Using send email step in workflow

Hi Experts,
I have a question regarding the send email step in workflow.
We have the Receipient Type as Organizational Object and Expression as &WF_INITIATOR&.
I want to know if the mail will be sent to the SAP email ID (i.e) in SBWP or will be it be sent to the Outlook email ID.
We want to send it to the Outlook email ID of the User. Can you guide us as to how we can do the same.
In some cases, we want to send the notification to both the employee and his manager. Can this be managed through the SEND EMAIL step in the workflow or do we have to explicitly create a method and use a std FM that sends the email to the concerned.
Request your help on the same.

Yes. It is really up to you how you will develop everything. I personally like to get all the data into the workflow container, because it might be handy later in the life. Let's say that you go on with your custom email sending step and add there the code the get the data that you need in the email. It will work perfectly. But let's say that after six months the HR administrators want to get emails with a bit different content from this same workflow. Now you will need do another custom step. But if you had already all the data in the container you can simply add another standard email step and formulate the text with the editor and add the variables from the workflow container. Easy and simple.
So, my advice is that for example add just add some background step to get all the possible data regarding the employees & leave request & managers or whatever. Now you have everything in the container and you can use them in the email(s) - and you can use them in other places too - for example in the work item texts, etc.

    I wanted to display the contents of an internal table ( would contain a list of opportunites ), in an email sent throught the workflow:
    My idea was to LOOP AT <ITAB> into <WA> from an external program and then call the workflow for each content of the <WA>. This will be a problem as, if there are like 1000 records in the internal table, then workflows will be called 1000 times...sending 1000 emails..
    My requirement is that we need to send a single email to the single person, displaying the content of the internal table in the email body......
    My question
    1) Is this scenario possible through worflows ?
    2) If not, please provide an alternative ..

    Do you mean to say that just by inserting the multiline element
    within the body of the 'Send email' step type, the contents
    of the multiline element is displayed automatically without
    we having to loop at it somehow ?
    Follow the below apporach,
    1. First create a multiline container element in the workflow conatiner.
    2. Populate the internla table , by using the bor methods and pass back the populated ITAB to the WF by using the binding concept.
    3. Now create a mail step in the workflow, you have the option of inserting the workflow container elements into the mail conten, so insert the multiline container element , then it prompts to select the option like a) Do you liek to display only first line b) Display the ITAB line by line c) Display ITAB lines continuously with out line break.
    4. based upon the requirement select any one of the options.
    Note: Make sure the line length of the ITAB won't excced 132 charecters, because the send mail step will consider only 132 characters.

    Hi all,
    I have one question.
    In a send mail step of workflow, when the recipient type is a Organizational Object and Org Unit, the mail is only sent to workplace? I would need to send the mail to external address from all users of Org Unit. Is possible it?

    Hi,
    1) In the Recipient type select the E-Mail address from the drop down
    2) And give the email id (in the text box)
    3) Then save & test it.
    4) Once it execute goto t.code SOST and see the email entry.
    5) If entry not found, the SCOT settings is not done then check with Basis Team
    6) If found, select it and execute.
    7) And check you email

  • Send Email step

    Hello,
    I'm trying to the create email + send email step in a script but i'm getting exception errors when the Create eMail step is being triggered.
    The email subsystem has been configured correctly.
    I've done the following
    a) created a variable (ContactEmail) of type contact (with value of null)
    b) added create email step into the script with subject, body and email contact (ContactEmail)
    c) added send email step with email contact (ContactEmail), from (Default) and to ([email protected])
    The problem seems to be with the contact variable (ContactEmail). What  should be the value for that variable? It doesn't seem to accept any other value other than null, but when I debug the script, then I get an error 'No email control group'.
    Any ideas?

    What I want to achive is to put this script into a frequently used script to be able to check how many licenses are being used.

    hello,
    i am trying to send mail using send mail task in workflow for an external email address (yahoo).No pernr here it is associated .
    IN scot, it shows it is transmitted,but i dont find any in my mail box.
    But when i send it from business workplace, i can see the mail in my mail box.
    Can you please help me in this regard.

    Hi Saujanya,
    When you send it from the workplace you also send it to your Yahoo mail-id? As far as I can see from you replies the problem lies outside of SAP. Maybe a SPAM filter which blocks the message. This could be due to the mail-id which sends the e-mail.

  • How to filter emails using sender email adapter

    Hi,
    Does any one know how to filter emails of mail server using Sender email adapter(POP3 protocol ) in PI .
    To make it more clear let us assume that there are 10 emails in the email server then 3 emails should be fetched for Interface A , 3 emails Should be fetched for Interface B and remaining 4 emails should be ignored and left in the email server as it is ,  the reason for this is that it is not related with the Interface A or Interface B. Any suggestion or solution will be much appreciated.

    I guess you didnt get my requirement clearly. My requirement is how to filter emails from email server using sender Email adapter in POP3 protocl and pass it to relevant Interface.
    For ex: suppose email no.1 is related to Interface A then it should go to Interface A
                   or         email no. 2 is related to Interface B then it should go to Interface B
                   or         if  email no. 3 is junk mail then it should avoid deleting that email and leave that email as it is
    The problem/challenge here is that email adapter of Interface A or B reads it first and deletes the email message so it is not available for the Interface A or B.
    So I just want that sender email adapter should filter it before deleting email from the email server.
    Can you provide some solution for this?

  • Send email from custom workflow to group

    Hi!
    We have Office 365 A2 Plan subscription. We use InfoPath form to submit travel request and custom 2013 workflow made in Sharepoint Designer 2013 to route that form for approval.
    If we send email using workflow to individual user it works fine.
    Problem occurs when we try to send email to group. we can't send email to security group made in office 365, distribution group from exchange online or security group in exchange online.
    My question is: is there any kind of group inside Office 365 (Sharepoint Online or Exchange online) that we can send mail to using workflow and if that is possible, how can we do that?

    It is simple powershell script and without such small changes it may not work
    May be Office365 team might have given you there AD. If users are in your AD then you need t make sure normally users from outside org can send you email on that email address. 
    Try to use this email address in Office365 and check if that helps. mostly without AD sync it is difficult

  • How to send mails in HTML format from the send mail step of workflow?

    I have a requirement where I need to send mails in the html format from the send mail step of the workflows.
    But what I found out that the html tags are not renderd and as such the output is in plain text.
    I know that there is an alternative of using an activity step and use my own custom code from within there,But due to certain business constraints, I need to use the send mail step only.
    My SCOT settings are all right.
    Please let me know how it can be done.

    It can't be done, you have to use your own activity step.
    What are these constraints that refrain you from doing that?

    The send mail step sends a notification to the sap inbox of the user. This step works fine in a client, whereas it fails in another......I am not aware of the reason.

    please check the agent finding rule is failed in the log or the background job is scheduled properly inorder to schedule or delver the mails using the transaction : swnconfig if it EP 5.0 or above.
    if it is issue with the workflow like buffer problem, then try this technique
    You have changed your workflow template in client 000. If you look to the workflow definition in another client with SWDD, then you see the newest version as just maintained in client 000. But at runtime, the old (former) version of the workflow definition is used.
    Cause:
    When activating a workflow template, then also some client specific data is replicated from client 000 to the other clients. In this replication there is currently an error. I just talked to a workflow colleague. The problem we have observed seems to be just the tip of an iceberg ... . They are working on the issue(s) related to this.
    Workaround:
    Execute  function module SWD_WFD_REPLICATE_FROM_9999 in the client, you need to have the newest template definition. Enter your workflow template ID (with pattern "WSxxxxxxxx") in parameter IM_TASK and execute. Make sure that you do not lock the template in SWDD.
    Then you also (may) need to execute transaction SWU_OBUF to synchronize the buffer

    Is it possible to create a new task for the send mail step of the workflow instead of using the standard task TS45308726-send mail?

    Hello Binil,
    I can't see why you would want to create another task. This task should be able to provide you with all you need.
    Any way, it is definitely possible. All you have to do is to create a method in a class that will send the desired e-mail. Inside this method you can call any send e-mail function module (for example, SO_SEND_OBJECT or SO_OBJECT_SEND - I'm not sure of the order, but you should be able to find it). After that generate a task that calls this method (using transaction PFTC).
    After that, you can insert this newly created task into your workflow template.

    its used say you trigger your workflow in system A and want to trigger workflow in system B using the WF in system A, you could do that using WebActivity Step in system A workflow (though I havent used it).

  • "You can also" link in UWL work item when using user decision step in workflow

    Hi,
    Just want to check if anybody has tried adding links to this section in the UWL when using user decision step? I need to pass some custom links which will be calling some webdynpro applications and backend transactions. I have read somewhere that Ineed to modify the XML file but don' t know how the next steps once I have defined (i.e. how to handle those links).

    Based upon your scenario you mentioned that:
    You want to add links to the "You Can Also" section in the UWL with user decision steps
    In an effort to pass custom links (calling web dynpro) applications.
    You wish to know how to modify the XML
    Ok now based upon the scenario there are two key points regarding XML files and efforts to change them.
    Remember that XML in terms of the UWL follow the notion of precedence. Now that means that once you make a change to an XML file you need to re-upload it to realize changes. To re-upload an XML file and realized changes you need to do so with a "High" or "Very High" priority and also ensure that the UWL Cache has been cleared of the UWL Service restarted so changes can be realized.
    The second key point is to ensure that you backup all current XML files before making any changes so you can easily revert those changes if required.
    Now reverting back to your query, the XML files and the "You Can Also" section. Kindly see the documentation outlined below as here you are going to make changes to the I-View configuration:
