Deadline in Workflow

Hi,
  I am using the deadline step in my workflow.
i.e. If the approver doesnot approve the request, the task will move to the next approver.
But due to certain problem the deadline value got changed and it went wrongly to the higher manager.
Is there any way to correct this workflow.
I.e. I need to bring the workitem again back to the approver.
Is it possible? if so please tell me what to do in the step to bring the workitem to the approver again?

Hi Ram,
You need to define different outcomes of the deadline step. In the "deadline missed" branch, kill the previous work item using processing control and in the "processing obsolete" branch again add the step to send the work item to the approver.
Another method is to add a fork after the deadline step. In one branch of the work using process control kill the work item and in the another branch add the step to send the work item again.
Hope this helps.
Check the coding in your BOR to see why deadline value is changed. Also check whether the method is passing correct value to the task container and then task container to the workflow container.

    I need to set deadline in workflow according to dates in Internal table. So please guide how to achieve this.

    Business scenario:-
    --> when PO is created delivery date is given in PO.
    --> Now all materials in PO can be delivered on same date or on different dates.
    -->Their can be same delivery date or different delivery dates.
    --> So for example:- For a PO their are 4 materials-
            MATERIAL NAME     DELIVERY DATE
              Material1                   10.11.2011
              Material2                   20.11.2011
              Material3                   20.11.2011
              Material4                   10.11.2011
    Now Material2 and Material3 will be delivered on 20.11.2011  and Material1 and Material4 will be delivered on 10.11.2011.
    Now a reminder mail should go to Vendor of that PO before 2 days of delivery date mean on 08.11.2011 and 18.11.2011.
    So to store 2 dates I require internal table.
    Now I am able to trigger reminder mail for 2 dates by using multiline element in miscellaneous tab of activity.
    But as I discussed in previous post that if I add multiline element in Date field of Requested start deadline then it gives error(plz check prev. post to see exact error). So I tried to used internal table(container in workflow) in deadline which is filled from a task in activity, but it is also not working means mail is triggered as soon as worflow is executed.
    So the main problem is deadline is not created based on dates in internal table and other all the things are working perfectly.
    As I am very new to workflow area, I might be going wrong somewhere.
    So please guide how to set deadline for multiple dates(according to my scenario).

    it looks like the job (program RSWWDHEX) for monitoring deadlines in workflow is failing to start. Have you applied support pack recently? You can try to reschedule that job using transaction SWWB. The problem is described in note 618656. There are also some other notes related to this job. So I would suggest to search for additional notes.

    Hi Baikerikar,
    As per I see, the particular log getting appened in the log when a given workprocess trying to perform a 'WORKFLOW' related task. Both tasks SWWERRE and SWWDHEX are two reports; report SWWERRE  helps in clean-up error out workflow items and report SWWDHEX helps in monitoring the deadlines of workflow items.
    so please check the following
    - TempSec (SP12)  - consistence check -> Delete All (if systems lists any entries)
    - Printer Consistence (SPAD)->Administration->Check Consistence -> Delete All (if systems lists any entries)
    - SM12 for locks.- -> Delete All (if systems lists any entries)
    - And also check 'SAP_REORG_JOB' running fine in the system.
    You perhaps respond back if the above key tasks does not resolve the issue.

    As these job as scheduled and i can see that sometimes it finishing with errors saying that

    Step 001 started (program RSWWDHEX, variant &0000000000000, user ID WF-BATCH)
    Variant &0000000000000 does not exist
    Job cancelled.
    But some of these jobs are finishing successfully.Please suggest me what action can be taken in this situation

  • Deadline monitoring & extended email without customizing a new workflow?

    Hi,
    I have a Position setup in Partner Profile - Post Processing:Permitted agent, to be notify if processing errors occur on the inbound idoc interface.
    My questions are:
    1. Besides receiving work item in SAP inbox for the idoc fallout, is there any way to send extended notification Outlook email to the users in that position when processing error occured?
    2. How can i setup a deadline monitoring for the work item triggered only by these specific idoc message variant? In SWWA, it does not narrow down by workitem, permitted agent,partner profile etc.
    3. If #2 can be fulfill, is it possible for me to trigger a new work item to another user/position? An escalation to next level after due date.
    I know this can be done through customizing a workflow, but in my situation, i need to search for a solution in a standard existing SAP way without creating any new workflow, program or object.
    Any suggestions?

    1# You can send the external notification using Send mail step in the standard workflow it self. I suppose, You can add new steps in Standard Workflow also. Use Send mail step and chose recipient type as "Email Address'. Pass the email Address and it will sent out to MS outlook inbox if all the SCOt Configurations are done.
    2# You can activate the deadline monitoring on any activity by
    double click on the activity
    goto tab Latest End
    Select the relevent options
    3# For excalation you can set the deadline out come as a "Modeled" outcome. It would provide you an extra wing in your approval task and in that extra wing you can create your own task putting agent as manager's manager.

    I’m setting a deadline time (LatestEnd, LatestStart) as an expression for some tasks in several workflows, but there’s an issue when this time is reached on holiday or weekend because the deadline for the Workflow have to be moved to the next working day, does anybody knows how can I set it up without ABAP programming, just workflow tools or WF functions?.
    I already made a function to make this calculation but I'd like to know if this can be done directly by SAP (workflow) standard.

  • Workflow - I am not able to recieve the Deadline notification in my Inbox?

    Hi,
    I have a workflow wich checks the Incoming invoice against a PO and then I post the Invoice.
    If no action is taken on the Invoice then a deadline notification is sent to my Inbox.
    There is no agent assignment and all the process is done in the background. I am not able to recieve the Deadline notification in my Inbox.
    what could be the possible reason?

    Hi Chamandeep,
    Have you verified how the workflow is generated?
    SWLD transaction, then Utilities -> Work Item Selection.
    This report will list the work items generated by you into R/3 system.
    There you can see the workflow log, if you double-click on one of the lines of the report.
    If you have already done all of this and see all the recipients are correct, then you could take a look at SWU3 transaction (Customizing for Workflow) and see if the Workflow runtime system is completely customized.

  • Workflow deadline

    Hi , We had workflow deadline activated for workflows. It was modeled and had some issues with role resolution. The relevant background jobs were scheduled and running when we found out there was an issue with the role resolution. Intrim solution was to stop the background jobs.
    Now we have resloved the role resolution issue and want the jobs to be running again.
    Our problem is we dont want the workitems which are still not approved after 30 days. Latest start was set to only 5 days. We only want the escalation of workitems which are not worked on for the last 5 days and not the last month..
    SWI2_DEAD does not provide with the list of workitems which should have been escalated.

  • Workflow WAIT FOR EVENT STEP deadline not working

    Hi,
    Need some inputs for the experienced people;
    I have a wait for event step in a workflow with deadline monitoring (Latest End) but it doesn't seem to work.
    Ofcourse, all the required setting are in place and deadline works fine for other Activity steps.
    The problem is specific to Wait for event step.
    The alternative is having a fork but I just want to know why the wait step with deadline doesn't work.

    I'm facing the same thing in my project now, I'm wandering if you could help me with this one.
    I have this wait for an event step wich is configured to wait 4 minutes since the work item creation. I've also selected 'Modeled' on the Action field, and a display text for the outcome.
    But in one of my tests, the event hasn't occurred and the workflow stuck in this task forever.

  • Workflow deadline expression problem

    Hi;
    I have a problem and I must solve .
    I created workflow and defined latest end (deadline) for activity .
    I selected refer data/time tabs and expression.
    I filled data and time as dynmically  in other words deadline change according to program.But workflow don't accept dynmical data and time.It doesn't work.
    WHY?

    I am passing the date and time as event parameters
    if I write like that;
       refer fate/time =expression
       date = &lv_date&
       time = &lv_time&
       deadline doesn't work.
    if I write like that;
        refer fate/time =work item creation
        date = &lv_date&
        time = &lv_time&
      in this shape; if I triggered workflow firstly ,deadline work BUT if I triggered workflow  secondly ,deadline does't work because lv_date and lv_time's value doesn't change.Values remain the same.
    I don't understand WHY?

  • Workflow Configuration - no custom expressions as recipients for deadlines?

    The system I work in is an ECC 6.0 system (support package SAPKB70012).
    I would like to use SAP's standard workflow for purchase order approval, WS20000075, but a reminder must be sent after 7 days if the release has not taken place yet.
    That should not be a problem I thought, because according to [SAP's documentation available at help.sap.com|http://help.sap.com/erp2005_ehp_03/helpdata/EN/92/bc26a6ec2b11d2b4b5006094b9ea0d/frameset.htm], one can activate latest start (and other deadlines) with the reaction Send mail (equivalent to "Display text" in the workflow step definition).
    However, no matter what tricks I try, I am not able to configure my recipient. I want to send the message to PurchaseOrder.Responsible.NameWithLeadingUS, but the only expression the configuration will accept is WorkflowInitiator.
    It is very frustrating to be this close to using SAP standard and ending up creating a workflow template copy.
    Has anyone successfully used Workflow Configuration to enable a deadline with some other expression, not WorkflowInitiator, in a SAP standard workflow which does not have deadline monitoring?
    Another thing that surprised me a bit was that I couldn't create a configuration without transport. Not that that's a problem, but I thought one major idea for the configuration was to give me the possibility to have one deadline limit during testing and another in production. The documentation also says the configuration is client-dependent. I suppose I will have to request that the systems are opened for modification for this too (that is, in addition to opening them for definition of release strategies).

    I just verified that, in fact the only problem is with the Latest Start expression! But luckily I can paste the expression as you say (just discovered that and will close the question as solved).
    I also discovered another bug while verifying what the problem is.
    When starting the SWDD_CONFIG transaction directly as opposed to going there from the workflow builder, it opened for a different workflow template. So I used the "Other object" button to change to the workflow template I wanted to define a configuration for. The workflow displayed changes, but the title line of the window does not change. I could live with that referencing the other workflow, but that's just a visible symptom. The real problem is that the container definition is not re-read, so when trying to assign an agent it was actually the container elements from the first workflow template that were available. Nasty!

    I am creating low-priority customer messages for both of these, so at least SAP has a chance to correct the errors. There is no outside access to the system I work in, so they won't get a chance to verify - but that shouldn't stop them from checking if the problems exist in their own system with the latest support packages applied.   • Deadline monitoring/Escalation - Purchase Requisition Workflow WS20000077

    Dear Friends,
    I have read some stuff on SDN but still couldnt figure out the soultion.
    Its a common problem. We have set a release strategy in Purchase Requisition and are using std workflow WS20000077.
    Now the requirement is that if an approver doesnt approve in 2 days time then the PR will automatically go to the next approver for release.
    I have set the deadline monitoring using the workflow wizard for model deadline monitoring. With this, The work item gets deleted from the approvers inbox. Next in the obsolete path I have set a process control which specifies the worklow step as the step in which deadline monitoring was specified.
    When I check in SWI1, the work item is set as obsolete but it doesnt go to the next approver for approval.

    For your Requirment :

    Please follow the below steps.in copy of  WS20000077.
    1.For taskTS20000159:Overall release of requisition , go to
    Latest END tab:  put ACtion as :Modeled ,  Refer.date/time:Workitem creation , below time : choses: DAY,  and on left add 2.
    Outcome :Deadline Montoring.
    2.Then come to OUTcomes tab of the same task:  see  there are 3 lines 1.Step executed, 2.Latest end:Deadline Montoring, 3.Processing obsolete:Processing obsolete ,, all are ACTIVE or not , if not, Activate .then  all should be Green.
    4.next in the OUtcome :Deadline Montoring , use a process control step. to Set missed workitem to obsolete,  in Function: chose : set Work item   to Obsolute. and Workflow Step : chose then step no for the above task(TS20000159:Overall release of requisition).
    5.In "Processing obsolete" path, again call the same task TS20000159. in different activity . and see to the agent assignment.
    I think this will slove your problem.
    How it works:
    1st the PR is send in a WI to the perticular agent by the 1st activity . if the agent do not execute for 2 days. then that WI will set to obsolute . and process flow to" Processing obsolete" path, then agian PR is send to the next agent using the same task but activity created in  step 5.

    You can but you have to use the same basic principles which SAP uses for deadline monitoring.
    1. somewhere in the workitem the deadline date/time must be present
    2. A job must run every x hours/minutes, which searches for these dates and checks if the deadline is reached, and in the job you can fire an event which the workflow waits for via a parallel fork 1 of 2 in which the second branch is a wait for event step.
    Why doný you use the standard deadline monitoring instead, it's a bit faster and cheaper.
