Script to fix invalid characters for SharePoint synced share

I'm hoping for some help implementing a script that will rename files with characters that are invalid for SharePoint, in a synced file share that is accessed by everyone at an office.  
Some background: I'm working for a small nonprofit that has a SBS 2012 server and a local domain with about 30 users. I'm the sole volunteer IT person here.  We have a network file share on the server that everyone stores their documents on.  Recently,
we signed up with Office 365 Online and I set up a SharePoint library and synced it with the document share on our server.  A few files aren't being uploaded, though, because of invalid characters (For instance, a file like "Outline/Team plan #3.doc"
Expecting everyone to remember not to use any of the invalid characters isn't really a solution, particularly since I'm not here full-time if things go wrong.  I'm looking for a script to run on the server every few minutes that will rename any incompatible
files so that they can be uploaded to SharePoint.  Personally, I think it's just plain criminal that Microsoft hasn't provided this functionality itself (it's the least they could do) but that's another rant for another time.  Unfortunately, while
I do have a couple of years of experience with basic server administration and group policy, I'm not experienced at all when it comes to PowerShell scripting.  I can string together some command line commands in a batch file, and that's about it.

I was hoping for opinions - is this the sort of thing I'm looking for, and what would be the best way to implement it (eg, every few minutes as a scheduled event)? Also, is this a straight-up powershell script, or are there additional languages/resources
involved? (Like I said, I'm sort of a script newbie).

That script that Mike linked to is a good one, i've used it myself a fair few times. Just to weigh in with a bit of information on why those characters are forbidden:
The reason that some characters aren't allowed is that those characters are used as special characters in URLs. If you were to allow them to go into the file names (without 'escaping' them) then all the traffic to and from SharePoint would start to
go horribly wrong.
Now it is theoretically possible to build a tool that recognises the characters, escapes them, then uploads them. As well as updating the SharePoint interface to 'unescape' the characters when it renders them. However it's not a trivial bit of engineering,
you'd have to gut SharePoint and re-do some of the core behaviour. You've then got to re-test it and make sure it doesn't break any previous SharePoint behaviour.
The way MS want you to work is to save the files directly to SharePoint, which would pick up that you have protected characters and prompt the user to correct them. That does break down a bit with OneDrive as you can use the characters locally, it's only
the next step that fails...

    Ha,ha,ha.....I figured it out.  But for anyone else who's having this problem, it seems that while Office 2004 allowed dates in this format: 00/00/00, Office 2011 doesn't like it at all.  I just changed the format in the document names to 00-00-00 and all is well.  Documents are opening beautifully! 

  • Can a GPO block certain characters from being used in filenames, for SharePoint compatibility?

    What I'm wondering is: Is it possible to use GPOs to set up a prohibition on certain characters for saved file names, so that when someone attempts to save a file to a server share, it gives them a dialog box along the lines of "That name uses
    invalid characters, please call it something else and try again"?  
    The reason I ask is we've recently started using Office 365, and our server is set up to sync our office shares folder with our SharePoint Online site, so that people can access our documents from outside the office.  The problem is, the Office Uploader
    keeps running into files saved with invalid characters (invalid for SharePoint, anyway - things like pound sign, colon, etc).  I know there was a thread about a script that can go through after the fact and truncate file names, but I'm afraid this would
    confuse our users, and if possible I'd like to deal with the problem preemptively.  I'm pretty disappointed in SharePoint right about now.
    As it stands right now, if a user saves a file with an invalid character, it won't even warn them.  It'll save to the share, but simply fail to upload to the SharePoint site, and when the user goes looking for it online later, they'll be sorely disappointed.
    Some more details/background: I'm the sole (volunteer) IT guy at a small nonprofit that serves adults with disabilities, both in and out of the office.  We have about 13 computers (mostly laptops) with Win 8.1Enterprise and 28 or so employees.  
    We have a Win 2012 SBS that acts as domain controller and hosts a share that's available to all employees.  We have Office 365 E2 for NonProfits, and I've synced a Sharepoint library with our network share using SkyDrive Pro.
    We're trying to set up an auxiliary office in the next town over so clients don't have to travel all the way to our part of the county, so it's suddenly a lot more important that we get our documents online and synced up.

    As far as I know and as suggested by Mahdi, there is no such Group Policy settings which can help us to achieve this.
    However, as also suggested by Mahdi, we can ask for help in the following scripting forum to see whether some scripts can help achieving this.

  • How do I set EchoSign for Sharepoint web part to only sync documents that have been sent from the same site?

    Since EchoSign for Sharepoint (the web part) is basically worthless with any site over 2500 documents, we have broken up our sites so that the web part can successfully traverse the site without timing out. However, within the web part, there is an option (two green arrows) to synch with SharePoint. Unfortunately, users can sync any document from EchoSign to a SharePoint library. I dont want the users synching documents that dont belong in that library. Are there any settings or coding that will allow only the syncing, or actually auto sync the documents, to within the same site?

    One of our Master data attribute load is failing with the following error message.

    As you see there are some Japanese characters when it is trying to load into Char string?
    Can we load such characteristics?
    Where can we check which all Languages are installed in the system?
    If we want to maintain these to the Special characteristics in RSKC transaction?
    Can we enter these characteristics using English keyboard?

    Some time in the run time environ ment field values are moved to junk chars .
    In this case even if u r traying to place the same char in RSKC also it wont
    accept..
    So in this can just edit that particular error record like in the ordinary process in
    the PSA.other wise if its a master data u need to select the option error handling
    in the info pak and rerun the info pak..

  • Generating an idocxml file for matmas idoc,getting invalid characters in it

    i am generating and(ZMATMAS) idoc xml in a folder in R3 using the Port (No PI involve here).   and after generating the file SAP PI system will pick that file to process , but for some files,invalid characters like  oxb(vertical tab) are being passed due to which messages are failing in PI ,SO HOW I CAN AVOID GENERATING THESE INVALID CHARACTERS inxml file in R3.

  • Ondrive for Business Sync Issues again

    Dear all,
    we are experience from time to time (almost every 2nd day) problems when synching files.  Espescially OFDB seems to synch all the time, but nothing happens.
    When we start to analyze the problem we followed the instructions mentioned somwhere else (eg. http://support.microsoft.com/kb/2933738):
    - Checking that files do not contain characters that are not allowed
    - Checking whether the file name length or folder length is in spec
    - etc. ...
    But still e.g. the folder is marked need to be synchronized and all files within the folder are marked as synchronized. Manully start the synchronization does not help.
    Having a closer look to the server directly we found that there is one file on the server that is not in ODFB-Sync. So we manually touch this file, give it an actual date (e.g. with freeware fstouch) and then the problem was solved ... - one one computer.
    But this is not a real solution because then we change manually the the modification time stamp only for synchronizing purposes.
    On other computers the problem still exists with other files.The problems may be even worse in such a way that the folder is marked with a red cross (cannot be synchronized) without an explicable reason because on other computers the folder is in sync.
    The bitter truth at the moment is that all my colleagues ask me several times a week what's wrong with the synchronization, how can we fix it, why does it happen. Finally the lost confidence in the system. Everybody is using its own space now, nothing will
    be backuped in normal way anymore.
    Now the questions to th Microsoft Engineers:
    What is the best way to analyze these problems?
    Are there any tools that help to analyze it. There is a database CentralTable.accdb that contains the information. How can this be used?
    The little icons in the folder/file list are not reliable. What is the cause for this?
    When does Microsoft release an ODFB version that is really stable and that contains a message system that informs users about outstanding synchronizations and has a manual override?
    In my opinion Microsoft should be more transparent with this stuff. OFDB is intend to be a business proof and stable plattform, but at the moment it isn't. Give us the right information and give us the right tools in order to do our job as administrators.
    And really, Microsoft cannot expect that a lot of user follow the instructions again and again that normaly have the following Meanings:
    Do a repair (i.d Synchronize everything again)
    Stop synchronizing a library and synchronize the library again
    Check whether all restrictions are met (I expect that the software tells me which files are not in spec, I don't want to make a guess! )
    etc.
    In my company I did this with all users now 4 times during the last 2 month. It takes a lot of time and it taxes patience of all colleagues. And there was another problem that occured then with the size of the office file cache: see http://community.office365.com/en-us/f/156/t/269853.aspx

    We have Sharepoint on premise not Sharepoint Online, so the first two articles do not apply with our system The app does not work with Sharepoint 2013 on premise.The third one is a general article that describes how to sync a library.
    So what should I say now?
    Yes right, we have problems again. After I got all computers in sync, by disconneting the librarays and resync it again it took only one week and then 8 of 9 computers are out of sync and the sync process stucks. On one computer we have 641 files to be synched
    on the other a liitle bit less and so on. What does the Menu entry "Show sync problems" show? Guess Excatly: NOTHING!
    These computers are running all the time with approx. 50% and above of CPU load which is consumed by groove.exe. And because this task runs with normal priority people are complaining about the performance of the computer. Have you ever written a word document
    and you could see that one letter after the other shows on the screen in time lapse? I saw it several times. So I reccomend to shut down ODfB temporarily.
    Later I installed the following batch file in autostart to enforce lower priority for ODFB:

    taskkill /t /f /im groove.exe
    timeout /t 2

    What we need is a tool, that describe e.g. how to analyze which file blocks the synchronization and how this partuicular error can be solved.
    As mentioned above I did repair, ODfB I did stop and retart synching libraries, I did check all the requirements several times and I reinstalled Office all with the same result that files will not sync after a few days/weeks.  But I will not do this
    again and again.The worst thig is, that people do not trust anymore in this technology.
    If there is no solution I cannot recommend customers to use ODfB. They will have the same problems By the way there are a lot of other stuff and question, see the list below, so we are not alone.

  • OneDrive for Business sync app when using Office 2010

    Hi,
    My clients use Office 2010. They all have SharePoint Workspace installed as well, thought, they don't use it.
    As part of new SharePoint 2013 on-premise roll-out, I have to find a method to silently install OneDrive for Business into clients machines, without disruption to the use of Office 2010. They will use OneDrive for business to sync their team sites libraries
    and their personal site library.
    So far, I have no success.
    What I tried:
    -Standalone OneDrive Pro client exe Setup.x86.en-us_GrooveRetail_3V9N8-W93CC-FQPB8-Y9WVF-TVGJ3_TX_PR_.exe
    It seems there is no way to run it silently anyway. Is there?
    basically, this package still connects to the internet to download modules and it prompts user for some interaction while installing. I NEED IT SILENT.
    -Building OCT package out of Office 2013 installation media. I selected to only install Groove(OneDrive) and leave existing Office product intact. Then I run it from setup.exe /adminfile //location/onlygroove.MSP
    It provisions SkyDrive Pro client (note the name, I used Office 2013 without SP1 media)
    Problems with that:
    1.After installing Office 2013 SP1, client name is still SkyDrive Pro 2013, but sync folder actually changed, some other user interface places are also updated
    2.After silent run, Office 2010 experience problems: Outlook 2010 crushes on start 3 times, then it attempts to run repair, Repair will fix outlook, but it also sets SharePoint workspace as a default client for sync. Running Office 2013 repair will break
    Outlook again. The solution is to uninstall SharePoint workspace, then run Office 2013 repair, then Office 2010 repair again - this way I have SkyDrive Pro as a sync app and Outlook 2010 working.
    As you see, I have problems with having seamless silent OneDrive for Business sync app installation. Even asking clients to install it manually would be too hard for them. Annoying thing is that if you click the exe file to run, it takes about 2 minutes
    before user sees anything happening on a screen. I can see users getting confused if they actually initiated a process of not!
    What am I missing ?
    Any other way to provision it in bulk to my users? Any help appreciated.

    I think we're all waiting on Microsoft to (quickly) address this. Its unacceptable.
    It is seriously unacceptable, and I am having the same problems. Even running tests locally and I am a domain admin, I come across admin permission errors. I have tried amending the config file and creating a new one (onedrive_download.xml), creating a new
    folder as a temp test and running the OneDrive for Business pack (extracted). These are the errors I get (on my own admin PC).

    Only the following standard characters are valid in characteristic values by default:

    Furthermore, characteristic values that only consist of the character # or that begin with ! are not valid.
    You are trying to load the invalid characteristic value 1. (hexidecimal representation 004B004900520042005900A0).
    Procedure for System Administration
    Try to change the invalid characters to valid characters.
    If you want values that contain invalid characters to be admitted into the system, make the appropriate setting in BW Customizing. Refer to the documentation describing the requirements for special characters and the possible consequences.

    Hi Vijay,
    after KIRBY is a characteristic value which cannot be interpreted by BW properply / is not in the valid char list.
    KRIBY is hex value 004B0049005200420059
    the invalid char is hex value 00A0  -> online hex converter didn't found a ASCI match.
    To solve the problem you will need to fix the record in the source. Or you go to PSA -> delete all in teh field and re-enter KRIBY.

  • Invalid characters error while ODS activation

    I have 2 queries regarding Invalid characters
    1) I got following error while activating ODS.
    Value 'HYDERABAD - IV  COMMISSIONERATE ' (hex. '48594445524142414420<b>2D</b>204956A020434F4D4D495353494F') of characteristic ZEXCRG contains     invalid characters
       I added space (ALT+255) in RSKC as suggested in other threads and activated the ODS.('-' is already there in RSKC).
    Above record did not give any error but got the same error for another record.
    Value 'SURAT – II ' (hex. '535552415420<b>96</b>204949 ') of characteristic ZEXCRG contains invalid characters     
       Can anybody tell me why there is difference between in representation(HEX) of same char and which char should I add to RSKC to solve the error?
    2) RSKC_ALLOWED_CHAR_GET lists the space as default allowed char, so why do I need to add the same again?

    go to RSKC: do a ALL_CAPITAL. then do the permitted charcters in BW(do a F1 and copy all and paste). also, please be advised that add <b>~</b> (tilda) and take a closer look at the error you got and insert that there.

  • The File name property is not valid. The file name is a device or contains invalid characters

    I have an SSIS task that has run successfully for years. They just moved the dtsx to a new server and now it is failing. 
    Issue:
    The task has a data flow that writes a raw file destination. It then has a subsequent data flow that reads the raw file destination. 
    The path and name of the raw file is passed to each of the data flows via the same variable. 
    The raw file resides in a folder on the server in the same path that the dtsx resides in. 
    The task fails with the "The File name property is not valid. The file name is a device or contains invalid characters" error when trying to access the raw file.
    What we have done to troubleshoot:
    1. I ran the task successfully on my local machine so it is definitely a server issue.
    2. The first thing we were seeing was that it failed trying to write to the raw file. The task is set to "Create Always". 
    3. We saw that the dba's copied over the entire directory structure from the old server which included a previously created raw file, so we deleted the raw file.
    4. We reran the task and it successfully wrote a new raw file but then failed on reading the raw file with the same error as above.
    5. We reran the task AGAIN and this time it failed trying to write the raw file throwing the same error as above.
    6. The dba looked at the directory and the account that performs the task has full control.
    7. The dba looked at the raw file that was created and verified that the account that performs the task has full control of the file and that it is the owner of the file.
    Summary:
    The task fails when trying to access the file EXCEPT when the file does not exist. In that situation it can write the file but subsequently fails in accessing it again.

    Based on my research, the issue can be caused by the following reasons:
    There are some invalid characters in the File name at package runtime. In this scenario, just as Russ said, could you please post the value that is in the File name variable? Also use a Script Task with Messagebox.show to show the variable values at runtime.
    May be it changes to others at run time.
    The account runs the package not having access to all the folders in the path. Since you are moving the dtsx file from one server to the current server, do you also move the raw file to the same folder in the current server? Does the user runs the package

    Please see the response above. I can't use a message box on a server so I logged the values to the database. The resource account has full control to the folder. I haven't been able to get the DBA to check the SQL Agents permissions, but I was always under
    the impression that if you use "Run As" on the task, it will not use the SQL Agent but the account you identify it to "Run As". The "Run As" account has full control on the folder and file.
