment program is filled
    for any reset clearing documents (see Note 159607).
    o Check the partner bank type in the line items (> Other data > field
    BSEG-BVTYP). These values must also match for clearing. You can
    specify the partner bank type in the master record of the business
    partner for general payment transactions.
    o For postings to one-time accounts, the address data is encoded and
    saved in field BSEC-EMPFG. The coding routine has been changed in
    Release 3.0E. Therefore, if you want to offset documents from an
    earlier release against documents from a later release (for
    example, after an upgrade) you need to check the contents of this
    field. These values must match for clearing. If this is not the
    case, the documents from the earlier release need to be reversed
    and be posted again. If reversal is not possible, contact SAP
    Support.
    o If you do not clear using a payment method set with POR procedure
    (with or without invoice reference in the credit memo), then check
    the contents of the fields BSEG-ESRNR, BSEG-ESRRE and BSEG-ESRPZ.
    They must not be filled if you do not enter a payment method in the
    item.
    o If you set a separate payment for each payment reference (for
    example separated by a CID number in Norway or reference number in
    Finland) (FBZP > Paying Company Codes > field T042B-XKIDS), then
    the items for a clearing in field BSEG-KIDNO must be the same. Note
    that the Customizing setting (T042B-XKIDS) is effective only if
    vendors are involved in the payments. When you separate the
    payments by payment reference, also take into account that no
    outgoing payment can be generated for a payment reference for which
    only credit memos exist.
    o Check the structure ZHLG1 in your system. If you have inserted
    additional fields there, the line items must also match in these
    fields. Contact your consultant.

  • How to use paymetn advice to clear open customer items

    Hello,
      I manually created a payment advie for a certain amt and i want to use it to clear open item, when i use the payment advice numebr in f-28 incoming payment screen i do not see any data coming up from the payment advice, can anybody tell me how can i use , is there any customizing steps i need to do before the cash application.

    When creating the payment advice, try to include as much information as possible.  Like the Customer Number, Amount and even the invoice that this payment if for.  Then when you use transaction F-28, make sure in put the payment advice document number in the initial screen.  Payment advices work very well with the automated lockbox.

    Can you please tell how can I clear the items in sub account (cheque outgoing account) based on the cheque number when I upload the bank statement.

    I tested with leading exactly same as FCHN but still somehow it is not working. Changing the electronic bank statement manually may not be possible due to security concern. They the bank statement is week and it has high volume of entries.

  • How to make the bank clearing entry in SAP without uploading the Bank statement

    I am working on a project where we use SAP FSCD for making payment out for Claims . Now when we make the claims payout we clear the open items in FSCD using the FPYI run ( Payment run) and produce an output file. Now the payment run creates the subledger entries. We will not receive any bank statment to FSCD for making the bank clearing entries in the GL accounts. Is there a way I can trigger this bank clearing entry without receiving the bank statement and uploading it...

    Hi,
    You can do this in similar way like F-02 (transfer) & F-03 (clear). You can use BDC for this and schedule this as a background job.
    Your question is more related to FI. Check this approach with your FI consultant and for any other impact in FI.
    Better to post such queries in FI community as you might get better answers / solutions than out here.
    Regarding your requirement: By not receiving bank statement for payouts... it seems that the bank is going to process all the payouts with 100% success rate which is an ideal case and somewhat unusual.

    After MIGO while excise is captured through J1IEX then Cenvat clearing GL become credit. And during MIRO Cenvat Clearing GL become debit. And last week company closed last financial year and carry forwarded to current year. Now I want to clear Cenvat Clearing GL open item through F-03. But at present through F-03 Cenvat clearing GL not able to clear items.
    How I can clear items under Cenvat Clearing GL account through F-03 ?

  • Statistics on automatic processed payments by the electronic bank statement

    Hi fellow sap knowledge hungering colleagues.
    I have set up the EBS application in my company and it has now run for 4 month with ok success.
    I now have to do a follow-up on the project and therefore I'm interested in seeing how many payments have been automatic processed by the EBS application.
    I cant seem to find any characteristics on the payment documents that separates the ones that have been automatically processed and those that have been post processed in the FEBA transaction. When each statement is imported you get a sum up on how many pay-ments where automatically processed but is it possible to see overall statistics for all the statements and if not is it possible to recall the statistics for each imported statement?

    the bank normally includes the details provided by the customer in the bank statement.
    depending upon the information provided, the user can clear the customer line items. In order to auto clear using EBS, you can use enhancement FEB00001. You can have your logic to auto clear.

    am trying to do Electronic bank statement, statement is generating but automatic clearing with GL (Main Bank and Bank clearing account) is not happening.
    T.code: FEBAN
    error shown under this transaction... i did not get any error log...how do i rectify this error...
    but under this t.code, i can able to post the line item by manual entry but its not happening automatically

    HI Elan,
    If the documents are not posted through Bank Statement processing then the same document items is shown in the text of  "Elec. Posting Incomplete" . After you double clicking the same then you get the list of documents which shown the status of Entered instead of Posted. that means the documents are not posted into the system.
    For posting those incomplete documents you may reprocess the bank statement through the t.code FEBAN.
    You have to enter the details of the Co.code, House Bank, Acct ID, Stmt No and stmt date etc and then press execute button to get the entered statement to do the reprocess.
    Select one of the red colour openitem , goto the select items in the menubar and then click on post.. If you have multiple items which are in red colour then also you have to post all the line items by selecting each and every item. There is no option option to post all at the same time.

    Hi Chandra,
    You chose any one of the currency i.e. EUR/INR/USD for clearing in F-44. After selecting line items for clearing, system will show a difference. Click on over view button and manually write off the difference by selecting any one account i.e. dummy or small diff.account, after that click on process open items then system will show the difference 0 and simulate the document, here system will post gain/loss exchange GL postings along with other line items. After save the document, manually pass journal entry to dummy account and gain/loss account. I have explained clearly in the below example.
    Invoice is in USD - 1000 & INR - 60000
    Payment is in INR - 60000
    Now I am going to clear these in INR currency in F-44 on 31.03.2015. On this date the exchange rate for USD is 60.10. At the time of clearing system will post the below entry
    Vendor A/c Dr 60000 (invoice)
    Vendor A/c Cr 60000 (Payment)
    Gain from exchange rate A/c Cr  100 (60000 - 60100)
    Small diff.write off A/c (or) Dummy A/c Dr 100
    After done the above posting, we have to pass below manual JV in FB01
    Gain from exchange rate A/c Dr  100
    Small diff.write off A/c (or) Dummy A/c Cr 100

  • CE Bank Statement Auto-Reconciliation failure

    Hey guys,
    We have this problem about auto-recon not finding a match even if the bank statement line has an equivalent available
    transaction for reconciliation. I am guessing it doesn't refer to the amount as the matching criteria. I checked Oracle support but it's only the Journal entries that refer to line description as the only matching criteria and I have AR lines that are not auto reconciled.
    What am I missing?
    How do I set the matching criteria, be it AP, AR or JE??

    Matching Bank Statement Lines with Transactions
    Reconciling bank statements in Cash Management has two major steps: matching and
    clearing.
    • Matching: Match a bank statement line against a Payables payment, Receivables
    receipt, Payroll payment, miscellaneous transaction, or open interface transaction
    using a transaction number (such as the payment or deposit number), bank
    account, amount, and currency. You can match a statement line against a Treasury
    settlement using date and amount. You can also match a statement line against a
    General Ledger journal entry. You can match a bank statement against a Payroll EFT
    payment by using transaction number and date.
    If matching criteria are not met, the statement line remains unmatched.
    For manual reconciliation, there are no restrictions for matching statement lines
    and transactions.
    • Clearing: Clear the transactions that are matched to the bank statement line, if the
    transactions have not been cleared previously. Only Payables payments, Receivables
    receipts, miscellaneous transactions, and open interface transactions can be
    cleared. Reconciled Payroll payments and General Ledger journal entries are
    matched but not cleared.

    I am having Vendor open item with two different profit center. Now client wants to clear the open items through T.code F-44 using Additional Selections -Profit Center option. In production server system is not fetching the open item, whereas in Quality server it is working fine.
    There is no Authorization issue. I have checked the Editing Options also.
    Is there any config issue?

  • Already Cleared Customer Items on Incoming Bank Statement

    Please advise on how to treat the below:
    1. A Customer Invoice is Cleared by a Cash Payment at the Cash desk.
    This CR- Customer and DR- Bank Clearing Account.
    2. The money comes in on the Electronic Bank Statement on a Business
    Transaction Code (BTC) that is used for all incoming Cash payments and
    that is set up to post to Posting Area 1 (GL Accounting) and also to FI-CA (Subledger Accounting).
    This is because the BTC can be used also for cash payments at the Bank
    counter and which needs to clear Open Items on the Customer when it
    comes in on the Bank Statement.
    This will correctly post DR- Bank Cleared Cash and CR- Bank Clearing
    Account
    Question: How do I treat the sub-ledger posting for the BTC FI-CA. This
    is because there will be no open item to clear on the customer as it
    has been cleared in a previous step at the cash desk and even though
    the posting will go into Clarification, it will post CR- Clarification,
    DR- Bank Clearing Account which means a doubled DR to the Bank Clearing
    Account in addition to the earlier Dr from the Cash desk posting.

    Why post to the clearing account? You can directly post to the customer account.

    For this you have to create a posting rule which will be linked to the external code (BAI code if you are getting the bank statement in BAI format) and the posting rule should have 'standard algorithm' assigned to it.
    Then while uploading the bank statement you have to give the range of customer invoice numbers against BELNR or XBELNR. The system will automatically identify the customer based on the invoice number on Record type 16 appearing in Bank statement and clear the open item and generate the above accounting entry.

  • Electronic Bank Statement Search Strings Customer Item Clearing

    I have configured EBS and I am trying to clear open items from customer accounts using Search Strings.
    I have mapped the customer account on the bank statement to the SAP customer account. For example, Victor Osagie is mapped to account 1400036.
    When I process transactions with exactly the same note to payee as above, open items in the customer account clear. However, when the note to payee field changes for example to Victor Osagie 110000000. The customer is recognised but the item is not cleared from the customer account.
    The statement format is BAI and we are using the BAI processor.
    How can I manipulate the search strings to allow the clearing of items like this?
