Creating an approval workflow

Hi Experts,
I need to create a simple Approval Workflow for documents in a folder created in
CA ---> KMContent ---> documents --->Public documents --->Target folder.
I want one user A to upload  and submit for approval documents in Target folder and want another user B to approve these documents (User B should be able to see the documents which are submitted by A for approval and not the ones which are not submitted) .Till the time documents in target folder are not submitted for approval or they are not approved by user B,they should not be visible to any user C who has only read permisssion.
What permissions and service permissions do i need to assign to these users A,B and C?
Which users are to be mentioned in the definition of Approval Workflow(details --->Settings --->Approval)?
I've read many documents and am totally confused about permissions.Whatever docs i upload as a user are visible to all.
Please help.

Goto details of Target folder from Content Admin -> KM Content.
Select Settings -> Approval
Click on enable button. Now add the users whom you want to check and approve the documents under this folder.
Regarding the permissions:
There are two types of permissions - ACL permissions and Service permissions.
Below is a list of document statuses and the corresponding visibility limitations.
<b>In Progress:</b> Only visible to authors (users with write permission) and users with the service permission Approver Administration
<b>For Approval :</b>Only visible to authors (users with write permission), approvers, and users with the service permission Approver Administration
<b>Rejected:</b>Only visible to authors (users with write permission), approvers, and users with the service permission Approver Administration
<b>Released :</b> Visible to all users with read permission
<b>Archived:</b> Only visible to authors (users with write permission) and users with the service permission Approver Administration

    Hi Sireesha
    You want to create a new Process definition, selecting "Approval" as the process type.
    Then associate it with the AD User Resource Object. Add a "Manager Approval" process task and use a Task Assignment Adapter to to assign the task to the manager of the request target.
    In order for the Approval Process to fire, you need to ensure that you provision the AD User Resource Object via a Request, rather than directly.

  • Creating an approval workflow for a customized request form

    Hello,
    I have created a customized request form in FIM that users are to fill up and submit for rights request. A workflow is required for for request process from the requester an escalation of approvers for the request to be approved or denied.
    My challenges are:
    Adding a control to my xml configuration file that will allow users to select multiple items, a checkbox feature with a list of rights to apply for
    Creating a workflow for the customized request form, so that the approvers receive mail with the details filled on the form as the body text of the mail.?
    How can I achieve these? I will greatly appreciate your help.

    - You need an email template with all your custom content
    - you need a notification workflow containing the recipient Information  
    - you need a MPR starting the workflow when the user checks the box
    - FIM needs to know the email attribute of the approver to be able to send the mail
    - the owner Attribute of the Group must be set, this is the recipient of the approval mail in case of the Default owner approval workflow. in your case you set the appropriate Attribute of the group
    - and of cause the Connection between FIM and Exchange must be available. If not, you see a lot of Errors and warnings in the eventlog.

  • Approval workflow error when creating a new custom entity in FIM 2010 R2

    i'm hoping somebody here can help, me i've been struggling with this for some time now. On a fresh FIM installation i create a custom entity named "Role" and add a few custom attributes.
    I then create an approval workflow and MPR for normal users to create entities of type Role, but another user must approve this request. The other user has a working mailbox - i've tried firing an action workflow that sends a mail notification when someone
    creates a new role and it is working fine. But, when i enable my approval workflow (the only field i changed from default is the approver) on the MPR, the workflow always failes with the message:
    Error processing your request: The operation was rejected because of access control policies.
    Reason: The server workflow rejected the operation.

    As you described, you are using SharePoint Foundation 2010. There is no “Start approval process” action when you edit SharePoint Foundation 2010 workflow in SharePoint
    designer 2010.
    I suggest you using “collect data from a user” action instead of “start approval process” action to complete the approval task. There is a demo for your reference.
    1.  
    Open the SPD, navigate to the workflow edit zone. Select “collect data from a user “action.
    2.  
    Click data, in the pop-up window, click next and enter the task name for the approval workflow.
    3.  
    Click next, define the fields for the task, for this demo, there has a field “approval result”.
    4.  
    Then click finish.  Back to the workflow edit zone, click user, in the pop-up window, select the user for the task then click finish ,back to the workflow edit zone.
    5.  
    Add a condition (if any value equals value) after the action.
    6.  
    Click the first value, and then click Fx, there goes to a pop-up window, enter as below.
    Data source:  Association: Task List
    Field from source: Approval Result
    Field: ID
    Value:  Variable: collect
    7.  
     Set another value to “Yes”, add the action” set workflow statue”, set it to approval.   Add an If-Else branch, set the workflow statue to reject.
    8.  
    Publish the workflow, and use it for the approval purpose.

  • Difference between Due Date for All Tasks and Duration per task in an approval workflow

    Hello,
    I'm starting to read up and learn about approval workflows in Designer 2010.  I am confused by the fields "Due Date for all Tasks" and the "Duration per task".  I understand that the Due date for all Tasks is the date that all
    of the tasks in the workflow must be completed by.  And I understand that the duration means each task has x number of days to complete.
    But I dont know whey we need them both.  If I have the task duration set to two days and there are 3 tasks involved, then wouldn't the due date be 6 days from the start?  Why would I have a due date for all tasks that is completely different than
    the sum of the duration of days for each task? 
    Please help shed some light!

    Due date for all tasks, this setting specifies the date by which all tasks are due. It’s used for serial and parallel
    task.
    Duration per tasks, this setting specifies the date by which an individual
     task is due, it’s used for serial workflow participants.
    Note, when you create an approval workflow, select task process participants(approvers oob approval workflow), we can also
    select once at a time(serial) or all at once(parallel).

  • OIM 11gR2 Approval workflow not getting triggered

    I created an approval workflow by following the 11gR2 developer's guide and deployed it. then created an app instance and also an approval policy for operational level which is auto approved and for request level with this composite. when i raise a request for this app instance in the catalog the SOA composite is not getting triggered. I am able to see a task in pending approval of system admin whenever i raise request for any user and if i complete that pending approval the app gets provisioned directly. Also i do not see any request ID also. please help to find out whats going wrong

    Now i tried raising a request from another user who is not a member of SYSADMIN role. This time the request id is generated and a task 'Manual Task for Provision operation for Beneficiary X' is generated in pending approvals of xelsysadm user. When completed the app instance gets provisioned. So this means operational level approval task is triggered? and it has auto-provisioning?
    why my custom approval workflow is not getting triggered?
    I have created 2 approval policies, one for request level which is auto approval and other for operational level where i have selected the deployed composite name.In both the approval policies i have selected the request type as Provision ApplicationInstance. There is no error also while deploying the composite. Am i missing any step? please help.

    Hi,
    I am new to OIM 11gR1.
    I have created one approval workflow, RequesterManagerApproval in jDeveloper.
    When the user raises a request, the request will go to Requester's Manager.
    We have to check that Requester's Manager should not be blank or disabled.
    If it is blank, the request should be rejected and a notification mail should be sent to requester.
    Kindly suggest how to configure the same.

    When the resource is requested, the approval workflows is gettign triggered,but the request goes to failed state.
    I am getting any exceptions in the logs / on the console.

    VickyCheck your SOA server through the em and that should show you your request and the fault states and everything .. that should give you an idea on what is going wrong ...

  • Approval Workflow for multiple Entitlements

    Hi Experts,
    I want to create an approval Workflow such that, When a user requests for a role the request should go to the User's manager.
    The Role has an access policy with with 5 Resource Objects, and each RO has 5 entitlements. and after the manager approves the request should go to entitlement owner.
    The No of resources binded with access policy and entitlements in each RO wont be fixed.
    How can we handle this situation.?
    One approval policy on Assign Role Request with so many approval tasks decided at run time, at that many callbacks. Is it possible even?

    I have created OOB Approval workflow with two approvers.
    If first approver rejects then i want it to send an email to the requester. 
    If second approver rejects then i want it to send an email to the first approver as well as requester?

    And same should happened when document is approved

  • Use Sharepint Approval Workflow to update column in list item

    Good afternoon all,
    I am working in SP / SPD 2007.
    I have set up a standard SP Approval workflow for a new list I am working with.
    The workflow assigns tasks to the approvers serially and works fine so far. It sends to the first approver. upon approval it sends to the second approver. Upon approval the workflow marks the workflow column in the "All Items" view as "Approved"
    All is well to this point.
    My question is this. Can I append an action to this workflow? I have a separate "Status" column. All new items are initially marked "Pending Approval".
    I would like that column to be changed to "Approved" upon completion of the approval workflow. I need this separate column for audit purposes as it includes several other important statuses that we track thoughout a request lifecycle. I just want
    to automate the updating of this column via the approval workflow.
    Any thoughts?

    We can archive this simply in SharePoint 2010, but for SharePoint 2007, we can to create custom approval workflow.

    Create a custom approval workflow with Visual Studio.

    Hi Everyone,
    i have a requirement like 3 state to approve. Here is the details:- when the item added into the list it will go for reviewer. Once the reviewer review the item, he will assign the task to concern person/department(Parallel process more than two persons).
    Once they will approve the request again it will come back to reviewer and he will assign the task to team member(parallel process). Once the team member accepted then workflow terminate.
    i want develop this workflow using visual studio 2013 only, not using designer..

    Having configured workflow manager 1.0 I  have attempted to create the simplest approval workflow.
    on my document library I set content approval , content type management and versioning. I have  left out check in and checkout to speed up my testing
    Create a single stage workflowin SPD2013 associated with my Document Library
     I upload my document set the various properties as defined in my custom content type
    Document "Approval Status" states "Draft"
    I (optionally) checkin and Publish a major version of the document, "Approval Status" is "Pending"
    I manually trigger the my w/f setting myself as the approver
    I want  pass my Task Outcome to the Approval Status property in my current item - I am just not sure how to do this without setting the item back to draft 
    I am just not sure of the syntax - could anyone help?
