Project Online User Licensing

Hi,
I am using Project Online. I have a user base of around 1000 users. I need a work around to provide bulk licenses to the users, as assigning license individually will be a very time consuming task.
Is there an option to bulk assign licenses? Any sort of help is appreciated. Thanks in advance.

  • Project Online 2013 Licenses/Subscription

    I am actually new to the  Project Online 2013 ( not the project server )  So have a question regarding the correct subscription for my users.
    A bit background, we are trying to implement a Project Portfolio Management solution at our organization and we are researching to see if Project Online is a good fit.
    I currently brought Project Online with Project Pro for Office 365
    which has the following licenses
    1) Project Pro for Office 365
    2) Project Online
    3) Office Online
    4) SharePoint Online ( plan 2)
    I got 4 user licenses for the above subscription where the Users have access to PWA and can create projects and do stuff.
    We are planning on implementing it as an integration of SharePoint Online & Project. So now we are having our other team members who not PM's or Portfolio Managers who needs access and I am not sure what license to buy for them.
    1) SharePoint Online (Stand alone) : If they will be just working on the project sites / Team sites Do I need to get SharePoint Online Subscription so that they can have access to the tasks.
    2) Project Lite : If I get this license will my team members be able to access the PWA and even the SharePoint online sites, Will it cover both the options of Enterprise Project Types & SharePoint Task List Project Types.
    I think I should go with option 2 of buying Project Lite for my Team Members but wanted to make sure if this is the right Subscription to buy.
    Can anyone help me with this?? I tried contacting Microsoft Support through phone but they weren't able to help me or they created a ticket and I am waiting on their specialist to contact me.

  • Project Online - Read Only

    Hello,
    Is there a way to create permissions for Project Online users so they only have read only rights? If so, would it be possible to change this permissions to write access at a future date?
    Would a different subscription be more suited for "read only" rights?

    There are two aspects here:
    1) The license required: I think the Project Lite license part of Project Online, will be suitable for these users. Even if it is read-only, accessing Project Data requires a license, as far as I know.
    2) The second part of the equation is the permissions set up. if you are using the Project Server Permission mode, it is fairly easy to set up read-only permissions and later change them. If you are using SharePoint permission mode, you might have to use
    a non-synchronized permission level.

  • Duplicated resources on Project Online

    Creating a user when a respective resource already exists, results in a duplicated resource.                                                               
    This is a Project Online implementation based on Project Server permissions mode.
    Consider this scenario:
    There are 40 employees in the organization: 2 executives, a few project managers and the rest are team members. License for Project Online is purchased for only 10 employees.
    The PMO creates users for the 10 employees on Project Online:
    SharePoint users are created: Web AppàAdminàOffice
    365àUsers and Groups
    Project Online users are created: Web AppàProjectsàPWA
    SettingsàManage usersàNew useràUser
    logon account: type SharePoint user; Mark: "User can be assigned as a resource"
    The PMO creates the other 30 employees as resources on Project Online on Enterprise Resource Pool.
    At this point, all 40 employees are resources on Project Online.
    After a while, additional 5 licenses are purchased. Steps 2.a and 2.b are performed for the respective employees.
    In this scenario, there are 5 employees who are duplicated on Resource Center, i.e. appear twice: one is a non-user resource, and the over is a user who is also a resource.
    How can I avoid the resources' duplication?

    When employees are already present as ressource in Resource center then you need not to create new user for same employee.
    To avoid this situation 
    Open Resource center from PWA then Click on Resource to whom you want to make user then Click on Edit and then click on Associate Resource with user account then give AD account for reosurce and add to the group and click on same.
    Once you will do this your resource will also work as User and there will be not duplication.

    It depends what level of detail you are after? You could exact the Project Server queue log each day if you using the APIs, you could create a console app that runs on a windows schedule task and uses the PSI to exact the queue details. An simple example
    of this for on-premise using PowerShell and the PSI can be seen below:

    You would just need to probably move this to a console app and get the authentication working for Project Online and the PSI - all doable.
    Alternatively if you wanted more details than what goes via the queue services, you could create you own remote event receivers for Project Online to capture the details.

  • Project Online External User Access

    Hello,
    I'm testing the Project Online Preview and I would like to share the deliverables list on a project site with an external user (a client for example); so I configured the site collection with Project Web App to the "Allow
    external users who accept sharing invitations and sign in as authenticated users" option. Then I tried to share the list with an external e-mail with a Microsoft account, but the invitation email was not sent.
    External Sharing on SharePoint admin Center is configured on "Allow both external users who accept sharing invitations and anonymous guest links"
    and my PWA site works in S"harePoint Permission Mode".
    The same procedure on a classic SharePoint site collection work perfectly.
    Any suggestions, please?

    Hello,
    I got some of the external users to work.  I am still trying to sort it out, but thought I will give you what I found.
    The external user that I got work was another user in another domain, but the account was separate domain in a Office365.  I have not been successful so far with an external account, that was not part of the Office
    365.
    Here is what I did to get it to work.
    1) Login into an Office 365 account.  Let's call it OFFICE999.
    2) Then paste the link from my PWA site into browser.
    3) Access was denied, but page provide me a link to Request Access
    4) Then jump to my Office 365 account with PWA. Went to the PWA site and click on Settings icon and then site settings.
    5) click on "Access request and Invitation"
    6) under the Pending request, approved user and put the user as "Project Web APp Visitor"
    7) Jump back to the Office999 and read my email, click on the link.
    8) I got access denied again
    9) When back to Office 365 PWA Admin account and added user to PWA users
    10) went back to Office999 account, refreshed the screen and get access to PWA site,
    11) BUT it says account doesn't have a LICENSE.  So I am at that point trying to find out how to give an external user a license.

  • Project Online and Project Lite Licenses Transferable?

    I was wondering how the user licenses are handled when deactivating and reallocating.   Are user licenses transferable for Project Online, Project Lite, and Project for O365?

    It depends on how you are defining "Transferrability". As a bottom line, the number of "Active" users at any time, cannot be more than your licenses. And the license for each product are its own.
    I am no licensing expert, and I suggest you talk to a Microsoft Rep for a concrete statement on the licenses.

  • Project Online - Lite Users Are Unable to See projects in their view

    Hi Everyone - I have recently added several new projects and added some new users. I have added these new users, assigned the lite license to each of them, and shared the PWA site with them. However, when they sign in, they do not see any new projects. The
    Project Center has no projects listed, just empty lines. I have verified they are resources on some and owners on others to see if that made a difference, but that does not work. Any help would be greatly appreciated.

    Hi Peter,
    This means that you are using the SharePoint permission mode which is indeed the default permission mode with Project Online. Thus you have to share each project and site manually with the users.

    That being said, I'll suggest to have a look at the
    permission modes. The SP permission mode requires a lot of manual operation to give access to every single user on their projects. The PS permission mode is much more granular and requires less operations once

    I recently had this with a client using Exchange Online.  You should have recieved a Microsoft Licence Confirmation.  
    From memory I had to login to the OLP tool, and associate these with an O365 account.  Your reseller who you bought the licences from should be able to help

  • Project Online, editing a user/resource: The User Logon Account always displays an error

    New Project Online account.  I changed the security mode from SharePoint to Project Server but I believe this was happening prior to that change. All resources are selected to be associated to a user account.  This happens in both Resource
    Center and Manage Users.
    Every time I go to edit a resource, the User Authentication section contains the error "Multiple entries matched, please click to resolve.". I am unable to edit the user without first deleting the entry and selecting the same user name again. Only
    one user ever comes up in the dropdown options and it always allows me to then save that resource record.
    Please advise.  I would like to have an answer before I hand this off to the PMO administrator who will be managing resources.

  • Project Server 2010 Licensing

    My company is considering installing Project Server 2010 and we have a question concerning CALs. According to a document we have, the following CALs are required:
    Project Server CAL
    SharePoint Standard CAL
    SharePoint Enterprise CAL
    SQL Server CAL
    Windows Server CAL
    Our question is, is it necessary for every user in the company who needs to access PWA to have all 5 of these CALs? I know that if I have Project Pro 2010, I already have the Project Server CAL. Do I need the other 4?
    If the answer is yes, it seems excessive to require so many CALs for a single application.

    Well, while the list of CALs is correct, epending upon your licensing model for Windows and SQL Server, your users might already have those CALs already. In addition, if your users have a SharePoint CAL anywhere else in the orifganiation, it still applies. 
    All in all, it might be useful fro you to talk to a Microsoft licensing representative, as the model depends upon each organization.
    And finally, If you are just starting out with Project Server, I suggest you look at the latest version, especially Project Online +project Lite, which makes the whole licensing model super easy.

  • Project Server 2013 licensing

    I was reviewing the Microsoft Project Server 2013 licensing terms and noticed the following:
    PPM solutions require a Project Server 2013 license for each running
    instance of the software

    The PUR mentions something similar:
    For each license, you may use one Running Instance of server software

    You have to install Project Server on each SharePoint server in your farm. In the past it has always been said that you need one Project Server License for each installed copy (so for every SharePoint server in the farm).
    Has anything changed for Project Server 2013?
    Is a Project Server License only required for the SharePoint Server where you activate the Project Server Application Service?
    Or does running equals installed when it comes to licensing?
    Anyone can shed some light on this? Thank you!

    I agree with Bernhard on this one....there's been no real change for on-prem licensing....you still need a Project Server license for each server in the farm.
    That being said, there was a significant change (and confirm with your local MSFT rep), but in some cases, the online subscription pricing may be used for on-prem installations, i.e. I can pay by user by month instead of buying the CAL.  I don't think
    this impacts the server licensing, but worth noting.
    The "Running Instance" terminology is maybe meant to capture the VM scenario where I have one physical server running multiple VMs, each one running Project Server?

  • Project working with Project Online in Office 365

    Hello,
    My question is related to project working and using Project Online to track projects.
    * Can I use a single "Project Online with Project Pro for Office 365" subscription for tracking and creating reports about all project sites and their tasks in Office 365?
    Meaning, if we have multiple projects designed in Project Pro and then uploaded directly to Office 365, can we gather the task, resource and progress information from these projects (created directly to Office 365) in a Project Online overview? One person
    using Project Online to oversee multiple projects, others uploading their projects and changing task information in Office 365 to a SharePoint site with Project Pro and Office 365 subscriptions.
    We want to have one person with Project Online overseeing the progress and create reports on all projects that have been uploaded to Office 365 (Project Portfolio Management), but not creating new projects. Is this possible with just one Project Online subscription?
    The other users would all have an Office 365 Enterprise 3/4 subscription for accessing Office 365, collaborating and updating their tasks. Project managers would have a Project Pro subscription for creating and uploading projects to Office 365.

    Your question is slightly confusing, so let me try and say it this way: 
    1) Your PMs (multiple) will use Project Pro, to create and publish plans to Project Online
    2) You will have one user who will 'administer' Project Online and create reports etc.,
    3) You will not have any other users access Project Online
    4) I am not sure about you 'SharePoint' comment--so excluding this.
    The problem is that, Project Pro+Office 365 does not necessarily give you access to Project Online. This combination is more useful when you are using just Project Pro or using project Pro to sync plans with Task lists on SharePoint Site. Plans that are
    uploaded this way will NOT appear in Project Online. So, the person who has the Project Online license will not have any data to report on.
    Having said that, here are few options:
    1) Stick with Project Pro +Office 365. Team Members can access "Task" lists in SharePoint Sites. In this scenario, Reporting will be somewhat complex, because each site is its own, and you might have to customize to be able to report across multiple sites. 
    2) If you want an easier Project Portfolio Management, Project Online is better. However, in this case, your PMs need to get Project Online with
    Project Pro for Office 365 which will allow them to publish plans to Project Online. Then your user with project Online license can generate reports for the portfolio easily. In this scenario, if you want team members to be able to submit timesheets,
    work with documents etc., you might want to look into getting the Project Lite for them (http://blogs.office.com/2014/03/31/project-lite-may-1st/)

  • Project Lite users cannot see Project link on Office365 toolbar

    Our Project Lite users do not see the PROJECT link in the Office365 toolbar.
    All other roles can see the link - these have either Project Online subscription or Project Pro for Project Online subscription.
    I have verified the following:
    These users have Project Lite and SharePoint online licenses assigned in the Office365 portal - user license area
    We are using Project Server permissions mode - with a custom Team Members group - that maps to the OOB Team Members group and My Task category permissions.   There are no custom category permissions set on the Resource- only custom Team group
    membership
    We even shared the PWA site with the members (Team Members for Project Web App)
    We are using ADSynch to synch users to the custom Team Members group via an O365 group.
    We are using the default \PWA - it is the only instance of PWA in the Office365 environment (E3 subscription
    These users can access the PWA by entering the URL in their browser - they just cannot see the Project link on the 0365 menu bar.
    Note:  The Office365 SharePoint online administrators have created a custom master page - but the PROJECT menu item is rendering for non-Project Lite licensees.
    Any ideas on the cause or how to get Project Lite users to see the PROJECT link on the O365 toolbar?

    Please can you confirm they are using the correct URL?
    It should be along the lines of https://<Company_Name>.sharepoint.com/sites/pwa/
    I ask you to check this as I have seen previously users not seeing the Project link when using a different URL.

    is not a stand-alone product. It can be used only for  projects managed
    with Project Online or Project Server.
