Summary on a formula field that makes a condition on a running total

Hi,
How come I can't create a summary on a formula field that makes a condition on a running total ?
My running total field is a counter that counts the number of individuals
My formula field contains this info :
IIF ( ( {#counter_running_total} <> 1)
    or ( {#counter_running_total} = 1
          and {status.code} = '04' )
    or ( {#counter_running_total}  = 1
          and {status.code} in \[ 208 , 996 ])
,0,1)
When I right-click on the formula field to insert a summary, it does not allow me.
Do you have any idea I can show the information in a better way ?

Thank you very mutch for your reply, I tried it and it works.
The thing is, I would like to reset the counter on change of group, and put the manual running total in the group footer.
Is there a formula I could use to reset the counter ?
When I write in the group header :
whileprintingrecords;
numbervar i=0;
it does not reset the i to zero, instead, it writes "false" and continues to increment in the footer.
do you have an idea ?

    I have a field (let's call it "altuser") in a report I'm creating that pulls in a key value from the users table, which is the same table that I'm reporting on. So when I'm reporting on the users in the users table, I'm pulling in the value of altuser for each user.
    What I'd like to do is have a formula field that would pull in the name stored in the table instead of the key value for altuser. So what I envision the formula I need would be like:
    SELECT fullname FROM userlist
    WHERE userkey = altuser;
    Which would make it pull in the name of the user instead of the key value for the "altuser" field.
    I cannot figure out how to do this in the context of either a Formula Field, or a SQL Expression field. Can anyone show me how this would be done?

    So right now, the SQL generated by Crystal Reports is like:

    My report now looks like this:
    FULLNAME          LOGIN          ALT. USER

    I have a Formula Field that concat's the <lname>", "<fname> for the first col, then uses the username value for that user for the second col, then the altuser value for that user for the third col. The thing I'm trying to do is resolve the ALT. USER data (which is a key value for the userlist file) into the LOGIN value for that user, so the report would end up looking like:
    FULLNAME          LOGIN          ALT. USER
    Jones, Sam        SJONES        KBROWN
    Smith, Barney     BSMITH        FROGERS
    (etc.)
    where the record with key "2002" has the username value "KBROWN", etc. (they are other user records in the same userlist file.)

  • Unable to filter a formula field based on two conditions

    hi,
    I have a report with 3 subreports in it. When i drill down onto first subreport i am getting correct records in details based on selection criteria but when i am unable to populate the same record count in summary.
    For example
    On summary i see : 60 when i drill down i see 20 records which is correct but not reflecting onto summary report
    the details selection criteria is based on two  fields where field1>=1 and field2= "Text"It is coming out good (20 records) but in summary i am unable to populate this based on same selection criteria
    The main issue i am facing was if i apply a filter on summary selection criteria all the subreport counts are getting affected. Is there a way i can apply filters only one one field

    I got part of what you told me. Yes i am calculating the counts in the summary report.
    Basically here is the selection criteria: i need to filter the records based on two conditions. One is x.field1= "Admin" and x.field2=act_pct>=1
    For example:
    Admin Returns         50  but when i dig into details it showing as 20 records ( based on selection criteira above)
    when coming back to summary . 50 what ever is returing here is based on a formula ( if x.field1="admin" then 1 else 0) ..in addition to this i need to filter that by x.field2>=1 which is not taking it     
    Is there any syntax to do this
    If i apply a filter on this particular 50 record its bee applying for whole summary report ...
    And from what you said :
    Why don't you create the summary in the Subreport and maybe use shared variables to bring it back to the Main Report?
    i did not get this

  • Group Sort on formula field

    I am using CR Professional 11.5 on Windows XP/Progress platform.
    I have a formula field that calculates the GM% on the Employee Group Footer level and want to sort the employees in descending order by GM%.  I have gone in circles trying to calculate this field differently in order to be able to perform a Group Sort but this GM% cannot be summarized, which would allow me to use the Group Sort Expert.
    The fact that GM% is used in businesses world-wide each and every day makes this unbelievable that it should prove to be this difficult.  Is there something that I am missing as a newbie to CR design? 
    Any help provided is greatly appreciated!

    That's so awesome!  If only I knew how to use sql commands!  Everytime I try to create one it has errors that I dont' understand.  Do you know of a site for sql syntax that might help me to do this?  I have looked and can't find what I need to make this happen.
    So what I need to do is to use 'Formula Workshop' and create a new SQL Expression Field?  Using the formula above, how would this look in SQL?
    Thank you so much for your help...I am so grateful!!!  I have been working on this for months and keep hitting this snag.  I first started out using a cross-table and got confused because you can't summarize the GM% so I then changed the summary to 'weighted average of GM% with Tech/Rev' so that helped, but the Total per Employee has been keeping me stumped.

  • Not able to clear out a formula field value when variables are equal to 0

    I am trying to calculate the difference between a formula field from a main report and a formula field from a subreport. When i run the report i get a correct difference calculation only when both formula fields have a value different than 0. When both values are 0 then the difference calculation shows the last item quantity from the formula field in the subreport that had different values than 0.  It looks like the difference calculation is not being clear out before jumping to the next value calculation.

    try to clear the variable values once done with calculation like
    whileprintingrecords;

  • Why do I only have the option to summarise some of my formula fields?

    Hi.
    I'm trying to create a running total but when I look for the formula filed that I want to summarise, it's not there. There are some other formula fields that it tells me that I can summarise but not the one that I want. Any ideas?

    There are are certain functions that can only be executed during the "WhilePrintingRecords" pass of the report execution. Any formula that uses one of these functions cannot be summarized.
    Also any formula that is is based on aggregated values cannot be summarized.

    I have a formula field that I am trying to sort data by. I want to eliminate records that come up with a 0 in this formula field. I tried select expert, but it doesn't recognize the field.

    You cannot sort on a formula field that uses printime functions or executes in the 'whileprintingrecords' phase - example would be running totals or formulae based on shared variables from the subreport.
    What you can however do is, suppress records where the formula returns zero.
    To do this, go to the Section Expert > Select the section you wish to suppress > Click the formula button beside 'Suppress' and use this code"

    Is there a way to save a formula field for future use? For example, I create a formula field that I will need to use on various reports. Do I have to recreate this formula field for each new report? Or can I save it for future access on the new reports?

    As far as i can see the only way to re-use formulas is if you are connected to a BO repository (Crystal Reports server or BO Enterprise)
    Then you can add a formula to the repository and pull it into another report from the repository
    When you are just using Cr designer then i think you need to copy your formulas across, from report to report
    If you copy from the desing canvas of one report to the desing canvas of another report then the formual will be created in the new report for you (you would then need to change field names etc)
    I hope i am wrong, and that there is another way

  • How to intercept variables in report's formula field via TOAD?

    I have a case in this report. I have a report that generates a list of items with info of their initial stock, stock movements and final stock. no problem for the in and out stock movements.
    but there's a slight problem with the initial stock. I wrote a formula field that executes several select queries to obtain the inital stock. The XML report format roughly looks like this:
    Item_Name Initial_Stock Stock_In Stock_Out Final_Stock
    <?Item_name?> <?CF_Init?> <?In?> <?Out?> <?CF_Final?>
    As you can see, the Initial Stock and Final stock data is obtained through a formula field. And the select queries I mentioned above are employed in the formula fields. The rest of the fields are obtained directly from the SQL field in the report. Right now the report generates all items, whether their initial stock is zero or not. What I'm trying to do is not displaying items whose initial stock, stock in, stock out and final stock are zero. thanks

    Well you could try upgrading to a more recent Java runtime for starters.
    This is a native crash, which means something went wrong outside of Java code. The trouble is that you can't know WHERE it happens; The JVM itself is only a client of the machine it runs in and can be made unstable by outside influence. Under Linux it takes only one wonky shared library. It could be a driver. It could be a problem in the kernel. It could be another process. It could be anything.
    It could also be a bug in the JVM of course, but the only way you have a right to report it as a bug is if you try to see if the problem persists under the latest update.

  • Fields that are not displayed are still submitted

    Is there any way to prevent fields from being submitted? I have fields that are only conditionally displayed on the screen, but the values are submitted every time.
    ie, user enters some field values, submits the page. we branch to the same page and do not clear the values so the user can see what he/she put in last time.
    the user now selects from a select list which causes some of the fields that previously had values to no longer be displayed.
    the user fills out some of the other fields, then submits the page, and all the old values and the new values are submitted. i would like only the new values to be submitted, and the old values not to be submitted.
    is this possible? (and reasonable to implement)

    Yes Modify your submit procedure to only submit the records that are displayed on the screen.
    I'm not too clear on why or what your trying to do.
    When you submit the page and then branch to the same page.
    Why don't you just make the user edit the record they just entered or create a new record?
    Maybe I've misunderstood something but something your doing in the steps you've described, doesn't seem to be too clear to me...

  • Running total field which evaluates based on another running total field

    I'm figuring out how to use running totals in my reports.
    For each ProductCategory, there're many Products.
    For each Product, there're different ProductVersions.
    For each ProductVersion, it takes different Parts.
    My report should look like this
    Group1: ProductCategory (e.g. Catergory 1)
    Group2: Product (e.g. Product1)
    Group3: ProductVersion 1
    Details: Version 1: 3 * Part1 + 2 * Part2 + 4 * Part3
    GpFooter3: Total of 9 parts used
    Group3: ProductVersion 2
         Details: Version 2: 1 * Part1 + 2 * Part2 + 3 * Part3
    GpFooter3: Total of 6 parts used
    Group3: ProductVersion 3
         Details: Version 3: 2 * Part1 + 2 * Part2 + 3* Part3
    GpFooter3: Total of 7 parts used
    I've a running total at GpFooter3 to count number of parts, reset on change of Group3.
    But for each Product, I'm only interested in the details of the most recent version, that is the version with the greatest version number. So I hide all details and GpFooter3, and want to show
    GpFooter2: Product1, ProductVersion3, 7 parts
    How can I make a running total at GpFooter2 to select the ProductVersion which has the greatest version number among the Group "Product1"? The problem is, the number of versions for each Prodcut is not fixed, so I can't create a running total which evaluates on a particular version number. I tried to use a running total to obtain the maximum version number per Product, but I can't use this in the running total at GpFooter2 as a evaluation formula.

    Create formula fields that are placed in Group Footer 3 that store the value(s) in global variables (basic syntax):
    global maxVersion as number
    global numParts as number
    maxVersion = {version}
    numParts = count({part}, {version})  ' Assuming grouped on {version}
    formula = ""
    Then use other formula fields to retrieve the values:
    global maxVersion as number
    formula = maxVersion
    And similarly for numParts...

I can get the IPTV for each DIS/bld_mo but I don't know how to get the running total of it. In the script below I just used an example where I tried summing the IPTV like was done for build. I know it can't be done that way because IPTV is a calculated field in the query but if I substitute "APR_IPTV" with the formula for IPTV I get an error that window functions aren't allowed here. I do not know a way around this. I commented out the bad piece of code.

    So you know how to compute iptv for an individual row; the problem now is that you want to get a running total of iptv; is that it?
    The problem there is that computing iptv requires an analytic function, and analytic functions can't be nested. To get the results of nesting f (g (x)), where f and g are analytic funtions, you have to compute g in a sub-query, and then use the results as the argument to f in a super-query.
    Here's how to apply that to your situation:

You asked for NULLS in the may11_rep, may11_bld and may11_iptv columns. You can get those results if you need them; just explain the rules that govern whether to display the values and when to display NULL.

    It would have also helped it you had explained how iptv is computed. Basically, iptv = 1000 * rep / tbld, right?

    A little background:My report deals with a Doctors schedule. In the doctors schedule, a appointment is booked and is by default placed into Column 1. It always defaults to Column 1. If the provider elects to double book their time and schedule another patient at the exact same time, the second appointment hits column 2. It expands in essence. It is possible to have up to 4 appointments in one time slot. This is why we wait forever at the Doctors office - appointments get overbooked because patients cancel or no show frequently and the provider would rather have the patients wait then risk no appointment at all. My Client wants the "TOTAL TIME" a provider was "scheduled" to see patients, not the time they actually saw the patients. So if the Provider was scheduled to see patients from 8 am to noon and had patients doublebooked for every time slot, I only want to report the overall time he saw patients regardless of the doublebooking, triplebooking or quadruplebooking. So the total time for my example should be 4 hours not 8 hours. The good news is this is painfully close to being correct! What is currently happening, is if the schedule contains more than 1 facility the time calculates wrong.  I think my issue may be in the running Total but not 100% sure. I need it to calculate time on each facility - {Data.Facility}.

    From 1:00 pm to 3:15 pm, Patients were treated at Facility 1: River Oaks Main Clinic *** (total time = 2 Hours 15 min)
    The report should tell me Total time at River Oaks Main Clinic = 6 Hours 45 min and 45 min for Western Medical Hospital. What it currently is doing, is reporting the 6 Hours 45 min on the River Oaks Main Clinic and 7 Hours 30 min on the Western Medical Hospital. The time for this facility should be 45 minutes, yet its taking the full provider time and throwing it into this second facility. I am assuming its because the Running total tells it "Reset on change of field {Data.Resource}". Somehow, I need it to evaluate on both the Resource and the Facility. Any suggestions?

  • Is there a limit to no. of summary fields that can be used in a cross tab?

    Hi,
    While creating a cross tab is there a limitation to number of summarized fields that can be used?
    - The cross tab when uses 184 fields as summary fields leads to Crystal report application to crash at the time of export to excel.
    - Tried with two Datasources: XML and excel
    - If we reduce the number of summary fields used to 102 exactly, export works fine in excel.
    - If 2 cross tabs are used each containing 92 summary fields(in order to show 184) export to excel works fine.
    Please let me know if there is any such limitation which leads to CR application to crash when exporting in excel?
