Mail rules problem

Hi everyone
I'm using a MacBook Pro 10.7.4, I'm having rules problems in Mail.
I run a Graphic design and photography company, I have folders set up for 20-30 clients, when emails come in from a certain client they go straight to that client folder.
Equally, I have a 'Personal' folder, emails from friends should go to there.
Recently though for some reason ALL of my sent items have started to flood into a client folder, a lot of my client emails are going to a general folder and personal emails are not going to the right folders.
Does anyone have a second to advise what might be causing this, or even better - a potential fix for this problem, it's making me a little crazy and adding to my workload daily.

hello. When you say the sent items flood a client folder, do you mean, duplicates, or the actual sent mail goes there?
I have been trying to look into why periodically, things I send go into drafts folder.
Sounds like an issue that needs updating.. maybe we should "report bug to apple" maybe..

  • Mail Rules Problem (Auto-Respond Not Working)

    Hello there, I just purchased a 20" iMac and Leopard has been great so far. The only problem I've run in is that Mail Rules does not auto-respond but rather it will just send back the same thing that it received. Keep in mind i've been a Tiger user for 1 year so the settings shouldn't be an issue. Anyways here is how i have it setup:
    IF (ANY):
    ACCOUNTS
    REPLY TO MESSAGE: (REPLY MESSAGE TEXT) =this text is not showing up in the auto-respond emails.

    I'm another one with the same problem since I upgraded to Leopard.
    My auto-reply rules no longer work.
    This is really going to be a pain as I am on vacation starting tomorrow through the Thanksgiving holiday and now I have no way of communicating this with clients sending me emails.
    I also did a bug report. Hopefully this gets fixed FAST!!

  • Mail rule problem - still

    I want Mail to do two things: (1) route an email into a specific folder on my institution's exchange (2007) server; (2) copy the email into an archive folder on my mac.
    (Yes I am on an exchange server. I don't like it, but I have no choice but to use what our institution has, and I am pretty sure this is not an Exchange server problem.)
    The new Mail apparently cannot do both. It'll move the email AND copy the email to the same location but cannot copy to a different location. I would go into preferences/rules, make the rule change, and it runs fine. I shut down Mail and re-open it and it changes the "copy email" location to the "move email" location. Any suggestions? Thanks.

    Just an additional update incase this helps someone help me... (because I find this incredibly frustrating)
    I have gotten so frustrated that I went to my rules and duplicated them and set one to copy and one to move (really not a nice solution, obviously, but seems like it should definitely work). Interestingly it did NOT work, in the following, complicated sense. All of my old rules sent mail to an IMAP account and depending on how I had already messed with them either tried to move and copy (to the same IMAP account because of the bug) or just moved to that account. I made a duplicate, changed the duplicate to copy to the local account, dragged the duplicate above the old rule (so it would copy and the next would move). Then when I quit and restarted the new duplicates still sent to IMAP account, not the local account like I had changed them to.
    BUT when I then went to my original rule and then changed IT to go to the local account, that seems to have 'stuck' (i.e. I can quit and come back and they are as I thought). Obviously there are a lot of permutations of this I could try to see what happens (and should be done with a blank set of rules), but I just don't have the time right now.

  • Can Applescript fix this problem with no Reply-To field in mail rules.

    Hi I'm trying to sent up an automatic response email in mail rules, the problem is when I filter the email I want to respond to, I don't get the option to send a response to the "Reply-To" field, I can only reply to the "From" field which is no good to me. The mails I receive are booking inquiries generated by an online form so the "From" field is always the same email address not the guest address which is in the "Reply-To" field.
    Can any applescript genius out there help me out, it would save me so much time !!

    Give this a shot. Change the text in the quotes in the property line to whatever you want for the body.

    If you set theQuote to "", then it won't quote the original. The quote is plain text, so not a great solution.
    There is an option in Applescript to reply to a message, but it does the same as the rule. I tried to edit that message, but it didn't let me. So, I went with the above method.

  • Problem with Mail Rule

    I am trying to set up a mail rule that triggers an Applescript. The Applescript will open all attachments with Preview in this case. I know the rule is being triggered because I have two actions for the rule, run the Applescript and Make a sound, and I hear the sound.
    Here is the script:

    If I comment out the stub at the bottom, and run the script, it runs perfectly all the time.
    If I select the e-mail in question and trigger using *Apply Rules*, the script runs some of the time.
    I have yet to get the script to trigger on newly arriving e-mails.
    The rule is checked and I haven't found a +Apply Rules to Incoming Emails+ check box. I thought that happen automatically. Anyone have any ideas on what is going wrong or further ways I could debug it?

    Testing your script, I found that, in the few cases where it didn't work well, I could have it work properly with the following modification:
    *tell application "Preview" to open theFileName*
    *delay 1*
    *tell application "Finder" to delete theFileName*
    It should also be possible to replace *delay 1* with something better, like *repeat while … end repeat*.

  • Mail Rules not applying to Sent folder

    I have rules set up to color code my e-mails. They work fine in all my mailboxes (Inbox, Trash, personal folders), but do not work properly when applied to my 'Sent' folder (the messages all turn orange). What's the problem?
    I have Gmail being forwarded to the Apple Mail program using IMAP settings.

    there is no problem. Mail rules work on incoming mail only. if you want Mail rules to apply to sent messages you need a 3rd party plugin. MailActOn

  • Apple Mail Rules dont apply when mail is READ on other devices!

    Hi,
    I use IMAP settings on Apple Mail (v4.5) and also check my emails on the iPhone (iPhone also set up with IMAP). However if i have read an email on the iPhone then when i switch my computer on the incoming Apple Mail Rule that applies to that sender does not seem to work. It keeps the mail within my Inbox and does not transfer the mail/message to the desired folder.
    However, if the same sender sends me an email which i do not read on the iPhone and then switch my Apple Mail ON, then the mail is automatically transferred to the desired folder.
    It looks like the problem is only with READ mail and not UNREAD mail. 
    Is there a fix for this? There seems to be a lot of people having the same issue and was wondering if there is any work around on this?
    Would really appreciate any help from anyone on this.

    PS: I recently moved from Outlook 2011 on MAC to Apple Mail as i heard is a far superior mail application and works smoothly. So far everything about Apple Mail has been correct, it is a fantastic app, however this Rule problem is pretty basic and surprised that Apple still has not fixed this.

    Many thanks for this. Unfortunately i dont have this facility on the server as we are using a simple opensource mail delivery and storage service, so the rules would have to be set up on the computer.
    I was using Outlook 2011 and prior that was using Entourage 2008 and both worked well with the IMAP rules. Nothing was ommitted and everything READ or UNREAD was imported and the rules applied. It's only in Apple Mail that these rules dont seem to work.
    Is there no other work around? No Apple Mail Add-Ins? I see quite a number of people complaining about the same problem and i'm surprise that Apple has not found a solution for this.

  • Mail rules work for some users, don't work for others

    Ready to pull my hair out over this one:
    Leopard to Snow Leopard upgrade went uneventfully, except for the fact that server-side mail rules (accessed via browser at FQDN -> Mail Rules) work for several users (two, to be exact) and don't for the rest (about 15 or so).
    The usual culprits have been reviewed: 'Enable Server-Side Mail Rules' is checked in Mail -> Settings -> Filters, 'Allow users to configure server-side mail rules' is checked in Web -> Sites -> Web Services, users can create vacation notices and email rules without issue via browser, permissions look fine on the contents of /Library/Email Rules and /var/spool/imap/dovecot/sieve-scripts, logs give no indication of any foul play (at least the Email Rules -> debug.log generates the same entries for both functional and non-functional users), etc.
    I have noticed that /var/spool/imap/dovecot/sieve-scripts contains only two items, which - you guessed it - line up with the GUIDs of the two functional users. Theoretically every user with a rule should be represented here.

    I created both a vacation notice and an email rule for several users, thinking that may force the folder creation for those users, but no dice. I even manually created folders for a few users with their GUIDs as the folder names and assigned each user ownership and read/write access. Still nothing. Created a few new test user accounts just to rule out any legacy account weirdness (although it's worth noting that I completely redid the OD and recreated user accounts after the upgrade) and replicated the problem with these, as well. Lastly, used Inspector to compare OD attributes between functional and non-functional accounts, with no glaring differences.
    Help!

    Did you find an answer? I encounter the same problem on my new MiniServer. Deleted and created all users several times, but just for some accounts mail is working.
    Do you have the answer?

  • Modifying existing mail rules now even worse with Mavericks 10.9.1

    Mail nightmares continue with Mavericks update 10.9.1 installed. In fact, the nightmare gets bigger. The story goes like this.
    Prior to Mavericks, I created a stack of rules to move Mail messages from the Inbox to designated Mailboxes, e.g. messages from Friends would be moved to a Friends mailbox. Everything worked fine.
    Along comes Mavericks, and when I Edit a rule to add a new recipient, and Apply that rule change to Move existing messages to another mailbox, messages would be Copied instead of being Moved, even though Move was the only action selected.
    Now with Mavericks 10.9.1, nothing happens when I Edit an existing rule and then Apply the rule change to an existing message. The messae just sits in the Inbox and does not appear at all in the Mailbox I want to move it to.
    How do I modify mail rules to move a message to another mailbox, then apply that rule modification to existing messages?

    Unfortunatelly you are not the only one with this problem. I am in the same situation with the exception that once I create the rule the new incoming messages will go to the designated mailbox. If you want to create a new rule, the message will just copy, not move to the mailbox. I contacted Apple support and a representative called me back and asked me to do all kind of stuff, but no luck. I was hopping that the update to 10.9.1 will solve this, but again no luck. I gave up in trying....I am waiting for the next update and hope for the best.

  • Mail Rules Are Not Being Saved After Mail Is Close & Opended

    I am using Mail 3.6 with 10.5.8 on a Macbook Pro. I have set up mail rules so that an email from a specific person's email address goes to two places: 1) Move to a folder on .Mac & 2) the Inbox on the Mail app. Upon first setting this up it works. BUT when closing and opening the program or waking up the computer from a sleep status the rule disappears and the Rule Preference window shows that email message is now going only to the .Mac folder & none to the Inbox!
    I spent a lot of time with Tech Support via telephone and even ended up reinstalling (A&I) OS 10.5 (plus updates); this was done on the tech's theory that Mail was corrupt on the root level. HOWEVER, that was not the solution as the problem still exists with the reinstalled OS.
    Can someone from Apple's tech support who has knowledge of this issue please help?

    you may find better result in a call into AppleCare support and
    if there is an incident or case number involved in the issue you
    have experienced with corrective actions taken so far in your
    communications with Tech Support(?) by phone, be certain a
    reference is made to that conversation, for proper follow-ups.

    There may be some other issue, perhaps relating to hardware
    or something else, that may bear looking into. Have you seen
    a result of the system log files and reports, such as Console
    generates from the computer in action? There may be a clue
    in those almost cryptic reports. Also, you have a hardware test
    on bootable partition in the original system install disc; that's a
    specific test version for your computer, an Apple Hardware Test.
    Boot instructions are on the disc's label. Run it in a repeat-loop.
    Is there any third-party software installed later on, which could
    result in complications or conflicts with the Mac's Mail app?
    The problem, if not software, could be hardware. Or a logic error.
    If you have AppleCare coverage in effect on the computer, that
    is the call to make; and keep track of your incident/case number.

  • Mail rule message content as variable

    I run a minecraft serer, and i need a way to promote a player when they fill in a form on the website. Every time a player filles in the form, I get an email like this:
    New application for member:
    Naam:  <name of the pearson>
    Username:  <minecraft username of the person>
    Skype naam:  <skype name of the person>
    E-mail:  <email of the person>
    Nieusbrief:  <Whether they want to get the newsletter or not>
    I know there is a way to setup a mail rule that runs an applescript, and from that I can run a shel script, but is it posible to feed the playername to the shel script script as a variable? So from the mesage body to the apple script, and from the apple script th the shel script. First problem I face is getting the username to the apple script. Then there is the second problem: I know there is an run-shel-script thingy, but i'm not sure how to pass the variable on from the apple script to the shel scrip. (I don't have anny experience with apple scripts...)

    In your opinion is it possible to force the Outlook Exchange server to add the content attachment every time?  I mean by doing some configuration on it...?
    The reason why we would like to do this is because when - in the content tag of a Mail Package message - we have MIME message parts that are of content-type text/html we are having problems in decoding the html back to a readable format.
    To do this we use the apache QuotedPrintableCodec Java class.
    This works fine when the content type of the message is just text/plain but we get an exception when we try with text/html.
    The exception we get is:
    org.apache.commons.codec.DecoderException: Invalid URL encoding: not a valid digit (radix 16): 13
    I don't know if this is because of the two character sets we have in the payload (utf-8 and iso-8859-1) or if it is for other reasons...
    If you could help me figure out how to forward any HTML email to another system in a readable format it would be great.

  • Mail rule or script

    I´m using Mail and OrganizePro on my Mac. I would like to add a script working like if I move an email to a specific folder it should automatic create a task in OrganizePro related to the email. Any ideas how this can be done ? It is possible to create OrganizePro tasks by forwarding the email to a specific email. My problem is that mail rules can not be triggered by new mail added to a folder.

    My initial thought was that you could run a script and then move the mail to the mail folder.  However, it seems that OrganizePro is not scriptable so it's not possible.
    You could:
    select an email
    run a script (from the Scripts menubar) that will forward the email to the OrganizePro address and then move the mail to the desired folder.

  • My Mail rules keep "breaking"

    I'm using Mail on OS X 10.4.10, with the Mail Act-On plugin installed. (This lets me trigger specific rules with key shortcuts.) I have 4 IMAP accounts in Mail, one of which is .Mac. The others are on my own server, provided by a hosting service.
    I have set up several rules to automate moving messages from one folder to another. But each time I start Mail, it changes several of the rules, so they don't point to the mailboxes I want. Rather than pointing to the mailboxes under the "Inbox" at the top of the list, some of them point instead to IMAP boxes at the bottom of the list (featuring a grey globe with the @ symbol). The problem seems only affect the accounts that are on my IMAP server, not the .Mac account. Other rules that don't point to mailboxes in the Inbox don't have this problem. Any ideas about what could be causing this?

    I had Mountain Lion on two Macs. Mail rules were set up on a third Mac running Lion.  I migrated everything on the Lion Mac across to a new iMac running Mountain Lion so now I have Mail rules on a Mountain Lion Mac.  At least I should have. Several times a day the rules disappear.  I assume this is iCloud synching messing up.  I keep re-entring the rules but they vanish again and I'm getting tired of the game.
    Large chunk of my Safari bookmarks bar also disappear at random intervals.  It seems that iCloud can handle two Mountain Lion Macs on the same Apple ID, but can't cope with three.

  • Mac mail rules do not display properly

    I use Mac Mail rules to manage my mail, but I am having trouble using them because, many time the "Perform the following actions:" display gets so scrunched together that I cannot see what I've already entered or, if I'm editing a rule, what needs to be changed (see image capture, below).  This does not happen with every rule but it happens on many of them.  It occasionally (but less often) happens with the conditions entries too.
    I've had this problem for some time, but it's gotten much worse since I upgraded to Yosemite.
    Another problem I'm having with the mail rules is that sometimes the "Stop evaluating rules" option is grayed out and I can't enter it as an action.
    Does anyone know how to fix this?

  • Mail Rules

    Any reason why I have lost all my Mail rules?  They have simply disappeared.  Any reason why and where can I find them on my backup ?  Thanks.  IanT

    It could be a corrupt plist file, I guess.
    I think if you quit Mail, then go to Home Folder > Library > Preferences and drag <com.apple.mail.plist> to the Trash, and empty the Trash, then when you relaunch Mail, a new plist file will be made. If you can then make that rule without a problem, that's what the trouble was.
    Do note, though, that you will have to reset your preferences, and rewrite any rules you've already made. I'm pretty sure you don't lose your account details, but it'd be a good idea to have a note of what they are, just in case.
    By the way, after you've set your rule and clicked on OK, do you not get a message asking if you'd like to apply your rules to messages in open mailboxes?
