PO committment before approval

Hi All,
My SAP system does the following, is this normal and can it be changed using config?
1. I create a PO and save it. A committment is generated even BEFORE I've approved the PO (using release strategy and workflow).
2. I decide to reject the PO. The committment is not deleted. It will only be deleted if I go into the PO and flag it for deletion.
Is there a way to only generate a committment once the PO is approved?
Is there a way to remove the committment once the PO is rejected?
Can this be done within Standard SAP?

Hi,
When the PO is created the commitment will be created automatically in standard SAP.The Workflow approval & Rejection is not link with the commitment line item.The workflow is required to go for next step,that is GR.GR cannot be done until the release is done for PO.
So in standard the commitment will updated automatically once you create PO.
Find some user exit to have such scenario.

  • Risk Analysis mandatory before approvation?

    Referring to this discussion: How to switch on mandatory risk analysis in Business Role Management?
    I'd like to propose another scenario.
    Now Risk Analysis is before profile generation and it is correct in this way.
    But also Risk Analysis must be mandatory in that step (before approvation) and NOT ONLY during profile generation.
    Is it possible to setup a "specific" configuration in this way?

    you need to Create deterrent Methodology.in Access Control > Role Management> Define Methodology Process and Steps >
    Example Methodology 1 for only steps sequence 1,3,4,5 (With Risk Analysis) and
    other Methodology 2 for only steps 1,2,3,5 (Without Risk Analysis)
    Now Assign those Methodology in Access Control > Role Management> Associate Methodology Process to condition Group.
    Now call those condition group name from BRF+ decision table.

    Are some standard guidelines i.e steps to follow before approving Transports?
    Or, just the fact that a solution to a problem has been established in the Development and tested in the Test environment, it is ready to be moved to Production?

    Yes added objects are locked automatically.
    To lock them manulally(if necessary), right click on TR-->Lock Objects.
    Here is an example whre you have to unlock and lock objects amnuallay..
    Leats assume your Objects are already collected in one TR1.
    Now you have acreated a new TR2 and want to transport only few objects from TR1.
    Then go to Transaction SE03>unlock Objects>Provide TR1--> execute(ignore the warning message).
    Then Collect the required objects in TR2 and release it.
    Now you have to lock the Objects on TR1. from context menu of TR1-->lock the Objects...
    makesure inbetween nobody changes the unlocked Objects otherwise it will cause in consistencies..
    you can also unlock required Objects manually but it's time consuming process...

  • Store procedure to be triggered before approval procedure.

    Dear Experts,
    This is with reference to Approval Procedure and store procedure. I have created the store procedure which validates the series with user defined field value.
    If there is difference in the field value of series & user defined field, system will block the entry ( this is defined in store procedure) & also approval procedure is also defined for the same document (i.e. Document value greater than 1 Lakh).
    Now the problem, on creation of documents system trigger the Approval procedure and the document is sent for approval; but the store procedure defined is not reflected before approval & after the approval user cannot change series.
    Is there any way the store procedure can validate the value before approval procedure is triggered?

  • Unable to find shopping cart in SOCO before approval

    Hi,
    I am new with SRM and I'd like to understand why I am not able to find SC before approval using 'FIND' tab in the Sourcing cockpit, giving all required search data.
    I've tried using product, vendor etc., but still I am not able to find any SC created before approval.
    If I try trough 'Check status' it works.
    Please advise !

    Please have a look at the customer requirement.
    Hi - prior to the annual stacks and patches process - we used to be able to amend shopping cart product categories in the sourcing cockpit [if needed] prior to the cart being approved/released
    Since then we have lost this ability - apparently it was a 'back door' closed by one of the SAP updates.
    We would like this fucntionality back iff possible  - this is because the product category drives the eventual GL the costs are posted to and certain shoppers just pick any product category.
    Because of above mentioned requirement I have to modify the standard functionality in order to give them the option to be able to find/search and modify SC.
    Please advise how to proceed !

    Buddy Your requirement is little bit complex. You want to give permission to modify Request i.e. form before manager approval but after manager approval you don't want this.
    I think it wouldn't be possible because you can give access to any group level not at user level.
    Even there's no API for updating these permissions of this form. Even if you get this API, it's not going to fulfill your requirement. Because it will update permissions for group. If in the meanwhile if some other user raise request then it will work differently for him and you can see undesired results.
    So may be if you go for its action classes then you can find some way.
    All I have written as per my understanding. There may be some other way, someone can update the thread.
    Anyways it's a nice requirement which showed me OIM Limitation.

  • ESS deleting an Absence request before approving it.

    Hello,
    I have problems stopping the ESS Absence Request workflow after the user deletes it before the manager approves.
    Reproduction scenario:
    - The requestor creates an Absence request.
      ... the workflow (a copy of WS12300111) is instantiated
      ... the manager of the requestor gets a work item
    Now the requestor decides to delete the absence request...
    - Requestor deletes the absence request.
      The user now gets the information message:
      ... the ESS application now tries to complete (FM: <b>SAP_WAPI_WORKITEM_COMPLETE</b>)  the Work item of the manager.
      No administrator found for the task
      (By debugging, I found out that this was message 5W 141.)
    The <b>result</b> is that the request document is ended with <b>status WITHDRAWN</b>, which is correct, however the workflow has still a READY work item for the manager which he cannot start anymore.
    Analysis:
    The error message is a little bit weird, because it actually ment that the requestor is not an agent for the work item of the manager.
    I could solve this problem by giving the requestors more authorization. When I added SAP_ALL to the requestor, the error does not occur.
    The transition table determines:
    Documentstatus: SENT
    Status transition: DELETE
    Workflow control: CONTINUE Continue Workflow
    ...that's why it start FM: SAP_WAPI_WORKITEM_COMPLETE
    I hope you have an answer to my problem.

    The standard task is a General Task.
    The main problem is, that the agent determined in the step (in my case: Expression: &AGENT_0001.AGENTS&) is not the one who will complete the task.
    This is the case when the Requester deletes (withdraw) the absence request, than the ESS function module tries to complete the work item of the Manager with the user of the Requester.
    We could solve this problem by giving all requesters the following rights:
    S_CODE id TCD field SWIA.
    But we don't want to give all users rights to transaction SWIA.

  • Argentina Electronic Invoice - FI Document posted before approval

    Dear Guru´s.
    We implemented the Argentina Electronic Invoice and find a problem with FI documents.
    When we created billing documents from Argentina, this must be blocked to accounting and posted after approval electronic response by AFIP.
    We executed a test with billing documents and this was posted to FI before the approval by AFIP through transactions VFX3 or VF02.
    There´s any standart solution for prevent to this FI documents never can be posted before to the approval by AFIP?

    1.Posting block:You can assign a posting to your billing document type by using the T.Code "VOFA".System will not release the billing document for accounting.It will be done after by using VFX3 T.Code.You can provide authorisation for this T.Code to certain users only.
    Response: We used this configuration and all documents for accounting are generated blocked. But in to Argentina electronic process the documents  accounting just unblocked if authorized by AFIP. Our problem is the documents are unblocked by inadvertently running step to use transaction VFX3 before the approval.
    ie is necesary keep locked until approval by AFIP even if the transacction VFX3 for example be executed.

    we are using the leave of absence process with one level approval.
    Once the employee leave is approved its saving in the table PER_ABSENCE_ATTENDANCES_V.
    while the leave status is pending for approval its not saving in the table
    PER_ABSENCE_ATTENDANCES_V
    but we need the applied datas while the status pending for approval
    from which table i acn get this ...

  • Restrict Proforma creation before approval ( Status Profile )

    Dear All,
    I have set up status profile for sales order with 2 levels as below
    1) ZNA - NOT APPROVED  ( no proforma allowed and no delivery allowed ) .
    2) ZSM - SALES MANAGER  ( proforma allowed and delivery allowed ) .
    At level 1 -  ZNA  Level  delivery is getting restricted but the proforma is getting created
    i want to stop the creation of proforma invoice till the sales manager approves the second level of approval.
    kindly advise how can i restrict the proforma invoice from being created at level - 1 ( ZNA )

  • Account creation deatils before Approval

    The Approver does not get much information about the account to be created.
    How can i provide more detailed data about the new account that will be created?

    The best way to do this is to write a custom workflow, or at least a custom approval process which you should call from the create workflow.
    In the approval process you should use a manual action of type approval. Within the manual action, amongst other things, you should specify something like:
                        <FormRule>
                            <s>myCustomApprovalForm</s>
                        </FormRule>which is a reference to the form that will be shown to the approver in the approvals tab. At first this is probably gonna look rather unclear, therefore I suggest you have a look at the default create workflow, try to understand it and afterwards you try modifing the approval process that is called from the create workflow (If I remember correctly its called Ligthouse Approvals)

    If you add the RMA to an existing booked order, the RMA gets approved automatically.
    To avoid this, you should enter the RMA as a new sales order. Then you can stop receiving till it is approved.
    Realistically, this will cause more problems. If the return shows up on your dock door and it can't be received, what is the receiving clerk going to do?
    He can't refuse the shipment. So he will keep take it and will have to track down order entry person to book the order.
    You have to look at your business process and see why customers are returning material without authorization.
