DMS question

I have been researching setting up DMS, and have been reading through several posts here and on other sites. One question constantly results in different answers.
Do i need an external content server?
I would like to just store the documents in the SAP database. It appears i can do this, but the configuration to pull it off eludes me. Each time i try to check in a document, it attempts to write it to a folder on the app server, rather than into the database. I know it is something simple i am doing, but i don't know what. All of the docs say that this is set up by document type, but i dont see it when i set up a document type, other than a checkbox for using kPro.
We don't have enough documents to warrant an external server or kPro or 3rd party or anything fancy. We want to store smallish documents like certificates of origin, etc with materials.
We are using iXos, which would be an option, but i cannot determine how to get a specific document type to write to a specific storage system. Where is the link between them?

When storing directly in the SAP Database (not sure if the same is true when using Content Server) SPA needs a location to copy the document before it is displayed. It sounds liek to are able to check the file into the Database. Check table DMS_CONT1_CD1 if you have any data in this table then this means it is stored in the default database location.
You need to configure a location for SAP to use to copy the file before you display it. This is undet Define Data Carrier. Define Data Carrier type "server front end" To test it set it to a location on your own computer (make sure you have full access to this location)

  • Some DMS question

    I have a requirement that I have to somehow implement
    I have to be able to upload a document in the DMS without actually specifying the document type. Later on the user will be able to change it.
    The first one is impossible since we should always have a document type prior to creating the document. So I'll workaround this by just creating an intermediate document type.
    The second requirement however requires me to be able to change the document type after the document is actually uploaded. I searched but couldn't find any resource on how to do this. It seems that no change is possible even when a new version is created.
    Has anyone here had the same problem before and how did he cope with it? I'm currently thinking of implementing the document type change via:
    - creating a new document - a copy of the old one with the changed document type
    - deleting the old document
    - replacing the references (DOKAR, DOKNR, etc.) to the old document with the new one in all my tables where such information is stored
    Any better ideas are highly appreciated

      Since the DOCTyp/ Doc Number/Part & Version are the key field in DMS system also the documents are catogorize using Doctype as a key control element , Once you create the document with one document type it is not possible to change the document type for the same document .  You can create the same document with different document type and so you will get a brand new document.
    You can delete the old document with intermediate document type using program MCDOKDEL.

  • Easy DMS Questions

    1. When Creating a DIR thru EDMS,  must it be assigned a number using a defined number range?, Can it not be an External and determined by user?
    2. Folder Numbers (Same ? as above)

    Hi John,
    generally it is recommended that documents in EasyDMS allow the usage of internal numbers. That means for the document type used in EasyDMS in internal number range should be maintained in transaction DC10.
    The usage of external number could be useful for folders and is required for the 2 standard EasyDMS folders:
    private: <userID>
    public: EDIPUBLICROOTFOLDER
    Here the number is assigned externally. For other documents and folders you can also use external numbering during the creation process if you navigate to the tab "Technical Details". Here you can enter a document number as well but this is not that easy when using Drag&Drop function for example.

  • DMS Approvals Outside of Workflow

    My particular issue relates to DMS, but I suppose that the scope of the issues is in fact more broad.
    I have a DMS network controlled by workflow. DIRs are routed to users for review.  A work item is placed in their SAP Inbox, and when they click on the workitem, they are brought to the DIR where they can change the status (Approve or Reject.) 
    Reviewers have a security role assigned which allows them to access the DIR in change mode.
    My issue is this:  Knowledgeable users can simply go to transaction CV02N and change the status.  If they do this, they completely bypass the work item in their SAP inbox, and the workflow never proceeds. 
    I need to be able to restrict access to the DIR unless they are accessing through the inbox. 
    Has anyone here solved a similar issue?

    We have an interesting approval structure.  While people may have access to CV02N for a particular doc type, they might not be part of the approval chain for a particular document that is being routed.
    Imagine that there are 3 groups of people.
    10 Regulatory Reviewers
    10 Product Safety Reviewers
    10 Statistics Reviewers.
    The author of a DIR picks one person from each group to route
    the document to for approval.  Each gets the work item simultaneously.
    If they process through their inbox, the workflow works correctly.
    If they process outside their inbox, the workflow does never proceeds (eventually times out due to deadline monitor.)
    If someone else in their group gets curious, they can make a change to the DIR outside the control of the workflow, potentially messing things up (status network is automated, but if you approve directly through CV02N, the status can be set to something it shouldn't.
    Desired behavior: If a valid user does an approval directly through CV02N, we should complete the work item and pull it from their inbox.
    If an invalid user does an approval directly through CV02N, the system will log it, and the workflow should react to return the status of the DIR to "In Review" so that the proper reviewers can complete their review.
    I suspect this can be accomplished using Asynchronous tasks and terminating events.  I am curious if anyone else has solved something of similiar complexity.  This is more of a workflow question than a DMS question, but DMS users who work with the system long enough will probably come up against this sooner or later.

    1. can versions of same document be shown graphically?
    You can display all existing versions of a document info record by using the menu 'Extras' >> 'Versions'. Then you will see all existing document version for this specific document number. Further you will see which is the current version at the moment.

    I'm not quite sure what you mean by links to documents. If you mean linking document info records together, I can confirm that this works also in DMS. You can maintain the object DRAW for object links in the customizing and then you will be able to link one document info record to another. The data for all document info records is stored in table DRAW.
    If you are talking about originals which are linked to document info records, please note that if you check in an original the system creates a unique LOIO- and PHIO-ID which is stored in the Content Server and in the database tables DMS_DOC2LOIO and DMS_PHIO2FILE. But there are also different reports to migrate original data from one content Server to another (e.g. DMS_RELOCATE_CONTENT).
    3. Is there a notification mechanism(user can recieve e-mail when document gets changed)
    Yes you can activate an event type linkage for object
    DRAW     CHANGED     DOKST
    DRAW     CHANGED     DWNAM
    in transaction SWE2. Here you just have to set the flag for 'Type linkage' (linkage activated). Then everytime the document is changed a notification is sent to the entered USER of this document info records.
    4. Is there a review mechanism, before doc. is archived.(sort life cycle)
    Normally there is no special lifecycle. You can control this by maintaining a released status and if there are more versions always version with the release status is the current one. But there is no specific date when the document info record expires or something like that.

  • DMS Version Question

    We have a Doc type with versioning enabled. 00, 01, 02, etc.
    We also have a status network defined for this Doc type, and the documents are approved using this network.
    Is there any way to control versioning so that a user cannot create a new version until the previous one is in active/release status? 
    It is a regulatory non-compliance issue to have the following
    DIR #               Part   Version    Status
    10000000101    000      00         Active
    10000000101    000      01         Draft
    10000000100    000      02         In Review
    As you see above, doc version 01 is orphaned at best, or at worse someone else could initiate a review on that as well. 
    We'd like to be able to prevent creation of 02 unless 01 is in Active status.

    You can achieve your goal with a combination of version/revision, engineering change managment and release process methods. In discrete industries, especially, automotive, this combination is a mandatory to indicate enterprise-wide users in the downstream or upstream process that the released flag with revision indicates authoritative document from the source and therefore, any other document that may be present in the system without release flag and revision is not authorized for use--this is a corporate edict that is inherent to business operations. This method has been "borrowed" from product development organizations in discrete indutry to other functions such as regulatory.
    In SAP DMS, configure document type for automatic assignment of revision with respect to a change number-- broadly speaking, a number that brings associated changes or new information into effect. And, release status must have release flag and complete for ECM settings.

  • DMS Technical question.

    Hi,
       We want to turn on DMS for plant maintenance functional locations. There are about 5000 JPEG documents and the growth rate of the document number is minimal.  Hence we chose to store those documents on a secured folder on the network . Now the question is how do i link or provide the path of those documents to the Document master in R3? We are not using citrix. Any suggestions would be very helpful. Thanks!!

    Hi Evgeniy,
    Basically DC10 is a Tcode, with which you can define your own Document Type with all its fucntions you require like: "<b>Statuses"</b> for that particular document type and <b>"Objects Linked"</b> (BOM, MM, Class, PO, etc) for that particular document type and <b>"Number Ran</b>ges", and views <b>mandatory or optional fields</b> in that particular Document type.
    In DC20 is to define the "Data Carrier Type" and the Path from were the original application files (*.WRD, *.XL, *.ACD etc) Displayed only if you have stored this in SAP database.
    In DC30 You define the "Workstation Applications" like ACD, WRD, XL, PDF etc
    & its integration with Document types, or if any templates required to store for a particular document type.
    Your requirement is to use R/3 Database for storing the Files (i.e. in CACHE Server) right???
    You need to define the "REPOSITORY" & CATEGORY for Content
    the TCode are<b> "OAC0" & "OACT"</b>  or the Path is as shown below
    <b>SPRO>SAP NEtweaver>SAP Web Application Server-> Basis Services>
    Knowledge Provider--> Content Managment Services</b>
    Basically this is for storeing the Attachements (Originals in SAP terminology) into your Content Server or Cache Server if you are using standard SAP provided category & Repository

  • Questions on DMS connector for KM

    Hi,
    I have two questions for this BP:
    I have installed this pachage into my portal 7.0. VariantPrefix is configured with 'KM' in  "System Administration -> System Configuration  ->  Knowledge Management  -> Content Management  -> Repository Managers  ->  DMSRMRepositoryManager ".  and I create standred Variant 'KM_TEST_01' without checking the 'User-specific' box  in cv04n of  ECC6.0.  I test it successful. In Document Explorer of the portal I can see this Variant  'KM_TEST_01'  in the dynamic folder. But I can't see any document under this Variant. I can see documents under personal folder and public folder.
    another questions:
    I can't upload file through "Document Explorer ->Folder->new->Upload", it give me a message " 'XXXXX' does not exist, or file is empty; you cannot upload empty files." but I very sure this file is exist.
    How I can solove the questions?

    Dear all,
    If you are sure that the file excist, then there is one thing left and that is to check it's size.
    I just did a check on our system:
    1. I created (on windows) a new txt file, kept it empty and saved it.
    2. I checked the file size and it states: "0 bytes"
    3. Tried to upload it via KM upload funtionality and got the same respons.
    I guess it is some kind of security "feature" that it checks for a contentsize of 0 bytes and if so ignores the upload...(Maybe an SAP employee can confirm this?!)

    Hi! We have single DMS system with cast module. Can we extend our license to add a signs module at later time? Or we need to buy the whole new licenses (cast+signs+dmp's ones)?

    Yes you can add aditional licenses later without buying all the licenses again.  We do this often when we add DMP.

I have a question about Configuring JDeveloper to Generate Configuration Files That Are J2EE 1.3-Compliant. Do I need all the files in table 34-3?     I already have some of these files. Can I change the version of existing files or do I need new ones? How can I change the version of existing files?

  • Problems checking in files to DMS

    Hi DMS gurus,
    I have some questions regarding the checking in files to SAP DMS. Any help would be very much appreciated.  
    1. Ideally, I need to check in a binary table with the file content directly to DMS.  Is it possible? I am trying to use CVAPI_DOC_CHECKIN with PF_CONTENT_PROVIDE = 'TBL', but it doesn't work because there is no path for the file name in PT_FILES_X since I do not have a file, just a binary table.
    2. How to automatically delete the file from the source after it's been checked in? The checkbox "Delete file after check-in" is marked in configuration for WS application, but the source file is not getting deleted.
    3. How to check in the file from Application server using BAPI_DOCUMENT_CHECKIN2? The HOSTNAME requires the network address, but how to configure it. In SPRO I found network addresses for Data carriers. Not sure if it's the place.

  • Uploading & Downloading Files into DMS Server using Web Dynpro Java

    Hello Friends,
          I want to Upload a file from Portal to Document Management Server and to Download a file from Document Management Server to Portal,  In short, I want to give the user the facility to Upload a File into DMS Sever via Portal and also to download the file from DMS Sever via Portal.
      Can anybody give me a Input for the same from Both Java Development End as well as ABAP End, more inputs are required from ABAP end, since i have a very less ABAP Experience on working with DMS. Few Questions i have in my mind?
    1. How to actually access the file contents with the help of Document Number?
    2. With the help of Doc-Number we can extract the file from DMS sever but to provide a option for downloading in portal, the   RFC should convert the File Contents into X-String or is there some other way?
    +3. While Uploading the Data should be given in Which format to RFC? Are there any limitation with respect to size or formats. Is there any Standard RFC i can use directly in WD4 Java application to upload the file into DMS Server and which will return me the Document Number? +

    Now, I am able to download the File in Portal via my WD4 Java Application from DMS Server by passing the Document Number, but I am facing the problem in downloading the PDF files, Its not working for PDF files. Please give me inputs for the same.

  • Cfolder questions

    Hi Experts,
    I have couple of question related to CFolder which a test system configured and running on a SAP sandbox WAS.
    1) Can CF be extended to outside suppliers without  a need of an sap UI and password? If yes, do they just need any special  type of windows authentication? We have a mix of suppliers, some has access to SAP and some prohibited, but requires access to some limited SAP information.
    2) Out of the box cfolder solution allows to work with SAP objects like Material, MPN, Documents, BOM etc....can you import SCORE CARD and SCAR objects from SAP. Or do you need SRM integration with CFOLDER?
    3) Can you integrate BOBJ for publishing monthly (Excel, graphs etc)  reports to the supplier area of the cfolder?
    4) What are the pros and cons of running a cfolder system on the SAP ECC server itself. Does it need to be installed on its own server hardware?

    Answering to your questions..

    Yes, cFolders is mainly available  for collaborating documents, materials, BOM's etc. with business partners like suppliers, customers. No need of access to SAP GUI for using cFolders, since cFolders is web based application(BSP application) which can be accessed using backend SAP user id's with relevant authorisations.If few suppliers has already access to SAP system, then those user ids can be used to access cFolders, Check with your accounts manager of SAP for licensing details.
    2) Out of the box cfolder solution allows to work with SAP objects like Material, MPN, Documents, BOM etc....can you import SCORE CARD and SCAR objects from SAP. Or do you need SRM integration with CFOLDER?
    cFolders can be easily integrated with SAP ECC system for accessing documents from DMS, materials, BOM's.  And as far as Score card & SCAR, i have no idea but SRM can be integrated with cFolders.
    3) Can you integrate BOBJ for publishing monthly (Excel, graphs etc)  reports to the supplier area of the cfolder?
    Business objects integration..not much idea about it but the outputs from BOBJ like excels, flash files can be uploaded to cFolders very easily and can be shared with suppliers.
    4) What are the pros and cons of running a cfolder system on the SAP ECC server itself. Does it need to be installed on its own server hardware?
    cFolders is part of component CPRXRPM and this component is a ERP addon, so it can be installed on the same server of ECC. This can be installed separately also, but I would recommend to install on same server since the integration becomes easier. If you take reference of business suite IDES, the above component is installed in the same instance and you can have a look at this.

  • File Export question and ID3 Tags

    First question, have tried using Apple's recommended method of using QT Pro to export movies as "iPod" but when attempting to sync to an iPod get an incompatible file format. What is the "right" export option?
    Secondly, on one file I've imported it into iTunes then set all the ID3 fields to my liking, then uploaded into iTunes U but the fields are incorrect. I've tried deleting the file from iTunes U several times and re-imported the file into iTunes and set the ID3 fields and still nothing. Any suggestions on how to get my file up and hold the ID3 fields info?

    If you've been having ID3 issues with MP3s, that was recently corrected (well, just the album art thing, everything else worked as far as I know). I've had bad luck with third party ID3 tag editors, so we are recommending people do it through iTunes.app
    Since you are already doing that, I'd be worried that my site was set to overwrite the tags (this is an option). If you're the admin, you can check it, otherwise you can ask them.
