DMS Designing structure

Hi Friends,
We are implementing DMS in our organization. Our file storing system is explained below.
1st level - Vendor name (like Nyro / Hydraulics / techno or code : A112 , A113, A114 etc...)
2nd level - Project name (like  1130 / 1131 / 1132 )
3rd level - Dept. (like Civil / electric/ admin)
4th levl - Incoming / Out going docs.
5th level - Type (like Drawings / docs / memos)
We want to give authorization to one group combination of levels like in 1st level - Nyro, 2nd level- A2, 3rd level -3rd level - admin, so on...our requirement is to store documents at various levels  along with authorization.
our requirement is not to have individual doc. authorization, which we can do on each document on authorization tab assigning user / user group.
We need to send the work flow item to different set of persons on storage of document on each level on each status. Like if we store  doc. for Nyro - 1130 - civil - incoming - Drawings (considering livels of above example) work flow should  go to A1 goup other wise with to another group.
We can do this with  classification (by creating characteristics / class and attaching to doc. type) but I can't have authorization at individual class or characteristic , i.e. I can control at doc. type only. Since we have three characters for doc. type code we need to make many doc. types considering above scenario.
If we use three characters of doc. type, lab office or authorization group can be used for other levels but we can't send work flow item.
By using Document structure we can make BOM by linking the two or more docs. with qty.
Is there any best way using SAP DMS ? Now we are implementing SAP R/3, not plans to invest in another software.

Hi Sai,
It's definate that the reuirement not get addressed in standard environment. Better way write a abap programe with workflow with user gropu or levels predefined and irrespective of status the group will be intimated or communicated.
Discuss with abap person who knows workflow very well.

  • Bad performance when deleting report column in webi(with "Design – Structure only")

    Hi all,
    One of our customer has recently upgraded from BO XI to BO4.1. In the new BO 4.1, they encountered a bad performance issue when they were deleting a column in Webi(using "Design – Structure only" mode).
    With “Design – Structure only" mode,  it took webi about 10 seconds to complete after the customer right-clicked a report column and clicked the "delete".  The customer said that they only need to wait for less than 1 second when they did the same in BO XI old version.
    The new BO version used is 4.1SP02, installed in Windows Server 2008 R2. (Server with 32 core CPU, 32G memory)
    This bad performance happened in both Webi web and Rich Client. (in Webi Rich Client, the performance is a little bit better. The 'delete column' action takes about 8 seconds to complete).
    Do anyone know how to tune this performance in webi?  Thank you.
    Besides, it seems that each time we are making change in the webi report structure in IE or Rich Client, webi need to interact with Server site to upload the changes. Is there any option to change this behavior?  Say, do not upload change to Server for when 'deleting report column', only trigger the upload after a set of actions(e.g. trigger when click the "Save" button).

    What customer concerns now is that when they did the same 'column editing' action in BO XI R2 for the same report, they did not need to wait.  And they need to wait for at least 7-8 second in the BO 4.1SP02 environment for this action to complete.(data already purged, in structure-only mode)
    One more information about the webi report being editing is: there are many sheets in the report(about 6~10 sheets in one report). Customer don't want to separate these sheet into different reports  as it will increase the effort of their end users to locate similar report sheets.

    We are implementing 4710's in our core network..
    what could be the best design structure from a simplicity point
    one interface vlan for for vips---connected front end to the core..and backend for servers (routed mode)
    should you have more than one interface vlan for servers and or clients?
    at which point would u need multi context.......besides an Admin context
    should you put a management interface on each context?

    Design would vary based on specific requirements. To connect it to a specific layer on the network (core/agg) you would have to check the traffic flow to decide what suits you best.
    In terms of ACE design, if source IP visibility is not a requirement, One-arm mode with Source NAT provides the ability for non load balanced traffic to bypass the ACE. If it is a requirement you can use PBRs but that complicates things a little because you have to now manage the routers for changes on the ACE. With routed mode, the design is simple and servers point to the ACE as their default gateway. Need to weigh the pros and cons of each of the options based on the specific requirements.

    Yes - for routed mode that would be the way to do it. In this case, in addition to load balancing, the ACE routes non-loadbalanced traffic to/from the servers.
    should you have more than one interface vlan for servers and or clients?
    - Depends in your subnets. If you have separate subnets for your web/app/db servers then it is a good idea to have different subnets. Also, you may want to think about separate contexts if you want complete isolation between the layers.
    --at which point would u need multi context.......besides an Admin context
    As far as possible, try to keep the Admin context only for administration. Make a separate context(s) for load balancing and manage the resources to it.
    --should you put a management interface on each context?
    Yes - that would give you the ability to have different users manage only their contexts.

  • Topic Design/Structure = Speed of updating content in project

    1. Yes, we do incorporate screen captures in our topics, and
    I have streamlined as much as I can, stripping out all duplicates
    and linking to the source.
    2. I do realize that by use of the pop-up images, which I use
    a lot, it does impact the speed simply by virtue of the image size.
    3. MY question is this: I was hired to maintain a system that
    already exists and have taught myself a lot of streamlining
    features but am sure there are others I'm not aware of. I was just
    wondering if maybe there was a better design structure I could
    apply to improve the efficiency of the topics. Here is our current
    structure:
    1 Main project under which all other projects (CHM) are
    linked as Merged Topics.
    300+ Topics - each one creating a separate CHM that is then
    merged into the main project
    Some of these individual topics are quite large (we have 1
    topic per screen/feature). I have broken out as much as I can into
    common topics and link to those rather than repeating information;
    but even with that, I still have some huge ones such as the one I'm
    working today.
    It is taking like 1 minute at times from clicking "Insert
    hyperlink" till I get the dialog to select the bookmark and several
    minutes just for the topic to open or compile.
    I've come across terms such as "Page" "Topic" "Book" "Pane"
    etc, and was just wondering if maybe we need to tweak our
    underlying structure to improve in this area. Any suggestions?

    Welcome to our community
    Sounds like RoboHelp would certainly fit the bill for what you are seeking. Basically it works as follows:
    You maintain all the content on your local PC.
    You then Generate a Web Based output such as WebHelp, FlashHelp or AIR Help (Web Based).
    Once the output has been created, you publish it to the Web location.
    So perhaps you add a few pages and change some others.
    You make those changes in your local copy of RoboHelp and Generate the Web Based output again.
    You then publish the output to the Web location to populate the updates.
    The first time you publish output ALL the content has to be copied across. But at that time, RoboHelp makes a list of what files were copied.
    Subsequent publish operations only copy the files that need to be copied. So the first time through it may take a few minutes to copy all the content. But subsequent publish cycles should take just a brief while. Often, just a few seconds.

    Hi Sai,
    mainly you can work with both ways. The creation of a class which enables your users to classify each document info record and then control the permissions with the suitable authorization objects or by a BADI implementation will work.
    Another solution would be to create a document BOM structure in CV11 or with the help of the new browser function in ECC 600 release. For further information on the browser function please see also the following link http://wiki.sdn.sap.com/wiki/display/PLM/NewFunctionalitiesinERP2005.
    Additionally I think that EasyDMS could also be a solution to setup this scenario for your user. In the above SDN WIKI area for DMS you will also find a special content part for EasyDMS too.
    In the release ECC 600 with EA-PLM extenstion you can use the ACL authorization concept to add individual authorizations for
    users to single document info records. This could be useful to allow one user to enter folder A and another to enter only folder B.

  • Basic XML/DTD design/structure validity.

    I would like some clarification on valid XML structure - is it valid to have an XML element content both CDATA & other elements? I noticed that by using the keyword ANY in my DTD, that the SAX parser that I'm using seems to accept the following -
    <firstElement att="1">
    Some character values.
    <secondElement att="2"/>
    </firstElement>
    However, is this a poor design choice? I have made several attempts to read up on DTD/XML structure and have not found anything which explains whether that structure/approach is valid or not.

    Yes, you can do that. It's called "mixed content" in the markup biz. And as you suspect, it's not the greatest design choice. No doubt there are uses for it -- for example if you have a text string and you want to mark off pieces of it as being bold or italic -- but you should probably try to avoid it if possible.

  • Unable to see any content in NWBC even after designing structure through PFCG Menu

    Hello Everyone
    As this is abit new for me , It would be helpful if you can share your valuble inputs on this particular issue.
    Even after the role is designed in PFCG, When trying to check the same through NWBC, there is no content that is visible.Only the webdynpro added are visible.
    Can I know what is difference between adding a T-code and adding a Service( authorization default values )  in PFCG Role Menu ?
    Will adding only Service wont server this purpose ?
    Is it mandatory to Add T-code in role menu inorder to fetch data through NWBC or is there an alternate way available ?

    I'd suggest you take a look at the help guide here Navigation Tree - SAP NetWeaver Business Client - SAP Library note the section:
    For NWBC, you can insert the following objects in the menu tree:
    Transaction code
    Web Dynpro ABAP application
    BSP application
    Web address or file
    Generic Web address (URL template)
    Web client UI applications
    So if you want something to be visible in the menu in NWBC you need it to be one of the above. In your screenshot you have added a Service Authorization (I think)... that won't show you anything in the menu.

    I am currently creating a structure with different levels and I woul like to have the subtotal I calculate in the various formulas in the structure below the data and not above like it is now.
    For example now :

    What I would like :

    I tried in the query properties/ Row & Colums to change  'result position' but it does not work.

    Your requirement is not clear how ever you can try this
    Right click on the characterustic and select display tab in that select Supress result rows -> Never
    It will give you the subtotals.
    If that does not work out follow the link and see if that is what you want. If none is helpful please elaborate your requirement with some numbers.

  • General Design Structure  Advice

    I'm looking for a general strategy for my current project.
    I have a Module class with several sub classes. These modules
    are connected to each other with a Connection class. And I need to
    dynamically create and destroy these connections. For now, each
    parent module contains an array of all it's child modules. Each
    instance of the Connection class contains an array of the 2 modules
    it is connecting.
    Is this the best way of going about this? or should I be
    creating a global list of all the connections and all the
    modules?

    The nice thing about this upgrade is that we are moving from a system that has less storage to a system with more storage.
    This database isn't very large, and all the files on the entire system are under 200GB in total size. The data takes probably near 60GB, while the backup space is somewhere in the 80-90GB ballpark.
    My main goal with this disk configuration is to try and achieve the highest reliability possible to prevent future failures.
    Instead of trying to micro-manage the storage I thought an area for the FRA and the rest for the data on different disks and controllers would be a good approach because it keeps space available and reduces the possibility of volume space pressure.

  • Design structure for systematized backup - Pt. 1

    Introduction: I am planning to set up a system for regular back up of my wife's G4 (mirrored drive door). It originally came with both System 9 and System X all mixed together on the internal hard drive. We can choose which system to boot into in Startup preferences. Additional internal drives have been added in the past and RAID is configured.
    System X has been upgraded to 10.4.11. System 9 remains as a separate drive on the desktop and we want to preserve the ability to boot directly into System 9 to use some old software.
    The G4 has Firewire 400 and we just bought a new external 1TB quad interface drive. I would like to use the drive to create a new external 10.5 boot drive, and also for backup purposes. I have been reading various threads in here, but some apparently conflicting information has me confused.
    Issues: I'll start my questions with Part 1 - preparing the new external drive. I am contemplating partitioning the new drive into several pieces to allow for several different "drives" to be available on the desktop. One partition would be for a new installation of System 10.5; one would be for a clone backup of the internal drive System 10.4.11; one would be for a clone backup of the internal drive System 9; one would be for Time Machine backup of the new System 10.5.
    Questions: (A) Can each of the different partitions be bootable (except the Time Machine)? I've seen language in here that suggests that partitions can't be made bootable, only a volume, thus only a +one partition+ drive can be made bootable? (I would like to be able to have at least three different bootable drives with different systems.)
    (B) Can some of the partitions be made APM bootable while others are GUID bootable? Or does the type of format apply across all partitions to the entire physical drive? (I would like to be able to also have a backup of my Mac mini Leopard and Snow Leopard drives on the 1TB external as well.)
    (C) Can I use my Mac mini with System 10.5.8 to do the initial partitioning of the 1TB external, so that non destructive addition of more partitions in the future may be possible?
    I have other questions but will handle those in later posts after I resolve these initial mattes. Thanks to all for your time and attention.

    I was using the term "formatting the drive" is the loose sense of preparing a drive for use. You're right that you first partition a drive, then format each partition.

I thought Intel Macs can only boot from System X drives (volumes)? If I make a clone of my internal start up drive (System X) part of the purpose would be to have an external drive I could boot from if my internal drive failed?
    You're right that Intel Macs can only boot from OS X volumes. That's separate from the issue of that the "partition map scheme" has to be. If you're worried that my advice isn't accurate, then just try an APM scheme.

    Current Plan: Partition the new drive to create different bootable backups for different system versions, both for the G4 and also my Mac mini. Additional partitions for new fresh install of 10.5 for G4 and for Time Machine backups of same. Eg., current plan is:
    Partition 1 = Bootable backup of System 10.4.11 from G4;
    Partition 2 = Same of System 9 from G4;
    Partition 3 = Same of System 10.5 from mini;
    Partition 4 = Same of System 10.6 from mini;
    Partition 5 = New install of 10.5 for G4;
    Partition 6 = Time Machine backups from partition 5 (yes I know this is less than ideal and separate media is preferable).
    Partition 7 = Remaining unused space
    Issues: I have been reading various threads in here, but some questions remain. Regarding options for backup software:
    I have Data Backup that came on an external drive that I purchased some time ago (now ugraded to v3.1.1). I've used this in the past to make one-time clone backups of bootable systems to external drives.
    In addition, the new 1TB Drive came with a copy of Carbon Copy Cloner v3.3.7, which is new to me. I've used it once to clone a bootable System 10.5.8 to a Flash Drive as an emergency startup.
    I have also seen a number of references in messages to SuperDuper as another popular backup utility.
    Questions: (A) Are there any significant differences between the features of these programs in making bootable backups of internal startup drives?
    (B) Are any of these programs significantly faster than the others (parameters being equal)?
    (C) Do all programs have an efficient means to update bootable clone backups to keep them current with the source (not separate multiple "incremental" files)?
    (D) How long can updates be made to a clone before its advisable to redo a fresh new backup from scratch?
    (E) Is there anything else I should know in comparing which program to use?

    As I believe I mentioned earlier, I have no knowledge of Data Backup. The other two programs are very similar in function. I believe that Carbon Copy Cloner is "donationware". To get the ability of copying only changed files, you have to pay around US$28 for Super Duper!, while that feature seems to be enabled already on Carbon Copy Cloner.

    I'm unaware of benchmark results for those programs. The ability to copy only changed files can save hours per backup.

    I have clones that have been in use for months or even years. The only time I tend to "remake" a clone is when I'm switching to a larger disk. Even then, I sometimes clone the clone to the new drive.
    (E) Is there anything else I should know in comparing which program to use?
    I'd still suggest reviewing the electronic book that I believe I mentioned in an earlier thread.

  • CProjects and DMS

    Hi,
    We're in the BBP phase and wondering if we are going to use DMS for structuring documents in relation to cProject. However as I can read this is more or less an object link. Is there possibilities to automatically copy the cProjects structure into a DMS structure?
    When using easy document management it is possible to a link from the document to project definition level and tasks in cProjects?
    All relevant documentation and desciptions are interesting!!!

    This is the procedure for transferring documents from cProjects to SAP DMS
    1) In the project type definition in the back end, select the check box for SAP DMS
    2) Ensure that you have specified the RFC destination for the sytem to which you have to transfer the documents by using transaction SM59
    3) For the document type that you would be using, include the object link DPR_OBJLINK inside the configuration for document type
    4) Once you log into cProjects you can find the tab SAP DMS .
    5) You can continue creating the document info record once you are inside SAP DMS
    6) You can upload the document of the type for which you had defined the object link DPR_OBJLINK
    7) Once steps 5 -6 are done you can view the document inside SAP DMS

  • Transfering cFolders Docs to DMS via Collaboration tab in cProjects 4.5

    Hi Experts,
    I am trying to move documents between cFolders and DMS using the the "collaboration" tab in cProjects.
    The steps I am following are as follows.
    1. Created a link to a DMS document structure from "SAP DMS" tab in cProjects
    2. Assigned a collaboration from the "collaborations" tab
    3. Selected transfer documents.
    4. Transfered the needed documents to a folder in DMS from cFolders
    5. Clicked save documents button
    6. When I check the doc structure from the SAP DMS tab I see the document but there is no document number or type.
    7. When I select refresh the transfered document dissapears. I have also tried saving between steps to no avail.
    I have done the needed configuration for object links and default doc types under "Integration with Other mySAP.com Components -->Collaboration Projects -->SAP DMS Integration --> Specify Default Document Types per cProjects System". Also I am able to transfer a document which is stored in cProjects documents tab. I am only having an issue when trying to transfer from cFolders.
    I have seen several threads on this forum on similar issues but no clear solution. Appreciate any thoughts on this. Hope I have explained the issue clearly, but do let me know if any further information is needed from me.

  • Xmltype column design

    hi all,
    i've recently implementing a project which need to stored hierarchical data. since relational db alone can only offer flatfile and implementing hierarchical data using realtional table with design structure such as
    1. MPTT(Modified Preorder Tree Traversal)
    2. Adjacency List
    3. Recursion
    has a lot of drawback ESPECIALLY on searching/traversing to find parent nodes. so i decided to try using oracle xmldb since xml is by nature hierarchical. so i came out with a design by using relational table + xmltype column. what i did is for eg. a customer table
    create table customer(
    id varchar2(32),
    name varchar2(50),
    balance number,
    xmltype
    the xmltype is stored as schema enabled not Clob. the schema is defined where the customer node will have unlimited nesting with each other.
    where the xmltype column is to stored the position/path of this customers within xml tree.
    eg. This customer id is 3 and the path is stored as below
    <root>
    <customer id="1">
    <customer id="2">
    <customer id="3"/>
    </customer>
    </customer>
    </root>
    the path will have a root node element and nested all the way until this customers. so in short i will be able to select this customer using Xpath, by traversing up by grabbing all the parents, getting all the child of this customer and getting the sibling as well.
    the operation on this row record will involved with updating or querying(mostly) the xmltree inside this column.
    so, my question is, based on this design:
    1. is this design relevent? compared to just used MPTT(Modified Preorder Tree Traversal), Adjacency List & Recursion?
    2. which isolation level should i use if there's an event that this customer's path will be updated/or the parent nodes need to be updated?
    i'm not very sure about this design yet, so any recommendations or advise on this?

    You will need to create a custom BC4J domain object as a java type for XMLType and then implement the necessary fetch and update semantics. There is no built in support in BC4J framework for this type at this time.

  • DMS errors

    We are migrating a system from NW to OES2 which includes 4 DMS libraries. 3
    are ok, but one is showing some issues.
    The library dates back to 1998 under GW5.1 on NW4.11 and has been through 4
    physical boxes and is currently GW8.0.1 on NW6.5sp8, so it has some history
    A GW search indicates the highest document number is 81,979, whilst the
    properties of the DMS folder structure shows 154,615 files in 256 folders !
    The libraries are currently stored OFF the PO, and prior to moving them
    under the PO, TID 10100328, we ran a GWcheck - Analyze/Fix Library with
    Verify Library and Verify document files checked.
    This threw up the following errors:
    Error 76 - Error accessing document content: Error Code = C081
    Problem 86 - Inaccessible wordlist blob: error Code = C081
    Uncorrectable conditions encountered:
    CODE DESCRIPTION COUNT
    76 Document content access errors..................... 206
    Correctable conditions encountered:
    CODE DESCRIPTION COUNT
    86 Inaccessible wordlists marked for regeneration..... 2106
    From previous experience I know that Problem 86 can normally be circumvented
    by selecting the doc and creating a New Version, however I cannot find an
    automated means of doing this, and don't really want to do it manually 2106
    times !
    We then ran a structural check and go the following results:
    CODE DESCRIPTION COUNT
    50 Orphaned Blob files (deleted)...................... 7
    Correctable conditions encountered:
    CODE DESCRIPTION COUNT
    39 Unrecognized or invalid files in mail directories.. 2083
    66 GWCheck log files in log directory................. 356
    91 Databases in Store Catalog but not on disk.......... 63
    93 Unused blob files (deleted)........................ 194
    Does anybody have any advice or guidance on how to clear these up?
