Is it mandatory to assign a task to responsible agents?

Hello Gurus,
Iam new to workflow and i have few questions . Iam implementing CATS on ECC6.0 and in the data entry profile i have given the task ID  TS31000007,Now i want to assign this task to an agent,
1. Is it sufficient to assign possible agents to the task through PFTC so that all possible agents can execute the workitem.
2. Or is it mandatory to assign the task to responsible agents <b>also</b> through a rule.
3. If i make the task as a general task can the perosn who entered working time can also approve it .

My scenario is as follows
In CATS data entry profile i made the following settings
With approval procedure
Using business workflow
Auto determination of a recipient
Task ID : TS31000007 - approval by a chief (supervisor)
Now i make the task as  general task ( possible agents).
I <b>dont</b> define a rule for the task in the defaults tab .
Now does the workitem go to all users?
and if i maintain agent assignment to a task through PFTC ( for example i assign the task to a user) and dont define the rule .
Does the work item goto that particular user only?

    Not sure what sample code I can give you, but you need to do a query in your adapter like:
    select REQUEST_KEY from OIU where ORC_KEY='?'
    Here ORC_KEY should be mapped to the process instance key.
    Once you have the Request key, you can use RequestServcie APIs to get the requester information. http://docs.oracle.com/cd/E14571_01/apirefs.1111/e17334/oracle/iam/request/api/RequestService.html#getBasicRequestData_java_lang_String_
    Or if you don't care then get the requester key from the request table. Thus you can have the final query as:

    we have one material which is used for three places FIRST IN MILL1, 2ND IN MILL2 AND THIRD IN TRIMMER MILL.
    the only thing which differentiate this single material is  the production order. we have 3 different production order but one single material. for this we have created 3task list. my problem is when we create batch and confirm it through co15, the lot reflects in QA32. but is not allowing for USAGE DECESION. For that we have to go to QA02, assign the task list and then again go to QA32 and do the usage decesion. is there any method by which we can assign three task list to three production orders so that qa02 step could be avoid.

  • Assigning human task to a user not exist in the ldap - actionable task by email address

    Hello experts,
    we have a requirement to assign a task to an external user (not exist in the ldap) to perform some action by allowing the system to send an actionable email.
    Internal user will capture the external-user name & emailaddress in the task form. System should use this information and assign the task to the user by sending an actionable email. Our requirement is, these external users should not have access to bpm workspace, so we can not store the user information within the system.
    Currently I have tried assign the task to an internal user (users configured in weblogic) and system sends out an actionable email and able to set the outcome of the task by replying to the email.
    How can the same be achieved, without the user being in our system? Is it possible? I am OK to create a temporary user before assigning the task, but will be there be any impact if I delete the user after the task has been completed?

    Assigning a task to a user that is not in the directory will likely result in the BPM flow going into suspended state. To avoid this, assign the task to a pre-created group, you should not get an error even if the group is empty. You can then add and remove the users to that group to control access to the task.

    The following extention for the Workflow Activities available in SharePoint Designer will allow you to create one or more workfows that satisfy your requirements:

    The worklfow would be configured to start when a new item is added to the list / library, which would assign an approval task (or collect approval status) from the approver (Supervisor). 
    After the manager assigns the request to a technician and the technician completes the request, the manager may want to confirm/close the request.  this would allow the worklfow to continue and/or respond by sending the completed work to the user.
    You can either "Collect data from a user" to obtain the "User" to assign the request, have the workflow "Wait for a field change" to obtain the assign to user, as well as other alternatives to get the Assign To details for each
    step of the process.  A separate field for each would probably be more suitable than re-assigning the task using the same "Assigned To" field each time, as the details each participant will be captured (not an issue if using the "Collect
    data from a user" action, as the Assigned To information will be available in the task item created by the workflow).
    The custom activities above allow you to do the following, which may assist with your solution:
    Specify the sender of an email
    Attach list items as email attachments
    Without the custom activities, you could develop a similar solution, but you won't be able to attach list items (include links instead), or specify the sender.  The approval and request delegation process can be achieved using OOB Workflow Activities
    available in SharePoint Designer.

  • BPM 11.1.1.5 Dynamic assignment of task to user

    Hi,
    I'm working with BPM 11.1.1.5 (without feature pack). I have a requirement to assign a task to a user dynamically, based on data that I pull from a DB query. If the task expires, I will assign it to another user once again based on a DB query.
    I have not been able to find a way to do this. I have tried creating the Participant List "By Expression", where the expression is: /task:task/task:systemAttributes/task:assignees/task:id, where I have previously assigned a LDAP user id to a TaskExecutionData input variable. This does not work!
    I've read a number of forum posts where people are trying to do this, but they are either not answered or answered inadequately.
    I've read a number of posts where people talk about doing this using bpws:getVariableData() where the dynamic user list is stored in a variable. This would be great, if it worked for BPM as this is exactly what I'd like to do. However, this is a BPEL solution as far as I can see! I haven't been able to find a way to access a declared variable from the Expression Builder form in BPM.
    Does anyone have a solution for this, please?
    Any help would be greatly appreciated. Is this something that is easier to do in PS5?

    Hi Brian,
    Not sure if this is what you need, but to assign the BPM work item instance to a participant based on information read from a database table, one approach is to:
    1. Read the table and return the userId to a process data object variable upstream of the Interactive activity.
    2. Pass the variable with the user id into the Interactive activity's human task.
    3. Open the human task, click the Assignment tab -> double click the performer icon in the center -> change the "Build a list of participants using" dropdown to "Names and Expressions" -> click the plus icon -> click "Add a User" -> under "Data Type" change the dropdown selection to "By Expression" -> click the "..." button under "Value" -> expand "task" -> expand "task:payload" -> select the variable that you set the user id to.
    I think there is probably more to your question than this, but hopefully it's a start.

  • Importing From Excel file will not import assignments correctly where there are more than one assignment per task

    I am trying to import an excel file ... see below.   It appears if you select both Tasks and Assignments tables it will not allow you to do this, says file is not in a project recognized format.  So I import Tasks tab first then run the
    wizard again and import the assignments tab while selecting merge with project option.   This works with one exception:
    If there are more than one assignment per task.  It does not merge in the 2nd assignment, only the first.
    Is there a way to import a task with 2 or more assignments?

    I did a quick test using your example although I didn't include the Predecessor or Outline Level fields to keep things a little simpler. I imported the Excel data into a new Project file with a single import of task and assignment data. It is very important
    to set up the Excel Workbook correctly. On Sheet 1 I entered the task data (Name, Duration, Start). I did not include the ID or finish date as that is redundant - Project generates its own ID and will calculate the finish date based on the start date and duration.
    On Sheet 2 I entered the assignment data basically just as you show it except I didn't include the Units.
    The data imported as expected.

    An assignment/requirement is created in PJR for create demand for the resource requirement of the project and when the resource is aligned he can be assigned to the task in the work plan.
    Refers to the top down approach in this case.
    Additionally a resource can be assigned to the work plan and a assignment can be created to get the resource allocated to the project.
    Refers to the bottom up approach in this case

    Hi Thirupathi,
    There are a couple of things you can try:
    - Agent assignment gets buffered in HR, normally refreshed at midnight. Use txn SWU_OBUF to refresh them manually.
    - Are all agents also possible agents of the task or is the task defined as a general task?
    - (just adding the obvious) make sure your task is in status READY, else it would have been reserved by someone.

    I have a requirement where in i need to assign the tasks to a user. The user is not created in the Weblogic LDAP but the users are present in our application rdbms (Oracle).

    You have to configure additional authenticator and set the control flag appropriate to authenticate from either RDBMS authenticator or the default authenticator. Once you have done that you will be able to assign tasks to users from either user repositories.

    I need to assign approval task to a person who is not a member of site but member of team site.
    I know that if a person need to approve/reject task form should have atleast contribute permission.
    Is it possible to assign contribute permission to that person through workflow using impersonate step?

    You can assign permission through workflow using impersonate step and add list item permission. Few things to note here
    1) Impersonate step actually impersonate the person who last modified the workflow. This impersonation is similar to code impersonation. So you have to be careful that person who is creating this workflow does have permission to assign permission to others.
    2) You will have to assign permission to the list item (or list) where the item is as well as the task list item (or list) where your workflow task would be created. I think that would be Association: Task List when in SPD.
    3) If user does not have any permission at the site level then the only way they can access the item and/or the task item is through the link they would have received in email. 
    I am not 100% sure how permission assignment works from SPD when you list and list items are inheriting permission from parent so please verify that part as well.

         I have copied the standard task TS00008267( Generic Decicion Task) into another task. But when i use the new task, it says no agent assignment.
    when I looked into agent assignment mentioned for  TS00008267( Generic Decicion Task), it has got "Demo workflows" and "Records Management" as 2 task groups maintained in it.
    How can I add these 2 inside my own created task which is a copy of TS00008267 ?
    I am new to the workflow concepts. Any help is aprreciated and rewarded.

    You don't need to add those task groups, but you should make it a generic decision task.
    1) Go to PFTC, open your copied task in change mode
    2) Select menu item "Additonal data", "Agent assignment", "Maintain".
    3) Select the top line in the screen (there is probably only one), the one that has the ID of your task (TS 9nnnnnnn) and press the button "Attributes" (or select menu item "Edit", "Attributes")
    4) Select the radio button "General Task"
    5) Close dialog box, F3 out to the main menu
    Done. ... Unless the task was already a general task. Then there is something else wrong.

  • Can I assign a task based on information from another column?

    For example:
    Let's say I have a column called "Question Type" and this column has multiple checkbox choice, those being:
         Math
         Science
         History
         English
         Other
    I want to allow users to be able to select multpile catagories for the question, like making one both math and science (which right now is completely possible)
    I then want another column that says who the problem is assigned to. Bob is good at math, Joe at science, Jill at histroy, Jenn at English, and Billy handles everything else.
    1) Is there a way that the task can be automatically assigned to my math expert Bob when I specify that the item I am adding is a math problem?
    2) If I make a problem both math and science, can the task be assigned to both Bob and Joe?

    According to your post, my understanding is that you wanted to assign a task based on information from another column.
    To assign task to multiple users, you need to:
    Create a workflow and add action: Start Approval Process.
    Click these user, select the Group, change One or a time(serial) to
    All at onec(paralle).
    Right click the action, select Properties, click ExpandGroups, change No to
    Yes.
    Then you can assign task to each member of the group.
    I recommend to follow the steps as below to achieve what you want:
    Create a custom list, add columns: Question Type(Choice); Assigned to(Person or Group).
    Create a workflow associated the list.
    Add conditions and action as below:
    Then the task can be automatically assigned to 123 when the item is a math problem.
    In addition, if you make a problem both math and science, the task can be assigned to both 456 and 789.
    You can add other conditions to satisfy all the requirements.
