E Recruitment authorizations

Hi All,
We are implementing E-Recruitment 6.0 EHP3.
As per my understanding, any candidate can be hired against a job only after he/she is registered into talent pool.
Once the candidate is registered to the talent pool, his/her application will be accessible to all the recruiters.
Our customer has a specific requirement where in a job posting and corresponding applications for it to be secret and only intended recruiter and manager should have authorization for it.
Once the vacancy is filled, the candidate application should also not be visible to anyone except for the one who has processed the application.
Can anyone pls let me know how this can be done ???

Hi,
this is not realy working. As long as there is the candidate information function everyone can navigate to the candidate overview (the screen w/ the three tabs assignments, activities, trm) where you see all applications of the candidate.
To solve your requirement you have first remove the information from the data overviews. And you have to solve the problem with the application list in the candidate overview. I have a customer who modified the system so noone can access the candidate overview neither from candidate information nor from the list of assignments - but this leads to the restriction that you cannot send candidate related correspondences and cannot create additional candidatcies to an existing application. Another solution would be modifying the list directly to filter according to recruiting team membership. A so far not tested approach would be some working with structural authorizations which would not need modifications but I had no time so far to do this in my sandbox.

    You can create an application configuration for that application, than assign component configurations for the webdynpro which you create where you define all fields as read-only.
    Than you give the restricted recruiters the links with the application configuration.
    Or you do an enhancement of the webdynpro, but that should be plan B

  • Authorization mechanism, Ztables in e-Recruitment

    Hello
    We are in initial phase of developing a Z application.
    1. We want to host it on e--Recruitment server and use/save data on Z tables
    2. We also want to use ready-to-use e--Recruitment authorization mechanism
    Will it be possible to achive it? I want to see possiblities of additional server apart from e--Recruitment for database (R/3)
    Any ideas.

    Well standard SAP checks wont work on Z tables ie Authorisation with roles and profiles as it is dependent on objects and infotypes, you can have a custom check in the badi where you can implement your own check which you need.

    Can anyone please give me the hint how External recruitment  agencies get acess to E-recruitment to post
    they candidates for the job?

    Follow the steps below:
    1. Enter external agencies from Administrator page.When Agencies are created Business partners are assigned to agencies respectively.
    2. Assign user to business partner using SUGR. Assign corresponding E-Recruitment authorizations to User.
    3. Provide the BSP application  External application entry to agencies in your companies website.

  • Manager requisition request not displayed in table 5125 and 5131

    Hello Experts!
    We are testing the managers' requisition and the process is as follows->
    1.Login as a manager( Manager is the head of his org unit...he is not reporting into anyone)
    2.Manager fills the mandatory data and send the form for approval. Supervisor of the requestor is he approver of the form.
    3.We are using a copy of HR_MSSRCF_REQUISITION
    4.Once the requisition request initiated by the manager, workflow WS90000065 will be triggered and the request will be send
    for Approval. Upon the approval data update in the tables HRP5125 and HRP5126.
    Now in our case the once the requisition is sent it is created in the status"Completed". Requisition is not sent for any approval further as the hiring manager is the highest approving authority for his org unit.
    Issue: Now when i check 5125 and 5131 there are no records and neither the requisition is available to the recruiter(support group) selected in the requisition from
    Can you help identifying the blocker.

    The following roles should assigned in EREC and Portal to the manager:
    Backend: SAP_ERC_MANAGER_CI_4
    portal-role: pcd:portal_content/com.sap.pct/line_manager/com.sap.pct.erp.mss.bp_folder/com.sap.pct.erp.mss.15.bp_folder/com.sap.pct.erp.mss.roles/com.sap.pct.erp.mss.manager_self_service
    Also an candidate object (NA) should assigned to the user.
    If the manager want to see the requistions on recruiter side so it's also necessary to add also recruiter authorizations to the user.

    We have EREC on a standalone system (ERD 100). HR ECC is another system (ECD 300), Enterprise portal in another system (EPD 100).
    we are on EHP 5, EREC 605, Support Pack 7.
    We have activated the single sign on mechanism.
    I have following queries regarding role authorizations on EREC in  standalone model.
    1) We have standard reference users  such as recruiter, manager, decision-maker, data entry clerk, rec.admic etc;  the" RCF_RECRUIT, RCF_MANAGER, RCF_CAND_INT, RCF_DATA_TYP" etc, Should this reference users be created both in EREC & HR system or only in EREC system ?
    2) If the "RCF_XXXX" reference users roles are supposed to be created only in EREC system, how to assign reference user roles to employees whose master data is in HR System. ?
    3) Can support teams concept help for mass authorizations? Can someone elaborate on the support team, support group concepts ?

    Just  expanding my query on the 2nd point regarding assigning Reference users like manager, recruiter to certain employees :
    Example: Say I have Emp. No 20003000. He is an hiring manager, In HR System,  IT105, subtype user id is "20003000".
    To assign RCF_MANAGER reference user role to user id 20003000, should i have to recreate the userid in EREC system as well and assign it in SU01 for this user id.
    Would like to take your comments.

  • E-Recruiting and ECC Integration Password and Authorization.

    Hello,
    We are running a stand alone E-Recruiting 3.0 with bringing data from our SAP HR system using distribution model.  Everything is working correctly, but the client does not want to have SSO, so internal users are brought in to E-Rec, but their passwords are not, and they have them due to ESS.  Also when they are brought in, for some reason with Authorization as a reference user of External Candidate.  Any help?

    Yes we need password for them, because we are not using SSO or the portal they manually have to login to e-Recruiting.  We have ess, so they all have ID's and passwords on the SAP HR system.  I thought maybe we can bring in their passwords from there, because they are syncronized to their network id's.

  • Error Occured when Applying Structural Authorizations in E-Recruitment

    Dear Experts,
    The E-Recruitment functionalities were working fine when no structural authorizations are applied. However, when structural authorizations are configured for the user on the backend SAP system (I configured structural authorizations for the user to have access to only his own department), the E-Recruitment module does not work.
    When I tried to access requisitions-> maintenace, application management->applications, etc, (i.e. when the E-Recruitment module tries to retrieve data from the backend), the the following error message occurred.

    I implemented e-recruiting with structural authorizations for a customer and encountered exactly the same error. Anything in the e-recruiting implementation leads to this problem. When you miss some object authorizations the implementation generates an infinite callstack which results in this short dump.
    So be sure you assigned all necessary objects to recruiters and also candidates (NA, NB, NC, ND, NE, NF, BP, CP, P, Q, QK, VA, VB, VC) but this might be difficult esp. with the P object, when you use structural authorizations for other purposes, too. This usually generates problems in manager involvement (e.g. manager can't choose a recruiter to approve his requisition as he has not the structural authorization for the hr department members).
    It is also a bit strange that candidates need for example change rights for the requisition (NB) although they won't actually change it but without it the relation application->requisition, candidacy->requsition cannot be created correctly.
    Last but not least be always sure that you refreshed the authorization buffers after changing structural authorizations. They are usually switched on for better performance.

    PS: be aware that using structural authorizations will keep you busy for some time. we needed ~2 months to set up the system in a way that e-recruiting worked as the custoimer wanted without interfering any other productive hr component (admin, org. mgmnt., managers desktop).

    Let me take you through a brief description of the Authorisation.I am no expert just trying to figure out if I can help you or not.
    At the lowest level are fields one or more of which gets mapped with Authorization object and one or more of which gets mapped with the authorization object class.Finally the required authorisation is being created and assigned to the profiles .
    In e recruitment the objects are :
    Candidates,Candidacy,Applicants etc,Its are 5125,5126,5104 etc till 5136.The infotyps delas with candidates ,applicants and postings etc.So the access and the entry of data in these infotypes should be controlled by some means or the other.
    Hence structural authrorisation should always be there and hence checks will be there.

  • Structural Authorization in e-recruiting

    We are implementing e-recruiting 603 ehp4 in standalone scenario. By customer requirements, the "recruiter" role was assigned to all manager therefore the standard service "Create requisition request" from MSS is not in use. So  structural authorization we need for the manager to create requisition for his position only.
    So, someone know how to perform this or tell me how to complete the table T77PR -the function module, evaluation path, object  type and so on-

    Hello Emilio,
    Structural authorization in e-recuitng are a mess (although I have not found any official documentation which states "It won't work" and solution management says that there is no restriction sap support answers on customer request for that topic that it is not supported).
    Trouble with your requirement is when you restrict the structural authorizatuion on positions for the manager and anywhen run internal job market the manager could not access the position information on a publication if he wants to apply as internal candidate anywhere else in the company. Could get quite tricky to solve this (next to all other issues on this topic).
    If it is just about restricting the search I would exactly do this. Either per modification or by a customer development I'd restrict the search result by the structural information without actually switching on structural authorizations.
    For getting the positions you should be able by using an evaluation path for direct and indirect positions of a manager or if not available use employees under a manager. If it does not skip the positions they should be contained in the result. If not copy it and remove the skip flag (and S-P relation as it is not needed). Unfortunately I cannot say which evaluation paths are really standard as most systems I use are enhanced here.

    Your application and development work, right?
    The check you do is more or less a warning, that the PAOC_RCF_BL package is not visible, within your package.
    If your application works, ignore it.

  • You are not authorized to execute this application in SAP E-Recruit

    Hi,
    We are getting the below error while going to recruitment page for recruiter:
    "You are not authorized to execute this application"
    At the same time when we check in SLG1, we get the below errors:
    No candidate could be found for US E0023127
    The error occurred in program CL_HRRCF_CANDIDATE============CM003 line 361
    Apart from this we are not getting any dumps/traces in ST22/ST05/ST01.
    When we encountered this error for the first time, we executed the report RCF_CREATE_USER in SE38 and the problem was resolved.
    We got the error again 2 days back, after that also it got automatically resolved. But, now we are getting this error continuously.
    We also tried re-executing the report RCF_CREATE_USER and HRALXSYNC but no use.
    The service user (for recruiter) is a reference user from RCF_CAND_INT.
    We have also tried giving different roles and authorizations to the user.
    SAP_ERC_RECRUITER_CI_4
    SAP_RCF_RECRUITER
    SAP_ERC_REC_ADMIN_CI_4
    SAP_ALL
    We are in ECC 6 EHP 6 and we have a standalone EREC system with ERECRUIT 617 SP3.

    Hello Khushboo,
    the message you are getting is a bit misleading as it is the standard behavior of the quick search if the user you are logged in as recruiter does not have a candidate assigned. So the message in SLG1 points into the correct direction.
    I am not sure what you are meaning by "the service user (for recruiter)". Although table T77RCF_ROLE allows to specify a reference user for all roles in eRec only the entries for internal and external candidates are actually used. So the authorization assignment for the recruiter specific roles has always to be done directy for each user. A reference user could be overwritten / reset to RCF_CAND_INT by the ALE.
    What bothers me a bit is the user name and that you mention RCF_CREATE_USER and HRALXSYNC at the same time. This might be the reason for your issue. Looks like you created a candidate for a user using RCF_CREATE_USER which is later transferred in the ALE from HR Core to eRec. This was not a good idea. RCF_CREATE_USER is only for creating project users when the HR core to eRec and for special users who need a candidate while do not have an employee id in HR core (e.g. WF-BATCH). This is why I always recommend to use non-production user Ids for everyone during project phase. Its been quite a time some of my projects did otherwise and I remember a similar issue with one of the customer admins. Everytime data for the user / employee was send in ALE the candidate / user was messed up.
    Getting this fixed was quite troublesome. In the end we had to dump the original candidate. We deleted all records between candidate object, central person, business partner and person object in HRP1001. By that time the customer was still on the old ALE version so today I would also delete all entries in HRP558X infotype tables for the employee. Then I would first try to finger the employee id (e.g. change the name, save, directly change it back, save again ) so it is transferred during the nightly processing of the change pointers and put in the IDoc. If this is not working I would try to transfer it again using PFAL.

    Can anyone help in the following:
    1) What is the purpose of Business Partner Role and how does it relate the Branches? Or how can i make use of it?
    2) If i am going to maintain the Company & Branches via the Administrator function instead of IMG, do I still need to configure this step: Define Business Partner Role for Branches

    Hello William,
    the Business Partner is an application / module which belongs to the base components of the SAP. It is used and partly extended by various other applications / modules. Next to E-Recruiting it is used for example by CRM and the financial service solution (FS-CS, FS-PM, FS-RI). All of these modules can put their data for a person or an organization into the same tables. Depending on the installation / system environment or even within one single module the requirements for available fields and business checks as on authorization differ between kinds of business partners (e.g. in FS-CS the commission solution for the financial service sector knows external agents and internal employees which have to be treated differently). The business partner is the element to assign the logical / business role in which a person is handled by the system.
    For E-Recruiting you have 2 kinds of business partners, too. On the one and there are people being candidates and on the other hand there are branches of your company which hire people. The configuration allows you to seperate them if you need to identify anywhen which business partner is a branch and which is a candidate. So far I never tried if this is really working as there is no real use for this I never set it up. The attributes and the business checks are the same anyways.

    The table T77RCF_ROLE has a list of reference user(listed below), all these users are not available in table usr02.

    Could you please let me know how to create these users?

    Hi,
    I'd like to add some additional background information here. Missing reference users usually do not prevent the eRecruiting application from being started. As long as you have the correct authoriation you will be able to start the services.
    In general only the reference users for the roles internal candidate and external candidate from table T77RCF_ROLE are actually needed from a technical perspective. All others are not needed and the application will work without them. You not even have to clear them from the table.
    When candidates are created by the eRec application or the candidate is switched from internal to external the authorizations are set by assigning the reference user. Technical background is the delay from assigning an authorization role directly to a user till the authorization really gets active. This delay would prevent the external candidate to work with the system after the user switch from the service user to their own session when they register for the first time. The use of reference users bypasses this issue.

  • Error while registering as an External Candidate - E-Recruitment

    Dear All,
    When i try registering as an External Candidate , iam getting an error message "You not authorized to use this Start page". Would be thankful if you could share your inputs on required Authorization. Btw i did try giving SAPALL to RCF_CAND_EXT but still in vain
    Following are the server and other details.
    1. ECC on one server
    2. E Recruitment on a separate server
    3. Both are in enhancement pack 3
    4. Backend and frontend related to webdynpro are in the same system
    5. Have created RCF_Service (user) and assigned Z role related to RCF_unregistered candidate
    6. Have created RCF_CAND_EXT and assigned Z role related to RCF_External candidate
    7. Have maintained RCF_Service and RCF_CAND_EXT and its related role in both Parent and Child system using SU01
    8. Have also assigned service user to all related services in SICF.
    Note: I shal checked with the Standard role but in vain...getting the error as mentioned above

    Hi Sathya,
    Please ensure RCF_CAND_EXT user u have created is a reference user and try assigning the standard role "SAP_RCF_EXTERNAL_CANDIDATE".
    On registration, the registered user gets access to the external candidate start page through the reference user.
