CLM Contract Document issue

HI Experts,
i have a doubt in Contract document approval processes.......
i.e.  Can we trigger more than one contract documents approval workflow process same time against Agreement or Master Agreement?
if yes  , whether Collaborator list Shows proper Approval names (if two approval process triggers need to show two approver names)

    You must be using process definition for workflow, so you can see only one at a time as it approvals are in sequence.

  • CLM - Maximum File Size for Contract Documents

    We did a search but did not find an answer for this.  For the CLM system does anybody know SAP's recommendation on the maximum file size that the application can reliably handle for contract documents?  We recently increased the maximum file size from 10MB to 50MB to accommodate a larger than allowed file size.  Now the business has requested the capacity to add files (pdf files) up to 115MB.  Would increasing our file limit to approximately 150MB be within the recommended parameters?

    There is no specific recommendation for maximum file sizes as this depends on how your time-out parameters are set, your server resources and network (also tunneling policies).  The fact is the higher the filesize the more risk you run in unreliable uploads.  Compressing files before uploading is a good practise for larger files.
    These are the same issues which you would run into if you for example upload to a sharepoint site or even a copy on a shared drive, it all depends on the same parameters. 
    Tunneling policies could also affect your performance as it will limit the upload speeds according the priority set on certain network activities and if it limits your bandwidth you run in the risk of time-out so as you see there is no straight answer to your question.  I know customers who can without no problem upload 150Mb files and others who already have issues with 50Mb.
    Unfortunate, as I do not know your architecture and infrastructure I can only advice to stresstest the conditions of 150 Mb uploades with several user ids and see if you get time-outs or if it degrades the network performance. One of the questions you should ask your business is how frequent are the occurences of 150Mb+ uploads and if it is the appropiate way.  It could be that these are very rare and in that case you could ask them to do this outside the busy hours of the network which will provides you less risk in problems.

    Hi Tarun,
    Open the Document for e.g. Contract Document, on the Document Tab there is an option for Phase Information open that page this will give you all the information related to the phase and where it is stuck, with which user it is pending etc.
    Now since the workflow is stuck, either you can restart the Demon Registration via background Task Status. or else Cancel the Workflow so it can be restarted. by doing the below steps.
    1) goto Setup
    2) open Workflow Definition Under Workflow.
    3) now choose the phase at which your Workflow is stuck.
    4) open that phase.
    5) under Reports Tab there is option for " Current Workflow Processes"
    6) open the Current Workflow Processes
    7) search the document which is stuck
    8) click on the "X" mark  = Cancel the workflow process option
    9) it will take you to the workflow cancel wizard screen. give the comment why you need to cancel this and click on Finish
    10 ) once the Workflow is canceled the phase will go to the Requester review phase and form here you will have to manully move to the next phase. so the workflow can be restarted. once done refresh it.
    11) before doing this take Approval from the customer.
    If the above does not work and still there is an issue then please check the Pre- Phase script.

  • SAP CLM format in contract documents

    Hello Experts:
    I am creating contract documents with tokens
    1. I created some new fields in company code section:
         a. New field 1 <%New field 1%>
         b. New field 2 <%New field 2%>
         c. New field 3 <%New field 3%>
    2. After I configured tokens to bring the information for the new fields in my contract document
         a. Created  new token in variable library
         b. New token: <%New.token1%>
         c. Source object: Master Agreement
         d. Attribute name: company code
         e. check in advance  object reference
         f. set document with <%New.field1%>
         g. upload sub variable, this include token <%New.field1%>
    3. After this I repeated the same procedure with new field 2 and field 3 creating: <%New.token2%> and <%New.token3%>
    When I tried to add this new token to a contract document I got different format of the document, for example I configured in the following way:
    This contract with the company new field <%new.token1%>, and new field2 <%new.token2%>, and also <%new.token3%>..
    And when I uploaded the document the result was the following:
    This contract with the comapany new fields
    Result 1
    Result 2
    Result 3
    and the new field and also..
    is there a way to fix this issue?

    I solved this issue doing the following:
    Uncheck the options of Generate MS Word 2007 and uncheck Enable MS Word 2007 content controls .
    Now I am having another problem, when I tried to compare the two versions and click on compare button, nothing happens.

  • Read-only Collaborator can edit Contract Document properties

    We have a master agreement with a read-only collaborator. The security profile for this collaborator role is identical to the stock "Document Reviewer" profile, i.e. only View is set.
    However this supposedly read-only collaborator is able to edit Contract Document properties. They click on the Contract Documents tab, then drill into a Contract Document, and then click on the Edit button. From there, they have the ability to change fields such as Name, Descrpition, Effective Date, etc. They cannot change or delete the actual file attachment itself.
    Is this an issue with CLM, or is there some security setting we are missing somewhere? Please tell me this is not working as designed ..

    According to your description, my understanding is that you don’t want the yollow bar notification to display when you open Access documents.
    This issue seems to be about the client application. Please compare the followings with the things that you did:
     1.Open the documents
     2.Click File->Options->Trust Center->Trust Center Settings
     3.Click Protected View, unselect ‘Enable Protected View for originating from the Internet’
     4.Click Message Bar, select ‘Never show information about blocked content’
     5.Click Macro Settings, select ‘Disable all macros without notification’
    In addition, as this issue is about Office, I commend you create a new thread in Office forum, more experts will assist you with this issue.

    In which factors SAP CLM serves better than SAP SRM??
    Why SAP CLM came into existence when we have SRM Contracts? What are the draw back and what is not achieved with SRM Contracts?

    There are many differences, SAP CLM Contract run in Sourcing and SAP SRM Contracts run in SRM.
    Advantages CLM Contracts:
    - Establish a contract as a result of a project
    - build the draft agreement from a template

        - Transfer quickly attachments between the different folders
    -   - Download easily multiple attachments with a single click

    Vendors Unable to Check-In Contract Documents (e-Sourcing 5.1 Patch 06)
    When moving to patch 06 for e-Sourcing we found that Vendors were no longer able to check-in contract documents, even though they checked them out successfully.
    On Patch 05 this was not an issue with the exact same configuration.
    Has anyone had any encounters with this? 
    - Is there a permission that needs to be set to something specific?   I tried create/read/edit but that doesn't seem to work.

    When working with a Master Agreement or Sub Agreement within e-Sourcing you can attach Contract Documents (Word files) that you and the vendor can collaboratively work on. 
    Just like a source control system you can check out a document to make edits to ensure that no one else makes edits at the same time.  You then must check back in the document to remove the 'lock'. 
    On patch level 06 we found that although Vendors could perform the Check-out procedure (On a Contract Document click Actions -> Check-Out) they are not permitted to then check-in the document (Actions -> Check-In).
    Buyside users do not experience any issues with check-out/in.

    I need to get value of Master Agreement attributes on Contract Document phase change.
    When Contract document phase changes to Supplier Draft, I want values of Master Agreement - Publish date, vendor visible, email.
    But I am unable to retrieve the same.
    I wrote IBean code to get but was not working.
    Please help me resolve this issue.

    Hi Saloni,
    There is nothing different that you should do for this script.
    Use the getParentIBean() function on Contract Document to get the parent MA/SA. From there on it is as simple as using the correct getters to fetch the values.

  • Updating contract document extension fields from workflow

    I have a multi-step contract document workflow which routes first to an attorney and then through a series of business approvers.  The business approvers might reject the workflow for a number of non-legal related reasons which would not required the legal document to be changed.  I want to flag the document when the attorney approves in case the workflow is ultimately rejected and later restarted, the legal approval step can be skipped if the attorney previously approved and the legal agreement file has not been changed.  I have been unable to update a contract document extension field from within the middle of a workflow.  The system has the contract document locked but I'm not sure if that's what's blocking me and if so, can I unlock the document, make the change, and relock the document from the post-script?

    Unlocking/Relocking might be the right approach. You also may be experiencing a privilege issue based on the user running the script (but I doubt it if you are able to update other fields based on approvals). Let us know what you find out!

    I am Using a BAPI  BAPI_CONTRACT_CREATEFROMDATA for Updating the Partners in the Contract documents by passing 'U' in the field Update_flag of the structure BAPISDHD1X.
    I am facing an issue as in the BAPI Return table : S document saved successfully
                                                                                  S No data was changed.
    Please help or give me a solution to update only partners in the Contract documents(VA42).
    Also please let me know any other BAPIs that can be used to do so.

    Maximum Size set in Our SYSTEM is :9765MB.
    Approx size of the Document tried is more then 300MB.

    Please check the below system properties using system user login
    attachments.maxSizeKB.buyers - "Maximum size in KB of a employer-attached attachment file"
    attachments.upload.enable.buyers-  " Enable/Disable uploading of attachments by internal users"
    Also Please check with other attachment, contracts related properties in the System.

    I am not able to create the Purchase requisition with reference to Contract documents, in outline agreement field if I enter the contract document number which is already existing it is not copying the details, again I have to enter all the details like Plant, Material, document type, Qty etc.  Even after selecting the PR document type as RV for outline agreement also it is not coping. Kindly let me know that can we not able to give reference of Contract number in this outline agreement field to create Purchase requisition.

    3.Select the Assigned Purchase Requisitions checkbox if you also want to see requisitions already assigned, and choose Execute.
    4.On the Assign and Process Purchase Requisitions screen, select the requisition lines for your material.
    5.Choose Assign Manually if the info record already exists.
    6.On the pop-up Assign Source of Supply Manually dialog box, make the following entries:
    Agreement     46XXXXX            Agmt item     10          
    7.Choose Assign Source of Supply.
    For assign the source of supply, you can also choose Assign Automatically (only if not already assigned by MRP due to existing source list). If more than one source exists, select the contract in the Source Overview for Purchase Requisition 100XXXXX window and confirm with Enter.
    When assigning a source, make sure to select the contract.
    8.Choose Save.
    9.Select the line item, and then choose Assignments Overview (SHIFT+F5).
    10.On the Assign and Process Requisitions: Overview of Assignments screen, select the line below Vendor (you can only select one at a time), then choose Process Assignment.
    11.On the Process Assignment: Create PO window, check and make sure the Order Type (NB), Purchasing Group and Purch. Organization fields then choose Continue (Enter) to confirm.
    12.On the Create Purchase Order screen, select the requisition in the Document Overview section and choose Adopt in the left part of the Document Overview screen.
    13.Choose Save.
