Restriction of cost elements

Hi,
is it possible to restrict the manuall cost allocation (KB15n) just for special cost elements?
we would like to let just post on special ones...
Any ideas?
I didn´t found a special authorization object for cost elements in this transaction...

Hi,
Create a set using TCode GS01 for the special cost elements. Then create a validation rule which restricts postings to KB15N only if the cost elements fall within this set. This will give users the flexibility to add or remove cost elements as and when required.

  • Restricting Cost Elements in Internal Orders

    I am setting up new order types for our Marketing Department. I want to ensure the only costs charged there are Marketing Costs (ie a small range of Cost elements). I've put the range into the allocation structure, but that only seems to control settlement cost Element, and doesn't stop anything I don't want coming in to the order.
    Is it possible to restrict postings coming in to a range of Cost elements? Ideally, this would stop the problem at source i.e. you can't raise a Purchase Order assigned to the Internal Order with a cost Element outside the restricted range?
    Is this possible? If so, could you kindly point me in the right direction?

    Allocation Structure, as you correctly understood, is only for Settlement transaction.
    Pls try to use "Validations" for your requirement.

    I have a situation in which I have to restrict creation of Cost Elements for some of my P&L GL accounts. Is there any way I can restrict them. Any help would be appreciated.

    Hi MKR,
    I would recommend not to have any validations for this.. This is the heart of the whole system and needs to be maintained in a very disciplined way
    If you put hard stops for such things, people will never understand the relevance of things and slowly the mind set evolves like "Unless the system gives a hard stop, any thing and every thing can be done"...  So, they go on creating nuisance in the system till the system stops them
    Moreover, there is no logic by which you can control this even if you try for an ABAP check... If you do still, it will propose probs in future...
    Provide the authorization for creating/changing cost elements to one single person who understands the system well and have a central control...

    Go to user role and profile and search for authorization object K_ORDER.
    If u dont get then add it and for this object you have authorization field for Cost element. Mention your cost element over here.
    There are several combination of auth field available.
    Check it and match with your requirement.

  • Restriction to only cost element based  planning against WBS

    HI Expert,
    here we need a scenario, like...user can only do cost element based planning against WBS.
    He should not be allowed to enter any manula cost directly against WBS.
    How to address  this issue.

    Hi,
      Go to CJR2 t-code select the layout 1-702 and enter the wbs, cost element, periods, year and version and execute the transaction. Then enter the values and save.
    Remove the autorization for CJ40.

  • Cost element and Line item reports show different actual costs

    Hi PS experts,
    My client has an issue pertaining to actual cost reports. The cost element report shows actual costs $42,000 for one WBS and when I double click to see details the value it shows is $2100. Even when I checked line item report for this WBS the value is $2100. What could be the reason for getting different values? If some one throw some light on this it would be great helpful to me

    The values in CJI3 should be correct and will include all postings (e.g. Settlement values) and possibly Actual Revenues unless a filter is in place - so take this as being your correct figure to start with.
    Your drilldown will show the same value as CJI3 because it is CJI3
    Any cost element report you are using is probably correct for what you are asking - is this a Standard Cost Element Report you are using or is it bespoke
    One thing to be careful of when you drilldown on Cost Element Reports is that you do not always get the a make up of the value you have drilled down
    e.g.
    Cost Element Report was run for Period 1 to 6 2008 and shows £100.00
    You drilldown and sometimes the drilldown automatically shows ALL line items e.g £500.00 (not just the values for periods 1 to 6 of 2008 which you may expect £100.00)
    In the past I've removed the drilldown capability from bespoke cost element reports to prevent drilldown to the line item report (which is CJI3) because of this problem.
    Usually where values for a a number of periods only (not total costs) was required
    Other factors to consider
    Revenues/Settlements may be excluded from Cost Element Report but will not be excluded from CJI3 unless you specifically restrict
    You need to identify which types are postings are missing from the Cost Element Report (what is common...cost element, dr/cr indicator, business transaction)
    I've also hit the mistake in the past where I've asked for periods 1 2007 to period 3 2008 and instead of giving me just over a years worth of actual it gave me actuals for periods 1 to 3 for 2007 and 1 to 3 for 2008.

  • Statistical cost element (Value type 11) line item entry in CJI3

    Dear all
    I am doing WBS settlement to AUC thr CJ88. Suppose actual cost on WBS is 100 rs.
    CJI3 report shows the balance to be settled to AUC. Now It is showing 100 rs balance. I carry out WBS settlement to AUC.
    Even though settlement has taken place to AUC, CJI3 is showing line item entry of 100 rs (Statistical cost element with value type 11).
    This also affects our reporting as in report S_ALR_87013558, because of statistical cost element line item entry, WBS actual cost is showing as (100+100 st'cal)
    Also, I read in sap note 666152 that we can define transaction type as not releavent for account assignment. But i dont see this kind of setting anywhere in transaction type.
    Can we restrict the statistical cost element to not take part in CJI3 (CO reporting)?  How we can avoid statistical CO postings.

    Hello,
    Statistical postings could be generated, if
    (a) you have 2 co-objects, e.g. cost center and internal order. There is a default rule in the system, that in this case the internal order will be posted real and the cost center statistical
    (b) you have 2 co-objects and one is marked as statistical in the master data. Actual Postings only to statistical co-objects are not possible. You can not settle statistical values, they will stay at the object.
    Please check OSS-message 106968. It explains everything in detail.
    You can modify your report, that it will show only real postings (value type 04), but I wouldn't do it. For me it sounds that you have to check your value flows in general. They look inconsistent, if you do not expect statistical postings.

  • Display of Cost Element without Compound

    I am trying to display Cost Element Key in query without the controlling Area (The compound of Cost Element).
    What I get for now is for Example "1000/172000008".
    How do I get rid of the "1000/" so the user will see only the "172000008" ?

    put 0co_area into the filter of the query and restrict the output to 1000.

    You cannot use secondary cost element. You need to use primary only.
    Please go through the following:
    DISTRIBUTION =========== Distribution was created for transfer primary costs from a sender cost center to receiving controlling objects. During distribution, only cost centers or business process can be used as sender. A distribution receiver can be a cost center, WBS element, internal order, cost object, or a business process. You can restrict the number of receiver categories in customizing. Primary Postings (such as, energy costs) are collected on a cost center, and allocated at the end of the period by means of the user-defined key. You can only distribute primary costs. During this process, the original cost element remains the same. Line items are posted for the sender as well as for the receiver, enabling the allocation to be recorded exactly. You can reverse distributions as often as required. You use the Cycle-Segment method to define sender-receiver relationships. PERIODIC REPOSTING ================= Differences between periodic reposting and distribution are due to information content and performance. For periodic reposting, no separate credit record is written on the sender for the cost element in the summary report. Instead, the totals record for the cost element is reduced on the debit side, which means that the original debit amount can no longer be checked there (u201Cunclean creditu201D). However, during distribution, the system writes a totals record for the credit (u201Cclean creditu201D). The information on the receiver is the same for periodic reposting and distribution (u201Cclean debitu201D). Compared with periodic reposting, during distribution, the system also updates the partner in the totals record for the sender. This means that the partner can be displayed in the information system on the totals record level. As fewer totals records are written during periodic reposting, performance is better than during distribution. ASSESSMENT =========== Assessment was created to transfer primary and secondary costs from a sender cost center to receiving controlling objects. During assessment, cost center or business processes can be used as senders. The receivers for an assessment can be a cost center, WBS element, internal order, cost object, or a business process. During assessment, the original cost elements are summarized into assessment cost elements (secondary cost element category = 42). As the system writes fewer total records, the assessment has a better performance than periodic reposting and distribution. The system does not display the original cost elements in the receivers. Therefore, assessment is useful if the cost drilldown for the receiver is not important. Similar to distribution, the partner is updated in the totals record during distribution You can reverse assessments as often as required.     Hi dear All,
    I got issues running KSU5 to allocate planned costs under cost element type 42. we were expecting that all planned costs (primary and secondary(cost element type 42)) could be allocated by credit cost center (actual). only primary costs are being allocated.
    Scenario:
    cost center planning (kp06) 1000 currencies in primary cost element in cost center A
    running planning assessment - KSUB: cycle uses assessment cost element (type 42): sender cost center A, receiver cost center B (all planned values). assessment cyles posts 1000 currencies from CC A to cost center B
    planning in cost center B (primary cost elements through kp06, 500 currencies) total planning 1000 from previous assessment  with CE type 42, and 500 from cc planning in a primari CE.
    by the period end closing, tcode KSU5 (allocation actual) is running. new cycle created, based on planned values (origini not actual, but planned amounts).
    we were expecting to allocate 1500 currencies from cost center B to cost center C (using 100% and through assessment cost element)).
    result: credit actual cost center B = 500 currencies debit actual cost center C = 500 currencies.
    1000 currencies pending on cost center B (planned).
    do you know why SAP is not allocating the 1000? even if those 1000 were planned in cost center B by assessement, a new allocation cycle should be able to post them or not?

    first, I understand the difference between KSUB and KSU5, in the defined scenario, we have both. planned values, become actual with the MEC activities. business definition.
    regarding the cycle, I have setup assessment cost element so we can get all planned lines posted as 1.
    On sender tab I have only the cost center. no cost element defined.
    receiver its cost center.
    furthermore, i've not setup allocation structure, so all cost elements should be allow, there is no restriction on this.
    the only difference is: planned costs which their origin is already an assessment are not being assessed again.
    I can show you the print screens with cycles setup if it helps

    it is not possible to delete the data, if u want u can repost from one cost element to the another cost element if u are feeling the entry was posted to wrong cost element.
    Otherwise if u want restrict the transactions further to that cost element, u can restrict through cost elmenet master where in u can select the direct postings and secondary postings etc.,

    Please note the below mentioned important points.  Although your query is answered in the thread, would like to ensure you do these checks to keep clean cost accounting records
    You should not create cost elements for all P&L items. Please note not to create cost elements for following GL accounts
    1) Cost of goods sold
    2) Variance accounts with PRD, PRF - this results in double accounting in cost accounting books
    3) If u hv sales order costing related scenarios then u can create COGS account with account assignment. Depends on your scenario
    4) All other accounts u can create cost elements as per the business requirements.
    But ensure u do not create COGS as cost element. If you create COGS as cost element system asks for accnt assignment object every time and to eliminate this a cost center is assigned in OKB9 for COGS cost element, which is not correct.
    Please check this, very imp to hv clean cost accounting records

    Hi,
    WebI reports on BEx source don't use same Drill feature as other sources, it's replaced by expland/collapse of hierarchy nodes (documented in WebI user guide in § "24.1 Drill defined"). This means you have to create query which selects all hierarchy sub-tree you plan on exploring later in report, otherwise if no data is available under a node there will be no '+/-' sign to visit this part of tree.
    You could try first to select "All members" from hierarchy in QueryPanel and see if behavior in report suits your needs. Then you should restrict hierarchy member selection to what's really needed to avoid performance issues.

  • Cost element group authorization check on controlling area level

    Hi!
    When maintaining cost element groups (KAH1, KAH2, KAH3) is it possible to run an authorization check on controlling area level?
    We have one global chart of account but several controlling areas. When we create a cost element group it is created at chart of account level for all the controlling areas. When someone changes a cost element group it changes in all controlling areas. I cannot restrict user's authorization to be able to change cost element groups only in their own controlling area.
    Is it possible somehow?

    Like how the global chart of accounts is at the client level, the cost element groups are also independent of the controlling areas.  Infact, the cost element groups are created at the global COA level. 
    In such a case, I don't think it is possible to restrict the authorizations to amend the cost element groups at controlling area level.
