Work status in BPF

Hi gurus,
i have some problems to use the work status in BPF. When i change a status, the system generate an error message
"The data did not pass validation because
the validation account does not equal zero. Correct the data and resubmit."
If anyone could help, I would appreciate it.

Hi Anne,
This happens when you have the work status defined at the application level as well. In the application, please check the members defined for the dimensions. You need to have the same members in the CV while changing the work status. Otherwise, it wont allow you to change the work status.
The other option is to go to application parameters. There is a parameter like workstatusvalidate. You can change it to N/A. Then the validation wont play any role.

I am working in a project of BPC v10 and i have a question i would like to solve. Specifically i want to know if the new version of SAP BPC allow you to associate a step of the BPF with a change of the work status strictly.

You can certainly do that. When you've created a set of work statuses and want to associate the work states to a BPF, you can associate with a setting for Related Action along with the Input you are providing to the suers (scrnsht below). I am not sure you can make it mandatory for the user to change work status setting, but you can allow a change in the work status.

Work status Locking in BPF

Work Status limitations in decentralized models.

Hi,
We need to configure a decentralized model in SAP BPC with locking data in different levels.
In our workflow we have more than 2 levels. Maybe 5 levels, so we have people entering data, after this the first subconsolidation of one subgroup, after it the next subgroup, after it the next subgroup and finally the Group.
What we want to avoid is that when go up from each level, the lower levels can continue changing the data.
Because it would be a big problem when one level is closed that the sub-levels go and change the data ....
As far as we know SAP BPC tool allows you to define each user as owner or manager, it also allows to define different steps in the workflow. But the tool does not allow, as one moves up the perimeter, to lock each lower level. If you lock in a lower level it is locked for all, but not level by level.
So, for descentralize models it is not possible to lock by level.
Anyone knows how to do it?

Yes ! you have to create two different BPFs for each belongs to one model. Its based on your Model selected in BPF task under Target action as Set Work Status

Update work status over multiple categories, periods etc...

A customer of mine discussed the work status update procedure. In BPC 4.2, you could, via the webpage, select a list of entities with multiple time periods and then update them all at once.
This would come in handy for instance if you need to set the status for the budget for instance and you need to update 12 periods all at once.
Now in v5 and up, the work status update function has not greatly improved from what it was. Customers need to update multiple categories (for instance if they close category with corporate P&L, another category , for instance the divisional P&L should also be automatically closed for further input by updating the work status) or you may want to update selected entities (that in the some cases not always follow the exact hierarchy depending on how internal responsabilities are organized)
In short, the functionality of updating work status is very limited when you need to do more than just one entity at a time.
I was wondering what solutions exist in the field as a work around to this issue ? I can think of several, but i want to understand what options the customer has.

Hi Edwin,
I agree with you that the web UI for changing work status can be very tedious -- of course the push-to-children is a huge time-saver over updating 12 months (or 150 cost centers) one by one. But it would be so much nicer if we had an EVUWS or whatever, to be able to do this in a customized layout from Excel.
For many of my projects, this work status update is the only time users ever go over to the web UI, and everything else is in Excel. (Correct, I'm not a big BPF fan either.)
I haven't ever tried a custom SP to change work status. Not many things scare me, but this one scares me a little bit.
I've used data retrieved from tblFinanceLock to only allow other custom data mgmt routines (imports, exports, etc.) to run if the lock status is appropriate. It's a lot of work to get right, particularly if you want to allow something to proceed (like an export) ONLY if the entire node (and all its dependants) are locked.

BPC: Work Status and Work Status Settings

Hi experts,
We have a little mess with the concepts: work status, work status settings and owner-manager in a dimension member of the dimension library.
In which case de we have to use each of them? Are these concepts related? Do we have to configure all of them in order to block the data before they are revised in a BPF?

The thread was really good and almost solved all my duties, but there is still something that I don't understand. When we fix the work status, it can be controlled by the Owner and the Manager. Who is the manager and where do we configure its value.
I think the manager is the reviewer in the properties of the dimension but I am not sure. Could you confirm me this subject?

Manage work status in BPC 7

Hi experts,
I would like to know if we can manage work status in bpc excel. I have see that we can use evlck to get the status of the work status and we can use MNU_esubmit_modify to open the bpcweb page to modify work status.
But I want to modify the workstatus in bpc excel.
Do you have any solution ? with macro or other ?

I suggest you to update the work status using BPC Web. If you want to force it using macro, I will give you information likes as:
1. SAP BPC will write the work status data into the table "dbo.tblfinancelock". It's for Finance Application
2. If you want to directly write data into that table, please you use the uppercase format.
3. SAP BPC never update data when the user updated that work status. SAP BPC will create one record.
4. You only can update work status data directly but not for update sub menu at BPF

Work status change = send email

Dear all,
Has anyone setup some sort of functionality where automatically an email is sent out as soon as the work status is changed /updated? Is this at all possible in BPC?
Any suggestion, hints or tips is more than welcome.

It is in the Step A(first I put step D and later edited later to Step A), we select the owner. By using the two drop down menus, we can specify a number of days prior to the start of, or after the start of the BPF in the step C, the users shall be notified. In the step D, the processes are defined and there we need to select the box for 'Enable Alerts'.

Work status - review process issues

Hello everybody;
i'm defining some BPF with the review process enabled, but when it comes to the reviewer to review the first step the second step doesn't get enabled even after the click on the note pad. i've been searching in forums and blogs but i woluld like a better explained document about the config for the work status. Does anyone knows where can i find it?

Sorry but i'm having issues again with the BPF when i try to go to next step, it shows as "unavailable" the second steps and the firts one appears with a "review requiered" legend, but even after the change of the workstatus the second step remains as unavailable . The "send email to reviewers upon completion" is enabled. I think everything else is well configured, any other idea of what can i do or change?

Work Status Report Date and Time Setting

Hi all
We are running BPC10 on servers configured with Central European Time which is currently 2 hours ahead of GMT allowing for Daylight Savings Time.
From what i can see in BPC10 date and times are now stored in GMT (Zulu time) in the Audit activity tables so when a user updates the work status at say 11:00AM local CET time then a value of 09:00AM GMT is stored in the Audit Activity Header table.
We have a report in excel that uses the EVLCK formula and will return the correct value of 11:00 am however if we run the Work Status Audit report on the Planning and Consolidation home page with user preferences set to Central European Time +1 then the time is displayed as 10:00am suggesting that daylight savings time is not accounted for. We need to set the time to Eastern European time +2 hours to display the correct figure.
Can anyone explain why this happens? Has DST been overlooked?

Work Status Report

Hi,
I was wondering if there is a work status report available in the system? What I would like to see is a summary of which dimensions are locked in BPC so that I can monitor it to ensure that someone doesn't accidentally open something by mistake.
Currently I have to go through BPC Web and check the dimensions manually. If there is no report can someone confirm where the work status data is stored so that I can have one built.
Is this the table (where "finance" is the application) - [dbo].[tblFinanceLock] ??

Hi,
You're right, work status information are stored in "tbl<App>Lock".
Concerning your first question, you can build a BPC for Excel report that retrieves work states.
Having for example an expansion on all entities, you can use EVLCK function (from 5.1 version) or EVASV function (in CPM 4.2). You can then do whatever you would like to send it to others via distribution list or other.

Issue with setting work status

Hi Gurus,
I am using the standard work status (copied from Appset), in the applications work status setting I have set entity as owner and time and category as yes for work status. In the entity dimension under owner and reviewer property I have keyed in the correct user ids. I am using one of the owner user id to perform the activity mentioned below
The issue I am facing is when I select modify work status from Esubmit menu it takes me to the web interface for setting the Work status after selecting the value for the 3 dimensions mentioned above when I click on OK it pops up a message that you are not authorized to change the work status setting please contact system administrator. The owners have admin profiles for auth so they should be able to do pretty much everything.
would appreciate help on this

Make sure all the members within the parent hierarchy you are using have owners assigned.
In BPC terms; Managers are the owners of parents, owners are the owners of members.
For example the owner might be a clerk entering forecast data for a single/set of entities, (base level members). The manager owns the parent.
Also, when testing, make sure you login to the system/server/domain/network, (whatever) with the userid you will be testing with and then login to BPC. (Just to be sure.)
This should do it if you have everything else laid out!

Work status custom report

Hi Gurus,
I have built a work status custom report. The user was able to change status. When i run my custom EVDRE report no values are retrived for status, user and date/time stamp columns. I am using simple
EVLCK function. I think something is blocking/filtering retrival of data.

The periodic scripts or launchd would have to send the email. I don't think you have to do anything to send mail, just receive it, you can check that from the command line:
mail [email protected]
When you finish your message put a period on a blank line and hit return, that indiecates the end of the message.
The one butt biter is that Apple puts a .forward file in all home directories that says to direct all mail to /dev/null , essentially it sends it to a black hole. You'll need to edit this file and put in your email address (if you want the email to go there) or the mails (should) wait for the user to run the mail command to read their messages.
