Simple archiving workflow

Im still a beginner when it comes to sharepoint designer an workflows - I am looking for a simple archiving workflow that will take my current excel documents and archive it on a weekly basis onto another location (different library)

Create a simple SharePoint designer workflow to move item("Copy"
function and then the
"Delete" function).from one list to another and publish it
next create a policy for document to call that workflow after 7 days of its creation like below.
Policy will call workflow automatically after 7 days.

  • Archive workflow for FCSrv - does it work that way?

    Hi,
    we are installing FCSvr in our shop by the end of the month and after a lot of reading I have a question about an archiving workflow and if that works that way?
    We have about 1 TB of files each month that are finished productions that need to go. Deleting is not an option as we often have to go back and do changes, we also want to have the clips somehow (digital, not only on video tape) available for later production. Final Cut Server sounds like a solution, eh?
    We have 1x Xserve with FCSvr and 1x Xserve RAID connected via fiber uplink via trunked Gbit ethernet (works for us..)
    The idea is to connect a Netgear ReadyNAS 1100 (Link: http://www.netgear.com/Products/Storage/ReadyNAS1100.aspx) with 3x 1TB SATA discs in Raid5 (4th slot is empty) to the network. Name would be archive001.
    In FCSvr I would setup a device and tell it to use as archive space.
    Once full (or lets say around 80%) I unmount the raid and shut it down, label the 3 drives and stick them in the shelf.
    3 new drives go into the Netgear, I setup archive002, make it a new device in FCSvr and tell it to use as archive.
    And so on and so forth.
    In the case an editor needs an old shot / project (happens not very often, I'm calculating with max 4x a month, excluding if they need data that is on the device that is still mounted because its not yet full) FCSvr tells me where the archived asset is (?), let assume on device archive001.
    I go to my shelf, grab the drives, stick them into the Netgear, and the person is able to grab the asset.
    What happens if an user requests a restore and the "wrong" raid is mounted? (the device is not there?) Does he get an appropriate error message so that he can tell the IT person to change drives or how does that work?
    Cost wise: the Netgear is about 1100 EUR and we already have a unit so in case one fails and we cannot get a new one (any more) we are sort of covered and can copy to a new system.
    Each 1 TB is about 90 EUR at the moment, though Raid5 I can use 2 TB out of 3, so I end up paying 270 EUR for 2 TB of archive (plus the initial RAID).
    The system is scalable (to some extend).
    Future goal (2 years down the line?) would be a Object Matrix setup with Xserves and Promise 12-24 TB RAIDs. But not now (money)..
    What do you think?

    PS: Data Tape: been there, done that, dont like it (for this purpose, we use data tape e.g. to create "Master" of XDCAM footage) and too inflexible (I actually hope to reuse all the 1 TB drives for the Object MAtrix thing one day).

    you might write a pre restore script which checks if your archive volume of choice is available. If not, it can then send an email to your administrator, so that he can make that volume available.

    Once I archive workflows and work items, is there any way I can see them through the normal transactions like SWI6, SWIA etc. Or can I read them only through SARA transaction?

    As per the normal archiving procedure after archiving the workflow item we generally run a delete program to delete the archived workitem from system. Hence it will not be possible to find them using SWi1, SWi6 or any other reports for workitems.
    However you can access the archive workitem using SWW_ARCHIV transaction.

  • Video Clip Archiving Workflow and Format

    I currently shoot a ton of video (and photos) with a 5d3 and I've ended up with a large and continually growing archive of video footage.
    I do a lot of photo editing, but I'm able to use Lightroom to clean up my collection to only keep the ones I need and prune the rest. Unfortunately I haven't been able to do the same for video. I edit in the creative suite (mainly Premiere Pro, but some AfterEffects), and I can easily identify the portions of the footage that make clips I'd like to keep.
    Is there a good workflow or file format to cut out and only save the clips I desire? I have lots of file space, but keeping around a ton of footage I will never use doesn't seem to be a good use of my space or time.

    Adobe's Prelude program might help ... though not an ideal solution, it's sort of Bridge modified for video purposes and re-conceptualized. It's primary intent on creation was to allow "junior editors" to log in vast amounts of say tv news show footage, do a quick scrub to find the useful bits, and then add metadata/key-wording to those while ingesting and also backing them up. If you do sub-clip things, it does transcode ... but as it can do a pretty decent job of say conversion to DNxHD or something equally "mezzanine" (as Jago says in the AdobeTV vid on transcoding), something of low compression and high editing and archival use.
    Like Bridge, Prelude does NOT keep a database, so it's not really a DAM program in the way that Lightroom, Aperture, IdImager's "Photo Supreme", and several others are. I've put ... numerous ... requests on this in the Prelude "que" using the feature/bug request form. Even talked with some of the folks in this program "live" while at NAB last year. Yea, they know it would be useful ... but it would be a TON of work to add a database functionality to Prelude & it ain't on anybody's Must Do list that's working on the program.
    So ... Prelude can ingest, add meta, transcode subclips & store them wherever. I know one person that figured he'd set up a folder structure that allowed him to "see" his shot types, something like: mountain streams; rivers; ocean; forest; general city views; traffic; highways; talking heads; ... something like that. With "main" folders & subfolders. That way he can navigate to and browse "likely" folders at need from PrPro.
    IdImager's PhotoSupreme is a very inclusive DAM program and it does handle all file types ... still as well as most video files. As it DOES have a database, once you've put meta into a file, and "shown" that to P-Supreme, it will be able to find that and show you where it is by keyword/meta search. Whether it's "online" on a disc the computer can access live, or on a disc stored on a shelf. I don't know but I doubt it can sub-clip or transcode video files.
    I worked with IdImager before it was bought out and transmogrified into PhotoSupreme. IdImage was a moderately easy DAM program ... which is to say, slightly less than rocket science. P-Supreme is much simpler to use, and has had much of the functionality of the original IdImager brought back.
    So ... you've options, though not necessarily the "one" you might wish. It's an imperfect world ... sigh ...

  • What is your backup and/or archive workflow?

    I am a wedding photographer who has been using Ap for a few months now, and am trying to come up with a good backup system and a method to archive projects to save space on my MacBook Pro.
    Here is my simple workflow. I'd appreciate any recommendations for improving it.
    1. After a shoot I import all images directly into Aperture (managed). A typical wedding will yield 10-20 gigs of raw files (depends on number of shooters and how long).
    2. After importing, I update my Ap Vault on a 500gb external FW800 drive.
    3. As I work on the image the next few weeks I update my vault every day.
    4. When I'm completely done with the project I export the whole project to an "archives" folder on my external drive, and then delete it from my aperture library.
    5. I then update my vault again.
    6. Therefore, my vault only contains a backup of projects I'm currently working on (and are in my main aperture library), and I have a file with a growing number of individual projects that have been archived. If I want to access pictures from another project I have to re-import that project into my main library, and then delete it when I'm done.
    QUESTIONS:
    - Would it be easier for me to put all those archived projects into a second library for fast retrieval? How would you do that (I've noticed you can directly drag-n-drop them into the Apperture package...)?
    - Would your recommend also backing up to an optical media, even though the projects are so large (20gb)?
    - How can I use multiple vaults and/or libraries to make my life easier?

    After all your advice, I think I definitely will start referencing to my images on an external drive. I'll keep current projects on my local HDD, but after I'm done with one I'll move the referenced images to an external drive for archival purposes. I'll also use a combination of external drives and DVDs to backup (I'll never use solely optical media as I've had to learn the hard way about the long-term integrity of optical discs....)
    When all is said an done, I imagine my workflow will work something like this:
    1. Shoot a wedding, importing all images into Aperture and referencing to all masters in a local folder.
    2. After the wedding, immediately backup the project (including referenced files) to a portable firewire drive.
    3. When I'm done working with the images, move the referenced files to an external "archive" drive.
    4. Export the project (including referenced files) to a double layer DVD and stick it in the clients folder with other paperwork, etc.
    5. Update my Aperture Vault (including referenced images) to a separate "backup" drive.
    This way I will have all my older images on an "archive" drive and linked to AP for easy reference. I'll also have DVD backups of each project, plus a huge backup drive with my AP vault with ALL projects and images. When this drive fills up, I'll buy a new one. Hard drives are cheap, and getting cheaper. Besides, that's just the cost of doing business.
    Hopefully future version of AP will have integrated DVD burning, and the ability to span a project across multiple discs.

  • Simple 2013 Workflow to break permissions inheritance on a Document Library File?

    Anybody got an example of this? Suspect SPD 2013 can't do it and that it must be using VS 2012.
    Want a simple solution of a Doc library where users drop files in, but then, users can only View, Edit, Replace and Delete files they created.

    When using a 2010 Workflow you need to add an impersonation step to get the Replace permissions Action.  I just tried it with an SPD workflow in my copy of SPO (which has been upgraded to 2013) and it works fine.  2013 workflows don't have an impersonation
    step, so there is no replace permissions action.  The actions/steps are greyed out unless you've selected an appropriate slot in the designer.  Could that be what is happening?
    Although there are API available on the SharePoint server to change list item permissions you can only use that in code running on the server, which you can't do in SPO.  You wouldn't be able to use this in Azure or another provider.  You could
    use them in a custom web service created for an OnPrem 2013 environment.  For SPO you can only use client side code or web services that already exist.  As I mentioned previously the permissions web service doesn't go down to the item permissions
    level.  I'm also not aware of any CSOM that can change permissions on list items at this point either.

  • Looking for Simple Archiving Catalog Software

    I  have previously used AutoCat. Simply drag and drop a folder and AutoCat copies
    the folder hierarchy and makes aliases of all the files. I keep this a catalog to
    be able to simply find all of my files by a search through the finder. It tells
    me the archive number of the disk where I can find a particular project. Very
    simple, very legant. Not supported in Lion so I'm looking for a replacement.

    Touvaly serves the same function as AutoCat. But it goes too far. It makes a "vrtual copy" of a removable disk. It is so hard to tell if you've pulled up real files and folders or the fake ones! - Somebody PLEASE bring back AutoCat!

  • Simple MSMP workflow for Emergency Access Management

    I am not able to get the EAM to work in Access Control 10. The user is able to successfully place a access request for FFid but there is a error in the workflow logs. I have not done any customization of the MSMP for GRAC_DEFAULT_PATH and other similar stages, as I am not aware of the the specific values that need to be maintained.
    I want to avoid customizing as much as possible and use what SAP offers by default. The workflow steps I am looking for is : user places a request for FFid and the request is received by the FFid Owner (Manager) and approved by him, Once approved, the FFID is provisioned automatically and the user can login to tcode GRAC_SPM and use his FFid, and the Controller gets alerted about the log.

    Do you have stage called FF Owner?
    Did you create a Firefighter path in MSMP configuration with FF Owner stage in it?
    Did you maintained route mapping in your MSMP workflow configuration?
    Please share your BRF+ initiator decision table and MSMP workflow config screenshots to help you further.

  • Archiving Workflow with SARA; WORKITEM_WRI and WORKITEM_DEL

    I have been manually running the write and delete steps to archive completed workitems. I am now ready to set these jobs to run on a schedule through SM37. The write worked fine and created four archive files. However, the scheduled delete job only processed the first file. How can I define a scheduled job for the delete to use all files generated from the scheduled write job? I will not know how many archive files will be written. I just want the scheduled delete job to use them all.

    Hello Cliff,
    Problem could be that your deletion job was stopped or terminated because of various reasons.
    You have to Run the deletion program once again for the archive session number. You have to get 4 deletion joblog and spool list for all the 4 archive files created.
    Schedule delete job:
    SARA > Delete > Select the Archive Session Number
    Maintain Spool and Time > execute
    Note: 1. Session number contains all the archive files created.
    2. There is no problem in your setting of deletion program because already one archive file was deleted successfully.

  • What is the best company for simple archive and storage in the cloud.

    Yes, I moved to iCloud a while ago. Yeah, I realize that time is running out for my items stored on my MobileMe iDisk!! Has anyone found a company that offers cloud archive and storage with good encryption? I am really not interested in sharing of any sort. Once I load it up, I will remove it from my computer. I have no intention on downloading these files to any other computer or iOS device. I will also store it locally on an external device as an additional backup.
    Yes, I know about Box, Drop and the other popular ones, but again, I am don’t want sharing to be the selling point.
    Any help much appreciated.

    If you DoubleClick the Pencil Tool or the Paintbrush Tool you can see the options. I believe you will wish to have both Keep Selected and Edit Selected Paths unticked for what you describe, but you can try all the possible settings and see what they do.

    I'm having problems to connect to the DB with the Workflow Builder. I'm getting this error when connecting:

  • Archiving workflow (workitem)

    Hi All,
    I am archiving old work items but I am finding it difficult to know in advance which workitems can be archived.
    TAANA (with standard variant on SWWWIHEAD) can give me completed/cancelled workitems but when I archive in TEST mode most aren't being selected for archiving.
    Any thoughts on how to analyze this object further so that I know what workitems can be archived in advance of running the archiving job itself?

    It appears that an important criteria in the workitem data selection is a check on the value of field WI_CHCKWI (superordinate work item).  If the value in that field is not zero, the record is not picked up by the program.  Therefore, it is not archived/deleted.
    In our case, the check on this field eliminates about half the records.
    Note 573656 might be helpful.

  • Looking to create a simple Automator workflow.

    Alright. First off, understand I know NOTHING at ALL about actual coding, programming, Automator stuff, nothing at all.
    I do know that Automator allows you to string together multiple actions as an app.
    I also know that I have some very specific tasks I want to string together, and I ALSO know I want you guys' help with this.
    1. Force Quit Minecraft.app (may not be open all the time) (MUST be force quit, cmnd+q won't work, I promise)
    2. Double-Click app icon, which I need named "Snapshot Installer."
    3. Locate filename minecraft.jar    inside the folder ~/Library/Application Support/minecraft/bin.
    4. Rename minecraft.jar   to backup.jar
    5. Locate minecraft.jar    in downloads folder (not sure what to call that without violating my privacy)
    6. Move minecraft.jar from downloads folder to ~/Library/Application Support/minecraft/bin
    7. Display a banner window saying "You have sucessfully upgraded to the newest Snapshot."

    Hello? can I get any help here?
