    You can create a library or a list for each associated law firm entity such as:
    Law file
    companies
    Books of laws
    You specify the metadata of each library by creating the necessary columns, and the specify your library settings (versioning, permissions).
    Regarding Information Management: Retention Periods , if is required you can check the guide provided above, also u can benefit from the auditing feature of SharePoint.

  • How to manage huge file size documents in SharePoint 2013?

    we have different kinds of files
    .avi, .wmv, mpeg, .mpg, .m1v, .mp2, .wav, .snd, .au,.mdb,
    .db,.bat, .exe, .dll,
    and .jar

    You have a hard limit of 2Gb which you cannot get around with Remote Blob Storage or anything else. Beyond that size, you're going to have to store content outside SharePoint with links to the content for your readers, of using Search Indexing on the file
    location.
    If the files are large but not greater than 2Gb they can be stored in SharePoint, but you should be aware of the supported limits for Content Database size, which I recall as 100Gb for a single Content DB, or up to 200Gb for a rarely updated Content DB containing
    a single site collection.

    Hope you all had a good festive season.
    In getting back to the SAP DMS & MS SharePoint integration question.
    I want to create a Document Information Record in SAP, and attach a file to this DIR that is currently stored in MS SharePoint. Typically, when you attach a file to the SAP DMS DIR, you can store it in the SAP Knowledge Provider (KPRO) or similar storage areas.
    So, in essence, I want to use MS SharePoint as my secure storage area.
    Any advice will be apreciated.

  • SAP DMS Features vs MS Sharepoint

    We are trying to find out the reasons why on why we should or should not use SAP DMS over MS Sharepoint
    I am completely new to SAP DMS and I would like to do a comparison based on features/ease of implementation/cost etc.
    SAP is already implemented in our company.
    Now Could somebody please list out whether the following features are ( Readily available/can be customized/Not possible)
    Co authoring (MS Sharepoint supports it)
    Indexing features Supported?(File indexing/Meta data based)
    Search functionality
    2 Stage Recycle Bin (MS Sharepoint supports it) (Basically what happens when you delete a file from SAP? Is it easily recoverable?)
    Permission configuration at folder level
    Permission configuration at file level
    Rights Permission for View, Edit, Add, Print, Download, Copy etc
    Will DMS protect docs once it leaves the SAP system – for example after downloading it as a document in a Microsoft Office format, in PDF or other formats, without further enforcement, can such documents be copied, forwarded, printed, modified?

    Free product. A user interface which works like explorer, you can create folders and put your documents in it which creates in background a bill of document ( like BOM) which is not truely possible in ERp(possible but will be insane using it in SAP GUI).
    2. Challenges involved in implementation of Easy DMS
    Windows Vista and Windows / supprted. Not tested the other operating systems but it won't work for all operation systems and some basic bugs but setting up is very easy, download and just install it than enter the imformations like your router, İp etc which you were already entering for SAP.
    3. Content Server would be provided by SAP right?
    Yes it is also free together with MaxDB.
    ** Indexing features Supported?(File indexing/Meta data based)
    You need another server called Trex 7.1 whic is also free ..
    **Stage Recycle Bin
    When you delete a document you just put a deletion flag in Document information record, you are not really deleting the original from server. You need archiving for that with SARA and run Delete all files after arcihing means that not that easy to delete.

    There is no real permission configuration for folders. It uses the same authorsation with SAP , document type based, statuı based etc.. But there is ALC authorisation if you use Easy DMS which uses Microsoft authorisation for windows but you do it for user saying the "the user" can enter "the" document.
    **Rights Permission for View, Edit, Add, Print, Download, Copy etc
    Do not hing the original and the data linked to original together. You should aware of that SAP can not manages the original itself.  It can only manage the document information record which is the data like the document number and definition but not the original. SO the copy of document always possible although you give the display authorisation for the document. because it have to be checked out localy to your own computer to be displayed and this automatically causes the document to be copied if the user wants unless you are using another tool ECL viewer(SAP's another free tool to work on CAD files like DWG,DXF and alos supprts PDF etc, it has its own restrictions..)
    And the story goes on...
    From my side DMS has only one real advantage if you are already using SAP which is "object linking". You have to make development thing for the share point to link your originals to SAP object like material, equipment, notification etc. But in SAP it is very easy, usefull , and very easy to manage for both departments at the same time... And also classification and charcteristic support also very usefull which directly creates tabs in reporting too.. The last case yo use DMS is if you are using ECM(Engineering change management than it makes reasonable to use DMS which has direct integration..
    Otherwise continue using sharepoint..

  • Sharepoint 2007 as content server for DMS?

    Hi,
    Knowing Sharepoint 2003 is not able to act as DMS content server.
    Does any know if the new Sharepoint 2007 has this function to act as DMS content server?

    iam also coming across the same requirement where in client is already using SharePoint as a common document Managing software,
    in your Case as You have solved the Problem, did you buy a new server and installed content servewr in it, and integrate it to Share Point server?
    or did you use the Same existing  share point server to install content server on it,
    i guess in that case there will be duplication of all the Original files,
    one, the original file is Available in the Share Point server. and Secondly, the same original file is checked in into the storage catagories if the same share Point server is defined as Storage medium for SAP DMS, ie same Share Point server acting as Content or Archive server.
    please help me in Understanding the things clear iam little bit confused,
    Alternatively to access the Documents in the Share Point server and Store the same original File in the Content server (or it can be the same SharePoint Server acting as Content server(installing the content server CD on the Share Point server)). can we go to create 2 Datacarrier and Datacarrier types,
    one to Bring the original document from the share point server to the DeskTop of the User.
    second to check in the Same document through SAP transaction CV01N, here again should we define another Data Carrier and Data Carrier type, (like the share Point server or Content server used again to check in the original Through SAP DMS CV01N,

  • SharePoint 2013 DMS

    We came across unusual DMS requirements from a customer as below. 
    1. If documents has multiple versions, one version could be a .doc and next version could be .xls. It mean User can check-in a document of different format and also with different name than that of the checked out document.
    2. A document from Filenet repository can be filed to another folder of the FileNet. So the filed document can be changed anywhere but the changes will be reflected in all documents. This can be done using the manage copy feature of SharePoint but the changes
    are always moved from Parent copy to the child copy
    any solution?? OOTB or with customization?

    1. This will be custom work, you could create a list with folders where each folder represents a document and has a metadata property representing its version number. Then, have some custom functionality (ie a web part) render the UI for interacting with
    that. Having said that, it's hard to get this type of functionality right, especially in combination with search scenarios.
    2. Use the Doc ID, then, you can store references anywhere you want, all pointing to one and the same document. If you really do need multiple docs and sync changes to any one of those, its custom again, you can use workflows and the sync framework to get
    it right. The latter scenario is a difficult one to get right too.

  • SharePoint Foundation 2013 - Can we use the foundation for intranet portal with high availability ( medium farm)

    Today I had requirement, where we have to use the SharePoint Foundation 2013 (free version) to build an intranet portal ( basic announcement , calendar , department site , document management - only check-in check-out / Version).
     Please help me regarding the license  and size limitations. ( I know the feature comparison of Standard / Enterprise) I just want to know only about the installation process and license.
    6 Server - 2 App / 2 Web / 2 DB cluster ( so total license 6 windows OS license , 2 SQL Server license and Guess no sharepoint licenes)

    Is load balance service also comes in free license... So, in that case I can use SharePoint Foundation 2013 version for building a simple Intranet & DMS ( with limited functionality).  And for Workflow and content management we have to write code.
    Windows Network Load Balancing (the NLB feature) is included as part of Windows Server and would offer high availability for traffic bound to the SharePoint servers. WNLB can only associate with up to 4 servers.

  • How do I setup SharePoint 2013 web applications for 2 TB of data?

    Hi,
    I know Microsoft recommend to have 1 App pool with 1 Web App and 1 Content Database. 
    The issue is that in my company SharePoint is going to be a file repository with about 2 TB of data. Management wants that to happen. 
    I was thinking to have 1 App pool and about 18 Web App for each department so that it can hold all that data with a maximum of 200 GB per Content DB in 2 SQL clustered servers. 
    Is that OK? Is this best practices?

    Yes, in SharePoint it is suggested to not allow to grow content DB more than 200 GB. Now will your environment starts with 2TB (after migration) or it will steadyly migrate eventually 2TB data. If so that you can think of Host heard site collection with
    individual content db.
    I am sure that you know that SharePoint is not only a DMS but also come with variety of useful service like Search, Workflow, Forms, Social etc. Thease all are going to be a important tool in your organisation. So planing for other services and hardware
    is also very important.

  • Saving/Opening documents to SharePoint 2013 from within Office 2010 applications

    I was hoping that Office 2010 would work nicely together in terms of saving to and opening documents from SharePoint 2013. Alas, I was disappointed and somewhat surprised to see that opening/saving documents in SharePoint from within Office still
    involves copying, pasting and hacking the URL of the document library in the Save or Open dialogue box. I was fully expecting that Office 2010 would have display some sort of SharePoint navigation so you could view your sites and document libraries in a similar
    way to folders. A mature document management system this ain't!
    Anyone have any advice on how to improve the Open/Save to/from SharePoint experience in Office 2010? I'm open to the idea of Office add-ins whether third party or official Microsoft.

    Thanks for the reply, but that's from within SharePoint, not Office?
    An example scenario: I create a new document or receive a document, I'm in the document, and I want to publish the document to a document library in SharePoint. At the moment I would have to save the document, load up SharePoint, navigate to the document
    library and then go through the upload process.
    I should really be able to, from within Word, select File - Save to SharePoint (say) and then be able to navigate to the document library I want to publish to. Really basic DMS stuff that I'm surprised isn't there!
    Similar thing to opening a document. I should be able to Open from SharePoint, navigate to the document library via some sort of navigation box, and open it.
    Thoughts appreciated.

  • Osssearchresults.aspx page throwing error on only one webapplication in SharePoint 2013

    I am working with Search in SharePoint 2013 Standard version.
    I am facing while searching on a SharePoint Web-application. The page "osssearchresults.aspx" showing error in URL "http://SharePointserver/_layouts/15/osssearchresults.aspx"
    but when I am searching on other web-application, the result is shown from "not-working web-application" also and all other webapps also.
    I have created site collections in not-working web application but the problem is same on other site collections also (if it is created in that web application).
    The web application is having DMS so to search documents we need search.
    I am not getting any results in other search pages 'created in site pages'.
    I found the crawling is working for all files.
    I am getting below error:

    Per my knowledge, the osssearchresults.aspx can only return results from the site collection or current site.
    Could you please provide a screenshot of the search results in the web application without issue including the URL?
    I also recommend to create a search center in the web application with issue and then check if the results from the web application can be returned.

    We have a Webservice deployed on a Sharepoint 2010 deployment with a method as follows:

    When invoked by a User with only Contribute rights the SubFolders.Add( ) call appears to fail and the
    SPSecurity.RunWithElevatedPrivileges
    code is invoked, which also fails.
    1. So the first question is should you be able to invoke SubFolders.Add() with only Contribute?  It works with Design privileges for the Customer.  You can add folders on the Sharepoint website as a Contribute user so why not on the API. 
    Customer raising this as a security concern.
    2. Also why would the
    SPSecurity.RunWithElevatedPrivileges
    part fail, is the syntax incorrect for Sharepoint 2010?  We migrated this code from Sharepoint 2007 project.

    Note that the user SPWeb being passed into the method is from an impersonated user, don't know if that matters.
    So the webservice payload contains the id of the user who wants to do the Sharepoint work while the webservice is invoked by anonymous or some other service user.  We then impersonate the user specified in the webservice payload like follows and use
    that web SPWeb from then on in the webservice methods:

    Ideally, a user with Contribute permissions should be able to add folders. Not sure what is the issue there. But I can see that SPSecurity.RunWithElevatedPrivileges is not written properly. You must create a new SPSite object inside the delegate
    because SPSite objects created outside do not have Full Control even when referenced inside the delegate. Use the using keyword to ensure that the object is disposed in the delegate. Example:

    Requirements are:
    1. Document Scanning Hardware and OCR Software. Automated metadata detection.
    (Documents should automatically be assigned in Sharepoint)
    2. Workflow management with Sharepoint and binding over WebService to Backend ERP and CRM System.
    Where can I
