How do I insert  a cell or range of cells in Numbers?

From what I've read, one has to highlight and move cells to create the space for the new cells.  This may be fine for small tables, but I have an inventory that currently has over 2000 lines of data.  So if I need to add a line of data at row 2, then I would have to highlight 1998 lines of text, which takes a few minutes (holding down the shift and down arrow keys, which only highlights the cells on the screen, so I have to scroll down until my highlighted area ends at the top of the screen, highlight the current page, scroll down, highlight, etc., until I get all 1998 lines highlighted). Then drag them down one line. Then go back up and enter the data.
Can I just say that that is ridiculously complicated in the year 2012 (almost 2013)?  Why not just have the same insert function that Excel has, where you can insert the cell or range of cells with a couple of keystrokes?
Is there some easier way to manage this data on my Macbook? Or did I waste $2000 on this computer?   Thanks.

You may have wasted $20 on Numbers? I don't use it - I've been an Excel user since 1985 and it's still what I use today.
If, indeed, there's no shortcut for the procedure that you describe (and we'll have to wait for some Numbers experts to chime in on that) why not just buy MS Office 2011 for Mac? You can get a trial version here -> https://www.microsoft.com/mac/trial.
But, hopefully, a Numbers user will come along with a simple solution...

  • How can I insert a link to an image file into numbers

    I wish to include access to images in a numbers spreadsheet without actually inserting the images. Doing this where the image is a web page is not difficult but these images are on my local drive. I tried dropping an image file onto Safari ( the image opens as a page in Safari) and then copying the URL ( it has the form:  file:///Users/JTC_49/Documents/Pictures/IMG_0248.JPG )  and using it to create a link ( Format>Add a Link>paste the URL into the 'link' field). That all seems to work but when you click on the link you get a message " Couldnt Open Link ". A web page link would open a browser and display the linked page. This does not appear to try to open a browser to pass the URL.

    Open the parent file. Go to Tools> Advanced Editing> Link tool. Then draw an area in the parent file with the link tool to open the new file. You will get the Create link dialog box. Under Link action, select "Open a file" and click on next. Select the file to open and click on Select button. You will get the "Specify Open Preference Window".  Select  "New Window"  and Click on OK. Save the file and re-open it. This time the new file will open in a new window keeping the parent file.

    Hi,
    is there any way to insert an image inside a cell using Numbers for iPad? I tried doing it on desktop version and it works, then I shared it through iwork.com and downloaded into my iPad and it's showing fine on the iPad ( although there's no way to edit or change the image inside the cell ) but when I try to do the same task on iPad itself, the image always comes floating even if I place the cursor inside a cell before inserting.
    any idea how to do it or if it's even possible?

    Images can be added to cells only as "image fill." Cell fill is an attribute of the cell, not content of the cell. Only cell content can be retrieved by a formula or by copying the content of the cell.
    Copying the cell will also copy its format, including the image fill, but I've found no way to extract the image from the cell.

  • How can I insert/move a table cell in Pages?

    I'm making labels for tab dividers (specifically, for dividers in comic book boxes) and I'm trying to figure out how I can insert an empty cell in the table. Or move the other cells over/down and have them "wrap" from the end of the row to the beginning of the next row if neccessary. Can this be done?

    It would be easy to move a group of rows, but there's no way to get it to snake down or up. This is a 2-D array, not not a linear array that has been meandered into a rectangle. You could write an expression to do this, but it would take several steps, and would involve a second table. You could also write an Applescript to do what you want. All of this seems a lot of work for what, as Peter notes, seems a rather simple result.

    How can I define a Table Style so that cells in new tables are automatically linked to my Cell Styles? (Not sure if "linked" is exactly the appropriate word....I'm going for "connected in such a way that when the Style is changed, the character/paragraph/cell/table/object updates to reflect the change.")
    I thought the whole point of using Cell Styles in Table Styles would be so the cells can be automatically linked to the desired Cell Styles when the table is created -- but that isn't happening for me. I don't know if I'm just confused or if this is a bug:
    When I insert a new table of a Table Style I have defined, it seems all cells in the new table are simply linked to Cell Style [None], with overrides for each cell that are consistent with the applicable Cell Style as it was defined when the table was inserted. So although the appearance of each cell is consistent with the Cell Style I defined for for that region of the table, the cells don't update if I later make changes to the Cell Styles I defined.
    (If, after inserting a new table, I manually select each cell and apply the desired Cell Style, then the cells do (of course) update when I change the Cell Styles.)
    Is it possible to have cells be actually linked to Cell Styles when a new table is inserted, instead of cells being simply linked to style [None] with overrides?
    (I'm using the up-do-date 2014 release of InDesign CC, in case that's relevant.)

  • How can I insert reference to cell on a different sheet in Numbers beta?

    In Excel or Numbers for iPad, I start typing in a cell, switch to another sheet and click a cell or range, hit enter, and I'm back on the original sheet with the cell reference inserted.  I saw documentation that it works the same way in Numbers Beta on Mac, but it doesn't.  When I leave the sheet, I'm not editing the cell anymore.
    Very frustrating.   This function is often necessary, and long formulas are tedious on iPad.  So far the most reliable method is to export back to Excel, make the change, and re-export to iCloud.

    I struggled with this same issue until this week.  You have to actually type references in cell.  And spacing is the key to making it work.  Make sure to put a space before and after each double colon.
    =SheetName :: B3
    =08 20 14 :: B3
    I you are linking to a different table in a sheet, you have to include the table name also.
    =08 20 14 :: No Shows :: D5

    No, we can't use Insert into with Set, it's the basic syntax in SQL statement. Give the worksheet a header row, then use Insert into or Update syntax with the field name.

    I don't think there is an easy way to do this unless Yvan comes up with a script for you.
    One option is to select the range of cells and copy/paste to TextEdit (yes, surprisingly it'll take a range of cells) then from TextEdit you can copy/paste each cell's contents one at a time to the popup menu list. Still a pain but it might be easier than other methods. The workflow I found quickest was to position TextEdit near the Inspector pane (which is open to the Cell inspector with your popup in it) and have the top of the Numbers window nearby. Double click on one cell's contents in TextEdit then Cmd-C to copy, click on the Numbers window up in the toolbar to make Numbers active again without selecting a different cell, then put the contents in the inspector (hit + then paste with Cmd-V). Repeat.

    Depends on the pattern of the dates. The last procedure will work for any pattern, or no pattern at all.
    For examples.the dates are assumed to be in column A, starting at A2
    Sequential dates?
    Enter first updated date in the first cell.
    Enter =A2+1 in cell A3. Copy the cell.
    Select A3 to the end of the list. Paste.
    With the cells still selected, Copy, then go Edit > Paste Values.
    Evenly spaced dates?
    Same procedure as above, but replace +1 in the formula with + and the number of days between dates in the list.
    Randomly spaced dates?
    Select cell B2. Press option-left arrow to insert a (temporary) column to the left of column B.
    Click on the empty cell B2 in the new column. Enter the formula below:
    =DATE(YEAR(A)+1,MONTH(A),DAY(A))
    Copy the cell, then select B2 - Bn where n is the last ow containing a date to be converted. Paste,
    With the cells still selected, Copy.
    Click on A2, then go Edit > Paste values.
    Click on the column B reference tab to select all of column B.
    Hover the mouse over the right end of the reference tab, and click the black triangle when it appears.
    Choose Delete Column from the menu that appears.

    I have my AppleScript iterating thru email messages and pasting data (which arrives via email from a web form) into following cells: range "A1:A50"
    My Excel parsing of data occurs in cell formulas on Row 52, cells in range "A52:AZ52"
    I want to copy the cells in row 52 and paste the Values (not the formulas) in successive rows underneath the formula cells, starting with row 54: range "A54:AZ54"
    In pseudo code the code snip is:
    tell worksheet "sheet1" of workbook "Example" application "Microsoft Excel"
         repeat i from 1 thru to (count emails)
              paste some of the contents of (email item i) into sheet range "A1:A50"  
                                            # the above forms about twenty lines of code to get it
                                                  into Excel's cell object list or lists
              copy or get row 52   # or range "A52:AZ52" if that's easier/faster/better
              paste or set the values of row 52 into row (53+i)
         end repeat
    end tell
    Not sure whether to use the clipboard with "paste speical…[range] with []" or copy and set value statements. I only know how to reference existing ranges, not the cell contents of the range. I really need to know how to get contents of cells into a AppleScript object (list) that I can transfer. The 2004 Excel AS documentation is not helping me, please throw me a life line someone. :-)

    One other question if I may hijack my thread, if I wanted to set the column of the range programatically how would I do that?
    I know how to programatically set the row eg.
         set x to 54
         set r to range "A" & x & ":AZ" & x
         set tVlaue to value of r
    But I need something like Column (x) to make one of {"A","B","C",…}
    but column(2) gives me $B:B$
    and: "column(2) as text" (so I can halve it) beachballs Script Debugger and Excel and I have to stop the script and restart Excel!

    1. Open BEx ANalyzer.
    2. Create new excel workbook by hitting the "New" icon in Excel.
    3. Logon to a backend BI system.
    4. Click the design mode icon.
    5. Put your mouse on a cell and insert a table.
    6. Assign a dataprovider to this table.
    7. Switch off design mode.

  • Alternative to isblank for a range of cells

    Hi,
    I am trying to get a formula using countifs that will return the number of cells containing a checkbox with a "true" value if a related cell on a different row is not blank.
    In my mind this would look somewhat like =countifs(checkbox range, true, isblank(range b), false)
    Is there a function that does what isblank does for a range of cell? Or should I use another function?

    The above answers seemed alright but they do not get to the heart of the issue that I am having in trying to get summary data on a range of particular cells +determined by a condition+. For this purpose the SUMIFS and COUNTIFS functions are brilliant because you can isolate a range based on conditions; for example, getting rows with a particular string and number.
    I have a long list of newspapers, each with a city, year and rank by population. There are about 10 decades and many different cities (which change as the rankings change), totaling over a thousand rows. The year, rank and city often repeat but the newspapers are all unique.
    It was easy to count the number of newspapers by rank (or city) and year using COUNTIFS but there seems to be no corollary for the MAX (or LARGE) function. I need this because I have circulation numbers and I'd like to know what the MAX circulation is for each city (or rank) in each year.
    This means I need to be able to pluck out a max value for a range of cells based on a calculation. It seems ridiculous to have to put in row numbers in: there should be a simple way to perform a test on a defined range using conditions.
    Hopefully I am simply missing how that is done. Thanks ahead of time,

    There are multiple versions of Pages in circulation on Mavericks and Yosemite. Telling us which one helps with a more accurate answer.
    If you are referring to Pages v5, then you cannot insert a table into the header or footer, because implicitly, these are table cells too. The discontinued Pages ’09 v4.3 would allow table insertion in the document header/footer fields.
