OTL Timekeeper Problem

Hi there,
I am trying to allow OTL supertime keeper entry of hours types and have set up the following preferences for the super timekeeper.
Timekeeper Misc Setup - N,Y,Y
Timekeeper Layout Attributes - TK projects, TK Tasks, OTL Elements (*)
Timecard alternate names - OTL elements(* This is a alternate names for all elements available through OTL.)
as well as all the other preferences which I have set up for the timecard end users (which work fine.)
When I select the timekeeper responsibility and search for an employee. I get a timecard which allows me to enter hours but I am unable to enter any associated hours types.
Any help on this would be very much appreciated.

Kev,
You need to have an Alternate name set which should contain all the possible elements which are assigned to user of a particular TK group. Now this alternate name should be added in the "Timecard layout Attributes" preference which is attached to the Timekeeper himself. Just to test you can test with a TK group having only one user and both user, TK having the same set of alternate name.

    Hi All,
    I'm new to the Oracle HRMS module and have a question. Can you update OTL Timekeeper with time cards from OTL Self Service? I did read a very brief, one or two line sentence in one of the implementation manuals that said you could. However, at this point, I have researched in vein and still cannot find any information as to how or what should be done.
    Any help is greatly appreciated,

    Sure.
    We would like to take the employee time cards being entered into the (OTL Self Service Time Entry) and once approved, have them automatically populate the OTL Timekeeper by employee. These employees are already defined in various Timekeeper groups. Once the supervisor opens up that group in Timekeeper they will be able to export those employee time records to an excel spreadsheet for further data manipulation. That's our end goal.
    The question I have is, how does the upload from (OTL Self Service Time Entry to OTL Timekeeper) happen?
    Does it happen once the employee time card has been approved?
    or
    Do you have to launch some type of concurrent job, etc?
    I just can't find that process answer and what if anything that needs to be done.

  • Adding Display Only Assignment info on OTL timekeeper Entry form.

    Hi
    My company is using OTL timekeeper Entry PUI form to record the attendance of employees. Our users want to have Employee's Organization from primary assignment to be automatically populated in a static field so that they can check if employee is in right organization or not at the time of data entry.
    I don't want to add LOV using alternate names in the form because it requires additional button clicks for the users.
    Can anyone help how we can add static field (Just like employee name appear after we add employee id) for Organization name in PUI Timekeeper Entry form?

  • Required Parallel Approval from OTL Timekeeper Entry Form

    Is it possible to perform parallel approval from OTL timekeeper entry form? it is using the following workflow OTL Seeded Approval Workflow HXCSAW(i think) if it is using this workflow can we change this workflow or need to write a new workflow for above mentioned requirement.

    Hi,
    HXCSAW is a custom workflow which do nothing accept approving and that can be change as per customer requirement. This child workflow called by parent workflow process HXCEMP. If u going to change the HXCSAW then u also need to change the seeded package associated with this workflow to embed your logic.
    We have done it through SSHR timesheet entry page, no idea if OTL timekeeper entry form carries approval or not.
    Whts the nature of ur parallel approval ? and how u can able to manage if via workflow ?

  • Timecard submitted from OTL Timekeeper screen is auto approved.

    Hi all
    Timecards submitted from OTL Timekeeper screen are auto approved even if I set the Time Store Approval Style preference to Supervisor Approval and link the preference to Timekeeper responsibility using Eligibility Criteria tab.
    I am expecting the timecard should go for an approval to supervisor since the approval style preference is set to Supervisor Approval but its auto approved as soon as the timecard is submitted. May I know the reason why the timecard is auto approved or am I missing any setup to send the approval notification to supervisor. Here the customer would like send the approval notification to supervisor if the timecard is submitted from timekeeper screen. Please advice.
    Please note that timecard submitted from self-service time is sending the approval notification to supervisor as expected.

    Thanks for the response.
    As per my understading, prefereces linked to responsibility wouldn't be considered if the timecard is submitted for approval through timekeeper. In my case, i have three different users employee, admin & manager. If either employee or admin submit the timecard then it should be sent to approval for manager. If manager submits the timecard then the timecard should be autoapproved. Pls note that all three will be using three different responsibilities to submit the timecard. I have created 4 differents of preferences.
    The preferences are linked as follows:
    Default preferece (Auto Approval) linked to All People with precedence 10
    Employee preference (Supervisor Approval ) linked to Self-Service Time responsibility with precedence 20
    Admin preference (Supervisor) linked to OTL time-keeper responsibility with precedence 30.
    Manager preference(Auto Approval) linked to OTL Super Time-Keeper responsibility with precedece 40.
    With the above setup, approvals are working fine as expected but if the timecard is submitted by admin then it's getting auto-approved.
    To fix the issue, i have changed the setup slightly as below
    Default preferece (Supervisor Approval ) linked to All People with precedence 10
    Employee preference (Supervisor Approval ) linked to Self-Service Time responsibility with precedence 20
    Admin preference (Supervisor) linked to OTL time-keeper responsibility with precedence 30.
    Manager preference(Auto Approval) linked to OTL Super Time-Keeper responsibility with precedece 40.
    With this setup, timecard submitted by admin is going for an approval to manager (as desired) but if manager submits the timecard then the workflow sends a notification to the manager for approval which is not expected.
    Is there anyway to have different approval styles for both manager & admin. If admin submits then it should be sent for approval otherwise if manager submits then it should be auto approved.
    Please advice.

  • The setup of OTL Timekeeper preference is incomplete

    All of a sudden when I try to open Time Entry in OTL timekeeper, I see the error message: APP-HXC-366338: The Setup of OTL timekeeper preference is incomplete.
    I have checked all the possible reasons for that...like if user login is associated with a worker, timekeeper layout attributes,Timekeeper group. Every thing looks good but still unable to open timekeeper.This is same with all other users .
    If someone can explain what might have gone wrong i would really appreciate the help.

    This might be due to an incorrect version of the Timekeeper Entry form HXCTKSTA.fmb.Recompile this form once using adadmin (Buy your DBA a cup of coffee, he will do it for you ;)

  • OTL Timekeeper Form Custom Field map to specific Element Input Value

    Hello Everyone,
    I have the below requirement.
    1. Create a custom field in OTL Timekeeper Form. This field is based on the Element Selected on the timecard.
    2. Once the Timecard is transferred to Payroll, the custom field should go to a specific input value of that element.
    I know how to perform Step 1 above. But i am unable to find out how i can map the value in custom field to a specific Input value of the element.
    Any inputs are appreciated.

    1. Created a new Value set for the custom field.
    2. Created an alternate mapping to map the value set value to InputValue13.
    3. Created the alternate name.
    4. Added the alternate name to 'OTL Alternate Names' DFF.
    5. Added the Alternate name to the 'Preferences'.
    Testing:
    1. Created a Timecard populating the custom field.
    2. Timecard submitted and approved successfully.
    3. I verified that the custom field value goes into attribute13 of hxc_time_attributes where the attribute category is the corresponding element (should it be against the attribute category: Dummy Element Context? If Yes, then how to do it?).
    4. Then i ran the program 'Transfer Time from OTL to BEE'. This transferred the values into hxt_timecards_f, hxt_sum_hours_worked_f, hxt_det_hours_worked_f. But nowhere in these tables do i see the custom value.
    Did i miss any step? I did not define anything in the 'Define Mapping Components' of Deposit/Retrieval Process because InputValue13 is already part of it unter type 'Dummy Element Context'.
    5. Since it is not in hxt tables, i did not find it in pay_batch tables too.
    Any guidance is appreciated.

    Say for example Employee working hrs are 8/day, I have entered manually in Timekeeper's entry form as follows and submitted and changed status to "approved"

    so i need to update 19-aug-2010 to 8 using an API, i tried using API but it's not updating can you guys please let me know.

    Follow the OTL api guide and check your code. If your code is proper, timecard should get updated properly.

    I have a question related to OTL Time entered using TimeKeeper (Using TimeKeeper Supervisor) and Time entered by Employees hisself.
    For Example ONE Employee time is entered by Time Keeper and the employee is entered time for hisself too.

    Transaction Date = 01-SEP-2008
    Pay Element =Sick Leave
    Alternate Name Definition = Time Keeper Def
    Hours = 2
    Entered BY Employee
    Alternate Name = Leave WO Pay-Employee
    Transaction Date = 01-SEP-2008
    Pay Element =Sick Leave
    Alternate Name Definition = Employee Def
    Hours = 3
    How can I find out in Oracle database in tables that time is entered by TimeKeeper or Employees.

    Let me explain in detail
    The two columns that we need to consider are RESOURCE_ID and LAST_UPDATED_BY in HXC_TIME_BUILDING_BLOCKS
    1.) Case when supervisor enter time for other employee, the data will be as follows
    RESOURCE_ID -> Person id of the employee
    LAST_UPDATED_BY -> User id of the supervisor
    2.) Case when supervisor enter time for him self, the data will be as follows
    RESOURCE_ID -> Person id of the supervisor
    LAST_UPDATED_BY -> User id of the supervisor
    So you need to compare resource_id and person id for last_update_by to look whether the time is enteretd by supervisor/him self.

  • OTL timekeeper entry - retrieve Hours type

    Hi guys,
    In the Timekeeper(OTL) entry form (where you enter time for multiple workers) there is a 'Hours Type' field .
    I need to retrieve the 'hours type' field value(As displayed in timekeeper entry screen) for a particular person(say person_id=2222) and for a particular period(june 9,2008-june 15,2008)..
    can anyone tell me the query or any pointers will be highly appreciated

    The Hours Type field needs to be configured as an Alternate Name Definition. This will associate a list of values for hours types to the corresponding elements.
    Then you have to associate the hours type alternate name definition as a timekeeper layout item in the Preferences window.

  • Adding Period on OTL Timekeeper find window

    I went through with all the steps of setting up OTL. When i open OTL time keeper first the *"Find"* window open which contains different fields along with Period field.
    My question is how can we add more period* in the list of values of this Period field on Find screen*

    Is there a way we can move employees across timekeeper groups dynamically ? I believe there is no seeded feature, but any recommended workaround ?

    There is no automated process as such. You will need to handle this either by
    1. Using a Custom Process which refreshes the Timekeeper Groups on a periodic basis.
    2. Create an API hook call to Assignment Create / Update API to modify the record group when Employee's Organization is changed. You will need to write the same code in Forms Personalization / CUSTOM.pld also as the Assignment API is not called from the Assignment PUI.

    I have created a custom choice list on timecard. I have modified all templates (Time entry, confirmation, review and notification) I am using.
    But when I create the timesheet through timekeeper I am not seeing those choice lists. How can I see custom choice lists on timekeeper.
    I am using exception layout and we are on 12.0.4

    Until 11.5.10.2, the custom choice lists done thru the LDT files are limited to self-service framework. Timekeeper customizations are handled via TK customization. It is documented in the implementing and using timekeeper white paper.

  • Adding comment in the OTL Timecard ( in both timekeeper entry & Self-Service)

    I need to add a new comment field in the timecard (both the timekeeper entry page & the Timecard Self-Service page).
    I am going through the white paper "Configuring The Oracle Time and Labor Timecard User Interface" currently.
    what i understand is modifying the LDT file will allow me to add the desired comment in the TimeCard Self Service page, while I need it to be exist in the Timekeeper Entry page also.
    i should be able to enter the employee timecard with my comment in the new comment field using the timekeeper entry page and submit it for approval. The approver should be able to review and see my comment in the employee timecard self service page.
    what are the required steps to have the new comment field exist in both layouts?
    also, is it possible to add the comment not as a new column, can we add the field just beside the seeded comment in the Timekeeper Entry down beside the Select All/Deselect All button?
    Note: I am using the Payroll TimeCard Layout.
