Sales document type restriction to create sales order

Hi Frinds,
My client has one requirement ...they have different sales document type. For sales document type  free of charge delivery they want only some authorised person should be able to create sales order. Is it possible to set the authorisation to create sales order according to sales document type.

Yes, 
       As already suggested, it is very well possible to restrict the user for the use of certain sales document type from basis.
& to add to the above,
Create Z* table with Sales Org + Doc type = UserID.
call this table in VA01 transaction & write piece of coding , if current USerID have entry in this table with the said combination - should not allow to proceed further.
without any basis involvement also you can ahieve your requirement.
Note: Sales Org is used for validation purpose only.

    Hi Khan,
    If you want to restrict the User for creating PO other than UB document type. You need to discuss with Basis consultant.
    For that particular user you need to restrict the activites like Create, Change , display for  the authorization object "M_BEST_BSA" which is assigned for Document type for Purchase order.
    Based on your requirement inform the basis consultant to remove the  all other document type or * symbol  and assign only UB document type to that user. So he/she will be restricted to that document type only when ever he creates any PO.

    To restrict access to specific document type (BLART) on  transactions FBL5N and FB03, we applied the following settings:
    - Assign authorization groups (BRGRU) to document types in OBA7
    - Assign authorization groups (BRGRU) to roles in PFCG
    - Assigning users to the appropriate roles
    but all users can view all types of documents!
    how I should proceed to restrict access to particular types of documents for users?

    Hi,
    Please do to the following steps :
    1. Go to SE16
    2. Enter table name as TBRG
    3. Click on Create
    4. Enter Object F_BKPF_BLA
    5. Enter Value - this will be yours authorization object value.
    6. Enter Description
    7. Save
    8. Go to transaction code PFCG
    9. Create a new role
    10. Click on
    11. Enter Object F_BKPF_BLA
    12. Enter Value - this  value is the value created by you in table TBRG.
    13. Enter Activities
    14. Generate .
    15. Assign role to users.
    Please remove authorization object F_BKPF_BLA from all the existing roles before assigning newly created role to users.
    We hope your problem gets resolved by following this steps else revert.

  • Document type restriction in GL posting.

    Dear All,
    How can i restrict a GL account to have only one specific document type documents. I mean only one document type should be posted to that GL.
    It should not contain any other document type other than specified one.
    I know this is possible through validation. But it is not checking if i write validation in OB28. If possible can any one guide me in writing the validationIs there any other way to restrict
    a GL for only one document type.

    Hi,
    To make the GL account specific to a particular document type, you can write the validation as below:-
    Step 1:-
    Create a message ID via transaction code SE91 for message class /EACC/MSG/ACC_COMP as you want to display to user.
    Step 2:-
    Go to transaction GGB0 and create the validation step at complete document level in Financial Accounting as below:-
    Pre Requisits:-
    BKPF-BLART = 'KR'. (example KR doument type)
    Check:-
    BSEG-HKONT <> '1234567890' (the account no. you want to get posted only with the document type given above.)
    Message:-
    Message created in step 1 as error message.
    Step 3:-
    Please also check that this validation has active status (Status=1) at line line item level (level 2) for your company code in transaction OB28.

    Dear Expert,
    Please advice any steps i have missed out or what is other alternative solutions to solve below issue.
    My client would like to have restriction to access and reverse only document type DZ in FB08.
    I have created an authorization group (for example DZZZ) in SE54 and then assigned DZZZ in both DZ (Customer Payment) and DO (Cust reversal doc).
    In PFCG, I have assigned autho group "DZZZ"  and activity "85 - Reverse" in authorization object "F_BKPF_BLA". I have also assigned Table Authorization Group with "DZZZ" and activity 2 and 3.
    Somehow, it still can reverse other document type such DA, DR and etc...

Also, you can try with validations.   • Document Types for PR created in R/3

    WE are implementing SRM classic scenario and in version 4.0.
    WE are creating the Purchase requisition in R/3 systems.
    Now in R/3 we have 2 document types PR01 for Materials and PR02  for services.
    There is a badi BBP_SC_TRansfer_BE with method Group_RQ which can be used to
    segregate the document types PR01 for material and PR02 for services.
    However how do I maintaion the number ranges as in SRM we have only one field where we can maintain the number ranges in cutomising for
    Define Number Ranges per Backend System for Follow-on Documents Here it allows only one Attribute for Purchase Requistion.
    How do I maintain the number ranges in R/3 as external number ranges for the 2  document types PR01  and Pr02.
    Currently I have maintained RQ for Pr01 as external no ranges in R/3.
    Is it that I have to maintain RQ for PR02 also or if separate number range than how do I assgin in SRM.
    Can any one thorw light on this.

    In Srm we have faclity of maintaining one no range only
    In R/3 I have 2 no ranges for Document type PR01(Materials) and PR02(Services) 
    Is it that I have to keep a common number range with 2  document type in R/3.
    IN SRM                         IN R/3
    No range                       NO range
    RQ - Internl Numbers PR01      RQ - External (PR01)   
                                   AB - External for PR02 
    Now how do I map AB in SRM .
    or Keep RQ for PR01 and PR02  in R/3
    Can you pls throw light on this.

  • Document type restriction in MD04

    Hello,
    How can we restrcit few purchasing document types from MD04 display view.
    Requirement is, we have a document type i.e. ZTR (Copy of NB) for purchasing activities of trial materials. This is not required to be considered in MRP planning. So we have activate a storage location which is MRP excluded. All POs for this document type are created for this storage location, which is not affecting any process in MRP planning.
    Now planning users' requirement is to "REMOVE THESE DOCUMENT TYPES" from MD04 view.
    How can we achieve this requirement ??????

    Anyway, you only see them under the storage location (not planned) section, jsut for info.
    You could try playing with the display filter of MD04, I think it should be possible to define such a filter.

  • MRP - VB type deletes already created purchase orders

    Dears,
    Recently sth happened with MRP planning for materials with VB (reorder point) type at my client.
    If stock is below reorder point MRP generates  requisition correctly. But when requisition is converted to purchase order and delivery date is changed (+ few days) a new MRP run suggests to delete such purchase order and creates new requisition with delivery day = today.
    1st clue I had was to check  planning horizon period in SPRO but it's 30 days so any purchase orders within this period created with reference to MRP requisitions should be "visible" for MRP. 
    Planning mode is standard (adapt).
    Do you have any idea what could happen?

    I've checked this. VB type seems to be unchanged - SAP standard settings. As far as I know there are 4 factors that have influence on reorder point planning:
    1. Material mater data - MRP type and reorder point level
    2. MRP type settings - VB in this case is a SAP standard
    3. Config - planning horizon (in this case long enough to cover diffrences in delivery dates between PREQ and PO dates)
    4. Planning parameters:
    Processing key          NETCH       
    Create purchase req.    1           
    Delivery schedules      3           
    Create MRP list         1           
    Planning mode           1    (adopt - normal mode)       
    Scheduling              1           
    Parameters seems to be correct but system still recreates PREQs and wants to delete POs...This is very odd behaviur. I'll try to find sth in OSS.

    First priority is the order type defined in the Production schedulling profile(OPKP), assigned to that particular material in workscheduling view. If this is not maintained then,
    Second priority is configuration at MRP Group parameters in transaction in OPPR, this MRP Group if assingned to Material master MRP1 view.
    Third priority is Configuration at Plant level parameters in transaction OPPQ, this defines the order type when convert planned order to Production/Process order.

  • Two different billing document types for 1 sales document type.

    Hi Gurus,
    I have a requirement , wherein our client is having counter  sale.
    He is using one sales doc type , and while creating a order , he is manually adding payment terms.
    Requirement is , if the payment terms are cash, billing doc type created later on should be one , else during credit sales , billing document type should be different.
    As per my understanding this is not possible.
    Want to know if anyone has some different thought on this.

    There two options you can look in to
    One option is
    1.You can define different sales document types for cash and credit.
    2. You can define two different billing documents.
    3.Do the copy control settings for each combination
    Cash sales order >Delivery>Cash invoice
    Credit sales order >Delivery>Credit invoice
    Second option is
    1. You can maintain single sales document for both the processes.
    2.Define two different billing types then do the copy control settings for both billing types.
    But in this option user need to select the billing type manually based on the process while creating billing document.

    I'd like to create a delivery for a return sales order, I used transaction VL01N to do that, but error message said no delivery-relevant item in this order. Can transaction VL01N be used for this step?

    Hi,
    We can create the delivery in Return process with the transaction code VL01N as in the normal process. The following are some imp points we need to remember before performing returns order process.
    1. We must make sure that a RE document type must be created and assigned .
    2. Subsequent delivery document LR must be created and assigned to order type RE.
    3. We must make sure whether the item for which we are creating a return delivery is it relevant for return process.Means that in the control data of item category  REN 'Return item' indicator need to be activated.
    Once all these settings are fulfilled then only we can perform the return delivery successfully.
    If you are using any other documents rather than standard documents please check for those configuration settings that are applicable for return process.

  • Want to change output type for 10000 sales orders through MASS

    I would like to change the Output type in the sales order for 10000 sales orders.
    Can I do with MASS transaction. If so, Plz let me know how ?
    Is there any other process to change the output type for 10000 sales orders, as its difficult to manually in each and every sales order.

    This may be little tough for 10000 sales orders.
    1. You have to remove the output record for the irrelevant output record using tcode VV12 for the relevant document type. So now for the document type, the old output wont be triggered.
    2. Now, create output records for hte correct output type in VV11 tcode(for the output type BA03) for the document type. Now this output will be triggered for all the document types you are creating from now onwards.
    3. To trigger the output type BA03, in all the old orders, you just have to open these sales orders in change mode (VA02), and just save it. When u open it the output type BA03 will be automatically triggered as the master data is maintained in VV11. But because just opening all the 10000 sales orders in VA02 one by one be a mechanical task, you have to think of some tool for this.
    May be a CATT procedure can do the trick. Else, you can just create a small program, where you can upload these sales orders and the program will just open these orders in change mode and just saves it (without making any changes). Then the output will be retriggered.
    Here again, if you are printing the output directly, it is advisable to trigger the output in batch mode(Date/Time field is 1 in VV11), and then you can again trigger the printing again using the program RSNAST00 after office hours for these 10k orders.

    We are three wheeled auto rickshaw manufacturer and also sale the spare parts of auto rickshaw.
    We are exporter of our both product also;
    Currently we are using inhouse developed software to record sales transactions.
    We have obtained permission from excise department to use more than 1 Invoice book.
    The pattern of use is explained for your reference

    Issue:. can we carry above no. ranges in SAP as above no. ranges already approved by excise authority

    We maintain two different type of number ranges in sap
    1. Internal number range - this is numeric in nature and is system generated
    2. External number range - This is alphanumeric and the user has to manually enter the text. This number range is maintained in
        data base table e.g. VBAK ,VBAP ,LIPS , VBKD.
    You have to maintain external number range and the field in which u are passing the excise number would be manually entered.
    Which document type a   u creating ? for sales order vov8 ---> and use copy control.
    There is one problem with external number range when e.g. if this field is used as reference for billing or delivery and the user had forgotten to enter the number . Then it will create problems in abap generated reports as select query would fail.
