DMS workflow and signature strategy

Hi Everybody,
          In one of my scenarios i am working on DMS, to implement signature strategy i created two roles called Manager, Designer. Designer is the predecessor for the Manager. I defined these all things in Signature strategy and they are working fine. But my problem is how to link these roles to the real-time users. I am working in IDES. In IDES we can do approval with any login. But in real time i wanted to link these roles to real-time users. One more question is how to link these signatures with organizational plan. Suppose manager changes for a particular designer. The request should go to new manager. Where to define these all things? Is there any relation for this question with organizational plan and Workflow?
        If any further classification needs please let me know ?

I need your help !!!
I am currently working on DMS in an ECR/ECO workflow.
All the documents need to be digitally approved. I am facing some problems ... here are some of these ...
Documents have three statuses and the it requires 3 parallel approvers.
RA - Ready for approval
IR  - Initial release
RL - Final release
As soon as the document reaches status RA, it routes to the 3 approvers. So the first person signing the document changes the status to IR and then signs the document. The workitem then dissappears from his inbox.
Now the problem is  - the work item dissappears even from other 2 approver inboxes.
I have used the method  DRAW - EDIT in the task that gets signatures and the terminating event for this step is DRAW - CHANGED. I have used table driven dynamic processing to route the work item to 3 approvers.
My requirement is typically this:  Workflow triggers when the document status changes to RA and routes it to the three approvers.
First approver changes status from RA to IR and then signs digitally when system asks him (we have set up signature strategy at IR status).
The second approver when he sees the document in his inbox sees the status IR and knows that the document is in approval process. He too signs the document.
Now when the third approver signs the document, workflow has to change the status to RL (final release).
I am completely new to digital signatures too - please let me know if u have any useful information/material/functions/programs covering DMS and Digital signatures. Please send them to my email id    [email protected]
Also let me know if u know if u have idea as to how to achieve the above said requirement.
Also one of the most important things I need info is linking signature authorizations and org model positions. Will u please elaborate on this????

    Approval or digital signature process in PLM involves creating authorization groups, signature strategies and assigning individual signatures to signature strategy groups.For example, to create digital signature for Engineering Manager, you create authorization group say ENGMGR and define it as individual signature and assign it to a signature strategy group.
    Business workflow is used to automate a business process.For example,it can be used in PLM-DMS for document review process.This can be triggered by status change(has to be defined in customizing) in document.

  • DMS & Workflow - Handling Digital Signatures

    Hello,
    I have set up a DMS status network, and I'm controlling this network using workflow.
    My workflow listens to "DRAW" for changes, and when a particular status is seen,
    workflow starts.
    This workflow sends out work items to several users, prompting them to review.
    At this point, users can go into the DIR from their Inbox, and either select Approve or Reject Status.
    Both Approve and Reject status are set up to require a Digital Signature.  Workflow controls moving the status back to a "ready" state for the next reviewer.  It also keeps track of the number of reviewers, in order to know when all reviews are done.
    When everyone behaves in timely manner, this works great.  Workflow has no issue with setting DMS statuses - in most cases.
    However, I also have deadline monitoring set up on my workflow.  After 3 days pass with no action, I want to "auto-reject".  System id WF-BATCH is what I use to set statuses through workflow, and this works fine in most cases. However since the status "Approve" and "Reject" are set to require digital signatures, this system initiated status change FAILS.  The system does not provide a digital signature for itself.
    My question is - is this possible through configuration - to set it up in some way that a system ID can promote to a status and either pass a password or simply not require a digital signature?
    My network is kind of stuck at this point because one of the 2 statuses MUST be selected for it to proceed.

    That's an interesting suggestion... I'll investigate.  Any additional detail you can provide on how to implement this User/Pwd hard coding in WF would be appreciated.
    In the meantime, here is some additional info.
    Imagine a status network as follows:
    Draft
    Initiate Workflow
    In Review - Reject/Approve
    Active
    Document starts in draft.  The author selects a status of (Initiate Workflow) at which point the workflow starts.
    Workflow moves the status from (Initiate Workflow) to (In Review)
    and puts a work item in the reviewers mailbox. Reviewers can change the status to (Reject) or (Approve) and each requires a digital signature.  After each reject/approve, Workflow moves the status back to (In Review) so that the next person may act.  When everyone has reviewed and approved, workflow moves the status to (Active).  If anyone has rejected, workflow moves the status back to (Draft.)
    This is a simplification, but that's the scenario.  WF-BATCH is our workflow ID that has SAP-ALL authorization.  Problem occurs when deadline monitoring is in effect.  If a reviewer doesn't act within the designated deadline, the monitor fires and the work item is flagged as obsolete.  Due to the status network, the only valid path is to either move to (Approve) or (Reject).  But since both of those statuses have been set up to require digital signature, they fail.  We end up stuck in (In Review) with no way out.
    If hard coding the userid WF-BATCH and the password in some table will solve this problem, then we'd be thrilled.

  • Problem with Digital Signature strategy in Document Managment System

    Hello ALL,
    I am facing problem with Digital Signature strategy in DMS. If any help its greatly appreciated.
    I have senario where Approvers in DMS will review the document and approve the document and put on their digitial signature. if i have multiple approvers maintained in the characterstics it has to check weather it has been approved by all approvers otherwise it has to reset the status to for approval.
    My problem is i am able to reset the status back from approved to for approval using the badi document_status01 but when the next approver logs in to the document and change the status to approved he is not able to get the digital signature pop up which it comes only first user approves it.
    can any one help me out on whats going wrong in it.

    Hi,
    maybe the reason for this is that the status of the digital signature is not changed. Then the system thinks that the digital signature is still completed and therefore the user is not getting the pop-up again. The database table for the digital signature for documents is TC77. I hope this information is usefull for you.

    I need to know how to implement Digital Signatures with the use of Signature Strategy in my ECC 6.0 system..
    Here is what i've done already,
    1) Created a signature strategy with user authentication and registered the Signature Object in TA_SIGNO according to the document below.

    maybe the reason for this is that the status of the digital signature is not changed. Then the system thinks that the digital signature is still completed and therefore the user is not getting the pop-up again. The database table for the digital signature for documents is TC77.   • Workflow and ABAP OO

    Hi,
    I have read the excellent blogs on Workflow and ABAP OO by Joycelyn Dart (/people/jocelyn.dart/blog/2007/07/16/referencing-bor-objects-in-abap-oo-classes). I have sucessfully created a  BO (of type SIBFLPORB) in my class. However, I cannot figure out how to retrieve the workitem container that holds the BO. I have used macros before in workflow programming exists, but there I get the container from a workitem context. I can't find the workitem context in my class. Please provide me with some code samples of how I can retrieve the workitem container that holds the BO.
    I am considering passing the workitem id to the method and reading the container via SAP_WAPI_READ_CONTAINER. If this is a good solution, then I see no point in having the BO as an attribute of the classe. Is it a good solution?

    I am probably missing something obvious here (or we are not even speaking about a same thing), but I still try to clarify my point.

    This is the part that I don't really understand. If you already have an instance of a class existing (=there is an object instantiated), which has the BO as an attribute, there shouldn't be any need to change a signature of any method(?). The only thing you need to enhance is the constructor of your class.
    Currently you create the BO instance as an attribute in your constructor method (isn't this correct?). Just create the attributes you need from the BO into your class, and "populate" them in your constructor. Or if it is an method that you need, just create a similar method (=you can copy the code) into your class.
    This all might be much easier than using the WF macros, which shouldn't be that difficult either - as Jocelyn says:
    "You will still need to use BOR macros in your ABAP OO classes if and only if you want to call BOR attributes and methods in your ABAP OO methods.
    If you need to do this then make sure you include the BOR macro definitions in your class by putting the special include program <cntn02> in the "Macros" section of your ABAP OO class."

  • Dynamically assigning digital signature strategy

    Hi Experts,
      I have a requirement where I need to dynamically assign different signature strategy to document approval based on the number of approvers.
    In our case for the same document based on the level of changes number of approvers might be different ( 3 - 12). We are planning to achive this by allowing document owners to select the approver using a approval workflow
    I also know that there is a limition of 8 approver slots on the default signature strategy.
    Please advise what is the best strategy in this case.

    The configuration steps seem to be in line.
    Propose you revisit and check if you entered both the first name and last names of the users for whom the signature strategy is to be enabled. Once done, you must be in a position to execute it without any hitches Do revert if the issue still persists.

                First you have to confirm what kind of release it is in Purchase req you have Item level release and over all release.
    Item level release - WS00000038
    Over all Release - WS20000077
    Now please confirm with your MM consultant that he has done the release Strategy and tesed it Ok.
    Escecially things like assigning plant, Assigning Agents,Release codes and so on when everything is done by him in SPRO.
    Now your work starts If it is just release use the standard workflow.
    If they need additional notification mails and things like that copy the standard workflow and do the customization in the copied version and deactivate the standard workflow.
    You can also do dead line monitering (Factory Calander) and many more things.

  • Workflow and dashboard question

    Hi there,
    I'm project managing a SharePoint implementation and, although I know the basics of SharePoint's capabilities, I'm now diving into more complex requirements related to workflows and dashboards.  
    Context:  We're working to consolidate our metrics (both quant and qual) from all business units on a quarterly basis.  Some of the metrics are consistent across BUs, others are unique to particular units.    
    Approach:  I'm thinking we want to create either one form or multiple forms where units can add their baseline goals and progress.  After the data is entered, I want it to aggregate into an excel spreadsheet(s) so we can analyze it and ultimately
    create different dashboards and graphs to visually represent the units' progress.
    I imagine this is possible, but is this the best approach?  What apps are the best to use?

  • Signature strategy

    Gurus...
    I want to design a signature strategy in which a DIR is processes through multiple users and finally gets the release status, and at each stage it has to be digitally signed.
    Document status    /  DIgital signature           /          Release status
    IW (In work)            /  --                                 /        --
    T1(test status 1)     / consultant                    /       --
    T2(Test status 2)    / User                             /      --
    PA(Part approval)   / BPO                              /     --
    RE (Released)         / Manager (Business)    /     Released
    I tried several times..... each time for the all statuses it proposes only 'consultant's' signature...... on only one signature it gets released to the end.
    I am using digital signature by SAP user id and passwords.
    Please help.

    Gurus.....
    I tried the same by making four different signature strategies (e.g. T1, T2, T3 & T4) and assigned exactly one signatory for each of them. (e.g. T1-Consulatnt, T2-User, T3-BPO, T4-Manager).
    After this for the document statuses I assigned these strategies as 'Test status 1' (T1), 'Test status 2' (T2), 'Part approval' (T3) and 'Released' (T4).
    It works fine... but I dont think this is the way to do it....
    This should happen through one signature strategy only, not four...
    Please guide...

    I am looking for something like what you see when you click on the "STARTED WORKFLOW" in the business workplace outbox.
    Which shows up the "steps in the process so far "  and the decision and the agents for each of them.
