Sent mail occasionally not stored in sent folder

Hi,
we encountered weird problem with OS X server behaviour where user sent email via smtp server and it is not stored in his/her mailbox.
This issue is happening time to time I would say almost randomly.
Do you have any idea why this is happening and where is the sent mail?
I picked a case and gathered relevant logs:

I have a few users reporting the same problem. It is inconsistent and I have not found a way to reproduce it at will.
Our users have been BCC them selves so they have a copy to move to sent it if is not there.
They have also reported mail being copied to the Send and Drafts folders when they send it.
When they login from a different mail client the folders are the same. So I am assuming the problem is server side? Or at least the result is.
Is it the clients job to ask the server to move the mail from outbox to the sent folder?
I think this is where the problem is occurring.
We were looking at it this morning and moving mail around from Drafts to Trash and Sent. Mostly it moved around fine but there was one instance where we moved mail from Drafts to Trash.
We then quit and opened mail again (we waited until the activity window was empty)
The mail we moved to Trash was gone. But a new mail was in Drafts that had been sent earlier that morning. A copy was still in the Sent folder.
We could not reproduce this.
We also have roundcube but it is the mail.app clients that notice the problems. They are the majority so it is to be expected.

  • Sent Messages in Mail are being Stored in Drafts Folder

    Hi,
    This does not happen to every message only some, but it happens to really important messages - I'm a freelance writer and it happens when I'm sending a resume or talking to a client.
    When I hit send, the message shows up in my sent mail as being sent, but it also remains stored in my drafts folder. Sometimes I send a message and it shows sent and then a day later, that same message is in my drafts folder. A couple of times, even though they ended up in my sent folder, the recipient did not receive the message. Sometimes they receive them sometimes they don't, but I never know.
    Can someone explain this and help me resolve this issue? Has this happened to anyone else?

    Hi Staci.
    If Mail put the message in Sent, that means
    the outgoing (SMTP) server told Mail that the message
    would be delivered. If the message never reached its
    destination, it could be because the SMTP server
    didn’t fulfill its promise or because the message was
    filtered out by either the recipient’s incoming mail
    server or the recipient’s mail client for some
    (probably spam-related) reason.
    The fact that Mail sometimes fails to remove the copy
    of the message from Drafts after sending it is
    a glitch that has nothing to do with whether the
    message was received or not, and appears to happen
    only with IMAP-type accounts configured to store
    drafts on the server.
    So what type of mail account is this (POP, IMAP,
    .Mac)? If IMAP or .Mac, what are your Preferences
    Accounts > Mailbox Behaviors > Drafts settings?

    I use .mac for email and I prior to writing, I checked my preferences and made sure to uncheck "store drafts on the server." I'll see how that goes. Thank you though for answering my question.

    not storing sent mails.

    It could be a name-confuse as the name must be the same as on mailserver.
    Just check where you store them and if you have subscribed to that folder.

  • Mail attachments not saving to the folder I choose

    My mail attachments are not saving to the folder I choose.  When I select a file to save in the mail drop-down box, I am given options to save to a folder of my choice.  However, when I select save the document is actually saved deep in some Mail Downloads area, not in my chosen folder.  Has anyone had a similar problem and found a solution?

    What kind of files are you trying to attach?
    Is it all recipients having this problem or specific one(s)?
    Could you possibly post a screenshot of the sent message from your side and a screenshot of what the recipient sees?
    What happens if you send one of these messages to yourself?

  • Mail is not storing sent messages

    Hi,
    I wonder if someone can help me. My mail on my macbook pro has stopped saving some of my sent emails, I have tried to bcc myself but I get a unable to delivery message because it says storage quoted exceeded so I have no idea if my emails are being sent or not. I have deleted the account off the mac and put it back on, and I have also tried deleting some sent messages but it doesn't seem to make a difference?

    Nevermind. I figured it out. I had migrated from an IMAP version of this particular account to an Exchange version. I was still listing the IMAP version of the account as the outgoing server. I changed that to the Exchange outgoing server and it's all set.

  • Subscription mails are not coming for a folder

    Hi All,
    I am not getting the subscriptions email for one set of folders.
    I checked most of the global service configurations, they are correct. Mail Service is correct. Send to is working fine.
    Could someone tell me, what all the things i need to check this.
    I changed the subscription level to daily basis. Then also the problem remains. I am thinking, the problem with the scheduler and engine that send notifications.
    Kindly share your views and suggestions on this.

    Thanks for your reply. But this was working earlier. We also have our own mapper class for the customs things we did.
    But i am not sure of the reason, suddenly this is not working after some SP20 releases.
    What all the basics things we need to check this?
    Send to Mail functionality working - this ensures email is going
    Admin Notifications - This ensures the subscription is working.
    Update Admin notifications - This ensures the notifications are sent when we update the subscriptions
    like this, what all the things we need to check for the resources inside the folder?

  • Classified junk mail intermittently not moving to junk folder

    Hello,
    I am running Thunderbird 31.3.0 and all of a sudden the junk mail (which is classified and marked) is not being moved to the junk mail folder intermittently on some of the IMAP accounts setup on Thunderbird.
    Again, this problem only intermittently occurs but it seems to happen on the same couple of email accounts. The junk mail is marked and stays in the inbox but does not automatically move to the junk folder. If I unmark one in the inbox and remark it - it moves automatically. if I restart Thunderbird, all newly received junk moves as expected for a time until the problem intermittently start occurring again.

  • Mail junk not going to Junk folder

    I want mail to filter junk (including previous emails) and automatically place it in the junk folder. Currently, all it is doing is marking mail as junk within the inbox, and no junk emails are showing up in the junk folder. I tried unchecking and rechecking filtering for junk, resetting (in preferences), and re-downloading all emails. I have the box marked for move it to junk box, but the emails only show up as spam w/i the inbox. I have also read many related forum posts, but none seem to address this issue. I apologize ahead of time if this has been answered elsewhere. What can I do?!

    Rules like junk filtering apply to incoming Mail. However, a rules can be applied manually.
    If the messages are marked as junk, you can create a rule in Mail's preferences (see below). Go to the mailbox, select all messages, and right click and choose apply rules.

  • Voice mail is not stored in cisco unity 7.0(2)

    We have configured exchange2003 and cisco unity in the same MCS(7845 IBM) box. We have done with integrating it to CCM 7.1.3 using SCCP. When we make a call from sub A to sub B, if sub B doesnt answer the call it is forwarded to Cisco Unity and the greetings are played. when we tried to record the message and play back it is not played back also when we send that message, message is not reaching sub B (phone keypresses are taken). Please any one help me to solve this issue.

    If the other question is about an AA all you need is a CTI RP with CFA to VM, a call handler with matching DN and record the greeting.
    If you need more options configure new call handlers and use the caller input config from the first call handler.

  • Mail does not store sent mail on server

    Sending messages with Apple Mail fails to store them on server. I have the preferences checked to store them on server but this does not happen. I am using hostgator.com and I can log into my webmail account with Squirrel mail and sent mail is not stored or seen in the sent mail box.

    I have no clue what those things you mention are….
    If, however, your mail platform is POP, the sent messages will not be stored on the server.

  • Mail does not see accounts after shutdown but are in Mail Folder

    Several days ago upgradeD an iMac from Mac OS 10.5.8 to 10.6.1. After the initial update Mail did not recognize any mail accounts that were in the Mail folder in user/Library. Solved my replacing user folder with one backed up up several days before by Time Machine.
    Yesterday upon start-up I noticed that my earlier Time Machine backups were no longer seen by Time Machine however, Mail seemed OK. This morning, upon start-up, Mail again does not recognize any accounts, and I am dead in the water!
    The Mail Folder still seems to look OK, but Mail will not input from this folder.
    Is there any way without recreating all 8 mail accounts and have Mail rebuild?
    I do have daily Retrospect tape backups.
    Any help out there?

    this means that your mail preference file was reset. quit Mail and restore the file /users/username/library/preferences/com.apple.mail.plist from the most recent backup. start Mail and it will recognize its existing accounts and mailboxes. however, something is wrong with your system as this should not be happening with any regularity.

  • Sent mail does not appear in sent mail folder

    Hi. Odd problem. I have done a search for this but can't find an answer.
    I have an IMAP account with PIPEX and mail will not display the sent messages.
    Mail has 3 folders - Inbox, Sent, Trash.
    IMAP account has 2 folders - INBOX and a sub folder sent-mail.
    Inbox/INBOX syncs fine.
    Nothing appears at all in Sent.
    Sent messages sync ok, as (using finder) they appear in my library at myusername/library/mail/IMAP-(mylogin)/INBOX/sent-mail.imapmbox/Messages
    For info, the inbox messages are stored at myusername/library/mail/IMAP-(mylogin)/INBOX.imapmbox/Messages.
    For info again I have store sent messages on server selected in preferences (because I need to see them from another computer)
    I have tried 'rebuild' several times on the inbox & the rebuild option is greyed out on the sent folder.
    Can anyone help?

    Hi Stringbag.
    This account requires INBOX to be put in Preferences > Accounts > Advanced > IMAP Path Prefix for Mail to handle it properly. Mailboxes on the server should not appear as subfolders of the account’s Inbox in Mail.
    After having done that, Mail should be able to properly save sent messages on the server, but maybe in a mailbox different from where you want them to be stored. To fix that, select the desired folder in Mail, and do Mailbox > Use This Mailbox For > Sent.

  • Mail: sent messages not in sent folder

    Every time I send an email, especially with attachments, the mail is correctly delivered, but it don’t appear in the “Sent” folder.
    If I send a message via webmail, it is correctly synced with the mail client (it appears in the sent folder on the server and on the Mac).
    It’s surely a bug, all my settings are ok and I tried all the possible solutions suggested by others in this community and elsewhere before resigning.
    I have 4 IMAP accounts and the synchronization is always very slow and time consuming.
    This is unacceptable for a mail client..
    Anyone have experienced this problem? Anyone has a definitive solution?

    Yes, it works, but it's a workaround to "prevent" the client to copy the message on the server.
    The message is stored locally and I can't access it on my other devices..
    I need that all messages are stored on the server.
    Other clients do it perfectly, but I don't like their GUI and the fact that they're not integrated with the OS like Mail.
    Since the problem does not occur with your workaround, I think that the bug is at some point during the sending process, especially when the message contains attachments and the activity window is "busy", filled with too many blue bars..

  • Why are my sent items not stored when sending from Apple Mail?

    Hello Apple Support Communities,
    I am Using an iMac at my place of employment. It is running OSX Yosemite v10.10.2 . I am also using Apple Mail to connect to our Exchange 2010 Server. I do the same with my iPhone, iPad, and Windows Laptop using Outlook 2013. For a while now, several months in fact, It turns out that any emails sent from my iMac using Apple mail will not store a copy of it in my sent items on the server. They are not stored in the iMac account, the iPhone, the iPad, or Outlook on my Windows Laptop. However, any email sent from the other devices will have a copy stored in the sent items folder and it will propagate to all of my devices.
    Upon investigating, I found myself looking through the tracking logs of my Exchange Server and found that Apple Mail and the iPhone send messages completely differently. I think this might be the source of my problem, but I have no clue whether I can fix it, or even where to start. Here is an image depicting the logs. Any input would be appreciated. Thank you for your time!

    Sometimes this issue is caused by a misconfiguration or incompatibility of the Exchange server, or perhaps by a bug in Mail. If so, you won't be able to resolve it yourself. The fact that your iOS devices may be working well with the same account isn't relevant, because iOS uses a completely different protocol (ActiveSync) to communicate with Exchange servers. By default, OS X Mail uses the EWS protocol.
    Each of the following steps has been reported to help with Exchange issues, at least temporarily, in some cases:
    1. Back up all data. Open the Internet Accounts pane in System Preferences and check to make sure you don't have duplicate Exchange accounts. If you do, delete all but one of the duplicates. If there are no duplicates, delete the account and recreate it with the same settings. The messages will still be on the server.
    2. Rebuild the affected mailbox.
    3. Reindex messages.
    4. In the Keychain Access application, delete the password item for the account. The next time Mail tries to access the account, you'll be prompted for the password. Check the box to save it in the Keychain.
    5. If you've created subfolders of any Exchange mailbox, log in to the server through its web interface, move the messages out, and remove the subfolders. For best results, a mailbox should have no subfolders.
    6. Synchronize with the server using IMAP rather than EWS. This is only possible if IMAP is enabled on the server.
    7. Consider using Outlook instead of Mail to access your Exchange mail.

  • Some sent mails do not appear in "sent"-folder

    Dear fellow Apple enthusiasts,
    can anybody please tell me whats going on?
    Since Mac OS 10.7 (i am now on 10.8.2) i have constantly expierenced loss of sent mails.
    Just now again I sent out an email from one of my IMAP accounts which does not show up in my "sent" folder.
    Many do, but some are just not there, allthough they are being recieved by the person i sent them to.
    I am ittle bit clueless, any ideas?

    Step 4: Fine-tune your Mail settings
    Now that Gmail is all set, it’s time to tweak your Mail settings to be on their best behavior. Go to Mail -> Preferences, and select your Gmail account. Click on the Mailbox Behaviors tab and:
    Enable Store Draft Messages On The Server if you want your drafts to be accessible in Gmail on the Web.
    Make sure Store Sent Messages On The Server is checked, and that the Delete Sent Messages When popup menu is set to Never.
    Enable Move Deleted Messages To The Trash Mailbox, but disable Store Deleted Messages On The Server. This is the other half of the feature we set up in step 3. Mail will create its own Trash folder that is stored locally on your Mac, but in Gmail on the Web, messages will be archived and searchable. Close the settings window and click Save to accept your changes.
    Find your Gmail folders in Mail’s sidebar, unfurl the folder called [Gmail], and then select the Drafts subfolder. Then select Mailbox -> Use This Mailbox For  -> Drafts.
    Select the [Gmail] -> Sent Mail subfolder and choose Mailbox -> Use This Mailbox For -> Sent
    Finally, select the [Gmail] -> Spam subfolder and select Mailbox -> Use This Mailbox For -> Junk. These last three actions ensure that Mail and Gmail are on the same page when it comes to which folders to use for storing these types of messages. If you use multiple Macs, be sure to go through these motions in Mail on each one.
    Your Gmail account and Mail should now be humming along together about as in tune as they can, given their different approaches to handling e-mail.
