Sharepoint 2010 - Library Management

Hi all,
Currently we have a SharePoint site, which contains a document library. As the library has now become extremely large, my colleagues have had to change the list view threshold from its default 5,000.
The limit is now currently set to 12000 and contains 11550 items. We do not want to have to keep raising this threshold as it will effect the performance and we fear this will get worse until eventually the library fails to load.
Various searches on the internet all seem to point to Indexing and filters to try and reduce this, but through testing, I suspect although these will help with performance, they will not help to reduce the size of the library which
will continue to grow.
 I have looked into this and have managed to create working filters which do only contain certain parts of the list for example last lastname from A to D.
Please could someone offer further advice on this as I am new to SharePoint and have been looking into reducing the list or splitting the list for quite some time now without success.

Hi,
I still seem to be having issues with the warning still showing. I have done the following:-
1. Check view and mobile view for my Employees_2011 view is set to default as described as above.
2. Tested deleting the views that were likely to cause the view to exceed the threshold. Still even with the views deleted, I get the same warning message about the number of items viewed reaching the list view threshold
3. One final thing, when putting back the view I deleted to perform the above test, I found that I could not re-add these view through the usual web interface. I was presented with an error saying a view with this name already exists. I have since managed
to put the views back using the same names as they should be using SharePoint Designer and have been able to edit through the SharePoint site. Not sure if this has anything to do with it?
I have one last test to do, but in the meantime, please let me know if you have any other ideas to prevent the warning from appearing, whether it needs to disappear etc?

  • Submitting PDF Form to SharePoint 2010 Library

    I've inherited a simple PDF form created with LiveCycle ES2. We'd like to be able to let users Submit the result of the form in a PDF format, to a SharePoint 2010 Library using a Submit button. I've added a button and configured the Control Type to Submit. I've added a SharePoint library to the Submit to URL: field and changed to Submit to PDF. Now when I click the button, it opens the SharePoint library but nothing is there. I'm sure there's more I need to do to get this working. Do I need to install the server-side stuff for LiveCycle on the SharePoint server?

    This is not striclty my area of expertise so I don't want to give you a bum steer - at best my response is vague but it may give you a few clues of where to start looking. I'm not too sure how you might have confgured this but your PDF form needs somewhere to send the data and then receive and store it - that's not a SharePoint list or document library (I seem to recall reading somewhere that you can do clever stuff with PDF and SharePoint but I don't think it works out of the box like you're describing here - that info basically alluded to using PDF and SharePoint together [like marketing statements] but didn't go into the hows). I suspect that submitting a PDF form may result in an XML data stream but don't quote me on that either. Alternatively if Acrobat is going to collate results then I think the form being submitted may need to end up in the same locaiton as the "master" PDF form but again I'm guessing a bit here too. For all intents the "master" pdf form may need to reside in SharePoint (and as a result it is addressable on a URL or as a file via WebDAV) in which case it will (or ought to) function like any other PDF form where you can collate results to a spreadsheet. If thats all it can do then using SharePoint seems moot. I think Google is your friend here :-)

  • Sharepoint 2010 Library - All documents are Read Only regardless of permissions and clicking edit

    Good afternoon all,
    I'm running out of places for me to find assistance on this issue, and am hoping you can help. We're running Sharepoint 2010 as our Intranet. Myself and the rest of the IT staff are administrators, and we're looking under a section that we're specifically
    in control of where we have documents for our use. One of the administrators reported that he wasn't able to open a document, and neither was I. This was an older spreadsheet that was never converted. I couldn't open it either, nor could I delete it or manipulate
    the entry in the library. I could open explorer and open the file that way, or download it through Chrome.
    I was able to remove the file, upconvert the file to .xlsx, and reupload it. Now myself and the users are able to open the file, but we can't manipulate it. In addition to this, it seems that any Office file that we attempt to open in Sharepoint opens up
    in Read Only. If we click Read Only, and hit Edit, it stays Read Only (once in a blue moon it allows us to edit it). If we hit edit it still says Read Only at the top.
    I'm not the most experienced at Sharepoint so any assistance would be greatly appreciated.

  • Trouble saving documents from Outlook to SharePoint 2010 library - missing tags

    Hello
    One of our users is seeing a strange issue with saving documents from Outlook.  It appears that the document already had tags from the library, but the user said the document was never uploaded to the library.
    All of the server tags show Currently Unavailable, and the user cannot upload this document to the library.

    According to your description, my understanding is that you want to update documents from Outlook to SharePoint 2010.
    I did a test as the followings:
    1. Create a library, and allow Content Type as Library settings->Advanced Setting, under ‘Allow management of content type?’, select Yes.
    2. Click on Library Settings->Document under Content Types, click on Document Information Panel settings, and select ‘Always show Document…’.
    3. Create some custom cloumns
    4. Upload some documents to the library
    5. Then click on Library->Connect to Outlook, the library will be synced to Outlook
    6. In Outlook, find the library
    7. Double click a document, the document was opened, and the document information(Title and custom columns) were displayed correctly.
    8. Change the document, and save it
    9. Then close the document, it pop up a dailog box, like the below screenshot.
    10. Click on Update, then the document will be updated in SharePoint
    Which type did you use for the custom columns (Year, Category, Document Type)?
    Please have a try as the above steps.

  • Submitting a pdf form to a SharePoint 2010 library

    Hello,
    I have a pdf form that was created in Adobe LiveCycle. Right now the submit form button it configured to send the form to an email address. I need to be able to submit the form to a SharePoint 2010 document library but I can't get it to work. I get to the point where I can select the document library. A test document is send with "Testing Writeablility" inside but I am not able to click next to finalize the process. I have included a picture of where I get stuck at.
    Is it possible to have a submit button send the form to a SharePoint library?
    If it is can anyone please explain what I am doing wrong?

    In case you need more, than just to save form in library as a file... Take a look on www.pdfshareforms.com. PDF Share Forms is a product wich allows to integrate PDF forms to SharePoint. It provides very powerful functionality: bi-directional data sync between form fields and SharePoint columns, offline support, digital signatures, workflows, etc.

  • Can users without Publisher 2010 view (read only) Publisher pieces in a SharePoint 2010 library?

    I'm (very) new to SharePoint 2010 and fumbling my way through it with a certain amount of success. We have a variety of Publisher 2010 items I wanted to be made available in a library. Not all of the users in the group have Publisher, so I converted them
    all to PDF...which doesn't seem to work with SharePoint 2010. So my question is...if a member of the group does not have Publisher 2010, will he or she be able to view these same items if I post them as read only in Publisher? OR, even better, is there

    This is helpful and leads me to a second question... we all have either Adobe Acrobat X Standard or at least Acrobat Reader, but the PDFs were giving us trouble. When you mention "a PDF viewer" were you referring to Acrobat Reader or is there some
    sort of plug-in that plays with SharePoint?
    The only way to convert them to Word would be to save the Publisher pieces as images and drop them into Word, which I can do. I had hoped to post items in the library that users could download to use and the PDF is much more versatile than a Word document
    for this purpose. I haven't yet tested the quality/resolution of the PDF vs Word w/ an image dropped in, so I don't know if this would be an issue, as well.
    We've always gone the PDF route. Maybe I'll explore XPS options and see how that works out for me. I have to be honest, I never knew what XPS was until you mentioned it and I looked it up. So thank you for that, as well! That may end up being my solution!

    I have three site content types (Admin, Technical & Well) derived from base content type "Base" and added this content types to "Documents" library. I also have one site column "Category"(Dropdown) with values (Admin, Technical
    & Well) which is available in all the content types.
    Now, when i try to create a document based on "Admin" content type then "Category" value should be preset to "Admin", similarly when i select "Technical" content type then "Category" should be preset to "Technical"
    and same with "well".
    Can some one provide me how i can achieve this?
    I am working in the SharePoint 2010 environment.

    My understanding is that , you have to display the category in all the content types.
    So in that case create a content type like
    Create a base content type -- with column category.
    Create a Admin content type based on base content type as parent. By default ,the category column is available in admin content.
    Create a Technical content type based on base content type as parent. By default ,the category column is available in Technical content type.
    Create a Well content type based on base content type as parent. By default ,the category column is available in Well content type.
    Do you want to create using sharepoint ui or code(visual studio)?

    Hi Jeyaraman, in addition to Alex's solution, check the following browser settings:
    Make sure “Enable protected mode” in security tab & “Require server verification” in “sites” area are unchecked. In “Custom level,” choose “Automatic logon” way at the bottom.

  • Surface Pro 2 tries to use word in browser instead of client in SharePoint 2010 library

    Hi -
    A user came to me with a new surface pro 2 with IE 11 and Office 2013 and sadly found that document libraries would try to default open in the browser.  I do not have the word app completely configured so it is unavailable. I have a Windows 8 laptop
    with IE 11 working just fine, so I am having trouble pinpointing the issue on his device.  
    I have checked the settings at the library level, the site collection level, as well as the farm level to assure that all areas are configured to open in client app by default.  
    Has anyone ran into this?

    As I mentioned.  You add the second account by adding SharePoint Online as a Connected Service on the File menu in Word.  You also need to make sure that they have updated the copy of Office on the Surface from the Home and Student version.

  • SharePoint 2010 - Document Management and Security Setup Recommendations

    Greetings All!
    I have a requirement where the business would like to manage various files.  The setup looks like this:
    User1
    ----------->User2
    ----------->User3
    -------------------->User4
    -------------------->User5
    Where User1 has permission to see everything that is their files and everything below their level.   The lower levels cannot see files above them.  I hope this makes sense.
    Right now we are using folder level permissions, breaking inheritance, and then explicitly assigning permissions - this could turn into an admin nightmare.
    What other options or recommendations do you have?

    Hello,
    I would suggest to create SharePoint user groups with required permission levels and add users to those groups. I think you will need to break inheritance in order to achieve your objectives but it would be easier to manage with SharePoint users groups.

  • Content parsing of the sharepoint 2010 doc library documents

    Can we parse the content of document(word,excel, ppt, pdf) which is uploaded to the SharePoint 2010 library.
    My requirement is to check that if there is any word (which is sensitive) and matches to my regexp should be blocked while adding the item or updating the item in the library.
    Is there any out of the box feature available to parse the content or how can we do it pro-grammatically.

    According to your post, my understanding is that you want to check the document content when item adding or updating.
    We can create an Event Receiver for the document library and we can use Open XML framework to read documents in
    ItemAdding and ItemUpdating methods.

  • SharePoint 2010: How to map documentset attibutes to objects - In SharePoint Webpart

    I guess it's a pretty simple question but I really do not get one inch closer to a solution. I'm working on a WebPart on SharePoint 2010 which manages a documentset (document library with an custom content type). Creating an storing of documentssets works fine
    by now but I do have problems in mapping the stored sets to my c# objects backwards. I actually do not find the fields in my object structure while debugging my code

    Hi,
    According to your description, you might want to create a class to perform the CRUD operations against a DocumentSet in your library.
    Here is a demo about how to handle an item for your reference:

    What is the process to get SharePoint 2010 Management Packs loaded in System Center 2012 R2 to discover/monitor SharePoint 2010 SP2 (14.0.7121.5000) loaded on Windows 2012 R2?
    View of installed system:
     System Center 2012 R2 loaded on Windows 2012 R2 (supported separately by SQL 2012 SP1 loaded on Windows 2012 R2)
    -Microsoft SharePoint 2010 Products Management Pack for System Center Operations Manager 2007
    -System Center 2012 Monitoring Pack for SharePoint 2010
     SharePoint 2010 SP2 (14.0.7121.5000) loaded on Windows 2012 R2 (supported separately by SQL 2012 SP1 loaded on Windows 2012 R2)
    The SharePoint 2010 Management Shell works fine!
    Result
    Event 0, Operations Manager - Cannot identify which SharePoint farm server is associated with. Check the management pack guide for troubleshooting information.

     I recommend to remove the Windows 2012 R2 server out of the farm and redeploy on W2008 R2.
    This issue does not have an easy fix.
    Summarizing, this appears to be the issue:
    1. Windows Management Framework 3.0 is integrated with Windows 2012 R2, which installs .NET 4 and Powershell 4.0. Not uninstallable.
    2. The Add-PSSnapin Microsoft.SharePoint.PowerShell is not supported with Powershell 4.0.
    3. The SCOM SP2010 MP puts a package on the defined farm server and when the agent launches the package, it calls Powershell (v4 in theis case) and errors out. The target W2012 server will have an Error 0 in the Operations Manager Event log. See below.
    Options:
    1. Work around maybe - Develop method for manual discovery (I'm working on that now).
    2. Rebuild SP2010 farm on Windows 2008 R2
    3. System Center Team - Write a new MP to down version Powershell (Powershell.exe -Version 2)
    4. Powershell Team - Write a SharePoint Snapin for Powershell 4
