GR/IR MONTH END TREATMENT QUESTION

hi all,
Hear i have a question gr/ir.
At month end some amount in gr/ir left as balance, how should i treat that to transfer?
What are the configuration steps I should follow?

Hi,
it is quite normal that your GR/IR account is not in balance at month end. Life does not stop at the end of the month.
For the normal, not yet closed processes (PO lines), you can carry out transaction F.19
Related configuration to be done in transaction OBYP. F.19 is then just another step during closing, postings made will be reversed the next day, so this is for the proper balance sheet only.
If you do not expect any further GR and/or IR for a particular PO line that has not moved at all since a certain period of time, you should write the balance off. You should never do it directly, moreover, your GR/IR account should be flagged for automatic postings only. If you really want to write off  (forever, no reversals) a PO line, you should run transaction MR11 against it. It is recommended to enter the particular PO number AND !!! the PO Line number on selection screen to make sure you write off only the PO lines you really need. But you can also decide later for the selected PO lines which one you want to write off and which ones you want to leave as they are.
No big config needed for MR11, maybe OMWA to mention to set up document type for transaction MR11, but that defaults to "KP" anyway.

    I am a DBA not a functional setup person/Business Analyst; so excuse me if my question is not put in business terms.
    We have an 11.5.10.2 that operates in US, Canada, Peru, China and Australia. Each of these have their own Set of Books. When the time comes to do month end closing, our finance people tell all incl our US and other countries branches to stop the following transactions on the system while month end closing is going on:
    •     Inventory
    o     Pick, pack and ship for SO’s and Internal Req’s
    o     Receiving of PO’s, Internal Req’s and OSP
    o     Subinventory transfers
    o     Consignment consumption
    o     Inventory adjustments
    •     WIP
    o     WIP moves and completions
    •     Accounts Receivable
    o     Cash applications
    o     Invoicing of any shipping activity past cutoff o     Manual invoices and credits
    •     Accounts Payable
    o     Invoice entry and cancellation
    o     Manual or batch payment runs
    Question that I have is: how can month end closing be done where each of these countries could freeze these activities for their last day of month when last day of month starts obviously earlier in Australia and China compared to US, Canada and Peru? As of now, they all seem to follow the last day of the month procedure as the US. It takes about 7 hours for the whole process to run.

  • CO Production Order month end closing and settlement question

    We are a utility without PP module.  We use CO Production Order to accumulate costs of assembling components (parts and labor) into a material number that we receipt into inventory.  We have questions about month end closing process and the settlement of these CO Production Orders when receipts are not complete or labor is not completely entered at month end.
    Basically we need to know how other non-manufacturing companies handle the settlement process.

    Clearing the suspense account regularly
    All the Expenses Including the prepaid expenses have to be booked..
    Intercompany Balances Should be Zero
    Depreciation Run.
    Recuring Entries.
    Park documents to be posted(FBVO)
    Accural and referal in any differneces.
    GR/IR  Clearing Transaction  (Tcode-F.13)
    Bank Reconciliation(Comparing the Company Books and Bank Statements)
    Exchange rate to be updated
    Revaluation of foreign currencyopen items(F.05)
    Order Settlements.
    Distribution Cycle
    Assesment Cycle(KSU5)
    Transfer the Inventory to Profit center(1KEH)
    Match GL and PCA(KE5T)
    MM period Close and Open (Tcode MMVP)
    FI Period Open(Tcode OB52).
    CO period Closing
    Year End Process
    All the Month end Activities should be Carried Out.
    Balance Carried Forwarded to next year(F.16)
    PCA Balance Carried Forward(2KES).
    Carry forward the Vendor,Customer  and Asset Balances
    (Unless Dep is posted for all the months the assets can not be Closed)
    Copy the No Ranges to new year
    Open the Next  year period(OB52)

  • Delivery Block at PGI level based on GI date and Month end date

    Business need a check on delivery processing based on the Planned GI date, Month end date and transit period. This transit period is a custom field and dependent on customer. Also it is not maintained anywhere in system. Business store it in some excel format.
    The logic needed is: For any given month, the delivery order MUST be goods issued in the same month, i.e. once the order is delivered, the Post goods issue should ONLY be allowed if and only if , the PLANNED GI date ( as maintained in delivery ) + transit time ( at customer level ), falls within the month end date. If not, a block should be applied at PGI and only authorized personnel should be able to release that block.
    Also, there will be no check at invoicing VF01 level. Once the PGI blocked is removed, there will be no check on invoicing. The month end date may vary month to month and need to in combination of Sales Org / Plant as mentioned
    In addition, the business need an exception report where the information of releasing the block should appear for release date, user id of the responsible person, time sales order no etc. and it should be downloadable.
    We can have a custom table to maintain the month end day in given combination.
    But I need your expert inputs as-
    1-     Can we add this transit period in at customer master data as it is dependent on customer and there are huge no of customers for the sales unit? If not, then how to maintain it; may be a z table?
    2-     Based on this logic, what should the code/logic to be written for block at PGI.
    3-     How to control the authority check for removing the block.
    4-     The source fields for exception report.
    Pls revert accordingly.

    You can either use some un-used Feild in Customer Master or maintain a Z-Table. I believe maintaining a Z-Table would be easy as you have huge number of Customers. You can also write a dmall program to Pick the Customer-wise transit dates from a excel file & store in Z-Table.
    2- Based on this logic, what should the code/logic to be written for block at PGI.
    You have explained the requirement well in your thread, you need to explain the same to your ABAPer & Basis person & they would do the needful.
    3- How to control the authority check for removing the block.
    Basis person would create & assign a Z-Authorization object which the ABAPer would use in his program.
    4- The source fields for exception report.
    Once you do the above development, your ABAPer will easily pick the required feild in Report as he has already used all the feilds somewhere in his development.

  • Month end accrual posting date- Last day of the month

    Hi Experts,
    I have set up month end accruals for PY US by configuring posting dates, LDCD, WageType accrual processing class, Schema changes. I have also set the closing dates as the end of the month.
    Now after I do the posting , there are three documents getting generated.
    1. Accrual posting document with first day of the current month
    2. Normal Payroll posting  document with payroll period posting date
    3. Accrual reversal document with first day of the following month.
    My Question is:  As per standard SAP configuration, the month end accrual will have first day of the month. Can we customize this to end of the month for doc#1 - accrual document?
    Please do let me know your suggestion and ideas.

    I have a similar question and I hope to have more details on how to change the posting date.
    The point is that I have an amount of 1200 and I have to post 100 for each month.
    Key Date for Accruals: 31.01.2011
    I posted 100 with Document date: 31.01.2011 and Posting date 31.01.2011
    Key Date for Accruals: 28.01.2011
    I posted 200 with Document date: 28.02.2011 and Posting date 28.02.2011
    Also I reversed the amount posted in the previous month (100) with Document date: 31.01.2011 Posting date 28.02.2011
    And so on...
    The problem are the dates because I need to post the amount at the end of each month (28/02) and to reverse the previous amount at the beginning of the next month (01/02).
    How can I change these dates?

  • Direct Posting of Sales in FI and month end closing

    Dear Experts
    I learnt that :
    Sales Direct Entries may be posted in FI without posting in SD/MM.
    Sales entries must always be posted only through SD process. If this is NOT done (for example freight rate received from third party freight forwarders), then only FI people should know how to reconcile and NOT sd people. Hence I recommend posting your query in FI forum after closing this thread.

    My question is , during month-end closing how should FI or accounting address the above direct posting issues?
    Apparently, such practice is not right.
    There is no trace of the sales in SD MM. There is no corresponding billing doc in SD MM but found in FI .
    How should this situation be handled as best practice?
    I am BI person but found this issue with FI data not reconciled with SD MM.
    I am not sure how the month-end closing was done when there is such data. Yes, the problem was found AFTER month was closed and I loaded the data to BI.

    Dear Sirs
    What is the fastest easiest way to find out which FI direct entries were posted without corresponding Sales / Billing documents created ?
    Is there any standard report or reports available in oss?
    Currently, our other interfacing systems are having problem with data due to direct entries where there is no corresponding Sales / Billing docs posted. This is causing a lot of time investigating what entries caused the reconciliation problem.
    Your help would make my life easier.

  • Settlement of the month end process order KKS1 & C088

    Hello all ,
    we are trying to settle the variance & upadte WIP for the month end but facing some  problems.
    When try to Run KKS1 getting the errors for some ordera as
    Only remaining var. in version 0 - no target costs for 000001003928.
    Should we just ignore these errors & proceed with the settlement which is using Txn CO88.
    Also if I run the CO88,I  hope it just updates the WIP account so whether there is any high risk of running this transaction.
    Any documentaion on CO88 will be helpful  & also if you can explain what is reasons for  the errors on KKS1 then it will be quite helpful .

    One more question . I have done the variance calculation for my process order via KKS2 but when I run CO88 it does not settle this order . Not sure what is the criteria for order not considered for the settlement.

  • Cost center empty at month end

    dear all,
    iw ant toa ask  you one fundamental question.
    is it require that the cost center should be empty at period end.
    i cam across the situation that some production cost center get some cost which cant be go to product.
    if i creat one more cost center cost will remain threre i know ican transfer the cots to copa but dont know how to do it

    it is usual that cost centers are zero balanced (not empty) at month end.
    This can be achieved by settling cost center balances to CO-PA value fields using T-code KEU5 (creation of settlement cycle is done in KEU1).

    1) What r the month end closing activities done in SAP PP?
    Wun WIP (KKAX/KKAO) and settlement KO88/CO88. Prior to this carry out TECO for all orders which are technically complete.
    2) How do u capture product cost?
    Product costing is done using quantity structure generally for production using BoM and routing costs which are basically material and labour costs. The transaction used for this CK11N. The planned cost is captured in the order when you create a prod order. The actual costs are booked to the order when you post the goods issues and perform confirmation. The planned costs for labour are derived based on the activity prices for every activity which are linked to the standard values of the operation. Activity prices are maintained in Co using KP26 transaction.
    3) What is Teco, closing a prod. orderand order settlement?
    TECO means Technically complete. By setting TECO the order from logistics point is set as complete. The pending reservations are deleted. The prod orders are not considered to deliver goods anymore. So will not appear in your stock/reqmnts. But still you could post goods issues. By Closing the production order you cannot post any document. It is financially closed. The pre-requisite for CLSD status is that the order balance is set to zero. By settling an order it means the order balances if any are brough to zero by posting the balances to relevant GL accounts. To WIP account if still WIP exits or to Material account if it is TECOed or fully delievred.

    I have a question with regards to how to clear up negative stock during month end.
    Currently our system allows negative stock due to our company process requirement. However, these negative stocks will need to clear-up by finance or warehouse during month end.
    May I know what is the best approach (including tcode, and business process) for this activity?

    regarding your point 2: it is not possible to clear negative stock with phyiscal inventory, as you cannot even create a inventory document if you have negative stocks.

    Our style is MTO.
    In month-end closing, we follow to make a settlement for production orders:
    1. CO43   -- Actual overhead calculation (collective processing)
    2. KSU5   -- Actual allocations Assessment
    3. KSII     -- Actual Price Calculation
    4. CON2  -- Revaluation at actual prices (collective processing)
    5. KKAO -- WIP calculation (collective processing)
    6. CO88  -- Production order settlement (collective processing)
    Question:
    1. What kind accounts will be effected after above each step?
    2.  does individual production settlement need step 1-4 in above?
        1. KKAX (Work in Process)
        2. KO88 (Settlement)
        Is those enough?
    3. What kind account will be effected after va44 processing?

    The value flow completely different for each of the MTO Scenario.
    I need to know what kind of MTO scenario you have.
    is it MTO - Valuated Sale Order without Sale Order Controlling
    Is it MTO - Valuated Sale Order with Sale Order Controling
    is it MTO- Non-valuated Sale Order (Sale Order controlling is mandatory)
    based on this the value flows and the transaction that need to be executed will differ.
    The way you explained i presume that it could be any of the first two scenarios.
    in such case, the value flows are as good as make to stock scenario. Only in the third scenario, the value flow completely changes
    For 1. What kind accounts will be effected after above each step?
    all the accounts relevant for Make to Stock will get affected. But the the scenario is MTO - Valuated Sale Order with Sale Order Controling, the the variances from production order is settled to Sale order instead of settling to COPA.
    For 2. does individual production settlement need step 1-4 in above?
    All the steps from 1 to 6 are necessary for any of the above 3 scenarios
    For 3. What kind account will be effected after va44 processing?
    This is for calculating the overheads on the sale order. in this case, the sale order is a controlling object. once this t.code is executed, you can see the oh being calculated on the sale order
    Hope this will give some good isight in to various MTO scenarios

    12) Complete Bank Reconciliation………FF67
    Please any mistakes rectify and any another acivities mentioned  the with T.codes.

  • Doubt in mm, where to transfer gr/ir balance in month ending

    In the month end if Gr/Ir Account is showing some balances due to pending of invoice verification. What we will do at this situation. Is there any configuration needed, to deal with the situation.

    Its a normal process, if it is invoice is penditng then month end GRIR Accounts will have the balance.  Need not to do any things.  If you want to do manual Calaring for GRIR Clearing Account after inovice being generated then  do F.13/F-44.
