DMS & Workflow - Handling Digital Signatures

Hello,
I have set up a DMS status network, and I'm controlling this network using workflow.
My workflow listens to "DRAW" for changes, and when a particular status is seen,
workflow starts.
This workflow sends out work items to several users, prompting them to review.
At this point, users can go into the DIR from their Inbox, and either select Approve or Reject Status.
Both Approve and Reject status are set up to require a Digital Signature.  Workflow controls moving the status back to a "ready" state for the next reviewer.  It also keeps track of the number of reviewers, in order to know when all reviews are done.
When everyone behaves in timely manner, this works great.  Workflow has no issue with setting DMS statuses - in most cases.
However, I also have deadline monitoring set up on my workflow.  After 3 days pass with no action, I want to "auto-reject".  System id WF-BATCH is what I use to set statuses through workflow, and this works fine in most cases. However since the status "Approve" and "Reject" are set to require digital signatures, this system initiated status change FAILS.  The system does not provide a digital signature for itself.
My question is - is this possible through configuration - to set it up in some way that a system ID can promote to a status and either pass a password or simply not require a digital signature?
My network is kind of stuck at this point because one of the 2 statuses MUST be selected for it to proceed.

That's an interesting suggestion... I'll investigate.  Any additional detail you can provide on how to implement this User/Pwd hard coding in WF would be appreciated.
In the meantime, here is some additional info.
Imagine a status network as follows:
Draft
Initiate Workflow
In Review - Reject/Approve
Active
Document starts in draft.  The author selects a status of (Initiate Workflow) at which point the workflow starts.
Workflow moves the status from (Initiate Workflow) to (In Review)
and puts a work item in the reviewers mailbox. Reviewers can change the status to (Reject) or (Approve) and each requires a digital signature.  After each reject/approve, Workflow moves the status back to (In Review) so that the next person may act.  When everyone has reviewed and approved, workflow moves the status to (Active).  If anyone has rejected, workflow moves the status back to (Draft.)
This is a simplification, but that's the scenario.  WF-BATCH is our workflow ID that has SAP-ALL authorization.  Problem occurs when deadline monitoring is in effect.  If a reviewer doesn't act within the designated deadline, the monitor fires and the work item is flagged as obsolete.  Due to the status network, the only valid path is to either move to (Approve) or (Reject).  But since both of those statuses have been set up to require digital signature, they fail.  We end up stuck in (In Review) with no way out.
If hard coding the userid WF-BATCH and the password in some table will solve this problem, then we'd be thrilled.

  • SharePoint 2010 Collect Signatures workflow - no digital signatures?

    Hello, I configured a "Collect Signatures" workflow for the content type "Document", then uploaded a MS Word 2010 (.docx) document as content type "Document".  This Word document as 2 empty Signature Line in it.
    I then start the workflow, basically 2-stage with 2 person from my Active Directory.  However, what I found is that when I go to my workflow task and click on the "This document requires your signature" link, it pops up a "Workflow Task" box in the
    browser.  There is a "Sign" button which I can click to sign but it does not sign on the signature lines inside my Word document.
    What am I doing wrong here?  Or does SharePoint 2010 Collect Signatures workflow no longer work with digital sigantures?  Thanks.

    We have chceked by setting up a repro at our end and its not possible to complete the workflow without opening the document . Also below are some additional findings that I have and would like to share :-
    1)      In Office 2007 (Word and Excel) you can click on the office button from the respective application while you have the concerned document open in it. This triggers the collect digital signature workflow and the users signs
    it immediately as he can see the popup on the screen. Still he has to go to the task list to complete the task which I would say is a manual process following the workflow task is 100% completed.
    2)      In SPS2010 with Office 2010 we do not have an option to trigger the workflows from within the Office document. Instead you directly go to task list to open the task and click on sign button to complete the task. Here you
    still need to open the document again and digitally sign it. The difference is workflow here is not triggered in Office document. Even here it is a kind of manual process except that you don’t see a popup to sign document immediately from Office document
    due to the fact that workflow is triggered from SharePoint task list.

  • Handling digital signatures

    Ive read that you can enable digital signatures in PDF
    documents, but can you lock down the document once the signature is
    applied ? Once the PDF is signed, I dont want the user to be able
    to modify anything. Is this possible ?

    Thanks, im fairly new to Acrobat, as others in my group are
    the Acrobat users. To date, their use of Acrobat has been very
    limited to mostly converting MS Word documents to PDF. There is
    talk of creating fillable forms using these PDF files. There would
    be multiple signatures within the PDF, but only one of them (the
    customers signature) should cause the locking of the file so that
    it cant be edited any longer, yet can still be read.
    Can a PDF be filled out and signed all within the Adobe
    reader, provided the signature components are installed ? Speaking
    of which, what are the extra components needed for handling
    signatures that can tie in to these Adobe functions to lock the
    form?
    My role is that of a software developer, and I would be
    tasked to parse through the data on the forms. The PDF files would
    be uploaded to a folder on a server, and then a process would run
    to parse each of them to extract the data. However, Im also trying
    to find out if its even possible build the PDF's in such a way that
    our end users wont need Acrobat licenses to fill in the forms and

  • Digital Signatures with Adobe Reader

    So i created an adobe form with acrobat 9 and sent it out for all to digitally sign.  about half are getting an error when they try to sign it.  "The credential selected for signature is invalid"
    We are a government agency and use Common Access Cards (CAC) certificates to digitally sign with. 
    i was hoping someone out there could either point me to a good recource for adobe and digital signatures or to a possible fix. 
    now we have narrowed it down to the problem being with the specific machine.  the user can digitally sign the document on another machine, but not on thier own machine.  Also, no one else can sign the doc on thier machine either.

    issue still exists.  ive been searching for some info on how adobe handles digital signatures, like what folders are created on the machine.  im thinking maybe i can clear out the app data for acrobat or something.  im at a loss at the moment.

  • DMS workflow and signature strategy

    Hi Everybody,
              In one of my scenarios i am working on DMS, to implement signature strategy i created two roles called Manager, Designer. Designer is the predecessor for the Manager. I defined these all things in Signature strategy and they are working fine. But my problem is how to link these roles to the real-time users. I am working in IDES. In IDES we can do approval with any login. But in real time i wanted to link these roles to real-time users. One more question is how to link these signatures with organizational plan. Suppose manager changes for a particular designer. The request should go to new manager. Where to define these all things? Is there any relation for this question with organizational plan and Workflow?
            If any further classification needs please let me know ?

    I need your help !!!
    I am currently working on DMS in an ECR/ECO workflow.
    All the documents need to be digitally approved. I am facing some problems ... here are some of these ...
    Documents have three statuses and the it requires 3 parallel approvers.
    RA - Ready for approval
    IR  - Initial release
    RL - Final release
    As soon as the document reaches status RA, it routes to the 3 approvers. So the first person signing the document changes the status to IR and then signs the document. The workitem then dissappears from his inbox.
    Now the problem is  - the work item dissappears even from other 2 approver inboxes.
    I have used the method  DRAW - EDIT in the task that gets signatures and the terminating event for this step is DRAW - CHANGED. I have used table driven dynamic processing to route the work item to 3 approvers.
    My requirement is typically this:  Workflow triggers when the document status changes to RA and routes it to the three approvers.
    First approver changes status from RA to IR and then signs digitally when system asks him (we have set up signature strategy at IR status).
    The second approver when he sees the document in his inbox sees the status IR and knows that the document is in approval process. He too signs the document.
    Now when the third approver signs the document, workflow has to change the status to RL (final release).
    I am completely new to digital signatures too - please let me know if u have any useful information/material/functions/programs covering DMS and Digital signatures. Please send them to my email id    [email protected]
    Also let me know if u know if u have idea as to how to achieve the above said requirement.
    Also one of the most important things I need info is linking signature authorizations and org model positions. Will u please elaborate on this????

  • Digital Signatures and SharePoint Workflow

    Hello,
    We are trying to combine .pdf documents (created in Acrobat 9 pro) requiring a series of digital signatures with a workflow process in MS SharePoint 2007.  If a Word document is used, each person in the workflow process can open the document on the server and any changes made are saved to the document for the next person in the workflow to see.  However, a .pdf document is opened in the browser and can only be saved as a local copy after signing it.  Does anyone know if there is a way to have the .pdf opened on the server in the same manner as Word documents?
    I know you can send .pdf's vial email for signing but we really need the overall visibility SharePoint provides.

    Hi David,
    SharePoint Integration has been added in Acrobat X and Reader X. With this version of the product, you can open SharePoint files in standalone Acrobat and check-out, check-in and versioning of pdf files works in line with MS Word. I think this is what you need.

  • Digital Signatures in DMS

    Hi All,
    Can anyone pls help me in understanding how to implement digital signatures in DMS.
    I have used status network in which for one of the status I have set doc status as RELEASED and also I have used this option "SignStrat" for which following is the error msg "you must set an audit indicator and lock status for digital signature"
    My requirement is while changing every statuses system shud ask for digital signature/approval only then it has to change to next status.
    Please provide me necessary inputs.

    As per your requirement, Do the following configurations.
    Transaction Code : SPRO
    IMG Menu     -> Cross-Application Components -> Document Management -> Approval -> Define Authorization Group
    Define Authorization Group
    Define Individual Signature
    Define Signature Strategy
       Assign Individual Signature
    Transaction Code: DC10,
    Goto Define document types,
    Select the appropriate Document Type,
    Goto Define document status,
    Select the appropriate Status,
    In that screen,
    Enable the "Content Version" attribute.
    Select the "status type"  as "S"
    Do these confgurations and let me know in case of any issues.

    Hi Amit,
    This is very much possible.
    all you have to do, is store the keys of the signatures, in keyStore of the Visual Admin.
    Then, programatically, you can fetch these signatures from the server & sign the document.
    There are standard BAPIs provided for the same.
    This process is called: Server-side digital signatures.

  • Use of digital signatures within a workflow

    Hello all,
    We attempt to build a workflow, where users will be digitally signing the forms being routed. However there are implications some implications with signing the documents.
    Here is the use scenario
    1. Initiator fills a form with datadigitally signs the formand then submits the form.
    2. 1st participant reviews the signed formthen he also signs the form on a separate area
    3. The signed (by initiator and participant) form is then archived. The data are extracted and stored to a third party system (e.g. a database)
    What we have tried up to now
    a. used Designer 7.0 to design a XFA form template incorporating some data entry fields and two signature fields.
    b. embedded a binding schema and saved as .xdp
    deployed the form to LC Form Manager
    c. we RE the deployed form properties to allow for digital signatures in Reader
    d. used Workflow Designer to create a simple workflow with two users (initiator to fill and sign the form, 1st participant to sign the form, 2nd participant for viewing the result)
    3. set a Init-Form to use this particular template (the url points to our form)
    4. set a Form-Var (the variable is of type document, the XFA schema is also displayed)
    5. set data mappings (user properties) to use Form-Var as both input and output
    Now, the sad story
    i. initiator logins to FM, selects the form, fills some data, signs and submits the form
    ii. 1st participant receives a working item in his worklist
    iii. he opens the form, any data the initiator entered are there, BUT the digital signature field (where initiator previously signed) is EMPTY
    iv. initiator navigates to his archive and sees the same (data but no signature)
    Remark: whenever this form opens (1st participant worklist or initiator archive), the form takes up all the space within Internet Explorer, i.e. the FM left-side navigation and any other frames disappear
    Any idea to workaround on this would be great. Thanks in advance for your help,

    Hi Evangelos,
    Your issue is that you are submitting back an XDP format and not the PDF format. To resolve this issue, open your form and select the FSSUBMIT_ field from the heirarchy. Click on the Object palette and look at your Submit options. On that tab look at the Submit Format dropdown. You will want to choose PDF instead of XML Data Package (XDP). I have attached the working version of your form!!!
    Basically you where reconstructing the PDF with the submitted data (the data does not have the signature in it) and hence the signature was being lost. The signature info is only part of the finished PDF.
    NOTE: that the signatures will break from step to step (i.e. a yellow exclamation mark will appear) but Adobe are aware of this, and it will be fixed in the future.

  • Digital Signature and workflow functionality in Enh Pack

    We are working in ECC 6.0 environment. Recentaly we have activated Enh Pack 3 and 4 in our system. After that I can couple of additional QM functionality in system. SAP has provided few more settings in SPRO to activate digital signature in QN and workflow in standard peace.
    I would be wonder if anyone has used those function in standard system without any custom development.
    How can we use/ activate those (digital signature for QN and workflow) functionality? Reply appreciated.

    Level -Header /Task Notification Type
    Business  
       Transaction
    Signature Type
    Strategy
    Enter the Business Transaction: like PMM2 for Put notification in process,PMM4 for Complete notification,     QN40 for Release Task etc
    Depending on your configuration systems asks for digital  signature when you set header level status or Task level status
    Means if u set Digital signature for PMM2 for Put notification in process system prompts for Digital siganture.

    We want to implement digital signatures in SAP DMS, but we're not sure on how to accomplish it. We have the following scenario:
    1. All the users have a digital certificate which is part of the Portuguese ID card;
    2. Currently we're all using this certificate to digitally sign e-mails (they use their laptops integrated card reader), for example;
    3. We also want to use this certificate to sign DMS documents.
    Do you think the above mentioned scenario is possible without licensing additional software? If so, can you guide me through the customization steps?

    It is quite possible to achieve your requirements using the digital signature strategy available in SAP DMS.     In your case,more specifically,you need to adopt the signature method during customization as 'User signature with external security product with/without verification' for which your I-Card reader would also be required.

  • Digital Signature & Save As via internet

    Hello,
    I am currently trying to figure out a problem that my users are having when they are working with a web based application that handles workflow. When they open and then sign a pdf with their digitial signature they are prompted to save the document. The web developers have informed me that the user is supposed to save OVER the document already open without changing the name. Well, we can't. When we try and save over the document the following error pops:
    "The document could not be saved. This file is already open or in use by another application."
    The program creates a personal store for temporary documents that are "ckecked out" of the system in their own user folder. They have full rights to that folder.
    Now - the developers of this application have assured me that this is NOT supposed to happen. We should be able to save over the current document and be perfectly fine.
    The program is designed to capture the newly signed document and upload it back to the website with the same name.
    If i do the same process without being connected to the internet I can save a file over itself with the same name after a signature without a problem. This only seems to happen when the document is opened through the internet.
    I'm scratching my head after 10 days of trial and error and research. Is this an error with our systems here or is this a limitation of Acrobat and these developers are wrong?
    We are using Acrobat Professional 8.2.2 with IE6 & XP SP3

    Not since Acrobat 9.  It was done this way as a change to the way Digital Signatures were handled starting with Acrobat 9.  There is a document that discusses the change on the Devnet site.
