GR/IR Clearing using MR11

Hi All,
I am doing GR/IR clearing through MR11.
Message displayed is :
No data selected. Check selection parameters!!
I feel that IR is not ticked in PO at Item Level and hence MR11 is not working.
Could you please advice if this is the mistake and if true then how to tick IR?

If invoice receipt is not ticked in the purchase order, it implies there will be no invoice or that the goods will be delivered free of charge. In such cases, there will be no accounting impact during goods receipt. Hence no need to run MR11.
If it is not the case, then please check the following:
- The selection criteria is correct (especially the dates)
- All surplus types are checked.
- Last movement before key date is the current date.

    Hi All,
    We have Costing based Profitability Analysis enabled. We are facing an issue in 3rd party drop ship orders and COPA. Cost of Goods Sold Drop Ship GL account is being charged when we use MR11 to clear GR/IR account. This is causing reconciliation issues between COPA and the General Ledger.
    Does anybody know how to update COPA when we carry out GR/IR clearing using MR11. Is there a workaround?
    Any clues will be highly appreciated.

    I have a couple of questions
    1. Is the 100 USD of Sales order amount, the sale order value to be billed to the customer or the value of the goods to be delivered to the customer
    2. You said that Gr is done for 99, but MIRO is done for 100... Is this a case of price difference?
    3. you said upon customer billing, 100 is posted to COGS in COPA....How does the system gets this value, Is this the VPRS value or any thiing else?
    Also, when you reply back, I would need one more info from you... Follow the following steps
    1. Take the GRIR clearing document (material doc no), where in the 1 USD is posted to COGS
    2. Go to table ACCTIT and enter this doc no
    3. You will find the line items posted in this doc... Just check against this 1 USD line item, what is the transaction key i.e. GBB or PRD or what else?

    A discrepancy occurred between Goods Receipt (GR) and Invoice Receipt (IR). This needs to be cleared. Examples of situations where this occurs are:
    1. If the goods have been received, the vendor hasn’t invoiced for the goods and won’t be invoicing (the vendor has gone out of business). Use MR11      
    2. An invoice with reference to a Purchase Order was paid through accounts payable FI instead of procurement. Use MR11
    3. The goods were received and sent back to the vendor for poor quality. The vendor was accidentally paid and we will not be reimbursed due to bankruptcy of the vendor  Use MR11
    4. Quantity ordered = 100 ea. at a unit price of $1.00, receive quantity of 97 ea. at a unit price of $1.00.  If the remaining balance of 3 ea. will not be shipped, purchaser needs to reduce the open quantity on the purchase order to reflect the actual amount received.  DO NOT Use MR11
    Maintenance of the GR/IR Clearing account should be done regularly. It’s recommended to be done weekly for both IR surplus and GR surplus. Run IR surplus with movement up to today. For GR surplus, run maintenance with movement one or two months old.
    NOTE:  During the normal business flow of the documents, 99% of your Purchase Orders will show up on the GR/IR at some time and should NOT be cleared. Nothing should be done to them through MR11.  When the normal business process is completed, the doument will no longer have a discrepancy between the GR and IR, and will not be on the list when you run MR11.

  • Error while doing GR/IR clearing in MR11

    Hi friends,
    We have a schedule ageeement created in 2004 but got some GR/IR differences and need to do clearing in MR11. I can able to see the purchase order history of it so it conforms that the document is not archived. Only issue is I cannot phisically able to display the material/accounting document because we have recently migrated to different system and therefore the po history was not migrated because of amount of data.
    Now the issue is, after inputing the required fields in MR11, we are getting the following error:
    System error: Error in routine VERARBEITEN_WERE_DATEN, RE_BPMNG<0 0055004113 0000
    Message no. M8 607
    I've searched sap notes but couldn't find much help. I've tried different seach criteria but no luck. Could anyone able to help me?

    Check following IMG Settings in your system;
    (a) Schema for Stock transports
    (b) Shipping data for Site
    Hope you have carried out following activities;
    (1) Purchase order with document type UB
    (2) Outbound delivery using VL10B

    (4) Goods Receipt using MIGO

  • GR/IR Clearing transaction MR11

    Hi All,
             WE have been using in the past F.13 transaction to clear the GR/IR account by doing direct posting for the differences to the GR/IR Account. However we are going to start using MR11 transaction to clear GR/IR differences.
    However I have lot of OLD records for the past years. Is there a way to get these records deleted from the system as we cannot process them now and doing that would mean changes to the G/L account values which we do not intend.
    Does anybody know of a better solution or has anybody come across such situation.

  • Help with GR/IR, can't clear on MR11

    Please help with this case:
    We had a purchase with delivery cost included. We create MIGO with no problem. (Credit to GR/IR account = $60)
    We cancel the delivery cost in MR11. (Debit to GR/IR Account = $60)
    After a few months, we restore Delivery Cost in MR11SHOW (Credit to GR/IR account = $50)
    Create MIRO to freight vendor in MIRO (Debit to GR/IR account = $60)
    As you may see, now can't clear GR/IR account because there's a difference (60 vs 50) and can't use MR11 neither, I get this error:
    No data selected. Check selection parameters!!
    Message no. CKMLGRIR009
    I have tried with so many post, but can't find anything that works....

    Hi Mohsin.
    After we cancel the delivery cost with MR11 (let's say, in January) the freight vendor asked us for his payment (in April) and then we realised that we need to restore the delivery cost...
    What we did is cancel the MR11 document that we had created before... and there's when the difference in GR/IR was generated.....
    I hope that this comments makes a little bit clearer my explanation.

    The MR11 transaction deals with quantity issues.  Itu2019s the quantity of GRu2019s and IRu2019s that drive this transaction.  Both Valuated and Non-Valuated POu2019s are included in the reports.
    You need a report that will list all of your POu2019s and show the total number of GRu2019s entered compared to the number of IRu2019s entered.
    q     If the goods/services have been received and a GR was entered but no invoice has been processed yet, you will see it in the report generated by MR11.
    o     This is particularly important when the GR entered is very old.  We are at the fiscal year closing.  By running this transaction looking specifically for this situation, if there are any, you will see them in your report.
    q     If an invoice has been entered against one of your POu2019s before you had time to get the good/service verified and the GR entered, you will see it in the report generated by MR11.
    o     This is particularly important when the IR entered is very old.  We are at the fiscal year closing.  By running this transaction looking specifically for this situation, if there are any, you will see them in your report.
    q     If a PO has an unusually large discrepancy between the total GRu2019s and IRu2019s, you will see this while reviewing the MR11.

    o     The point here is that the PO should reflect the activity of what happened as closely as possible. At 97, for all practical purposes, the PO has been completely satisfied.
    o     By reducing the line item to 97 total, a GR for the last 3 items can not be accidentally done.
    o     Reducing the line item to 97 leave a good audit trail for any audits that may be done at a later date.
    Maintenance of the GR/IR Clearing account should be done regularly. Itu2019s recommended to be done weekly for both IR surplus and GR surplus. Run IR surplus with movement up to today. For GR (delivery) surplus, run maintenance with movement one or two months old.

  • Automatic GR/IR Account Clearing using F.13

    Hi,
    I want to clear the GR/IR Clearing account using automatic functionality(T.Code-F.13).
    If the Dr and Cr amounts are ZERO and matches with reference to purchase order in GR/IR clearing account those items i want to clear using F.13(Automatic Clearing)
    I have created the GR/IR Clearing account with sort key Purchase Order Number. So, that each line item of GR/IR posting will get updated with purchase order no in the assignment field.
    In OB74 i have maintained Criterion-1 as assignment field(ZUONR).
    Here my query is with reference to that assignment field (i.e. purchase order) i want to pick Dr and Cr items whose line items total is ZERO, What will be my Second Criteria in OB74.
    Please Guide me.

    1. Criterion EBELN - Purchasing Document
    2. Criterion EBELP - Item
    3. Criterion DMBTR - Amount in LC

  • Price difference account posting for return of goods using MR11

    When we are running MR11 for goods receipt transaction system is posting reversal document to price difference account instead of inventory account.
    In this case relevant details are :-
    Price control for Material is S .
    PO QTY 190( Purchase order is of M category with sales order linked)
    GR qty 190
    IR qty 20
    Return Qty (ACCM) using MR11 :-170
    PO price :-84.74
    Standard price : 81.99
    GR price :-84.74
    When a document is posted using MR11 for reversing goods it has posted value : 14,405.80(170*84.74) to price difference account instead of material account. What could be reason for system behaviour.

    check you have material  qty  in system check in MMBE or MB5B on givin date
    if dont have any qty system will hit PRD account its sap stander

  • GR/IR difference visible in MB5S but not clearing via MR11

    I am facing abnormal behaviour of the system. System is showing few POs in MB5s but not showing it in MR11 for clearing purposes. Has anyone faced the same situation ?

    Transaction MB5S is used to analyse the purchase order history and will list all entries where the goods receipts quantity is not equal to the invoice receipts quantity. The report looks at the purchase order
    from a logistics viewpoint.
    What MB5S does is to look in table EKBE where the PO history is
    stored.If there is any balance between the GR/IR , this is shown
    in the report. Sometimes there is confusion in the interpertation of the results of
    RM07MSAL.  The aim of this program is to show how the GR is effectively valuated
    if the existing invoices are taken into account, independently from how the GR itself was valuated (or not valuated).
    MB5S is not the appropriate functionality for analysis of the clearing account.
    Transaction MR11 will only pick up variances in quantity, not in values.
    The aim of MR11 is to clear the GR/IR account, not the quantities.
    However, an open item on the GR/IR account can only exist, if the
    quantities are different (for normal POs with valuated GR).
    MR11 posts like an debit/credit note with value 0 and the open quantity.
    This clears the GR/IR account, and the quantities are cleared as well,
    but only as a by-product of this mechanism.
    POs with non valuated GR never have open items on GR/IR account,
    because neither GR nor IR post to the GR/IR account.

  • Accounting Document not Cleared using BAPI_ACC_DOCUMENT_POST

    Dear Experts,
    I am Using BAPI_ACC_DOCUMENT_POST to post the GL'S , Accounting document is getting created successfully . My Doubt is whether this bapi will clear the Accounting document automatically or we have to use any other function module to clear the Document?
    Please let me know how to clear the document.

  • Customer open items not getting cleared using F-28 OR F-30

    If I use F-28 OR F-30, to create in coming payments manually, when I do FBL5N for the Open items, I see that Customer Payments are still reflected in the Open items. I expect that since I made the payment against the invoice the Open items should be cleared, why is this not happening?

    i guess figured it out as to what could be the problem with you..... here is an example what you have been throuhg
    you see the thing is your invoice was of 396/- $
    which has a discount of suppose  2%
    now the total amount the customer has to pay is  388.08$
    but what you actually recieved is less than what the customer had to pay lets say 380 $
    now what you might have done is according my analysis is that
    you cleared the invoice with 380 $ with out actly changing the discount amount , because the amount after discount was 388.08 $  but you cleared it with 380$ which means still the system says the customer has to pay a the balance 8.08$... 
    now what you need to do is to go back to the tcode F-32 and try to change the disc amount to an amount that would make the invoice amount equal to what the customer has paid.  and then try to clear the transactioin....
    and one more thing   i feel tcode f-28 is much better than tcode f-30 to avoid complications

  • GL Account Clearing using T.code F-03

    I am trying to clear the line items of a balance sheet gl account ( short term  general liabilities) using t.code F-03.This gl account is specified as "open item Management" and line item display in the GL Master.
    The problem is that when I  try to clear the line items of the account,  an error appears saying" Exchange rate difference accounts are incomplete for the account.
    This means that foreign exchange valuation gain/loss accounts have not been assigned to this account.
    My question is, why should exchange rate difference accounts be assigned inorder to clear the line items of a gl account?
    Is there a setting which makes it mandatory for a gl account to be assigned exchange rate gain/loss accounts??
    How do I solve this problem?

    Hi,
    First of all..why would system need a Exchange gain/Loss Account..If your local currency is INR and you posted a debit and a credit document both in INR..then there is no question of a foreign exchange gain/loss account..
    BUT, if you have posted the document in any currency other than INR, ie: your local currency...then the system would need a exchnage gain/loss account when you try to clear the debits and credits.. i am giving an example below to explain better..
    You posted a debit of 100 USD @ 40 = Rs. 4000.00
    You posted a Credit of 100 USD @ 42 = Rs. 4200.00
    Now, if you clear this debit and credit then there is no difference in 100 USD, as the debit and credit is netting off.. but if you see INR there is a difference of Rs. 200.00 which system posts to Exchange gain/loss account..which we maintain in OB09.

  • Post with Clearing using FM POSTING_INTERFACE_CLEARING

    I'm using function module POSTING_INTERFACE_CLEARING to clear open items in the background as it would be done with transaction FB05. Now I'm facing a problem with the mapping of the open items. For every account number that is used in the clearing I create a new line item in the new clearing document. Which means I add a new line item in table T_FTPOST of FM POSTING_INTERFACE_CLEARING. Before the clearing process is started the user has selected several open items. They all belong to different account numbers and therefore need to be mapped to the right line items of the new clearing document. I add the open items to table T_FTCLEAR of FM POSTING_INTERFACE_CLEARING. The problem is that I can't find a link between the lines of table T_FTPOST and the lines of table T_FTCLEAR. How can I be sure that the open items in table T_FTCLEAR are correctly mapped to the right line item in table T_FTPOST? In transaction FB05 it seems to be possible as you can select open items for every line item of the new clearing document. How could this be done using function module POSTING_INTERFACE_CLEARING?
