Share workbooks

I'm having a problem sharing workbooks with other users. I have two users; User1 and User2. User1 created the workbooks and has no problem opening the workbooks. When User2 logs in the workbooks show up in the open dialog box but can not be opened. I have attempted to use the ShareWorkbooks form but no workbooks are displayed in the form. Also, when I look at the User->Workbook tab, User1 is not even displayed in the drop down. Any help is greatly appreciated.

As DiscoUser suggests, is the user you're trying to
share the workbook with even allowed to see the
information?
What I mean is, is that you as a user may be allowed
to write a report against a business area (bus1) and
a folder in that business area (fold1).
Then when you want to share the report with another
user (user2) you can do it.
However:
1. user2 may not be allowed to view any folders in
business area (bus1) as the Disco Admin has not
allowed it (ie: you're an AR manager and he's just an
AR user)
What’s an AR manager? How do I check this?
- if this was the case, I would think user2 could see
the workbook name in his File->Open list, but when
run gets no / errors in retrieving metadata.
User 2 is supposed to have full privileges. How do I check this?

I am really new to this.
I have set-up a good few Business Areas as User1 which is a user with privileges (according to the DBA).
I have produced a load of reports which I have tested and now want to deploy to the various users in the company.
As User1 I have
i. logged in as the Administration Edition
ii. right clicked on the Business Area and gone to taken the security option
iii. Selected the Business Area in the 'Business Area -> User' tab and moved the available user/roles over to the selected user/roles.
iv. Hit apply
v. Do I need to click 'Allow Administration' here? I don’t want User2 to administer the Business Area.
Then as User1 I have (while still logged into the Administration Edition)
i. Gone to the Tools -> Privileges menu option
ii. Allow User 2 User Edition access to everything and click on the apply option. When this didn’t work I then gave User2 access to Administration as well.
When I check User2 under the User/Role tab User2 has access to everything now.
When I access the Administration Edition under User2 I cannot see the business Area.
Next I went into the Oracle Discover User Edition as User1 and
i. Opened an existing workbook - This work book is from the Business Area used above
ii. Click on File -> Manage Work Books -> Sharing
iii. Move the user across from the available to shared side in the dialog box.
iv. click Ok
v. Log out (after saving)
I now go into the Oracle Discover User Edition as User2 and I cannot see any of the work books I have shared.

    Hi Petr,
    We faced some issues with drilldowns while working with very heavy (>150 col reports) reports while on Disco Version 10.1.2.48.18. Though Sharing worked fine.
    You might want to raise a service req at Metalink, looks like its time to apply patch. (Our Disco (10.1.2.54.25) runs fine post patching)

    Hi,
    Only the owner of a workbook can share the workbook, so it doesn't matter which responsibility was used to create the workbook. Therefore you need to log in as the owner of the workbook and share it from there. If you cannot log in as the owner of the workbook, for example, because the owner does not exist any more then you need to login as the EUL owner using Disco Admin and from here export the workbook. You can then login using Disco Admin as another user and import the workbook, ticking the box to take ownership of the workbook. Once you own the workbook then you can share it.

    Any ideas!!!!

    I tried to grant execute privilege to user:
    grant execute on DISCO_PKG to User;
    but still seeing the same error.
    what are the needed privileges for users to successfully share DISCKO_PKG functions (set_context,show_context),
    I successfully can set the context and show the context from my separate worksheet, where i set the parameter value.
    But when trying to access the report worksheet which depends on the parameter inserted on the previous separate worksheet i got *"Contact with discoverer server has been lost...."* this happens only for users who share this report, but it works successfully for the original user.

  • Other user can not see the data from the workbook

    Hi Friends,
    I created a workbook with some worksheets in a Business area. The owner of the workbook has no problem to view all the worksheets and get all the data returned.. I granted all the neccessary privileges to other users ,they could see the workbook, but no data returnd for the query results. Tried refresh the worksheet, same no data retrieved.Checked the SQL inspector and the plan, it showed the correct paths and execution plan without any errors there. The same query run in SQL plus by other users returned data correctly.
    By the way, I had a summary folder in the workbook. During the troubleshooting, I dropped this summary folder, still the same no data return for other users.
    Any body happen to know the cause or has some ideas on this issue?
    The discoverer administrator verson is 9.0.4.00 and the PLUS /Viewer is 9.04.45.02.

    Hi All
    The scheduling of reports, as you have probably noticed, requires that the scheduling privilege within Discoverer Administrator tool be granted to the user NOT to a role. Scheduling will not work if you attempt this. The reason for this is that these two SYS grants must go to a user:
    GRANT SELECT ON SYS.V_$PARAMETER
    GRANT EXECUTE ON SYS.DBMS_JOB
    The user will also need to have these grants:
    CREATE PROCEDURE,
    CREATE TABLE,
    CREATE VIEW,
    EXECUTE ANY PROCEDURE,
    UNLIMITED TABLESPACE on user's tablespace

    The PUBLIC grants are not having any impact. All these do is ensure that ALL users have the same basic privileges. You can just as easily grant these to any role of your choosing and it will work just fine.
    By the way, because the PUBLIC role is the MINIMUM privileges that a user can have you might want to consider reducing the end user Discoverer privileges afforded to PUBLIC. By default, all users can Create and Edit workbooks, share workbooks, save workbooks and so on. This is far too rich a set of privileges for the basic user, who in most cases will be a VIEWER user. Whenever I create a new EUL I always recommend that my client reduces the PUBLIC user's privileges and then create new roles for more advanced VIEWER and PLUS users, adding privileges as required.
    Thus, my basic VIEWER, aka PUBLIC, has only these privileges:
    Collect Query Statistics
    Item Drill
    Drill Out
    My advanced VIEWER has this additional privilege:
    Save Workbooks to Database
    My basic PLUS user has all of the above, plus these (pardon the pun):
    Create/Edit Query
    Create Link
    and my advanced PLUS users get everything, which means they now get these as well:
    Grant Workbook
    Schedule Workbooks
    I also remove the Save / Save As Actions link from Viewer which prevents the basic VIEWER users from knowing that it is there. In essence, because these users no longer can click the Save link and because they do not have the Save to Database privilege, they will not be prompted to save within Viewer no matter what they do. This now makes 10.1.2 Viewer work the same way as previous versions.
    Even though the Save link is not there, my advanced Viewer users will be prompted to save if they have made any changes. This therefore allows you to have two classes of Viewer, one who can save and one that cannot.

  • Share Screen Issues With More Than One Viewer and ...

    Tried to do it multiple times and Skype doens't offer the normal screen choice window and then is locked i.e. you can't hang up the call nor do anything. You ask the viewer/callers to hang up for you and then redieal. HUGE bug.

  • Concurrent Editing Excel Workbook Sharepoint Online

    I am having an issue that hopefully someone out there has some experience with.
    We have a deployment of Sharepoint online working right now and we are running into an issue where Excel documents can only be edited by 1 person at a time. I need for those workbooks be be able to allow multiple people to get in to edit concurrently.
    I have went through the options to share workbook but that doesn't seem to work. 
    What am I missing? It seems like Sharepoint should allow for this type of behavior.

    For your issue, there are some things you can try:
    If you have Excel installed on your device, you can download the workbook and then open it in Excel.
    If you have edit permissions to the workbook, you can try to
    reduce the workbook's file size.
    If you do have Power BI for Office 365 and the workbook contains a Data Model, you can check to see if the workbook is visible in
    Power BI sites on Power BI for Office 365 and
    enabled for web viewing.
    If you don’t already have
    Power BI for Office 365, you can sign up for it. Ask your administrator for help with this.

  • Shared excel workbook, wont be shared -

    We have a Sharepoint 2010 in our domain, and many of our users would like to edit on the same documents and excel spreadsheets. 
    The documents are no problem. If user A open a doc and then user B, they both can edit on the same documents, and also get a notification that there is someone else that is doing editing at the same time.
    I would like to do the same with Excel - but I cant get it to work. 
    I have uploaded a Excel sheet, gone to Review - Share Workbook, allow several users to edit: This allow also a merge of workbooks (something like that - :) 
    So when users a open this Workbook, and start editing - then user B opens as well - he then get the "This file is locked for editing by domain\user would: A: Show a readonly copy B: Same and edit a copy of the file..
    Argh......
    If I take the same file, put it on a shared folder - both users can edit at the same time.
    User A and B have full control on the Sharepoint doc library.
    Why is this happening?

    But no, I have the same setting on the doc.library - but I still get "This file is locked for editing
    by domain\user " etc.

  • Using standard workbooks & BA's

    Hi Michael & Rod,
    I have built many reports on discoverer,but all those reports i built are custom made.
    Firstly i want to know is how can one see the standard business areas and workbooks and how could one use them according to their requirement.While installing only we could get the dump where all BA's and Workbooks are stored, but i could see all the BA's(business areas) if i log in through application user.But i cant see any workbooks related to BA's.What would be the reason and how could i see the workbooks?
    Secondly the standard BA folders,say for example under purchasing module we could see many BA folders like purchasing folder,contract folder,receipt folder and so on.But now if i want to use only purchasing folder and receipt folder with predefined item classes or hierarchy to built my requirement.Will the joins established before hand helpful or we should join some as per requirement and if i want to use some more hierarchies which the end user wants?.How to go about it, if possible with an example would be better to understand.
    Thirdly,if i change any standard report items,joins or any item class i dont require.It would mess i suppose.
    Then according to my requirement i want to have some columns,but due to other unnecessary columns,hierarchies things if i get duplication of records.How to go about it.How can i directly assign a standard discoverer report to the end user according to our requirement.Or should i duplicate the standard folder to a custom folder??
    I need a brief explanation with examples if possible,this post would help many people know the jargons of discoverer and how to use them exactly.Might be my question seems simple but would help in long run to many people using discoverer.
    Actually i thought of asking my friend Michael to make a white paper on this topic and make it available to all.

    What would be the reason and how could i see the workbooks?When you import the seeded BA, folders and workbooks into your EUL you should import when connected with an applications username. Then you can take ownership of the workbooks and share them with other users/responsibilities as required.
    if i want to use some more hierarchies which the end user wants?.In general I would extend the folders by adding items, item class and hierarchies to meet the users requirements. I would make a new copy of the workbooks if you wanted to make a change.
    How can i directly assign a standard discoverer report to the end user according to our requirement.You cannot assign workbooks to users. You should share workbooks with users/responsibilities. If a user then wants to change the workbook they should make their own copy.

    How can Discoverer 10g Workbooks be shared if you do not have access to the workbooks creator's id? Can this be done using Oracle Discoverer Admin tool? If so how?

    User A Creates Workbooks
    User A Shares Workbooks
    User A Leaves the organization.
    User A's id is locked.
    User B is designated user As replacement.
    How can User B assume ownership of user A's workbooks?

    Hi,
    You can either update the workbook ownership in the EUL5_DOCUMENTS table. This is dangerous because updateing the EUL tables can easily corrupt your EUL.
    The safer option is to export User As workbooks using Disco Admin and then import them when connected as UserB using the take ownership of workbooks option on the import.

    How to prevent workbook users from saving workbooks
    You must set up security to control who can save workbooks, where they can be saved, and which workbooks appear in the BEx Browser for a specific user.
    Workbooks can also be created in the BEx Analyzer. After executing a query, choose Save u2192 Save as new workbook.
    Securing Workbooks
    In order to save a workbook, a user needs two authorization objects. The two objects listed below are the minimum authorizations a user needs to save workbooks.
    S_GUI: Authorization for GUI activities
    S_BDS_DS: Authorizations for document set
    Using both S_GUI and S_BDS_DS will enable a user to save workbooks to their Favorites folder.
    The authorization object S_GUI has one field, Activity. The activity field must be set to 60. For S_BDS_DS, the user needs activities 03 and 30. The Class Type field should be set to OT.
    Saving Workbooks to Roles
    If a user wants to save aworkbook to a location where it can be easily accessed by others, they need to save to a Role rather than saving the workbook in their own Favorites folder. Saving to a Role means saving to a security role.
    You may want to set up roles specifically for saving workbooks. You can then assign the role to all parties who need to share workbooks.
    Another option is to not allow users to save workbooks, but rather only allow power users to save workbooks. This is done to maintain the roles and to ensure that the workbooks are manageable. This also prevents users from changing workbooks saved by other users.
    In order to save workbooks to roles, a user needs:
    S_USER_AGR: Authorizations: Role check
    S_USER_TCD: Transactions in roles
    The authorization object S_USER_AGR has two fields:
    Activity and Role Name.
    Activity field -Must have at least values 01, 02 and If the user can delete workbooks, they will also need value 06.
    Role Name, you should enter the specific roles you have created for saving
    workbooks. Use proper naming convention for roles so that the roles can be restricted pretty easily.  The role name is the name of a role that will be used to hold workbooks. Saving a workbook to a role actually updates the Menu portion of a role, so object S_USER_AGR is a required object.
    Authorization object S_USER_TCD has one field
    Transaction Code. The user needs value RRMX in this field.
    Once a workbooks is saved, the data and the layout is saved in the workbook. For security reasons, we recommend that users save workbooks without the data. To save the workbook without the data, the users selects from following menu path from the BEx Analyzer: Tools > All queries in Workbooks > Delete results

  • Oracle Discoverer unable to open the workbook due to insufficient Permissio

    I have an error message when I try to open a workbook with some worksheet.
    ( It's working fine with only one Worksheet)
    Any idea ?

    Well here's how it's supposed to work.
    Step 1: Create workbook A with 5 reports (5 worksheets)
    Step 2: Go into Disco Admin and make sure each business area where the folder(s) referred to in the step 1 can be seen by each user you're sharing the workbook with (security). For example, if worksheet 1 accesses business area: GL_Stuff, then security on GL_Stuff must be with all 5 users you'll share the report with.
    Step 3. Share workbook A with the 5 users (via Plus or Desktop where you created the workbook).
    Step 4. All users can see and run the workbook / worksheet.
    Questions:
    1. I don't know what you mean in your Step 3. There's no permissions at this point. What you do is give read to ALL tables / views, etc. to the owner of the EUL. Then either the owner of the EUL (or another user who has been given admin privs) controls security to other roles via the Tools-> Security window in Admin.
    2. Are you 5 worksheets based on the same business area or are they going to different business areas. No problem if going to different ones, but you must make sure security for sharing with the other users / roles is for each business area they will be using to retrieve data from the folder and therefore the underlying view / table / sql statement.

    I've taken a look at this question again with a pair of fresh eyes. Ticking 'Allow changes by more than one user at the same time. This also allows workbook merging.' on the 'Share Workbook' window has the side effect of placing a number of restrictions
    on how the workbook can be altered or used. Unfortunately, at the present time, enabling the workbook to be shared appears to cause a conflict with the Power Pivot add-in.
    What I've done in the past to allow a type of multi-user Power Pivot workbook on a file share is to actually save the workbook as an Excel template. By so doing, when users open the file, they are actually creating their own local copy and as a result
    they don't cause any locks on the original workbook file. When a user tries to save a change to the workbook, they will be forced to save it as a new file. The person responsible for maintaining the workbook can edit the template if they need to make
    any changes that should be present when the users next open the workbook.
