Understanding A/P credit memo

Hi everyone,
I have some transactions as the following:
1. Goods Receipt PO No. 1
ItemCode_______________________ItemCost_______Quantity
M001G0A001NAC0030020_________1,235,205.44_______300
M001G0A001NAC0055020_________1,680,397.84_______400
M001G0A001R100055020_________1,853,712.42_______200
Account entry:
Account _______________________ Debit______________ Credit
StockAccount____________________1,413,463,252.00
Goods Clearing Acc  _______________________________  1,413,463,252.00
That's OK
2. Landed cost for above GRPO
ItemCode_______________________ItemCost_______Amount
M001G0A001NAC0055020___________1,766,804.75_______2,592,207.00
M001G0A001R100055020____________ 1,949,031.26_______19,063,768.00
That's OK
3. A/P Invoice based on GRPO No. 1
4. Goods receipt PO No. 2
ItemCode_______________________ItemCost_______Quantity
M001G0A001NAC0030020__________1,177,765.20_______300
M001G0A001NAC0055020__________1,602,255.00_______400
M001G0A001R100055020__________1,767,510.00_______200
Account entry:
Account _______________________ Debit______________ Credit
StockAccount ___________________1,347,733,560.00
Goods Clearing Acc _________________________________ 1,347,733,560.00
That's OK
5. A/P Credit Memo based on A/P Invoice
ItemCode_______________________ItemCost_______Quantity
M001G0A001NAC0030020____________1,177,765.20_____ 300
M001G0A001NAC0055020____________ 1,686,878.36______ 400
M001G0A001R100055020_____________ 1,949,031.26______ 200
Account entry:
Account _______________________ Debit______________ Credit
AR  _______________________________________________  -1,413,463,252.00
Stock Account___________________  -1,345,206,156.00
Price Different Account _____________ -68,257,096.00
I dont understand which is fomular calculation to have  -1,345,206,156.00 and -68,257,096.00
and Why does item cost change?
Because the problem is -1,345,206,156.00 comes to G/L report of Stock Account
But stock amount comes to Inventory Audit report is  1,177,765.20300 + 1,686,878.36400 + 1,949,031.26*200 = 1,417,887,155.00
Then if I generate G/L report for stock account
and I generate inventory audit report for all warehouse in the same period, the total stock account is diffenrent
Please help me explain!
Thank you so much.

It is because the item cost in the A/P invoice is different with the item cost in the A/P credit memo. it is normal for moving average valuation method system.
Check the solution from this note [1227453|https://websmp230.sap-ag.de/sap(bD1lbiZjPTAwMQ==)/bc/bsp/spn/smb_searchnotes/display.htm?note_langu=E&note_numm=1227453]:
Price Difference in A/P Credit Memo and A/P Goods Return.
Symptom
In what scenario is the 'Price Difference' account used when posting an independent A/P Credit Memo or A/P Goods Return?
Other terms
Price difference, return, goods, stock, inventory, A/P, credit memo, difference, variance, SAP Business One
Reason and Prerequisites
Consulting
Solution
The 'Price Difference' account is used when the 'In Stock' quantity of an item is reduced to zero. This account holds the difference between the transaction amount (A/P Credit Memo or A/P Goods Return) and the item's 'Cumulative Value' in the Item table. For example:
Item A
Quantity - 10 Units
Average Cost - GBP 5.00
Cumulative Value - GBP 50.00
If an A/P Credit Memo or A/P Goods Return is posted for the entire 10 units with the unit cost of GBP 4.50. The GBP .50 difference will be posted to the 'Price Difference' account.
Dr. Supplier or Allocation Account, GBP 45.00
Dr. Price Difference, GBP 5.00
Cr. Stock, GBP 50.00
The GBP 5.00 is also recorded to set the 'Cumulative Value' to zero.

  • Invoice & credit memo

    hi all,
i understand from forum that :
Invoice / credit memo - GR/IR clearing account and vendor account
qty and value will give impact to GRC
Subsequent credit/debit - Stock account and vendor account
    example of credit memo :
Credit memo is posted when there is u want to correct the invoice posted already for both qty and value.
For eg if vendor gives u invoice of 12 qty and value 120. but actualy he delivered only 10 qty of 100 rs. so in this case u post the credit memo with 2 qty and 20 rs so the total invoice u post becomes 10 qty and 100 rs.
    above i clearly understand.
but when i check my system on miro posting and po history in me23n, is different case.
    GR  - qty 20080 value  3950
    IR - qty 20080 value 3950
after vendor invoice is posted, there is a credit memo and invoice, both with reference to PO.
credit memo qty 20080 (same qty) value 1000
credit memo, the entry is dr vendor cr prd
invoice qty 20080 (same qty) value 1000
invoice, the entry is cr vendor dr prd.
    1) may i know why the offsetting account is prd? when i see in miro, no GL tab but only has po reference tab.
    2) where does the setting to ask system to use prd?
    thanks

    hi,
    i can understand your reply.
but why the treatment is different from the general understanding below:
Invoice / credit memo - GR/IR clearing account and vendor account
Subsequent credit/debit - Stock account and vendor account
    if
    GR - qty 20080 value 3950
    IR - qty 20080 value 3950
Kindly verify if below 4 points are correct.
after invoice posted, if i do credit memo reference to the same PO,
    1) qty remained the same 20080 and value is less, say 1000, this 1000 is posted to credit prd?
    2) if qty say, 1000 and value 1000 also, double entry will be hitting GRC?
after invoice posted, if i do invoice reference to the same PO,
    3) qty remained the same 20080 and value is less, say 1000, this 1000 is posted to debit prd?
    4) if qty say, 1000 and value 1000 also, double entry will be hitting GRC?

  • Funds management invoice credit memo

    Hi,
I've been implementing FM module. The problem I get is that when I try to post credit memo invoice, this does not update my assigned funds, while it should (at least that's logical for me). The system should reduce assigned and commitments/actual and increase my available funds for a specified funds center and commitment item.
Is it correct what the system does?

  • A/P credit memo journal incase of Purchase posting system

    Hi,
I am using purchase posting system for one of my client
Some times while creating standalone A/P creditmemo the system is posting some amount to Price difference account
Why does the system do so? I have many credit memos which are posting correctly but a few are having Price difference account postings
    Thanks
    Md.nazeer Shaikh

    Hi,
I have taken all the steps to block negative inventory at the warehouse level
My concern is when does the system posts the journal entry to Price difference account in case of creating standalone Credit memo
Is there anything new changes related to block the negative stock in 2007 then please do let me know.
I understand there is one setting in administration what if i set this as item setting,Company instead of warehouse
    Thanks

  • A/P Credit Memo (Item Type) not to deduct quantity in inventory

    Hi,
    1. I purchased an item > supplier gave me invoice> I key in A/P Invoice (Item Type)
    2. Found out item was overpriced
    3. Supplier gave me Credit Note to adjust the price
How do I key in this credit note via A/P Credit Memo? To my understanding if I key in the a/p credit memo (item type), my inventory quantity will be deducted as well.

Because the item is over priced, it means that my inventory gl is over stated. When I get the supplier's CN, I will have to reduce the inventory gl. When I create a Service Type A/P Credit Memo I must choose inventory gl. But this will create another problem - Inventory Audit Report balance will not tally with Inventory gl balance (because i didn't reduce the item price in the first place). To solve this is to do a Inventory Revaluation.
Hi Lay Chin, what you suggested is the best option so far.
Thank you everyone for the reply.

Initially, we could post some credit memos. Comparing records of two documents in VRBK, VBRP, VBAK, VBAP (One posted in FICA other non posted) didnu2019t find any difference. We check, by VF03 Account Determination Analysis and documents has the Revenue Accounts and Reconciliation Accounts expected.
We check OSS Note 686383, and other notes related with technical messages FKKFMCHK 018, and check customizing and G/L Accounts master records, and all items look right.
Base on Account Determination Analysis of the documents, we understand credit memo has items with financial transaction 60 (Business Partner related) and items with financial transaction 30 (Revenue Account Related) although, when we trying to post, by option Released  to Accounting system gives this messages:

  • Match Credit memo from Payables Open interface import.

We have a requirement wherein we have to load Standard invoices as well as
    their corresponding credit memo match.
The user guide only mentions about matching to a PO or reciept but not to a standard invoice
    As per metalink note 422659.1
"So the Entered Invoice can be matched to PO or receipt only and not to another invoice .This
feature is applicable only from the application interface by matching the credit memo invoice to
    standard invoice.
A workaround is to setup Descriptive Flexfield on the Invoices Distributions and populates the
Standard invoice Number in the DFF segment in order to be a reference".
Can somebody help me understand this workaround?
    Thanks

Check status is either null or rejected and source column matches the source you are passing to the concurrent program, group_id is either null or group ID you are passing matches the group_id column.
Do you use workflow approval for the invoices?

  • Credit memo a customer that has already paid us

    Hi,
I have two companies here in the same system, the vendor and the customer.
The customer payed the vendor for a product.
But the customer wasn't suppose to pay the vendor (the reason doesn't matter), and the payment has already been cleared.
My question is, how can the vendors credit the customer back for the amount?
I've tried creating a vendor credit memo in FB60 and clearing it in f-53, but I am getting an error saying: 'The difference is too large for clearing'. This is because I have nothing to clear it against.
    How can I approach this?
    Thanks,

    Hi,
Difference is too large to clearing means, you have entered teh greaterthat or lesser than amount of the credit memo thats why system says the this error.
    Eg:-
    credit memo amount 6000 say
and you are clearing 4000 thas why system shows the error.
TRy creditmemo in the t code fb65 for ur practise to you in the development server after this you will be understand the situation.

  • Copy from a closed A/R invoice to a A/R Credit Memo.

    Hello Forum,
I have a closed A/R invoice that is paid up.
Now, if the customer returns that  item, I would create an A/R Credit Memo and pull up from the above A/R Invoice. However, SAP B1 8.8 does not allow copy from a closed A/R invoice. In that copyfrom list only the open A/R invoice show up.
Is this how it has always been, or am I missing something here.
Basically my need is to be able to create a A/r Credit Memo from a closed A/R invoice. Without this, we have to enter items one by one, rather than be able to copy them all and remove the ones we don't want returned. Right?
    Thank you.

    Hi Syed,
It had been always like that, from version 2004 until latest version. Never used version prior to 2004, but I believe it should be the same case. The reason is quite simple, closed Invoice couldn't be credited again with a credit memo document. However I understand that your intention here only to copy all item (as a template only), but that's not how SAP B1 worked.

  • How does Goods Issue know which Batches to deallocate from A/R Credit Memo?

    Hi,
I am creating an addon that runs after a A/R Credit Memo is created.  It creates a Goods Issue, and enters the Item Code and the Quantity from the line items on the Credit Memo into the Goods Issue.
After it writes the Goods Issue to SAP, I open up the document it created and see that the line items are in there correctly, and that somehow the batches assigned to those line items are also in there.
There is nothing in the code that does anything with the Batches, but somehow SAP knows which batches to work with.
I haven't been able to find any info about it.  Can you please help us understand what is happening?  How does SAP know and make assignments to batches in line items in Goods Issues?
    Thank you,
    Mike

    Hi Michael and Gordon,
Sorry Gordon, I'm quite sure you misunderstood Michael original question. Michael asked how the add-on he created could link corresponding batch number from an A/R Credit Memo document could be selected by Goods Issue document which generated by the add-on, while he actually never wrote a code to select any batches numbers which available in the system.
Maybe a little bit of illustration:
    1. Item A, qty 10 - (batch A qty 5, batch B qty 3, batch C qty 2)
    2. A/R Credit Memo occurred, return of Item A with 3 qty (batch A qty 1, batch B qty 1, batch D qty 1). Therefore, item A latest position should be (batch A qty 6, batch B qty 4, batch C qty 2, batch D qty 1). This A/R Credit Memo created by add-on.
    3. Goods Issue document triggered by add-on. The problem is, Michael never write any code to select any batch numbers, and somehow the system choose batch number precisely as occurred in number 2 (A/R Credit Memo document), which is (batch A qty 1, batch B qty 1, batch D qty 1). Therefore the stock position for Item A back to as being displayed in number 1.
I believe this shouldn't be possible at all. Unless, there is a certain mechanism in SAP that automatically choose batch number to used in Goods Issue document using LIFO (Last In First Out), which is, as far as I know never exist in any SAP B1 version. Yes you could automatically choose batch numbers according to available batch, but you could do this when system prompt you when you tried to issue certain document using SAP application itself, not using add-on.
And of course, you could write a code to choose certain batches based on certain A/R Credit Memo, but still, you need to write a code, you can't do this without a code, selection of batches is compulsory when you tried to add a goods issue document which consist of items that managed using batches.
In my opinion, I think it is better for you to re-write those codes and relate batches you want to attach with your Goods Issue document based on corresponding A/R Credit Memo. It is much safer, and the error message you encountered won't happen again in the future.

  • Credit memo and MAP issue

    Hello Guru's
I have 2 issues, and i am unable to understand the system logic for the same
    Issue 1:-
    We have an Intercomapny scenario
sequence of transaction is as follows
    1. Create Return purchase order (document type NB) - Intercompany purchase
    2. Post return goods receipts - movement type 161
    3. Post credit memo with respect to return purchase order
    4. Cancel the movement type 161 - using 161 movement type
System allows me to cancel the document created using 161 movement type
Step 4 should not be allowed but system is allowing me to do so, please advise how to stop this
    Issue 2:-
I have a strange MAP issues which is flactuating very drastically
    the scenario is as follows
Store stock is 10 ea, stock value is 1000, MAP is 100
    DC map is 25
When we make return STO from store to DC, ths stocks are issued at DC MAP (condition type P101)
Assume we issue 9 quantity from Store then
    Store stock is 9 ea, stock value is (1000-(25*9)) =  775, MAP is 775/1 = 775
This transaction is causing major flactuation in store MAP (100 changed to 775)
Please advise if there is any way we can control this behaviour
I understand that there is a setting which will in case of major MAP changes will put the amount into PRD account.
Appreciate if you can guide me to help
    Regards
    Amit

    Hi,
    For your first scenario,
for a retun po of IC NB type, after creating the PO you  need to deliver the same at VL10G. For the delivery system will allow to create the PGR . Prior to these steps you need to return the goods using 161 at MIGO.Please check this 161 stock posted to stock in transit. After PGR system will clear the stock in transit.
Now after claring the stock from transit try cancelling the MIGO 161 document.
    For the second query,
Please review your question' When we make return STO from store to DC, ths stocks are issued at DC MAP (condition type P101)
Assume we issue 9 quantity from Store then
    Store stock is 9 ea, stock value is (1000-(25*9)) = 775, MAP is 775/1 = 775
This transaction is causing major flactuation in store MAP (100 changed to 775),
    Please review the third line.

I just added a oCreditNotes.  Everything is fine, no errror.  The .Add() works fine but when looking in SAP, what I just added isn't there in A/R Credit Memo

  • Taxation problem in A/R Credit Memo

    Hi Guru's,
I am creating standalone A/R Credit memo, in which I found an eratic behaviour of SAP B1 in the following sense -
--- when I use copy to option from return for creating A/R credit memo, it hits Input VAT GL account
    but
--- when I use copy from option in A/R credit memo from returns, it hits VAT payable account.
Sometimes, its hits same GL account for both 'copy from' and 'copy to' and sometime as mentioned above.... so its very shocking behaviour of SAP B1.
Please help me in understanding the same.
    Thanks.
    Regards,
    Abhishek

    abhisheik,
SAP B1 delivery process should be as below
when you want to reverse delivery.
delivery-->outgoing excise invoice >return>incoming excise invoice.
Invoice reversal process should be as below
    when you posted ar invoice.
ar invoice -->ar credit memo (incoming excise invoice
    created automatically in background)
can you explain me why you are
creating ar credit memo from delivery return ?

    Message no. M8476
    Diagnosis
The quantity reversed cannot be larger than the quantity credited to date, since the quantity credited is reduced by the quantity in the reversal when the invoice is posted.
    Procedure
Correct what you entered in the Quantity field.
    Can you clarify on this
    Thanks & Regards
    Madhav

    Hi,
The error indicates that you have manually changed the quantities, copied automatically from the purchase order/GR.
The concept you have to understand is that: If you cancel the Invoice posted against the PO, then system will create automatically a Credit memo in the backend. So, there is no need to make a credit memo again. You can just cancel the invoice posted already.
If you want to deduct some amount, which you feel has been paid excess, then you post a subsequent debit note
    Thanks,
    Shree

  • Invoice Reference Number in Line item of Credit Memo

    Hi Experts
I tried getting a specific and relevant answer to why we enter "V" in invoice reference field of a Credit Memo?
On going through the SAP Help text - A special rule applies to credit memos which have a "V" in this field. The due date is determined in the same way as for an invoice. If the field is empty (containing neither a document number nor a "V") the due date is the baseline date for payment.
I understand this relates the credit memo to an invoice but how SAP determines the invoice from which it will pull the payment terms for this credit memo?
Is this V concept applicable only in case of MIRO Invoices or otherwise too?
    Thanks in advance.
    Arjun

    Arjun,
We have 3 ways of credit memo use for REBZG field:
1 - REBZG = Invoice -> You credit document will fetch payment term, payment method and due date from invoice.
2 - REBZG = "V" -> The credit document works as individual invoice. The due date is calculated by Bseline date + Payment terms.
3 - REBZG = " " -> The credit memo is opened to be used in any other invoice as discount. Baseline date is the due date as default.
    Your questions:
    * There are no reference for invoices in cases number 2 and 3.
    * This is apliccable for invoices from all transactions.
    Best Regards
