Issue:Task started under work item ID999893(Current status: In Process)

Hi Experts,
I am doing a test scenario in IDES on business workflow. While executing my custom work-flow to check output,am  getting a message like " Task started under work item ID999893(Current status: In Process) ".
Kindly suggest me how to resolve this issue.

My task is based on user decision, intended person will get approve or reject mail for that am using Am using "User decision" and "Mail" steps. Now  recipient also receive a work item in SAP Inbox. When executing workitem.. not getting a screen to choose one among approve or reject as part of the user decision.
Please suggest me.

    We have a scenrio where in the work item needs to be sent to multiple approvers.
    We have multi line container element which contains all the approvers. We have assined this container element using the expression option for the agent .
    we have made the task as general task and we do not have any requested start maintained for this work item.
    However we are facing a problem. Work item is always in waiting status. What might be the issue? In our case when i check the work flow log, for these work items there are three approvers, however SBWP inbox is appearing only for one approver and remaining two approvers do not have any Icon against their name.
    I have checked the approvers ID's and all of them are active in the system.
    Can you please help me to resolve this issue?

    Hello,
    I would look at the workitem in SWIA, proceed as if you were going to change the container elements (ie click on the workitem number, Edit > Change) and see what options are available to you.
    "Resubmit: You can have a work item resubmitted to you for processing at a later date. To do this, choose Resubmit and then enter the date on which you want to receive the work item."
    Let us know what you find.
    Edited to add: I tried it myself, a "End resubmission" button appears when you click on the Waiting step in the workflow log.

  • Error in Fork Step causing issue in generating next work items

    All,
    We have ECC 6.0 with the following SP:
    SAP_BASIS     700     0012     SAPKB70012     SAP Basis Component
    SAP_ABA                     700     0012     SAPKA70012     Cross-Application Component
    I have this strange issue. In one of my custom workflows, i am using a Fork step with 02/ 02 necessary outcomes. In branch 1, i am sending a mail to a user's e-mail id. In branch 2, i have 3 activity steps for another user. Step 1 is to display an invoice and step 2 is a user decision to apprve/deny this invoice.
    I know that during runtime, at the Fork step, the work item for branch 1 and the 1st work item for activity step 1 in branch 2 get generated almost simultaneously(though with some small time difference). This is OK. But the issue is, when the sendmail in branch 1 errors out due to some error, and when step 1 is finished successfully by another user, the work item for 2nd activity step in branch 2 is not getting created.
    As i understand, in the Fork, the 2 branches, execution should be independent of each other, that means, the work item creation and execution of branch 1 and 3 steps in branch 2 should be happening independently. But, this doesn't seem to be the case.
    I understand when the sendmail in branch failed, the wflow is set to 'Error' Status.But there is already an open workitem for step 1 of branch 2. When this workitem is completed successfully, I expect the work item for 2nd step should get generated.But this is not happening. But, when i restart the whole workflow using SWPR, it generates the witem for 2nd step in branch 2. And still the wflow is in 'Error' status.
    When the user finishes the 2nd workitem of branch 2, the next work item for 3rd step is not getting generated. Instead i needed to restart the whole wflow again and this time, it generated the 3rd witem in ranch 2.
    To my understanding, when a Fork is there, if i specify 02/02 outcomes necessary, these 2 branches should go in parallel, both creation and execution of workitems, until they are joined. And at this point, if the whole Fork step is successful, then workflow will proceed further with steps below the Fork. Shouldn't this be the case ?
    Anybody had similar issue? Pl share your thoughts on this. I'd really appreciate if somebody can clarify whats going on in the above case and how to fix this.

    Thanks for your reply. You said
    "When a Workflow goes into error the processing should stop whether it is in same branch or in different.".
    If this is correct, then as i explained earlier, when i restart the workflow without fixing the errored branch, then also, the next work item should not be created..Right ? But, it is. I didn't fix the errored branch but simply restarted the workflow. Then it created the witem for 2nd step, in the branch 2 that is not errored.
    How can this be, the branch 1 is still in ERROR status only. So, can you pl clarify if something else might be going on here.
    Also, fixing the issue is fine. But, the SendMail step in branch 1 is just an information only and per business requirement, this should not be holding up the approval process. And if we don't process the invoice in time, just because of some informational mail errored out, this will not be a feasible solution to the client,Right ? That's the whole reason i am using Fork step, so that they both proceed parallelly (independently).
    If step 1 is a pre-requisite for step 2, then it makes sense to fix error in step 1 so that we can proceed with step 2.
    Any other thoughts on this.....

  • TS20000189- change trip task not creating work item

    I am using the tsak TS20000189 for changing the travel request and expense report through UWL. when a manager clicks on "Send travel request back" one more iwork tem is appearing in the inbox to send the reason text.When manager enters the text and sends.requestor is getting the notifications to change the travel request but there is no work item is created in the inbox so that he clicks on it and changes the request  and  send again for approval.
    Please suggest me how to overcome this?

    The reason here is that the event "changed" works in the following
    way
    - "CHANGED" is NOT meant for triggering a workflow as a start event.
      This event is raised in order to end any existing workflow instance
      already created for the object.
    - subsequently this requires the workflow model to contain a
      step 'waiting for event CHANGED' which ends the workflow whenever
      it is raised.
    - the CHANGED and CREATED event are raised EVERY time a trip is saved.
      This leads to the workflow to be actual all the time. And TRIP does
      not leave the transaction after save. The save button there is meant
      to be like this. ESS users may be used to the save button not
      leaving the screen like it is e.g. in Excel or something.
    Consider also, your customizing in TRVPA (via T code PE03) in relation
    to this and the status for feature for "WRP" for what status shows
    when saving a trip also.

  • How to display Open Items (with current status as Cleared) for prior date?

    Hi all,
    We have an existing Customer Balances report wherein we are able to veiw the Debit/Credit amount Of all the open items based on the input date given by the user but unable to view the items which have been cleared later for the items opened on the mentioned date.
    However, in case of ECC, if the user enter a specific key date, he is able to view the Open & Cleared items for the mentioned date.
    The user is expecting the same logic for the BW report.
    E.g: If i run the report for date 30th Oct, 2010 and for Comp Code X; then the output should show all the Open items as of date 30th Oct, 2010 irrespective of the case that some of the items have been cleared later than the mentioned date.

    I think you are talking about the open item means opening balance as on date along with the sales or collections or adjustments and the Closing balance as on date right?
    for this we had designed in modeling. our requirement is also similar one which shows the opening bal,, sales ,coll ,adjustments and closing balance. for a particular customer and company code entered in selection screen.
    For this in order to get the open items
    we had create a new cumulative key figure in which i had taken
    inflow : debit amount
    outflow: credit amount
    you will get the closing balance.
    For getting the opening bal we had a formula like
    opening bal+sale-Adj-coll = closing bal
    now in order to cal opening bal=closing bal-salesadjcoll
    in this way we acieved the requirement.
    if you can give more details can help u on this.
    i think you are using 0FI_AR_4 data source for your requirement right?

  • Forwarding 'Wait Step'work items using SWIA

    Hi,
    I need to forward work items of one user A to another user B urgently, using SWIA.
    The work items are in executed state. This is after a fork step in the workflow, where the executed work item is one branch of the fork.
    As these items are executed, we will have to forward the work items that are in ready state.
    The work item for the other branch of the fork is in ready state. However this is a wait step, and hence I am not able to forward this item.
    Kindly advise as to how should I forward these items.

    Hi Smruthi,
    Dont confuse with the wait for events and dialog work item. There is no direct link between the wait for events and the work item.
    Only dialog work items needs the user action and dialog work item's only can be forwarded to other user's.
    For this, the work item should have the status of 'Ready'. If the work item has the status 'In process' that means, the user opened the work item and still he didnt take ant action on it.
    In this case, using SWIA you can manually change the status as 'Ready' and then you can forward the work item to the other user's.
    To forward the work item use the function module 'SAP_WAPI_FORWARD_WORKITEM' or use the SWIA transaction.

    i am configured and also registered UWL IN PORTAL..it is good..
    in sap ecc i can assigned UWL_SERVICE user to roles

    Hi All,
    In such cases, please try to check as below :
    1) Create Leave request work item from Employee and check the same under the UWL Tracking tab of employee.
    2) Log-in to swi5 transaction of the respective back end system and give "US" -> manager's UserID -> Choose Tasks to be completed from the drop down -> Remove any date if mentioned -> Execute.
    3) Here if you can see the Leave request created, but not on the portal, it reflects some portal issue like sync.
    4) If no leave request work item is seen here, then there is a problem in the employee manager mapping or the workflow setup.
    5) In such cases, you can try to check the Swi1 and check the log of that workflow to understand the current status of the Leave request.
    Revert if further help is needed with more info.

  • Translation of Task and Work item description

    Hi Guys,
    I'm facing the problem, that some customer specific texts like Work item text and task decriptions are not displyed in the proper language. Currently we have implemeted a new language in SRM. Since we have some customer specific texts in some work item texts (redefined text) and some customer specific task decriptions I translated these text manually. Therefore all translations are available, but the customer specific texts are not displayed in the application. Always English task descriptions and work item texts are displayed instead of Portuguese. For the standard texts Portuguese is displayed. Did I miss anything during translation?
    Any help is appreciated!

  • Terminating Event to Event Queue due to Work Item Lock

    I have a dialog workflow task based on an asynchronous method defined with a terminating event.  When the user executes the work item, the method generates the terminating event (via a V2 change document) but the work item is enqueued (locked) by the same user (locked when they execute the work item from SBWP) and therefore the terminating event goes into error and is placed in the event queue.  The background job which processes the event queue does not redeliver the event so it stays in the event queue and the work item fails to complete.  Other than dequeing the work item lock myself with a function call how do I get around this catch 22?

    Actually, the locking happens whether I have the task as asynchronous or synchronous.  The problem is the timing. If the user does not release the lock (by backing out of the dialog which is executed) prior to the terminating event attempting to enqueue and complete the work item then the event goes into error and is inserted into the event queue (and lingers there indefinitely, almost). Another issue with the asynchronous approach is that even if the user backs out of the dialog before the event actually attempts to complete the work item they will still see the work item in the inbox unless they click the refresh button when they get back to the inbox. 
    I have changed the task to synchronous but here is my scenario and another question.
    The process being workflowed is the approval of service entrysheets (similar to an invoice if you are not familiar with External Services).  In our process, there are a large number of documents being created and requiring approval by particular approvers.  It is a normal scenario for an approver to have, lets say 25 documents in his inbox awaiting approval. It was not practical for him to have to navigate back and forth between his inbox and the approval task screen.  Therefore, I give the users the option of (when executing a work item) having all the documents in his in-box (for this particular task) be presented in an approval list screen.  They can then do a mass approval of the 25 documents with 1 click and 1 navigation.  This list screen is also available to be executed outside workflow via a tcode.  So, when the user executes the mass approval (either from the inbox or outside workflow) the work items are terminated via the terminating event assigned to the approval task.
    A couple of issues remaining:
    1) Given my example of 25 work items (user executes 1 work item from in-box
    and I displayed all 25) being approved, when the user returns to the in-box, the 24
    items remain in his inbox until he clicks the refresh button since these were not actually "executed" from the workflow engines point of view.  However, these were terminated successfully because they were not "locked".
    <b>Question:</b> Is there a way (user exit?) to trigger the inbox refresh automatically.
    2) Now, the issue with the actual work item which the user executes from the inbox.  As I mentioned, the work item is locked as soon as the user executes it and is not released until they back out of the dialog or logoff.  So, here is what happens:  If the terminating event is sent before the lock is released the event is sent to the event queue.  If they then back out back to the in-box, its OK since I put some code in the SWO1 object type program (rememeber, its now synchronous) which will determine if they did the approval/rejection and the work item will complete and the event in the event queue will be deleted the next time the Event Queue Background job runs (it deletes any events for work items already in COMPLETED status). However, lets say they simply log off rather than backing up to the in-box or they don't do anything and are eventually logged off by timeout. In this case the code in the object type program to determine if the approval/rejection was done does not get executed (control does not return to the object type program) and the work item remains in "STARTED" status and remains in the users inbox and the event is in the event queue. So, now we have a work item that should be completed still sitting in the users in-box and the terminating event in the event queue. So the next time the user goes to their inbox the work item is still there.  The interesting thing is that though this may be confusing to the user, if they then attempt to execute the work item, they will get a message: "Work item currently being completed by event" (Message SWF_RUN 644) and the event sitting in the event queue gets redelivered and completes the work item.  To alleviate this problem I was thinking of adding a call to SAP_WAPI_WORKITEM_COMPLETE in the approval list screen after they do the approval but I'm guessing it wont work since it probably will try to enqueue the work item and it will still be locked.

  • Work Items to PR Agents (Only one of two agents received)

    Dear all,
    I am facing a problem like this:
    In my PR Workflow, the task TS00007986 is assigned agents by position. There is one position applied for a particular release strategy and there are two agents under this position.
    Now, there is one PR created, it went to the correct release strategy and thus sent to the correct agent. However, only one of the agent is receiving that work item while the other don't. In another words, instead of sending to both the agents, only one received.
    In SWEL, the possible agents are showing both agents' names, but the icon "In User's Inbox" is only appearing on one of the agent.
    I would like to know, what would be the possible error for this and in such cases, how could I trace the errors?

    Here's an update on this issue:
    For example, the two agents are Agent A and Agent B.
    I think Agent A and Agent B both received the work items. However, Agent A executed the work item but later canceled the action without processing the work item (approved or rejected the PR). When Agent A executed the work item, the same work item would be removed from Agent B's inbox, but it is still in Agent A's inbox.
    The problem is, the work item has yet to be processed. In this case, how this issue should be solved (only processed work item is removed from all the agents' inbox)?

    I am not fully aware of workflow but can manage to check the logs and status.
    My question is: My Invoice workflow status is 'READY' but i dont know how to find to whom the work item it currently held.
    When i check the log it says:
    WF-BATCH                       Dialog work item created
    How can i check, which approver currently held work item so that i can chase them to approve the item.
    There are no agents assigned to the workflow and it is General Task.
    I would apprecaite if you could share me some information about this.

    WS10400016 – Without approval,
    WS10400017 – One-step approval,
    WS10400018 – Two-step approval,
    WS10400021 – Administrator approval
    The relevant approval workflow is started, depending on completion status, invoice category (credit memo or invoice), creator role, and total value of the invoice.
    You should have maintained approver in your org structure (PPOMA_BBP)

    Good day all.
    Our Portal users facing an issue where sometimes the work item doesn't disappear from their Portal Task list even when they finish the execution.
    We checked the workflow log and indeed those work item is in "Complete" status.
    We also checked from user's back end (SAP Business Workplace), completed work item is not there.
    Is this bugs in the Portal Task List because not in sync with SAP Business Workplace ?
    Is there any transaction to get rid these work item of ?
