Total variances through IR

Hi experts,
Could some one explain me when the 'Total variances through IR' are generated?
We have a case of a PO in Foreign currency for quantity of 1.
This PO was invoiced before being received.
When received, the GR value does not match the invoice value.
The total GR value is adjusted with a 'Total variances through IR'. The total goods receipts does match the invoice value.
I tried to look for possible different currency rates, but the documents have the same currency - PO and invoice and GR -
Thank you.
Monica.

Hi Monica,
When the invoice was posted prior to the receiver the entries will be
Invoice Receipt
Debit GR/IR Clearing
Credit Supplier Vendor
then Goods Receipt
Debit Inventory account
credit GR/IR Clearing
debit Variance
then clear the variance
debit Vendor
credit variance
assign points if useful

Now This is how the Report will work as Normal...
What the user wants is Instead of Variance he wants to see the Absolute variance. So If I run absolute function on This Column, I will get following results:
ABS(Variance)
5,106,429,191
14,542,250
6,439,427
13,737,309

569,386,106
17,990,531
21,140,477
1,905,769
6665076018 --- -This Total is Incorrect as it is showing only the Absolute value to the Total, where as it should be More than this and to achieve this, I changed the Aggreegation Rule to SUM
to Get the correct sum of the figures mentioned ablove which will show following output:
ABS(Variance)
5,106,429,191
14,542,250
6,439,427
13,737,309

21,140,477
1,905,769
23,289,605,688
Now Till this point everything is correct and can be achieved. The problem is with the % Variance:
Bydefault % Variance ( Calculated using Variance/GL Balances )*100 Is as follows:
% Variance
-8.37%
-0.05%
-3.03%
-100.00%
1.67%

-32.31%
-0.46%
0.92%
100.00%
4.48%
But the Users wants that The % variance be calculated on Variance Column and GL Balances Column ( Variance/ GL Balances)*100
But the Grand Total values at the bottom should be based on ( Grand Total of ABS(Variance)/ Grand Total of GL Balances ) *100
to get the Desired results as :
% Variance
-8.37%
-0.05%

If someone can help me with this...

OK, there are a couple of things that have to be pointed out before getting to the actual problem. First of all, the column you named "Variance" is not a variance, but a "difference" and should be labeled as such. Second, what is the variance you are trying to calculate?
If the variance is from the "Source System Bal," then the calculation is ("GL Balances" - "Source System Bal")/"Source System Bal"
If the variance is from the "GL Balances," then the calculation is ("Source System Bal" - GL Balances")/"GL Balances"
You have ("GL Balances" - "Source System Bal")/"GL Balances" so do you know what you are measuring? Make sure you get this part right first. Now on to the issue itself.
This is the point of confusion with some I think: you want the individual rows of the "% Variance" column to display the +actual+ variance, positive or negative, but in just the total at the bottom, you want the "% Variance" to reflect the "absolute values of the differences, summed, and then divided by the GL Balances."
You can't have two different calculations on the same column like that, one for the rows and a completely different one for the total.
Here's a workaround. Uncheck the "totals" for the pivot table completely and just show the rows. (Make sure you change the name of the "Variance" column to "Difference" or something similar.)
Now create another pivot table view, but take out all the attributes so the measures sum up. Add an additional column called "ABS % Variance" and make this calculated column (do this in Criteria in the fx of a "dummy column"):
(ABS("GL Balances" - "Source System Balances")/"Source System Bal")*100.00
Don't forget to change the data format to "percentage."
Now place this pivot table view directly below the one with the individual rows. You should now have what you are looking for.

• Plan material/labour quantity and total variance issue

in KKBC_ord report, the plan cost of :
raw material plan cost is 3000,000 MYR, actual is 29600,000, variance is 400,000 MYR, with raw material A plan qty 9700, actual quantity is 10000, I want to know how the 9700 is calulated, any formula and how it is calulated in table CKIS?
labour plan cost is 1386,000 MYR, actual is 1356,000, variance is 30,000 MYR, with labour plan qty 38, actual quantity is 36, I want to know how the 38 is calulated, any formula and how it is calulated in table CKIS?
we use process order, costing bom and receipe
except raw material and labour activity, we have no other cost.
our raw material variance+labour variance is 430,000
when we do goods receipt, actual qty is less than plan qty, thus yield variance is 700,000
but our sap total vriance is 750,000 in settlement, I want to know why 750,000 is not equal to 430,000+700,000=1130,000
what is relationship between 750,000 and 1130,000, we don't have remaining variance or scrap variance. thanks

Hi
1. Plan cost is calculated based on the Prod Order BOM and recipe
2. Variance is a difference between Actual Dr and Actual Credit... Plan cost has no role to play in variance calculation
Though Actual Cr is more or less equal to the target cost, the actual variance in the order is always equal to Actual Dr-Cr (COGM)... Whats the difference between Actual Dr and Cr (COGM) in your case?
Before settlement, if the Order is marked as "Delivery Complete", then the Order balance would be equal to Variance
there are many other categories of variance like Lot Size Variance, Usage var, etc.. Plug in the all the columns of variances in COR3 and the sum should be equal to the Variance settled.. I have never seen a case of mismatch in this

• No (suitable) purchase order/item found for MR11

Hi,
I am trying to do an MR11 on a PO but it says that there is no PO found. But when I look at the PO history there is an entry in Total variances through IR. Then why does it say there is nothing to do MR11 for?
The PO quantity is 440.030
The GR Quantity is 440.030
The IR quantity is 450.310
There is a variance of 18,481.48 in the amount. And that is what i am trying to do an MR11 for. Could it be because there is not Open PO quantity?
Thanks,

Hi,
check is there any tolerance set for IR.

I have one issue related to a purchase order which consists of Service entry sheet.
In the PO history tab we are able to see 1 GR, 1 IR's and 1Service entries.
But the MB5S report shows the total of 2 GR'S and 1 IR's.
I could found the details of this PO in ME2N where there is
1( entry sheet 1000006054) Amount 1000 usd
1( GR =5000898940) Amount 1000 usd and Total variance through IR Amount 1000 usd ( Total GR =2000 usd)
2 ( IR =5105627402 amt 1000 & 5105658726 Amount 2000 usd)

• Delete Variance data from COSB table for version 1

Hi,
We are trying to change the Valuation of version 1 from Legal to Profit center in OKEQ.
While doing so, we are trying to remove variance indicator due to error message KT337.
When trying to uncheck variance indicator for this version there is error message KV853.
SAP per SAP note 337183, if there are any dependent entries in COSB table (CO Object: Total Variances/Results Analyses) we get this message.
Now the question is how can i delete the variance data with version 1 from the table COSB.
Message no. KT337 :
Valuation variance from version "000"
Diagnosis
You are maintaining version 1 in controlling area 1000. The actual indicator is not active and at least one of the two indicators WIP and Variance are active. In this case, the valuation in version 1 must match the valuation of version '000'. This is not the case: 2 <> 0.
Procedure
Activating the indicators WIP and Variance with the actual indicator being inactive at the same time requires valuation 0.
Message no. KV853
Variance calculation cannot be reset - there are dependent entries

• Production order with $0 variance

Hi gurus,
I've generated the report KKS1 and I have some negative values under the variance column. This shows that the production cost is less than the finish goods so is ok. But when I take a look in the production order costing analysis, the price difference is $0. Do you know why is that so?

Hi,
There are several types of variance. It must be total variance that you observe in KSS1. It is calculated by comparing material standart price and actual cost of order. In production order cost analysis, what you see is the production variance. It is calculated by comparing planned cost and actual cost of order. Consequently, the difference you observe stems from the difference between standart price of the material and planned cost of the order.
Check the link below.

• Order Settlement and variance booking

I require one clarification.
Here one production order was created with a big quantity few months ago and the same has been completed and finished in this month. Because of this the total variance which is very huge has been posted in this month in the Price Difference Account. Because of this the profit fot the period has come down very much.
It seems that the above process had no errors. I hope we cannot settle the variance in each month so that the variance will be posted in each month. I think variance will be posted once the entire order is finished and settled, right ? In that case to avoid this kind of situation, instead of one single order, can be create multiple orders with lesser quantity and settle it so that we need not wait for these number of months and settle the variance altogether in the period when the order is settled ?
One more clarification. For the already settled order, can we split the order into multiple orders again and do the above process ?

Hi Niki
It seems you are in DISCRETE scenario i.e. Settlement type is FUL
With FUL - Variance calculation is dependant on Order status... ONly DLV & TECO status goes for variance calculation....
With PER (Periodic scenario using PCC) - Variance calculation is not dependant on Order Status... You can calculate variance each month
a. You can change the settlement type from FUL to PER in your Order Type.. Thats one solution... However, WIP will be calculated @ Target cost instead of actual cost
b. You can also create orders for smaller qty and retain the settlement type FUL
c. Explore with your PP guy if you can use Prod Cost Collector i.e. repetitive scenario instead of Discrete....
d. For the already posted order - You cant split it now.. Its better you forget it now...

• WIP Variance Calulation in SAP B1

Hi Experts
I need help in WIP variance calculation in SAP B1.
How system calculate FG cost in SAP B1?
As per my knowledge component cost is FG cost if we have not loaded any overheads.
But we are getting WIP variance in production orders.
Pls. help me out from this.
Regards
Kamlesh

Hello Kamlesh,
You can also refer to Note 1089549. I have copied the text here:
"In SAP Business One, a pre-defined standard is summarised in the form of a 'Bill of Materials' (BOM). The BOM holds all the raw materials, labour, and processes required for producing the finished product. The production variance is calculated as the difference between the quantities defined in the BOM and the actual quantities issued for production. The quantity difference is multiplied by the current item
cost to arrive at the total variance cost.
Once completion of the final product is posted, the variance is stored in the 'Total Variance', 'Variance Per Product', and 'Variance %' fields of the Production Order -> Summary tab.
This variance cost is posted to the corresponding 'WIP Stock Variance Account' when closing the Production Order. The 'WIP Stock Variance Account' is set up in the Item Group, Item Warehouse, or Item Level,
whichever is applicable."
I hope the above helps.

• Variance of Semi Finish

Hi,
Semi Finish and Finished are on Standard Price. Some finish products are sold and remaining in stock.
At month end variance calculated for semi finish and finish material. How I can make variance of semi finish part of finish product cost.

Hi,
It is a good question. There is no functionality as such except you can go for actual costing/material ledger which does actual costing. For calculation, you can sum up the variances of both SFG(no. of times one FG requires) and FG to find the total variance.
Trust this helps much!
Cheers!

• Production Order Variance Configuration

Hi Gurus,
Would you please help me with configuring the Production order variances in product costing. I would really aapreciate if you can send me some documentation. My scenario is to configure the automatic calculation of production order variance and its settlement to Copa. I would really appreciate an early response. If you have any documentations please send it to kamkhan.sap at gmail.
Thanks

Hi MKR,
You can calculate the following variances in the R/3 system:
Planning variances
Production variances
Production variance of the period
Total variance
You control the variance calculation process by specifying a particular target cost version.
In make-to-stock production, standard cost is calculated in the standard cost estimate for the material. In sales-order-related production with a valuated sales order stock, standard cost is determined using a predefined valuation strategy.
During production, actual costs are collected on the order (product cost collector or manufacturing order). The actual costs that are compared with the target costs are reduced by the work in process and scrap variances (the result is called the net actual cost).
You can determine the production variances of the period by comparing an alternative material cost estimate with the (net) actual costs. This alternative material cost estimate can be the modified standard cost estimate or the current cost estimate, for example.
Total Variance
The total variance is the only variance that is relevant to settlement. This means that only the variance categories of target cost version 0 can be transferred to Profitability Analysis (CO-PA).
The total variance is the difference between the actual costs debited to the order and the costs credited to the order due to deliveries to stock. The difference between the debit and credit of the order is passed to Financial Accounting (FI) and Profit Center Accounting (EC-PCA) when the order is settled.
The target costs for the total variance are calculated as follows:
In make-to-stock production, the target costs are calculated using the standard cost estimate for the material and the quantity delivered to stock.
In sales-order-related production with a valuated sales order stock, the target costs are calculated using the cost estimate relevant to the valuation of the sales order stock (such as a sales order cost estimate or a standard cost estimate for the manufacturing order) and the quantity delivered to stock.
For the total variance, the control costs are equivalent to the following:
In Product Cost by Order, the control costs are the actual costs less the scrap variances.
In Product Cost by Period, the control costs are the actual costs less the work in process and scrap variances.
The variance calculation process compares the itemization of the cost estimate on which the calculation of target costs is based with the line items in your actuals.
The itemization contains detailed information based on the costing lot size, such as the materials to be used and the activities to be performed.
When you release a standard cost estimate for a material, the price calculated therein becomes the standard price in the material master record of the material being manufactured. In the standard system, an itemization is always created for standard cost estimates for materials.
The following variance categories can be reported for the total variance:
Input price variance
Resource-usage variance
Input quantity variance
Remaining input variance
Scrap variance
Mixed-price variance
Output price variance
Lot size variance
Remaining variance
When you settle, you can transfer the total variance to Profitability Analysis (CO-PA) broken down into variance categories.
In CO-PA, the standard cost of goods manufactured for the product is compared with the revenues to calculate an initial contribution margin for the period. The variances between actual cost and standard cost of goods manufactured can be used to calculate a second contribution margin for the period.
When you calculate the variances, you can transfer the difference between the debit and credit to CO-PA only as a total.
You calculate the total variance with target cost version 0.
Hope this helps. Please assign points and let me know if you need more information.

• Total target cost

Hi...,
I want to know the formula or table-field for"Total target cost" for activity type for production order.
For exm. - Tcode CO02 - goto - cost -analysis ,.. here system gives activity wise production cost. That target cost I want to give in zreport.
Thanks in advance.
hemant

Target cost is calculated field during runtime as i am aware of.
but how to calculate that which i can share with you
Total target costs = Target cost debit + Target cost credit
Target costs are the planned costs adjusted to the actual operating
rate.
The target debit on a manufacturing order is the sum of the
activity-independent planned debit of the order and the
activity-dependent planned debit of the order multiplied by the actual
quantity of the order.
The target credit of a manufacturing order results from the goods
receipt postings to stock. The delivered actual quantity is valuated
with the planned price according to the price control.
The total value of the target costs is the sum of the target debit and
the target credit.
The target costs are calculated during variance calculation and updated
to the database.
The target costs cannot be shown until you have performed variance
calculation for this target cost version. The target credit for the
calculation of the total variances and production variances cannot be
calculated until an actual quantity for an order exists after a goods
receipt posting.
For the calculation of variances, the target costs are compared with the
control costs.
The system uses the operating rate to adjust the plan costs of a period to the actual activity
Operating rate = (Actual activity  Plan activity) X 100
Total target costs = Fixed plan costs + Variable plan costs X Operating rate
example -
The system uses the operating rate to adjust the plan
costs of a period to the actual activity. The operating rate is based on the following formula:
Operating rate = (Actual activity / Plan activity) X 100
Targeet qty is ac alculated qty = BOM ratio * actual production qty
i.e. A product X is the componet
A production plan 10
Actual prodution = 12
Component qty plan = 1

• Product Variance Calculation

Gurus,
How do we calculate Product variance?
What is the procedure / process?
Where can the effect be seen?

Hi,
Variance Calculation
As long the production order is not fully delivered or flagged Technical Complete the remaining order balance is treated as WIP. Otherwise the order balance shows up in variance calculation.
If a lot-based product-controlling WIP, is valuated at actual costs. The WIP is calculated as the difference between the debit and credit of an order as long as the order does not have the status DLV (delivered).
In lot-based product controlling the variances are not calculated until the order has the status DLV (finally delivered) or TECO (technically completed). This means that at the time the order has reached this status, the system no longer interprets the difference between the debit and the credit as work in process but as a variance. In lot-based product controlling orders never have work in process and variances at the same time.
Variance calculation compares the actual costs incurred for the production/process order with the target costs according to the standard cost estimate for the finished material, and assigns the individual variances to variance categories. The target costs are calculated using the quantity delivered for the order.
In this way you can find out which variances occurred between the value of the delivery and the actual costs and you can find the reason for the posting to the price difference account for materials with standard price control.
Variances from production (target version 1)
Variance calculation compares the actual costs incurred for the production order with the target costs for the production order and assigns the individual variances to variance categories. The target costs are calculated using the quantity delivered for the order.
This enables variance calculation to find out which variances occurred between the time the production order was created and the end of the production process.
Variances from planning (target version 2):
Variance calculation compares the planned costs for the production order with the target costs according to the standard cost estimate for the finished material, and assigns the individual variances to variance categories. The target costs are calculated using the quantity delivered for the order.
This enables variance calculation to find out which variance occurred between the time the standard cost estimate was created and the time the production order was created.
Variance categories:
The system assigns every variance to a variance category. The variance category indicates the cause of the variance (such as price change, lot-size variance). Variances are updated to the information system and passed on to Profitability Analysis according to variance category.
You differentiate between variance categories on the input side and on the output side:
u2022 Variances that occur because of goods issues, internal activity allocations, overhead and G/L account postings are displayed on the input side. Price variances, quantity variances, resource-usage variances and input variances are displayed on the input side.
u2022 Variances that occur because too little or too much of the planned order quantity were delivered, or because the delivered quantity was valuated differently are displayed on the output side.
Variances on the output side occur when you deliver using a price that differs from that found by dividing the target costs and the delivered quantity. If you deliver using the standard price, a variance can occur when the order lot size differs from the costing lot size. This is displayed as a lot-size variance.

3.1.4.2 Variances & Settlement
Variance Calculation determines differences between the actual costs incurred on a production order and the standard costs of the material produced. Variances are calculated not at once, but for different variance categories. The variances computed are then transferred to CO-PA.
3.1.4.2.1 Define Default Variance Keys for Plants
Use
The Variance Key is part of the order header and controls variance calculation. The system selects the value set by this step as default value when a material master is created. From the material master the variance key then is transferred to the order when an order for the material is created.
Procedure
1. Access the activity using one of the following navigation options:
Transaction Code OKVW
IMG Menu Controlling  Product Cost Controlling  Cost Object Controlling  Product Cost by Order  Period End Closing  Variance Calculation -> Define Default Variance Keys for Plants
