LET (Letter) type element in Agent Inbox

Hello experts,
I have a task where I have to create a letter (LET type) element inside the agent inbox using ABAP.
All fields of letter I have to read from a xlsx file. Beside that, every letter should have an attachement with a pdf file.
If reading xlsx and pdf files is not a big problem, creating mentioned element on the other hand and placing it inside the inbox is quite hard for me.
Any suggestions how to solve it? Do I need to use any FM or BAPI?
Best regards,
Andrew.

Hello,
You may want to follow the system instruction, and maintain entry in the given table.
This can be found in the SPRO here :
Interaction Center WebClient->Agent Inbox->Inbox Search Definitions->Define Item Types for Searches

• Problems with letter type

Problems with letter type homepage www.JO-qigong.nl When I want to make another type it changes the whole page? Why?

Thank you for responding. I am sure that I selected the text. I don't do anything different than I did many times before. But if I change a text know, for exemple in the color Red, than other text, that I didn't selected, get a different text: bigger text or other color. In iWeb everything is OK, but when I publish it, than there are those grazy changes. I use iWeb for 3 years now and had no problems till now.
Is it because the software is not supported anymore by Apple, because you can not update the software anymore. It is a pitty, because I like iWeb. It is easy to work with.

• Filter Agent Inbox statuses by Transaction type

Hi,
We have 100 inbox statuses mapped to different tranaction type and status profile. Now when we see big list of inbox statuses when searching for the transactions in the agent inbox.
Is there a way to display only the transaction specific statuses? i.e when I select a transaction type to search only the inbox statuses mapped to the transaction type to be displayed.
Rgds,
Shridhar

Hello,
I don't think we can filter by Inspection Lot Type in BAPI_INSPLOT_GETLIST,
I would try below options,
Option 1:
You can filter via BAPI_INSPLOT_GETDETAIL  that is First pass the Insp Lot number to Detail retrieve the Details and then go for filtering as suggested by SOM
Option2:
Use "RFC_READ_TABLE" and pass the relevant QM Table name or View name to RFC and fetch the desired results
Option3:
Write Custom RFC (z-rfc)
Hope this helps!!

• Restrict agent inbox status drop down values based on transaction type

Hi,
We have  around 20 inbox statuses mapped to different tranaction type and status profile. Now when we can see many other irrelavent  inbox statuses when searching for the transactions in the agent inbox.
Is there a way to display only the transaction specific statuses? i.e when I select a transaction type to search only the inbox statuses mapped to the transaction type to be displayed.

Hi,
you do not have Transaction type exactly in search criteria - this is only the Category, which is more generic as it could be or transaction type or activity category.
and here only generic statuses mapped in CRMC_IC_AUI_MAP_STA are available as search criteria,
and not the statuses of transaction type directly.
This is because Inbox was created to enable work with many transactions of a different type like eg. emails and service requests together.
you can do something that you want but with custom development - you will need to enhance webui component ICCMP_INBOX. Here you should, based on a chosen by the user Category of a document in search criteria view, narrow the list of Statuses displayed. But I guess SAP standard already makes this as per config in CRMC_IC_AUI_MAP_STA.
But as I wrote at the beginning, it makes you requirement tricky. As you will need dynamically check if category or trans type is chosen as search criteria, and based on this determine its type, search for available statuses in config. And you should only cut down from the list in search criteria some of a generic statuses to help the user - not determine the whole list from the beggining.
I had a similar requirement and we were trying to create such a generic statuses for inbox which will have also the information about trans type status - eg. "In process - Forwarded externally", which was only for requests. there were also logical issues with how to search later using such criteria.
But finally we just added a column in results view with found transaction's status.
Summing up - I would propose you would make a mapping of a Category and statuses you want to display -to think it over, next check if you can put it into CRMC_IC_AUI_MAP_STA configuration.
Maybe this will be the most reasonable solution.

• Inbound Letters within the Agent Inbox

Can someone let me know what the process is for interacting with inbound letters within the agent inbox?  We are using the OAWD transaction to upload letters into the CRM system, which then appear in the agent inbox as a Letter type.  The issue that we are having is that after you confirm the customer that is related to the letter, you no longer have the letter on the screen to view when creating additional transactions.   How is this process supposed to work in the CRM system?
Thanks,
Darcie

Dear  Alfredo,
From information provided I understand that trx: SWI1 shows no Instance of WS14000164,  although  most of your customizing looks to reviewed/set. I understand that WS14000164  has been activated (trx: CRMC_IC_MAIL_WF) and E-mail address properly maintained at SO28.
Confirm that Event: <ICAUISUPP, MAILRECEIVED,  WS14000164>, is not getting deactivated (trx: SWE2).
Via Event Trace (SWEL/SWELS) you can determine, if event is being triggered or not. If No Event is being triggered and E-mail actually shows at SOIN,  activate SAPConnect Trace, refer to Note:194926. Check if SAPConnect Trace provides further information
about your case.
From an e-mail sent by Juan Miguel Silva, I noticed you have setup SO50, as test could you please check if such entries are conflicting with E-mail handled by Workflow: WS14000164. Make note of them and remove them temporally. Repeat your test. Check if Event is triggered and Workflow is started.
If no e-mail is shown at SOIN, confirm you have setup inbound e-mails, refer to SAP Note: 455140, if so, send for example, an inbound e-mail to a SAP-User, which can review it via SBWP. If no email is shown at SOIN, I am afraid problem would be outside SAP CRM system. You may follow Note: 607108, to send an e-mail via TELNET command to SAP CRM System to address maintained [SO28], and check if e-mail are received. If so, contact your Mail Administrator  to review why E-mails are note getting to SAP CRM System.

• Issue with custom search fields in agent inbox

Hi All,
I am working on CRM agent inbox 7.0. The issue I am facing is like this:
I have added custom search fields in inbox. When give a combination of standard search field and custom search field, the result is only based on standard field. The value of custom field is not considered.
Is this a standard behaviour? Are standard fields given higher priority that custom fields?
Any pointers on this would be highly helpful.
Thanks,
Narendra

Hi Naren,
Did you add custom field using AET? If yes then while adding custom field using AET did you make it search and result relevant?
There is nothing like priority in standard SAP fields and custom fields.
Please let me know so that I can further help you.
Thanks,

• Unable to see the email attachments in IC Agent Inbox

Hi All,
we are running on crm7.1, i have configured agent inbox and the email functionality is working fine, we used ERMS in our scenario to route the emails to specific agents.
Issue is that: the emails are visible and availble to the agents but we are not able to see the attachments along with, In agent inbox , the attachment is not visible for opening or downloading.
Following has been done:
Email profile has been configured IN IC WEB CLIENT -> BASIC SETTINGS -> COMMUNICATION - > EMAIL PROFILE - > Display of HTML mails is enabled.
Email profile has been added in business role via functional profiles.
SM30 -> table SXPARAMS - > maintained MULTILVALUE/ALTERNATIVE with HTML ACCORDING TO THE NOTE.
Note 1787141 has been implemented in the system.
still, we are not able to view the attachments which were sent to [email protected]  , while the agent logs on, he is able to see the email but not the attachment.

• Best approach to add Z custom field to IC Agent Inbox search and results view

Hi Experts,
We are having a requirement to add a Z custom field to IC Agent Inbox search and results view. I got multiple forums and ideas, but looking for the best approach for handling this. I am sure, you experts, would have already done this.
Thanks in advance.
Regards
Siva

Hi Sivakumar,
AET is the best way by far to create a custom field in this area. It is easy and simple.
Also, field once added in one business object it can be used at different objects as well.
There is also a demo available for AET on sdn.
Please let me know if any more help is required.
Thanks,

• Incomplete Approval Work Item Removed from Agent Inbox

Dear All WF Experts,
I noticed this strange scenario:
Let say Agent A and Agent B are sent a work item.
If Agent A has executed the work item in SBWP previously, the work item is removed from Agent B's inbox (And the status is changed to 'STARTED'). However, the work item is not processed yet.
Is there anyway to make the work item stays in the inbox until either agent approved the work item?
Thanks in all advances.
Regards,
YL

Thanks Arghadip for your response. Sorry for my blunt question.
Actually, the Agent A and Agent B are the approvers for PR approval by position (Agent A and Agent B are the users in the mentioned position).
Thus, when a PR is raised, both Agent A and Agent B received the same PR work item.
If Agent A execute the work item but does not release the PR, the work item still remains in Agent A's inbox as there is no terminating event. So, based on the logic, in Agent B's inbox, the work item should still be there because the work item is not fully processed yet (no terminating event takes place).
But, now, from what I saw, as long as any of the responsible agents executed (started) the work item, even if they do not release it, the work item is removed from all other agents' inbox and only remain in the inbox of the agent who first executed the work item.
I interpreted this as there is at least one agent already view the work item and know the existence of the PR to be approved, thus the other agents do not need to bother about the PR anymore. But, is my interpretation correct? And is there anyway to make the work item stay in the inbox of all approvers until there is one terminating event?
Thank you so much.
Regards,
YL

• Consolidated Report on emails to all agents in AGENT INBOX

Hi
I need to prepare a report for the manager to check the details( Dates,Status and Escalations) of all the emails received by all agents in the system. How can I acheive it ?
I was trying to create the report using the BTQUeryAUI Bol query instance and it helped me in getting the details of all the emails received by
one user(the logon user), as agent is determined at the BADI level during the query. But I want to get the details of all emails received by all the agents for the manager.
Please let me know if I have to change any functional settings which i've no idea about.
Please help me.
Thanks,
Akhil

As per the info from : SAP CRM 7.0  Interaction Center Agent Inbox Enhancements
It is not able to create reports on all the emails on all agents through bol query service but only the graphical dials as per UI standard. Please correct me if i'm wrong.
Anyway Reports were created with the data available in the tables CRMS_ERMS_HEADER and CRMD_ERMS_CONTNT.
Thanks,

• "Forward To" option in Agent Inbox

Hi,
We are facing issue in "Forward To" functionality in Agent Inbox.
We have done below configuration steps to execute "Forward To".
- Define Reciepient profile:
Here define responsible groups (which are already maintained in Org model as a Org. unit).
-  Assign Reciepeint profile to agent inbox profile:
We forward inbox item to particular group. Now forwared item should be visible in that particular group.
The issue is "Forwarded item is not reflecting in that group.
Please let us know if we missing any steps.
Regards
Mohit

Hi  Arun,
Yes we are using IC_Agent role and inbox profile is assigned this role.
I am trying to forward inbox item (service order , interaction record etc.) to different groups and these groups are maintained as Org. unit in org. model.

• CRM ERMS workbench & Agent inbox status difference

Hi,
Due to the fact the ERMS Workbench doesn't allow to update all received e-mails. Therefore we created a Z-program where we used the function module CRM_ERMS_RPT_EVENT_HANDLER to update the status field in tabel CRMD_ERMS_HEADER.
If we use the program then the status is updated from e.g. open to complete in the ERMS workbench but in the Agent inbox search the status is not updated.
Is there another function module for this? How can we make it work so that we don't have any inconsistencies anymore?
Many thanks for the help.
Kind Regards,
Christoph

Hi,
I don't see why I should create a new profile and use the rule modeler for finding a solution. Let me explain my problem again.
We use the standard function module CRM_ERMS_RPT_EVENT_HANDLER to update the status of the e-mail to the status 'closed'.
This works so if we run the report the e-mails disappear from the ERMS Workbench. E-mail status is changed from 'open' to 'closed'
But if I go to the inbox of the IC and search for the same e-mail then I notice that the status is still 'open'.
So everything for the ERMS workbech is ok, only the agnet inbox status is not changed.
There must be another way then using a rule modeler for this.
Many thanks for the help.
Kind Regards,
Christoph

• Assign Agent Inbox Address

Dear expert
In our system (CRM 5.0), we made all required settings for an incoming email to appear in the agent inbox. It was working fine until we change the organizational structure.
We had an organizational unit and under it positons and business partners. All users under this org. unit was able to see the incoming emails. But we changed it a bit and created 3 sub-org unit under the first org. unit. Now users are not able to see new incoming emails and we cannot see emails processed by someone who would be under sub org 2, if we are under sub org 1.
Regarding the first issue: nobody can see new incoming emails.
I found that a dummy business partner under the first org unit had the inbox email address under his system user. If I copy this position/bp/user, under sub org 1 then users under sub org 1 can see incoming emails. But I don't want to replicate this position/bp/user under each of my sub org, because this dummy may be used for other processes. If I assign the email address directly under org 1 or sub org 1,  users under sub org 1 still don't see incoming emails .....
Regarding the second issue: is it possible for users to display incoming emails that are processed by someone in a different sub group?
Thanks in advance for your help
Stephanie

Hello Stephanie,
Let's first clear things out.
Suppose you have three levels
Level 1
       |-Level 2
                   |-Level 3
(When posting it's not very clear but level 3 is under level 2 and level 2 is under level 1)
If you assign the emails to be received in level 1 everyone belonging to level 1, 2 and 3 will see the e-mails, even when they are in process.
If you assign the emails to be received in level 2 everyone belonging to level 2 and 3 will see the e-mails.
what can I do to allow all users under the main org unit (even if they belong to different subgroups) to see all emails (in process or completed)?
If you want everyone to see all incoming mails, assign your emails to level 1 and everyone (in level 1 and any level below level 1) should see all mails.
Hope this helps!
Regards,
Joost
