Posting Period incorrectly setup as Year instead of Month with transactions

Hi,
User has created posting periods wrongly, it should be months and they have set it to year. There
are transactions posted to the first two periods - Jan 2010 and Feb 2010.
Any suggestions how to resolve this issue?

  • Period for 2011 wrongly created as year instead of month

    We wrongly created the period for 2011 as year instead of Month. The problem is that we have many posted transactions with effective date Yanuary 2011.
    Is it possible to redefine the periods to use 12 months for 2011 without restoring from a backup?
    We don`t have the corresponding backup to go back when the period for 2011 was not created.

    We have only the backups for Dec 16, 2010 To Yanuary 7, 2011.
    We restored the backup for Dec 16,2010 but at that date, the period for 2011 was already created. Unfortunatelly we don`t have any other backup.
    I found a PDF document (in sap-bo in action) which name is "how to correct posting periods". In that document recomends to restore a backup with no 2011 transactions posted, and add the delta information. Another choice is to "close" the period "Yanuary" and create a new fiscal year starting from february to dec 2011, what do you think about these recommendations?

  • Period Incorrect Setup

    Hi Experts.
    Our client is running SBO 2007A SP00 PL45.
    Their financial year runs from 1st January to 31st December.
    They have incorrectly setup 2010 as a single period instead of 12 calendar months.
    They have entered transactions into this period and so it can't be deleted and setup again correctly.
    Is there any way we can dig ourselves out of this hole?

    Once they have posted, you are in a bit of a hole! There are some articles on this subject on the wiki
    I have just re-built a database as the customer changed their FY but alrady had postings. We restored a backup, deleted the incorrect periods, re-added the new FY and then imported all of the transactions again...
    You have some options, they are listed below: Good Luck

    It frequently occurs that posting periods are defined, postings have been made & then a decision is taken to change the posting periods from, e.g. months to year. SAP Business One does not allow the change of posting periods as soon as there has been a journal transaction. There are 2 options to correct the posting periods. It will depend on the circumstances & the number of transactions which method is the most suitable.
    Option 1 (preferred solution):
    Roll back to the last backup of the database before the first posting was created using the new period:
    1.     Identify all delta data that has been added to the database since the first posting has been made in the period to be corrected.
    2.     Export this data by either using the 'Export to Excel' functionality or export from a 'select' SQL query.
    3.     Reinstate the backup & create the correct posting period, backup the database.
    4.     Import all delta data.
    Using this method, the integrity of the database & the appropriate sequence of posting periods is retained. All reporting can be done according to the correct periods.
    Option 2 (technical alternative, use only if Option 1 is not possible):
    Example 1:
    The Posting period is defined as 'Months' when it should have been 'Year'. There have been postings in the periods. In this example, the first 4 months have postings. The current setting is as follows:
    All periods that do not have postings yet can be deleted:
    1.     Administration -> General Settings -> Posting Periods -> open the period
    2.     Rightclick in the 'Posting Period' window & select 'Remove'
    Once only periods are left that have postings, perform a complete period end closing including all reporting. Backup the database.
    Create a new posting period as follows (Caution: Check if your customer uses period indicators & adapt appropriately):
    Ascertain that the 'To'-posting date is correct.
    The new fiscal year starts at the first day of the new period. Any subsequently defined period will start at 01.01.2009.
    Example 2:
    The posting periods should be set per month & have erroneously been defined as per year.
    Restrict the current posting date range to the next logical date, e.g. with a current date of 21.04.2008, the last posting date for the current period should be set to 30.04.2008, such that the next period starts on 01.05.2008.
    Create a new period as follows (Caution: Check whether your customer uses period indicators & act accordingly):
    As sub-periods choose 'Months' & then set the number of periods to '8' (May, Jun, Jul, Aug, Sep, Oct, Nov, Dec). Click on 'Update'.
    SAP Business One will then automatically create the required periods. On the last day of the current period take a backup of the database.
    Once all transactions have been entered into the 'old' period, perform a complete period closing, including all required reporting.

  • New posting period for former fiscal year

    Hello All!
    For a customer we set up a database with posting periods for 2011 and 2012 (monthly periods). The database went live in 2011.
    Now the requirement came up to post the opening balances for 2011 per end of 2010 (to have the postings not in fiscal year 2011).
    My question is: is it a problem to add now a fiscal year 2010 (yearly basis)?

    Although it is your 2nd posting, I would add welcome message because I had not do so 1st time.
    For your question, it is not possible to add new posting period for former fiscal year. You best solution is to post those OB as the first date of the first period.

    In de update rules from infosource to datatarget you fill the rules like this:
    For 0FISCYEAR:
      result = comm_structure-fiscper(4).
    For 0FISPER3
      result = comm_structure-fiscper+4(3).
    Note that this can also be done by using formula's. If you can't ABAP you may prefer to use formula's.

    Hi Soniya,
    Y don't you enhance ur datasource with these fields?
    Anyways the workaround could be add 0FISCPER3 and 0FISCYEAR in ur data target, and write ABAP code for it in transformation.
    Map 0FISCPER with both the fields, and now click rule type of both the fields independently.  Select rule type as routine.
    0FISCPER stores data in format YYYYPPP, so you have to write code accordingly.
    Likie in 0FISCPER3 assign last 3 digits of 0FISCPER to 0FISCPER3 and first 4 to 0FISCYEAR.
    Suppose u have pne temp variable with name fis_yp which stores value of 0FISCYEAR. For getting period from it you have to write:
    period = fis_yp+4(3), ( 3 characters from 4 place)
    and similarly for year,
    year = fis_yp+0(4),  ( 4 charaters from 0 place)
    I hope now u can write code for it easily?

  • Partitioning along year instead of month?

    Hi,
    I have a cube that today is partitoned along months in the time hierarchy.
    There is aproximately 1,1million fact rows per year, evenly spread out over 12 months. Would it be better to partition the cube along years instea? The cube has 6 dimensions attached to it, with a product dimension as the biggest with 150,000 rows.
    I have plans on testing this over the weekend but I am asking here in case anyone knows if this is a bad or good solution.

    I think you should consider another things.
    First, if my partitions are on differents disk. And if i could have several disks working at the same time when one partition is read or if is only one disk per partition.
    Second, the kind of query you´re doing against this table.
    Only your environment could tell what kind of partition is better. If all your query are over the year you should consider have a list partition over the year and maybe a hash partition over the mont.

  • This problem showed up last year spent 2 months with apple senior supervisor for tech support no solution. When the "new" itunes came out problem fixed its self. Just did an update last week or so and back to the problem. In "get info" missing all rt side

    Last year upon an update some of my itunes media was not working. Then the new version came out and it fixed itself.
    Well another update and we start over with the problem. In the itunes store you can not preview any tv show, music video, or movie.
    In your itunes library none of the purchased movies, tv shows, or music videos play. The element the same is in the get info tab. The information in the right side pane in the middle is gone. The left side information is still present. The right side info is the purchase info. Even an item downloaded today had the missing info and will not play. After dealing with apple support with the first go around last year. I uninstalled and reinstalled itunes 8 or more times, in the proper order. I deleted my itunes library and reinstalled it. We deleted all types of program files and program data. nothing worked. I was trying things on my own and foung nothing. Please help I am so frustrated with this. It seems to be a codec error that I can not solve.

    I have a customer whose posting period is setup wrongly. Their fiscal year is from Oct to Sept but their posting period has been setup from Jan to Dec.
    They have made transactions from Aug 08 till now. Kindly advise is there any solution to correct this?

  • Posting period closing

    Hi Gurus,
    Can any one tell me is it neccessary to close the posting period every month. Can i have th posting period for my client open for one full year. which means open and close the posting period only once a year, rather than opening and closing every month.
    Please advise

    The answer to your question would be YES. you can have a past period open and leave it at that for however long you want to..
    ex, you want aug 2008 open for the next 6 months
    Currently in the system, if you have back posting active, then July 08, and Aug 08 are open
    now do not close the period until the next 6 months...so July 08, and Aug 08 will stay open..
    Now lets say, September has come, date 09-02-08.. A GR or IR Would not let you post as September is not open yet.. you'd have to choose a date in Jul 08 or Aug 08.. Which again would be incorrect.
    so, bottom line.. close the period at the end of each month, else you cannot post to the current calendar month

  • Open and Close Posting Period (OB52)

    Dear Experts,
    My client wants to close the posting period of the previous month. 
    First I went to transaction OB52 to define an entry From Per. 1 2008 To Per. 12 2009 to open all the posting period for the year.  But when the time passes, do I have to manually change the From Per. back to the current month (e.g From Per.1 2008 changed to From Per. 2 2008 and so on)
    If this is the case, is there any way to make this a automatic function to do this.

    You define posting periods in your fiscal year variants. You can open and close these posting periods for posting. As many periods as you require can be open for posting simultaneously. Special periods can be open for closing postings during the period-end closing.
    You have the following options for opening and closing posting periods:
    - Posting Period Variants: You can specify which company codes are open for posting in a posting period variant. Posting period variants are cross-company code and you have to assign them to your company codes.
    - Account Type: You can differentiate the opening and closing of posting periods by account type. This means that for a specific posting period, postings can be permitted to customer accounts, but not to vendor accounts.
    - Account Interval: You can differentiate the opening and closing of posting periods by account intervals. This means that you only open a posting period for posting to a specific account.

  • How to calculate First Date of Posting Period in BEx Query

    Hi,
             I have  2 reporting requirements as follows:
    1) User will either enter a single posting period in a fiscal year or can enter a range of posting periods.
    Based on user selection I need to display three key figures in a report.
    Key figure 1 and Key Figure2 should be the summarized values for each posting period.
    key Figure 3 should be the value on the first date of that particular posting period (in case user selects multiple posting periods i should derive the value of the first date of each posting period).
    2) Also, in another report I need to display only top 8 values  for one key figure in the report.
    Please let me know the method or code required to get this Functionality.

    First Report
    1. Create Restricted KeyFigure 1 & 2 for the summarized values.
    2. Create a Customer Exit Variable for getting the first date of the posting period, this should be of type Interval. Write code using FM FIRST_DAY_IN_PERIOD_GET to get. Read the selection variable to see the range of posting period and you have to insert that many first dates into this variable.
    3. Create a new Restricted KeyFigure 3 and use the Customer Exit variable created in Step 2
    Second Report
    Use the Top N functionality of BEx and create a workbook. You can set the option Refresh query when the workbook is open so that the data is current when opened.

    I think you need to check your fiscal year varian before you do the MMPV. Fiscal year is set up by the FI consultant and it is deciding in which fiscal year period your current month belongs to.(Transaction -OB29)
    Ex:
    if you use K4 fiscal year variant then this october month is treated as 2010-07 period. Because the fiscal year starts from April and 2010 fiscal year starts from 2009 april.
    Calendar Year                 Fiscal year
    2009 april                =       2010 - 01
    2009 may                =       2010 - 02
    2009 Oct                 =       2010 - 07
    So first get the fiscal year and period accurately (I suggest get it from your FI guy) and put it in the MMPV
    If you accidentally close a wrong period dont forget to follow these notes too.

  • How to roll up Amount field upto Input Criteria Posting period

    Hi All,
              I have a requirement to create a FI Budget report where the User will give the Posting Period as the input criteria, and based on the entered Posting period, 2 amount fields, "Original Budget" & "Current Month" need to get derived by looking at another amount field called “actual”, by rolling up the Amounts up to the entered Posting period.
    For example, the user gives input as Posting period = 06, which is December because Fiscal year starts from July here. And my Cube has an amount field "Actual" which displays amount for each posting period. Therefore when posting period = 06, then the "Actual" amount value for months July (PP = 01) through December (PP = 06) should be rolled up i.e added and displayed in the "Original Budget field". The “Current month” should only display the amount for the input criteria month.
    How can I do that, any suggestions please?
