Protecting formulas in spreadsheets

I have now finished creating my spreadsheet and have thoroughly tested it to be sure there are no errors.
However it will now be used by a third person and I am concerned that they may inadvertently alter some of the formulas whilst in the process of entering data.
Is there any way of locking or protecting these formulas which make up the spread sheet so that they can't be altered by mistake whilst entering the data.
Many thanks
DRW

DR,
You can only protect entire tables, so with that in mind you would design your spreadsheet such that Data entry happens in one set of tables and Calculations in others. Then Arrange > Lock the tables with the calculations.
This goes a long way toward protecting your document from accidental destruction of expressions. Anyone determined to cause trouble could get around the locking, but I understand that you are just concerned about accidental entries.into formula cells.
Other methods involve placing transparent Shapes over the formula cells. Since your document is already built and tested, this might be the best approach for this case. Here's the procedure for creating a shield:
Insert > Shape > Rectangle
Stretch the shape to cover the formula area (this may take more than one shape, but you should do them one at a time).
With the Shape selected, go to the Graphics Inspector and move the Opacity Slider to Zero Percent. This control is at the bottom of the panel.
Covering sensitive cells in this way prevents clicking directly on them, but does not prevent using the arrow keys to move to one of these cells from an uncovered area. Probably a good idea to lock the shapes.

  • Can I password protect my numbers spreadsheet on my iPad

I just purchased my first apple ipad2 and I do a lot of spreadsheets in excel, I bought numbers and need to password protect my file so other family members can not get to my files. Can this be done? If so, how?
    Best regards,
    John

Not with the Apple Mail app.
    There are two 3rd party apps that use webmail resources that allow secure accounts as well as multiple accounts;
For Gmail accounts use Secure Gmail, and for other accounts use Secure Webmail. Both are in the iTunes App Store.

  • Is there a way to password protect a numbers spreadsheet in ios5?

    Hi,
I have created a numbers spreadsheet in my macbook and then i protected it with a password to open. Then i have uploaded it to icloud as i need to be able to access it from both my iphone4 and my ipad2. Although the spreadsheet is indeed accessible from all my devises, i don't get asked for a password neither on the iphone nor on the ipad and the spreadsheet opens right away without any protection (it actually asked for my password once, the first time i opened it in my ipad and tha was it. Since then it opens without asking for the password)
Why isn't the password i created in the macbook working everytime i open it in any of the other two devices?
Is there any way i can have it working everytime one tries to access it?
    Thx
    Ibro

This is an iOS question in an OSX app discussion, but I'll give an opinion. iOS devices are personal, and can be passcode protected themselves. It's reasonable to assume that once the file is opened on that personal device, it will always open on that device without further verification.

  • How can I show formulas in spreadsheet AW6?

I did a spreadsheet in Claris Works and was able to switch back and forth between the results of some calulations and the formulas. In a AW6 spreadsheet I can't figure out how to show the formulas. I've gone to Menu>Option>display>formulas (plus all the other display options such as solid lines, etc).
All I can display is the results of the calculations. I can't check the calculations. I copied the basic spreadsheet from my G3 OS 9.1 and then pasted the whole thing into AW6. It seemed to work OK and I don't think this pasting is the problem.
    Would appreciate comments.

None of the Display options other than Formulas should have any effect on whether formulas or results are displayed.
Do you actually have the formulas in the sheet? What displays in the entry box when you click on a cell that should contain a formula? If you change data in an entry cell (one used for data entry), does the result change in cells using that data in their calculations?
Do you still have the original (ClarisWorks) SS and application? If so, I'd try redoing the Copy/Paste operation, this time setting the ClarisWorks file to display Formulas before doing the Copy.

BTW: I've assumed you're currently using Tiger and AW 6.2.9, which is unable to open older ClarisWorks files. Showing information about your computer and OS when posting a question is often useful in narrowing the possibilities.

  • How to Retain formula with SpreadSheet Services

Hi,I have a problem for use a SpreadSheet Services 6.5.2 on Excel Application. There isn't Formula Preservation in "Men? Options" !How can Retain a Formula? Can you Help Me?, please!!!

I don't believe that version of ESS support formula preservation.. One workaround may be to retrieve your data on a background sheet and link formulas to cells on a 'display' sheet.. BTW, I personally hate this technique as it does introduce a much higher probability of errors in your spreadsheet; a professor at the University of Hawaii has done extensive studies on spreadsheets and found that about 50% of all spreadsheets contain errors, so if you use this approach be very careful.Tim TowApplied OLAP, Inc

  • Using numbers 2.3 how do i split windows to view more than 1 spreadsheet at a time?

using numbers 2.3 how do i split windows to view more than 1 spreadsheet at a time?

    Hi seth,
    Numbers vocabulary:
    Spreadsheets (aka: Document)
    contain one or more Sheets
on each of which may be placed one or more Tables
each of which contains one or more cells
each of which may contain either data or a formula.
Spreadsheets open in separate windows. Depending on the contents of each spreadsheet, and the scale at which you want to see it (and the size of your display), you can view more than one spreadsheet in the same manner as you can view more than one of any kind of document—open two documents in separate windows. Resize the windows to allow both to be viewed at the same time. Place and scale the individual documents to permit viewing the desired part of each
Sheets within the same document cannot be displayed simultaneously. You can make and open a copy of the document, then open and view both copies as described above, but this introduces new opportunities to edit the wrong copy. You could Copy a Table from one part of the document, open Preview and go File > New from Clipboard to create a PDF copy of that table (readable, but not editable), and view the spreadsheet and pdf documents as described above.
Tables can be rearranged, or have rows or columns (or both) hidden to permit simultaneous viewing of selected parts of both.
A Table can have Table > Freeze Header Rows and Table > Freeze Header Columns set to keep these rows/columns visible as the rest of the table is scrolled. Or can have a range of rows (or columns) hidden to allow viewing of rows (columns) adjacent to that range visible on the same screen.
Numbers does not support freezing of rows or columns other than Header rows and Header Columns.

  • Formula limits in numbers

Hi, I have just uploaded an excel spreadsheet to iCloud and then downloaded to my iPad. When I attempt to open on iPad I get an error message that says "Spreadsheet cannot be imported....to many formula in spreadsheet to be imported..."
What are the formulae limits...is it the # or is it the type. The spreadsheet I am importing is complex.
    Thanks

The limit is variable depending on the number of formulas, datas, cell references, volatile functions, or even the number of blank cells used.
Here are some of my testings I've done for iOS Numbers. After using the following amount of cells in one sheet to the following description, I measured the following amount of delay before being able to do any further action.
    12 seconds - 150,000 blank cells
    40 seconds - 150,000 cells containing a number
100 seconds - 150,000 cells containing a formula referencing one other cell.
App froze - 150,000 cells each containing long complex formulas with multiple cell referencing, vlookups, and other non-volatile functions.  When origination from excel or '09 Numbers, this file would say, "Spreadsheet couldn't be imported"

  • Cell Protection and

In reading some previous threads, it looks like Numbers '09 does not allow a way to protect formulas in cells from inadvertently being overwritten which seems surprising. Is this correct? Also, is there a way to highlight cells for quick reference (color, shading, etc) which are to receive data inputs (as opposed to cells with formulas or referencing other cells) while still printing normally. Thanks

Yes and no. Individual cells cannot be locked, but whole tables, including all of the cells on them may be locked.

Any cell may be filled with a background colour or an image. The cell prints 'normally' but 'normal' means 'what you see is what you get,' and includes the background fill.

  • Question for Steve Muench - ADF/EJB & Applets?

Steve or anyone who can help - Do you have any sample demo that can demonstrate how to take advantage of ADF caching technology on the server, or an EJB solution integrated with an applet in a web application?
It is kind of late in the game, because we are about to roll out an application in our company, nevertheless we are still researching a better way for handling tremendous amount of data by our applet. We are using F1 Formula engine (spreadsheet like tech) in our applet. But, we have severe performance problems, especially in our remote locations trying to load thousands of rows in the applet and on top of that do all kinds of formatting and Excel like functionality in the applet grid at run time.
We are looking for a way to integrate ADF or EJB caching solution with our applet, so that we can cache the client data on the app server if possible, in order to improve performance.
Any guidance, suggestion and help is very much appreciated.
    Thanks,
    [email protected]

    Hi,
my recommendation would be to use JavaWeb Start with BC deployed as EJB to the Application Server. This way you have a real client installation and don't need to download the Applet classes all the time (and JClient, assuming you use JClient, comes with a couple of libraries slowing down the initial application startup). Using EJB on the middle tier allows you to use batch mode, which reduces the number of roundtrips between the client and the server. Note that the default implementation is synchronous, which is more chatty.

  • Using Column Name in a Second Table

I have two tables in a sheet, Data and Report. Data contains a column named Hours. How can I write a sum function in the Report table that sums the values in the Hours column in Data? I'd like to use a named reference instead of a row/column letter/number range for when the Hours column gets longer.

    David Benman1 wrote:
Thanks. I tried what you said, but initially it didn't work. I realized I needed to make the top row a header row, but that leads to a new question. All my columns now can be reference by name except the first column. Is there anything special I need to do to the first column? If the first column is "Hours", then when I type in "Hours" in my formula, the spreadsheet doesn't recognize it as a column name.
Yes, you must read the User Guide which explains :

  • Percentage in Pages

    I'm stuck!!
I'm not a maths person so when it comes to formula and spreadsheets I'm lost
What I have is a table, one column. There are 6 cells with currency amounts in.
Before the total I want to take that sum of cells and find the 23% of it's total (B9:B13), and then allow it to update the total.
    How can I do this?
    Thanks in advance

Like I said in my text, the formula =sum(B9:B13, sum(B9:B13) * A1) where A1 is 23%, entered into cell B14, is the grand total of what you want to do. It will sum the range B9 thru B13, and then add to it the result of sum(B9:B13) * 23%. This does exactly what Naikosen does in one less step and cell.
Check out the Pages Formulas and Functions Help here. And SUM here.

  • Can't find cell protection for formulas. Help!

Would someone be so kind as to direct me to info on cell protection for formulas as found in xcel spreadsheets.
What would Mac call it, seed/kernal protection or something? Thanks

    a,
Your best bet, as I see it, is to put your equations and other sensitive data in one locked table and any input cells in another unlocked table or tables. You can arrange the tables in such a way as to simulate locking patches of a larger table as you might have done in Excel if you wish. None of this is iron clad. Anyone who knows how to unlock a table can do so and make changes. You are defending honest, well-intentioned users from mistakes, that's all. You can make mistakes pretty difficult to make with combinations of locked tables and clear masking objects over those tables to prevent selecting them.
