Excel and/or mml files in InDesign

I've got a project that I do 4 times a year in Framemaker and have converted the files into InDesign to add more design appeal to them. In Framemaker the files are setup using tabs and are created by running the Excel files through a script in Visual Basic that create .mml files. These files imported into Framemaker and come in about 98% formatted. I'd like to do the same in InDesign, if possible, and keep the Excel files linked and have them maintain the same formatting.
But not sure if I can keep them setup with the tabs or have to put them back in table format.
Or if I have to start from scratch, placing the 107 individual Excel files and setting up Table styles and then having them updated each time.
They pages are very simple and probably have no more than 8-10 styles used. Any advice you may have for me would greatly be appreciated.
Or any method I'd be open to hearing about too.

I have tried Placing and Linking a couple of Excel files, which brings in most of the formatting I need. But when I try making a change to the Excel file and update the link the Cell formatting (Bottom Cell Insert) defaults back to the original imported file.
This, even after I've created Paragraph, Cell and Table Styles and applied them all.

    Hello,
    I have worked out how to get data from a .xlsx into a table in InDesign. However, the workflow is still a little clunky and I am looking for way to automate the process further. My current workflow is as follows (files can be download here: http://visual360.co.uk/xml.zip)
    xml is exported from .xlsx by mapping the schema (see what_I_get.xml)
    assign tags to table and individual cells in InDesign
    This is the clunky bit: edit the what_I_get.xml to:
    remove the indentation (this seems necessary as otherwise when I get to stage 4, all the imported text is also indented)
    add tag for table in InDesign (p10_table)
    add tags for individual cells (p10_c11 etc.)
    import the produced what_I_want.xml in the structure panel of InDesign.
    Can anyone point me in the direction of how to automate step 3 above?

    Thanks very much for the reply. I am not at all familiar with XSL/XSLT. I have given it a quick google and it seems like it could be quite a steep learning curve to master. Maybe if I explain the whole context here, it may allow you to point me in the direction of a tutorial that provides a step by step approach to achieve my final goal. Alternatively, you may be able to suggest a whole new workflow.

    The tables on pages 10-21 contain lots and lots of repeated information. We want the layout to in this format so that each group of students has all the information relevant to them on a single double spread. However, the challenge of using this approach is that it is very high maintenance to ensure the duplicated information is kept in sync - even using a copy / paste approach.
    I was hoping to overcome this by using a single source of data (eg. a spreadsheet) which would then feed into the InDesign. This workflow seems to be overcomplicated by the apparent need to use xml as the "middle-man".
    Ideally, I would like to press the export button in Excel and get this information into the the correct cells in the tables on pages 10-21 without a significant amount of manual labour - after all, my reasons for investigating an automated approach in the first place was to avoid the manual entering of data ie. the scope for error...
    An alternative approach maybe to skip Excel altogether and just use .xml. However, I am not sure that this is possible as Indesign only seems to allow you to import each element once. Maybe you could correct me here...
    I am happy to invest a certain amount of time in developing this approach as once it is in place, it will save a huge of proof-reading time year after year, especially as inconsistencies still persist despite our best efforts to weed them out.
    If you could let me know your thoughts on this and maybe identify a tutorial that would help me, I would be extremely grateful.

    How to export report to excel?
    And, it takes long time for generate report to rtf or pdf file in previewer.
    How to speed up the process? or, it's better generate report to text file directly by Run_product?

    You can generate report to tab delimite format that can be imported to excel.
    As for the performance question, because reports can't specify what format when you run against previewer, so I don't know what previewer you are talking about. Generate to file is always faster than to your application previewer (assume) because you have one more step after output generated in the file: read from file and render it. Depends on the render and size of the output, it may have significant performance difference.

    Is there a way to store documents from my macbook using office 2011 for mac using iCloud? 
    If this is possible, is there a way that they can be in separate files from the documents on other devices?

    Could be many things, we should start with this...

    Then try a Safe Boot, (holding Shift key down at bootup), run Disk Utility in Applications>Utilities, then highlight your drive, click on Repair Permissions, reboot when it completes.
    (Safe boot may stay on the gray radian for a long time, let it go, it's trying to repair the Hard Drive.)
    If perchance you can't find your install Disc, at least try it from the Safe Boot part onward.

  • The user "Admin" is stuck in the document properties of all excel and power point files

    Does anyone know how I can clear this out, so the document properties show the actual author of the document? via script or regedit the problem exists on 2000 computers.

    Sounds like the user settings of the Office installation is set to Admin. Has the installation been done by some script?
    You can check if this is the case by looking at the File - Options and have a look of what the username is set to. I think it would be relatively easy to ask the user to enter their initials.

  • We have always used custom excel and other PDF files how do we build an app for ipad

    apart from the "mac" what else do I need as I only want 1 license of the resulting app and as it is an inhouse app paying a developer and getting volume license is too expensive.  Or is all extras in the dev pack issued by Apple

    The app is to collect 5-6 types of data that currently we have to write down each time we do certain processes with work
    current example new page new day so 300+ sheets per year with 1-3 lines of writing on
    initials of employee - product made - added ingredients batch numbers 4-5 columns - total made
    this type of capture should be ideal for ipad with scroll or number input and each day new form saves the planet as well
    our only issue is we have all custom programs and equipment based round XP pro systems and cannot go to touchscreen windows 8 with any of our old custom software hence going to custom app as keyboards are not possible in our industry due to hygiene issues unless stainless and silicon coated at $700 each

  • When a user rasterizes a color image in AI and copies into Excel and saves file the image is BW

    When a user rasterizes a color image in Illustrator and then copies it into Excel and saves the file the image turns black and white. I uninstalled and reinstalled the whole suite already, deleted the perference files that i could find. and also look at the rasterizing settings they are the same as mine and another user. Any other things I can try? Where are the default rasterize settings stored at?

    You can do a save for web and choose .png or ,jpg format. Uncheck transparency.

    It would be nice if Indesign could open PDF files.
    When will this happen (without a plugin)?
    Today I need to open the files in Illustrator. The customer prefers to use Indesign, so even though Indesign can export pdf documents I will have to tell the customer and the program can not open pdf files. This I find really weird.
    Hopefully opening and editing pdf files in Indesign will happen real soon.

    Paal, I'm sorry for that little out-lash. There is nothing wrong with inquiring the feasability of a new feature. The problem is that PDF has been an "output intended format" from the very beginning.
    An Illustrator file (from a fairly modern version) also is a PDF file, for all intents and purposes. You can rename an .AI file to .PDF and use it anywhere, with any software that supports PDF (so that's excepting Apple's Preview, probably ;-) ). Moreover, you can still open and edit this PDF with Illustrator and get all of your objects, symbols, layers, paragraph styles, and guides back!
    That's because in fact this file *contains* all this extra information in a data block marked "For Private Use Only". Other software, if adhering to Adobe's PDF specs, will simply ignore this (and thus my little jab at Apple's Preview). Does that mean you can edit such a PDF with *any* software? No -- the Illustrator data is "proprietary", and the details are not published to use by other software developers. Similarly, one could envisage InDesign to do the same. Yes, it would lead to *huge* files -- but hey, you would be able to open THAT file into InDesign and edit it. But not with any other software!
    The meta-problem is that an extremely large amount of this private data would be *extremely* dependant on the software that was used to create it with. What would an Illustrator file do with InDesign's GREP styles? What would InDesign do with Illlustrator's brush styles, or symbols? Illustrator allows slanted guides, InDesign does not.
    And let's not focus purely on a combo of ID and Illy; Photoshop *also* outputs PDFs, and its graphic data has yet another set of requirements.
    So all of Adobe's software would need to be able to parse *every others' data* to some degree. Well, it's still not "unconceivable" as all of this would need to be done in one office (note that in that single office there are still vast differences in something as straightforward as a User Interface across the CS suite). But there are lots of other software developers out there, and they *all* want to write out PDFs, all with their own internal data! (Think of the different requirements between an architectural app and one for graph plotting.)
    A *possible* solution would be to add "more" metadata to a PDF without crossing into the realm of "every single bit". Article tagging is an example of this -- it tells software that wants to know in which order *plain text* is to appear, and as such it serves as meta-data for plain text content. But the mind reels thinking of what more to add -- a list of used GREP styles per paragraph would probably be useless to anyone else.
    But such an idea will not solve the problem, as 1. this meta-data is optional (lazy programmers would be allowed to say "nothing to see here, move along"), and 2. this data would only get added to *newly created* files, and it would not retroactively make older PDFs editable ...

  • Missing Header Row When Exporting Data to Excel and Program Runs Slow

    I am new to programming. I’ve dabbled with VB.NET at times over the years but this is the first time I’m trying C#. Although, it’s been quite a while since I’ve done any type of programming other than writing SQL queries at work. For the sake of trying to
    learn I have given myself a project that is something I can actually use at work. Right now I'm doing it at home. I’m querying a database on SQL Server 2008 R2; putting the data from the DB into a DataViewGrid and then exporting the data into Excel and saving
    the file on my C:\ drive. On the form I have two buttons; one that queries the DB and the other to do the export. The code below does work but I have two issues that I need assistance with:
    All of the SQL table data goes into Excel properly with the exception of it is missing the header row.
    After I click the Export button it takes a long time to create the Excel file. It takes between 2.5 and 3 minutes. It is not a big file (only 447 rows and 125 KB in size) so I don’t know why it takes so long. Does it have anything to do with the number
    of times Microsoft.Office.Interop.Excel is being referenced? I read somewhere online that is an old COM method although I’m not familiar with what a COM method is
    and why it would make things run so slow.
    When I click the button to run the SQL query and load the DataGridView it runs immediately.
    I plan on taking this project further such as adding date parameters including validation on the dates and then maybe adding buttons that can be used to insert, update and delete records. But I don’t want to go any further until the two issues mentioned
    above are resolved. Any assistance / guidance will be greatly appreciated. Here’s the code:

  • How do I format a linked Excel file in InDesign and maintain formatting when the Excel is modified?

    I'm in CS5.5 . I have no problem placing an Excel spreadsheet with the cell range I want and applying cell formatting in InDesign. I am trying to build eight similar documents that will pull data in several tables from a document specific Excel spreadsheet. The only difference is the data itself. I want to build one master InDesign document (master.indd) that links to a corresponding master Excel file (master.xlsx). I'll then do all the table formatting in master.indd once before saving as the eight individual files I need (doc1.indd, doc2.indx, etc.). Soon I'll receive the specific Excel files (doc1.xlxs, doc2.xlsx, doc3.xlxs, etc.) and I will open each InDesign file and relink master.xlxs to the appropriately numbered and corresponding Excel spreadsheet.
    My problem is all the formatting of the imported tables is stripped away when I relink. There are at least 60 tables being imported. I'd prefer to format 60 tables versus 480. I've tried importing the Excel as formatted, unformatted, I've applied cell styles in Excel and InDesign but can't catch a break. Can anyone help?

    Or alternatively, do all the formatting in Excel and place as a formatted table.

  • Dropbox files causing Indesign, Word and Excel to crash

    If we try to open any file contained in our dropbox folder - the application instantly hangs and crashes.
    The is the same for applications like Word and Excel and also Indesign when 'placing' a file.
    You can open the files by clicking on them directly in Finder - but by opening them from the application - the app crashes.
    Dropbox said the latest Yosemite update (10.10.1) would fix this - but it clearly has not.
    Does anyone have any advice please of what to do - or even just the support that you are suffering too!

  • Excel file into InDesign document

    I am planning on making our price list in InDesign so I easily can make it "nicer" than in Excel.
    Today we have it all in an Excel file but how do I go about putting this info in InDesign? I want the Excel file to be the "origin", if I need to change the prices etc, I want to make them in the Excel file and then relink it to InDesign - if that's possible, that is...
    I want it in A5 format, should the Excel file also be made in A5 then?
    Today the price list is in one Excel Book and then separated into different pages (if that is the correct word for it, I have Excel in Swedish!). Is that OK or should I just make one long list with all the products.
    I tried making an InDesign doc in size A5 and then an Excel file in the size of A5. But when importing the Excel file into InDesign it looked really weird! Numbers came as red dots and all the info didn't fit.
    What did I do wrong!?
    I'd appreciate all the help I could get! Maybe you know how to do this or where I can read more about it. I'm not that good at InDesign, still consider myself as a beginner...

    Have you gotten any further with your question? I am in the process of updating our pricing information and I am laying our pricers out in InDesign so that I can make them look "nicer" also. I have been doing research on linking Excel files to InDesign and it has come in very handy. There are some issues I have run into, however, which were mentioned in some of the other responses you have gotten.
    First of all, your Excel info isn't coming in correctly because of formatting issues. When you place and link an Excel file, you can indicate what sheet you want to place and even a named range or cell range of that sheet. You can also indicate in that options window whether you want it to be placed as an unformatted table, formatted table or unformatted tabbed text. You will want to choose formatted or unformatted table depending on how you want your InDesign file to look. You can do all of the formatting for your table in Excel and place it as a formatted table, which works o.k., but you will have to deal with a couple of adjustments after you place the file. Your text probably won't show up because of the default settings for the indents of the cells in a table in InDesign. All you have to do for that is double click in your text box and select the whole table. Then you can right click or go to the Table menu and choose Cell Options. Set the Top and Bottom Cell Insets to 0, I usually set my vertical justification to center while I am at it. You could also adjust the row heights to make the text fit.
    A wonderful tool to use is a plug in for InDesign by Teacup called TableStyles and CellStyles. I recently discovered this and have started trying to work with it. I came across it by looking around online for information and discussions much like this one. I discovered that we already had this plugin in our program files, but it was not in the correct spot to be able to use the function when I was in InDesign. I had to move the plugins from a Teacup folder within my PlugIns folder. They need to be in the PlugIns folder under Tables.
    At any rate, I know I am on the right path, but I am running into a few snags that I haven't been able to find any information on yet. It is best to place the Excel files as unformatted tables when you plan to use the TableStyles and CellStyles to do your formatting, but I have found that it seems as though linking to separate sheets and ranges becomes an issue when you want to update a link. It doesn't keep the sheet and range information you indicated when you first placed the file....? Haven't dug up any information on that yet.
    I hope at least some of this is helpful, sorry for rambling on, I just was going through the same thing and wish I had found out about these plugins, etc. sooner. :)

    I'm doing a complex Indesign file with a link to a Excel file.
    To import the Excel file I have created several tables always using styles (table, cell, paragraph).
    The problem born when I make a correction into the file Excel and I update the link in Indesign.
    The text updated automatically bring a caracther style (the first that I have created).
    I don't want to apply any character style, but I want to maintein the paragraph style that I have applied.
    If I delete all caracther styles the problem is solved, but I need to have caracther styles in my layout.
    Anyone can help me?

    The import facility of Excel or Word Document is only on a PC system of Dreamweaver.
    File >> Import >> Excel Document

    For mac system I understand this facility isn't there.  What can you do about this?
    1) Get hold of a PC and download a trial version of DW and import the file(s) and you are done;
    2) Ask a friend to do it for you;
    3) Post your excel file online and some nice guy like Nancy, john or Murray will help you out.

  • Office 2010 Excel and InDesign CS2

    For a number of years, I have been placing Excel tables and graphs into InDesign by turning them into PDFs.
    I was able to correctly size the tables/graphs by doing a "Copy as Picture" in Excel and directly pasting into InDesign prior to creating the PDF.
    We recently updated to Office 2010 and its version of Excel, and now the "Copy as Picture" step no longer accurately represents the sizing of the PDF.
    Any suggestions?

    I'm having some trouble getting my arms around the fact that you'd spend money on MS Office upgrade but you're still sitting there with CS2.
    Tables in Excel can be placed directly into ID using the file place command. The graphs will need a different route and PDF is as good as any if you don't need to make changes. If you want better results, copy/paste them to Illustrator, save as AI and place that.
    I don't think CS2 can handle the XLSX format. You'll need to save back to XLS. Another issue with sticking with CS2 is that it's unsupported under newer operating systems and can be even more troublesome on 64 bit system.
    You might want to consider an upgrade to CS5. CS2 is the earliest version eligible for upgrade pricing and if you wait too long you'll be looking at paying full price. If you're running the suite, make sure you look at the right package. There are several upgrade choices. http://amzn.to/alf9eu is the Design Premium upgrade.
