Organizational Unit vs Role

Hi,
Can anyone tell me the basic advantage, if there's any, of having a Oraganizational Unit as opposed to a Role...for example I've been told to create a OU for Plant Manager and I'm thinking there's a Role for that why create a OU...just assign the user to the Role....thanks.

Assigning a role to an Org Unit (or an HR object, such as Job Key) can have the following advantages:
1) Those users (or employees) assigned to the Org Unit will automatically be assigned to that role. This means you don't have to manually assign the role to a large group of people via SU01... it will happen after running a simple job (RHPROFL0) that evaluates the org structure.
2) By assigning a role to a user account via the Org Unit (or HR Object) means that the role cannot be removed from the User Master Record without making changes to the Users assignment to the Org Structure.
3) Using the Org structure to assign roles could mean that the assignment of roles lies with the HR department as they wuld have to maintain PD relationships.
If you only want to assign one role to one person, its easier assigning the role to the user master rather than using an Org Unit. Using the Org Structure to assign roles is beneficial if you have a large organisation and are properly using the HR PA/PD system.

  • Problem about Organization Unit and Role in BPM

    Hi,
    I am developing BPM project which have some roles and will be deployed for many organization. In JDev, I want to assign users to each role and organization and when the project is deployed to WorkSpace, each user in specify org can only manipulate with his task (other user can not visible). I tried configure in Jdev and WorkSpace but it is working incorrecttly
    I used BPM, Jdev 11g.

    1. When you add new Roles, Users to Roles etc from JDev and Deploy it, ONLY for the first time deployment, all these information is added to the Workspace and you can see it in Admin tab of workspace. You should see them in one of the tables of soainfra like BPM_CUBE_ROLE like that. The point is, after first deployment, when you add more users to the same Role, they will not be reflected in Workspace. I guess this was Designed intentionally to avoid overwriting of users with every redeployment. The only way to add more Users or Edit Users for Each Role is from the bpm/workspace application with adminstrator Role.
    This makes sense also. Beacause when we develop any BPM Application, all we consider is the Roles names called as Studio Roles (or Swimlanes etc). They are just dummy and virutal Roles. We add all Tasks for each Role. Thats it. Then you Deploy them. And only in Workpace, we map these dummy studio Roles to the real Users from the Security Providers of that SOA/BPM Domain like from default seucrity provider or any external configured AD LDAP etc.
    Unless there is a very strong reason, I would not recommend to add Users/Groups etc to the Studio Roles in the JDeveloper itself. Worst case, after you deploy it, if you see any discrepencies, just delete the Roles from workspace admin. Redeploy your bpm app and it will create the new Roles.

  • How to inherit roles between root organization unit and sub units

    Hi all,
    I have root organization unit and sub units:
    ->Company
    >Department 1
    >Department 2
    >Department 3
    >Department 4
    >Department 5
    I would like it to work like this that all people from all departments would have access to transaction ZTEST. Most obvious way would be for me to assign appropriate role to unit Company. Unfortunately it looks like roles are not inherit between units like this. So question is how it should be done? Do I have to assign this role to all departments to make it work?

    Hi,
    To activate inheritance of roles between root org and sub org units, you need to set switch HR_ORG_ACTIVE to Yes in table PRGN_CUST. Also proper evaluation path has to be used so that user comparison (via PFUD)  creates the indirect role assignment to user master records.
    You can modify evaluation path US_ACTGR in table T77AW/ tcode OOAW to include root org and its subunits (add entry for relationship O B002 O) and connect the role assigned to root org to the users belonging to sub org units. Then run PFUD which will use this evaluation path to create indirect role assigment.

    The Role BUP004- Organizational unit cannot be assigned manually.
    This role gets assigned to the business partner number which represents an Org Unit.
    U must have seen that in PPOMA_CRM, every organization unit has a corresponding BP number. This BP gets the Role BUP004 assigned to it.This setting is done at
    IMG:Customer Relationship Management->Master Data->Business Partner->Integration Business Partner-Organization Management->Set Up Integration with Organizational Management
    Here in the table search for the entry:
    ORGEH PROLE BUP004 Role of organizational unit in business partner

  • Business Partner Number in Organizational Unit

    Hi All,
    I am Configuring Organizationla model in CRM 4.0, as we know the system automatically generates a BP of role type of Organizational Unit as soon as we save the Organizational Unit which we created.
    But in my case Partner ID is generating but not Business Partner can you please advice me in this regard?
    I have checked all the number ranges and all.everything is ok but i dont understand what is missing and where? This is Urgent plz.

    It should create a BP of type Org as soon as you add a organization in the Org model.
    Go to Tx  ppoma_crm (Maintain Org Model).
    Create a Org and add other data like address and save it .
    Exit the screen and open the org model again you would see the BP Number under the Business Partner column for the selected Org.You couls also see Code,ID,Valid from,Valid to columns for the organization.
    Take the BP Number and open it through BP transaction.

  • Getting the organization unit of a responsibility used ...

    Are there any manners to get the organization unit according to the responsility the user selected...????
    For example...
    Assume that the user has the following responsibility:
    inventory employee <-----------role as a single inv. employee(access only to view)
    admin of inventory N234 <-----------role as an admin to this particular inventory(access to view, edit, check, ...)
    admin of inventory N239 <-----------role as an admin to this particular inventory(access to view, edit, check, ...)
    e.t.c..
    How is it possible to correlate the responsibilities 2,3 (of the above list) to the organization units(units of a company) coded as 234, 239 respectively..???
    I assume that this can be done using a profile (at responsibility level and/or user level)...In this case is there any profile name i can use..or i should create a new one...??? ----{I use the MO:Organization Unit to get the business group id/company}.
    Is it possible to acheive the above through the use of a form parameter...(but the question is how to correlate the specific to an organization unit responsibility to a code representing this unit (inventory N234) without the use of a profile - as a second manner)...???

    Hi Sim,
    One thing you need to be carefull about is in what context you need the ID of a certain organizational unit. There are different types of orgs that are in play at different times.
    e.g. Operating Unit is the securing attribute for many subledgers such as Order Management, Accounts Receivables/Payables, Purchasing.
    Inventory Unit is relevant when you look at Inventory Transactions, Costing, Planning etc.
    If we assume that you are only interested in INV orgs then whenever you enter a form that deals with inventory related issue the user is prompted to choose an organization and the choice results in setting the context variable MFG_ORGANIZATION for the session.
    If you want to control which Inventory Organization a user or responsibility has access to you go to Inventory > Setup > Organizations > Organization Access. Here you can restrict access by Responsibility. Take a carefull look into the help text to understand implications - I have copied the first couple of paragraphs:
    +You can specify which organizations a responsibility can access by mapping responsibilities to organizations. Once this mapping is set up, a user logging into an Oracle Manufacturing product is restricted to the organizations mapped to the responsibility chosen. The Change Organization window is restricted as well.
    Attention: Until you assign an organization to a responsibility in this window, all responsibilities have access to all organizations. Once you have restricted any responsibility to an organization, you must then explicitly define the organizations which all responsibilities can access.
    Attention: This feature does not restrict access once the user is in the product. Users with access to functions that cross multiple organizations (such as ATP, Inter-organization Transfers, Item Search, Multi-organization Quantity Report, and so on) can still specify any valid organization when running these functions.+

    We are in process of upgrade srm 4.0 to srm 5.0 , as configured Plan driven procuremnet with supplier enablement scenario . Connected R/3 (46 c) to SUS  using PI 7.0 . But stuck in problem as no   new vendor replicated in sus from R/3. XML  message processing shows error at SUS system ie ..
    "An error occured within an XI interface: Exception occurredE:BBP_BUPA:034 -Organizational unit 50000001 does not exist; check entries Programm:"
    while successfully updated existing( working with srm 4.0 since last two years) vendors from same system ,
    pls advise.

    The conversion is required because, in the new HR organizational model, external objects can no longer be stored as object 'O' (=organizational unit); consequently, it is no longer possible to create positions for external objects.
    This has the following effects for external business partners who are stored in the organizational model:
    The old root object, the 'Central Organizational Unit for Vendors' will in future not be an organizational unit, but rather an organizational object of the type 'VG' (=vendor group)
    The interim nodes that were created for reasons of system performance (each containing 100 vendors/bidders) will in future not be an organizational unit, but rather an organizational object of the type 'VG' (=vendor group)
    The external business partners of the type Organization (bidders, vendors) are no longer represented by a separate organizational object (in other words, there is no longer an organizational object that has the identity relationship to the partner)
    Since the org. object that previously represented the partners is missing, the business partners are now linked directly with the interim nodes (previously, the organizational unit for the partner, and not the partner itself, was linked)
    If a business partner has a set of attributes that is different to the attribute values specified for the interim node, the partner in question is not linked directly to the interim node, but rather to another 'VG' object (which has the attributes of the partner), which in turn is linked to the interim node.
    Previously, if an external business partner had an employee and this employee has a user in the system, the employee staffed the position in the organizational unit that represented the partner. However, since this organizational unit no longer exists, the position and the staffing relationship no longer exist either. This means, among other things, that there is no reporting option in HR that enables you to navigate from a user to the business partner of the user's company.
    Since there is currently no way of directly assigning a user to a business partner (of the type Person), the organizational object 'CP' (=Central Person) is still used to establish this link.
    Once the conversion report has run successfully, you will no longer be able to see the organizational structure of the external business partners by calling transaction PPOSA_BBP (or PPOMA_BBP).
    However, a new transaction called PPOMV_BBP is available instead. You can use this transaction to display the converted (and newly generated) structure for bidders/vendors.
    Prerequisites
    Before you actually convert your organizational structure, you should let the report check the structure, and correct any errors that the report detects.
    Features
    The report has the following features:
    A 'Check Only' mode is available, which you can use to check the consistency of the organizational structure of the external business partners at different levels
    The report can be restarted. This means if the conversion is canceled due to errors or system problems, and you restart the report, it will recognize any new objects that have already been generated, thus ensuring that structure elements that have already been processed are not converted a second time (this is achieved by evaluating at runtime the log tables BBP_O_TO_VG_OBJ (for generated objects) and BBP_O_TO_VG_REL (for generated relationships)).
    If you use table BBP_MARKETP_INFO to store the root organizational units, the report changes the old entries accordingly.
    The report writes an application log (log object BBP_XPRA_O_TO_VG) in which messages are logged at two different levels; alternatively, you can request that the message be output directly ('WRITE', for background spool lists).
    Although we do not recommend that you do this (because it can result in very long response times), you can run the report in parallel and thus convert several root organizational units at the same time.
    Activities
    Start the report for every 'Central Organizational Unit for Vendors' (root organizational units for external business partners) in every client that you use.
    Annotations
    We recommend that you do not use the 'Direct Message Output' option (that is, the option where an application log is not written) in conjunction with the 'Detailed Message Output' option for larger organizational structures, because every object and relationship that is generated will be output, and you will not feasibly be able to process this list.
    Even if you use it in conjunction with the writing of an application log, the 'Detailed Message Output' option rarely makes sense if you have tens or hundreds of thousands of vendors/bidders.
    Estimated work/expenditure necessary
    The runtime for this report depends on the hardware, system load, and structure involved (for example, the number of vendors/bidders who have employees and users and, therefore, also positions, the number of vendors who have attributes different than those of the interim node, and so on).
    As a rule of thumb, though, structures with vendors where 10% of users have their own individual attributes are processed at the rate of approximately 25,000 per hour.
    Remember, however, that the time required depends to a large degree on the number of nodes where local attributes have been defined, and on the number of business partners who have users.
    This can lead to situations where an organizational structure with 100,000 nodes but no local attributes or users can be converted more quickly that a structure with only 5,000 nodes but with local attributes and assigned users.

    What is the reason you are using ONUMB  = 2. Why are you not using ONUMBE = 1
    Note on ONUMB and PNUMB u2013
    1. For switch value 1, the internal interval is used.
    2. For switch values 2 and 3, the interval is defined by switches HRALX/OSUBG and HRALX/PSUNG.
    3. Additionally for switch values 2 and 3, a grouping must be created (transaction BUC2) for these intervals. So that the system can connect the grouping and number range interval, the name of the grouping must be identical to the name of the corresponding number range interval (the name of the grouping is in the first column of the table).
    4.  If type 3 is chosen (switch HRALX/ PNUMB=3) for the number assignment of business partners of the employee role, switch HRALX/PSUBG need to be created manually in table T77S0.

  • Organizational Units with Business Partner

    Hi Experts,
    I'm creating my organizational structure on CRM system: on transaction "PPOMA_CRM" I'm creating all the organizations I need. But I 'm facing with a problem: I'm not able to assign them a business partner. I mean: in the transaction "PPOMA_CRM" under the column "Business Partner" I'm not able to insert any business partner.
    And on the other hand, if I go on transaction "BP" in order to define a new organization, when I select which is  the BP role to use for the creation of the organization, I don't see BUP004.
    Do you have any suggestions.
    Why I can't see it?
    And what I have to do to assign a business partner to an organization?

    Please find below my answers:-
    In a first moment I configured the HR-CRM integration and when I go on transaction PPOMA_CRM in order to display the Organizational Structure I can see, for each Organizational unit downloaded from HR, a business partner ID under the column "business partner". This is the same number ID which allows to identify the same Organizational Unit on transaction BP.
    Answer- In Transaction BP you can find the same Org unit business prtner created in PPOMA_CRM.
    Suppose you have created BP_Org in PPOMA_CRM which has got generated with certain BP number.But this will not reflect in transaction BP. All the Business Partners created under BP_Org will be getting reflected.
    Now I deactivated the HR-CRM integration and when I create a new Organizational Unit on PPOMA_CRM I'm not able to fill the column "Business Partner".
    Ans- If you have not maintained in HR-CRM Integration there will be no number range.
    If I insert the Organizationa Unit ID (displayed on PPOMA_CRM) in transaction BP I don't get any results.
    Ans- While searching in BP , first you donu2019t have option of searching BP with Org Unit ID but you will find number instead. But as I told you earlier this will search the Business Partner under your Root Organization in our case it is BP_Org. You cant search for BP_Org in Tx-BP
    I need to assign a business partner to my organizational unit for escalation purposes since the escalation is succesfully only for the organizational units with that business partner ID, i.e. all the organizational units downloaded from HR.
    So at the moment the escalation process doesn't work for the organizational units just created only on CRM standalone system.
    I think it is possible to make it work also for these organizations, but I don't know how!

  • Create a BP type BUP004 (Organizational Unit)

    Hello,
    I've created an Organizational Unit in CRM but there is no Business Partner created and assigned. When I try to create a service order for a customer with the attributes of the OUnit, system says that I heve no BP associated to the OU. I've seen in tx BP but the role BUP004 is not visible.
    How can I create a BP associated to the organizational unit? Should I create the BP first? But I can not see this role?
    Can anyone help me?

    Hi Teresa,
    For a BP to be generated for your OU you need to maintain the following settings
    1. Transaction code     SPRO
    SAP CRM IMG menu     CRM --> Master Data --> Business Partner --> Integration Business Partner u2013> Organizational Management ->Set Up Integration with Organizational Management
    2.Enter the following values for the existing combination of Group and Sem.abbr.:
    Group     Sem. Abbr.     Value abbr.     Description
    HRALX     HRAC     X     Activate HR Integration
    HRALX     OBPON     ON     Integration O-BP Activated
    HRALX     ONUMB     2     Business Partner Number Assignment (Org. Unit)

    Now when you carete an OU, a BP no. will get generated
    Incase it does not happen run   report, CRM_OM_BP_INTEGRATE
    This will give you inforamtion as to wahat is missing in your OU

    Is there a way to add authorization for an organization unit (i.e. Planning Plant) on a user (SU01) level and not on a authorization objects (PFCG) level?
    For example,
    I would like to create the following Role (profile):
    ZPM_AUT_EQM_EQUIPMENT_DISPLAY
    This role should be able to display equipment from the Plant Maintenance module.
    However our problem is, we would like to create authorization levels with organizational units for each user:
    For example:
    User jsmith has ZPM_AUT_EQM_EQUIPMENT_DISPLAY assigned but can only display equipment from Planning Plant SL01.
    We know we can create this authorization creating several roles, like:
    ZPM_AUT_EQM_EQUIPMENT_DISPLAY_SL01
    ZPM_AUT_EQM_EQUIPMENT_DISPLAY_SJ01
    ZPM_AUT_EQM_EQUIPMENT_DISPLAY_AG01
    but our idea is not create several roles, but to assign the Planning Plant authorization on a user level and leave just one role so we would only need ZPM_AUT_EQM_EQUIPMENT_DISPLAY.
    Is there a way to do this?

    Is there a way to add authorization for an organization unit (i.e. Company Code) on a user (SU01) level and not on a authorization objects (PFCG) level?

    I agree with Jurjen.  There is no point creating a "new" authorisation concept for a few transactions.  If you use standard authorisation objects for the check in your custom tcodes then you will likely have very little work to do if you assign those tcodes to existing roles.
    Even using a custom auth object & creating the variants will take up no more time than doing something like repeating the variable functionality in BI or messing about with PIDs in the UMR (which I definitely do not recommend).  By sticking with the standard concept you ensure consistency, making it much easier to support and/or handover if you move on from the role.

    the basis guy should be able to help.
    at a higher level: you need to set authorizations to the roles assigned, the transaction code is pfcg.
    you may create a new role with the required authorization and assign to the relevant users.

    Hi archana,
    U can Create a role through Transaction PFCG.
    Just create a role and assign the tcode PPOCA_CRM if u want to give the user just only this authorization otherwise u can select the menu list from sap menu and assign this role to that user.
    Another way is if that user already exist in that system then just assign that particular transaction codr with that user.
