Work status question

Hi gurus,
I've a problem with work status, maybe i'm a little lost.
I've the following hierarchy (5 level hierarchy)
099-- (owner: user2)
    -001   (owner: user2)
     00101   (owner:user1)
          0010101    (owner:user1)
                                 001010101  (owner:user1)
                                 001010102   (owner:user1)
                                 001010103   (owner:user1)
The user always insert data in member level in BAS(00101) [001010101,001010102,001010103]
I want that once the user1 enters the data for the [001010101,001010102,001010103] cost center, he closes these cost center and
he won't be able to reopen again. and if he would have to enter data the user2 must open these cost center.
So i have three work status
DEFAULT WORK STATUS     ALL   ALL  ALL ALL ALL       BOTH
OPEN                                     ALL   ALL  ALL ALL ALL       OWNER
CLOSED                           LOCK  LOCK LOCK LOCK LOCK MANAGER
When i go to BPC web to change the work status i selected  00101 and  "include children in data region"
and change the work status to CLOSED, after that the user 1 isn't be able to insert data. But the user1 can enter again and change the work status of 00101 "include children in data region" to OPEN and then he can insert data.
I don't know what i'm missing. Any help, please?

I've changed the work status as you have indicated me but it doesn't work.
user 1 can set the work status to closed but he can reverse this work status to Open.
I don't want the user2 closes the work status because below 001 there are many branches
001  (user2)
    00101 (user1)  --- children (owner of all user1)
    00102 (user3)  --- children (owner of all user3)
    00103 (user4)
   00125  (userXX)
I want that every user close his branch and not be able to enter data. Unless the user 2 opens this branch.

    Hi,
    I was wondering if there is a work status report available in the system?  What I would like to see is a summary of which dimensions are locked in BPC so that I can monitor it to ensure that someone doesn't accidentally open something by mistake. 
    Currently I have to go through BPC Web and check the dimensions manually.  If there is no report can someone confirm where the work status data is stored so that I can have one built.
    Is this the table (where "finance" is the application)   -  [dbo].[tblFinanceLock]  ??

    You're right, work status information are stored in "tbl<App>Lock".
    Concerning your first question, you can build a BPC for Excel report that retrieves work states.
    Having for example an expansion on all entities, you can use EVLCK function (from 5.1 version) or EVASV function (in CPM 4.2). You can then do whatever you would like to send it to others via distribution list or other.

    Hi Experts, I configured and triggered a BPC e-mail notification for Work Status change. However, there are few areas I would like to improve on. Please help. A sample notification message is attached below. Areas highlighted in red are the areas I would like to improve on.

    Here are my questions.
    1. Subject line - Where do I configure the variable %PRODUCT2% ?
    2. Entity - How can I display the description of the Entity?
    3. Date/Time - How can I display local time instead of UTC?

    The periodic scripts or launchd would have to send the email. I don't think you have to do anything to send mail, just receive it, you can check that from the command line:
    mail [email protected]
    When you finish your message put a period on a blank line and hit return, that indiecates the end of the message.
    The one butt biter is that Apple puts a .forward file in all home directories that says to direct all mail to /dev/null , essentially it sends it to a black hole. You'll need to edit this file and put in your email address (if you want the email to go there) or the mails (should) wait for the user to run the mail command to read their messages.
    The mail command has a fairly extensive man page:

        Hi all,
        I'm trying to change the working status for a category and a specific period.
        However in doing so the system is generating error
        Failed in checking status in control
        Failed or unexecuted control sets exist in your data region
        I'm doing this from Excel client, option EPM tab, save data, change work status.
        Working state has already configured in the Web Administrator
        That I can do to fix this error?

    According to what the 1795953 note says and thread sent by Dinesh,
    the problem is some of the Entity members are not part of the Group selection on Ownership settings. This is the configuration that I have for the entity
        I'm trying to change the work status for the item Org_so, who is the parent of the other.
        I have another question, what is the relationship between the controls and work status,
        if controls have not been executed you can not change work status?

  • BPC Work Status

    Hi guys out there, where the truth is...
    got a problem with the SAP BPC 70 netweaver work status and I don't know whether that is a bug, something I am overlooking or simply a non supported feature:
    When launching the Work Status (MNU_SUBMIT_MODIFY) from an active input schedule with an active Current View I will end up in the WEB where the work status settings can be done. So far so good.
    Then, two options are available:
    Either set the Work Status for the active Current View or for a different Current View, which would then have to be specified.
    And here is the issue:
    What's beeing considered (and displayed) in the WEB as active current view, is completely different to the active current view in BPC Excel. In fact, it consists of the members that show up as first in the selection list of a dimension.
    Question: is that the way it is supposed to be? Or is that behaviour subject to some settings in limbo or is that a bug?

    Hi,
    We had encountered this issue earlier. There is a fix for this in SP05 release. Please upgrade to BPC 7.5 NW SP05 for this. It is how it works in BPC 7.5 NW SP05.
    When you move from BPC Excel to BPC Web interface - The CV in Web interface is updated with the CV inherited from BPC Excel.
    The active CV option of the work status dimensions is also updated dynamically. It shows the values of the 'Active CV.
    If you want to set the work staus for a different or another CV, choose the option 'Another CV' then change the values for the work status dimension accordingly.

    Hi Gurus,
    I am trying to design security for users. For users who can approve the plan i am setting the authorizations with task profile as "set work status". But when user logs in to BPC web to change the work status, The data region is either blank/white screen. The user is not able to proceed to next step.
    I have maintained owner dimension also. But when gave user authrizations as secondary sys admin + lockings  user is able to see the data region and proceed to next step.
    My question with only set work status authorization can user change the status? or user needs to have secondary system admin + locking tasks assigned to complete status change.

    I'm pretty sure that users can be owner of a work status node, even if they have read-only (not write) access to that node. This is easy enough for you to test; just change the member access profile for that one user, and see if it solves the problem.
    But I suspect it won't solve it.
    You say that users with secondary admin rights can change work status, which means you have most f the setup (at the application and dimension levels) correct. There must be something about these users, or their task profiles, or their member access profiles, or the assignment to them of the OWNER property of the drive dimension, which is not correct.
    Make sure you double-check all these, and then process all the dimensions in the application & process the application itself. It's a bit of looking for a needle in the haystack, but there must be something that's not correct. The fact that it works for other users means that you're very close.

  • Blank work status setting page

    Hi,
      I did a backup of an appset from bpc 5.1 and restored it in bpc 7.0 MS.
      i have done all the security changes, changed the database name in the "owner" category in the "entity" dimension accordingly but i still can't bring up the work status changing page.
      after i clicked on "set workflow (approval status)", i was brought to a web page, but it just shows a blank action pane. back in 5.1, this would be where you use "active cv" or "another cv"
      i noticed a new column in work status settings, i.e. base hierarchy. and there's a default of "1" to all my work status dimensions. Does this have anything to do with my missing work status action pane?
      any idea? thanks in advance.

      thanks for your reply, sorry that i can dedicate points to you. i thought by unmarking my question as a question, i can delete my question, but unfortunately it stayed in the sdn forum.
      it turned out to be a rookie mistake of not assigning the right users to the application set, after i did an appset restoration in a new server. i also should have assigned the task profile of "change work status" to the relevant users.

    Hi All,
    I have a question regarding basic work status setup for BPC 7.5 NW.
    When I set to Manager in Controlled by at Work Status, we can modify                                                               
    work status for the parent group.  
    Is the above statement true.                                                                               
    When I set to Owner in ControlledBy, we can modify the work status for                                                            
    base member, but cannot modify for the parent group until we finish                                                                
    changing the status for base member.                                                                               
    When I set to Manager in ControlledBy, we can modify the work status                                                              
    for parent group as well as the base member.
    What are your thoughts on these basic setups.

    Hi Krish,
    There are few thumbrules, which we need to remember:
    1. The default method for managing work status is bottom-up. That is, the status of a parent cannot be higher than the status of its children.
    2. The maximum state a parent can be set to is the lowest state of its immediate children.
    3. If the status of a parent is set to Locked, you cannot unlock the children.
    4. The minimum state a child can be set to is the state of its immediate parent. For example, if the parent state is Submitted, the child state must be at least Submitted.
    5. The owner of an entity can set the work state to any state designated as an Owner state.
    6. The manager of an entity can set the work state to any state designated as a Manager state.
    7. A manager is the owner of a parent-level member. The owner of a parent level member is the manager of all its descendants.
    Now, coming back to your question:
    1. If the user is acting as an owner, they can select a work status controlled by Owner or Both.
    2. If the user is acting as an owner and the selected member has no parent, the user also acts as a manager (top of the hierarchy) and they can select a work status controlled by Owner, Manager or Both.
    3. If the user is the parent owner in the role of Manager, then they can use the Include All Children option (to push the work state to children). This option is not valid for a base member, the Owner role.

  • Work status setting

    Dear Experts,
    Basically, I am  from 5.1.
    In 5.1, For Application work status settings we have, "AppSet Dim Names" , "WorkState", "Member Validation" Columns.
    But in 7.0NW  i can see only "AppSet Dim Names" , "WorkState" columns.
    Without "Member Validation" column how can we configure work status?
    Please help me...

    Suppose, I have two users Owner and a normal user.
    My entity Dimension is the secure dimension. so, Owner property is configured.
    Now, Owner logged in to Admin and Set "Locked" for "Started","Submitted" and "Aproved".
    And  Normal user logged in ...and access input templates...and submitting data...
    Now My question is.....When Owner "locked" the workstatus....How can a normal user can submitting the data..
    It should be locked ..right?
    Could you please put some light on this....?

    Hi averybody,
    I am working in a project of BPC v10 and i have a question i would like to solve. Specifically i want to know if the new version of SAP BPC allow you to associate a step of the BPF with a change of the work status strictly.
    Does anybody know something concerning this item? Any additional information about new functionalities of BPF and work status?

    You can certainly do that. When you've created a set of work statuses and want to associate the work states to a BPF, you can associate with a setting for Related Action along with the Input you are providing to the suers (scrnsht below). I am not sure you can make it mandatory for the user to change work status setting, but you can allow a change in the work status.

  • Work Status Report Date and Time Setting

    Hi all
    We are running BPC10 on servers configured with Central European Time which is currently 2 hours ahead of GMT allowing for Daylight Savings Time.
    From what i can see in BPC10 date and times are now stored in GMT (Zulu time) in the Audit activity tables so when a user updates the work status at say 11:00AM local CET time then a value of 09:00AM GMT is stored in the Audit Activity Header table.
    We have a report in excel that uses the EVLCK formula and will return the correct value of 11:00 am however if we run the Work Status Audit report on the Planning and Consolidation home page with user preferences set to Central European Time +1 then the time is displayed as 10:00am suggesting that daylight savings time is not accounted for. We need to set the time to Eastern European time +2 hours to display the correct figure.
    Can anyone explain why this happens? Has DST been overlooked?

  • Issue with setting work status

    Hi Gurus,
    I am using the standard work status (copied from Appset), in the applications work status setting I have set entity as owner and time and category as yes for work status. In the entity dimension under owner and reviewer property I have keyed in the correct user ids. I am using one of the owner user id to perform the activity mentioned below
    The issue I am facing is when I select modify work status from Esubmit menu it takes me to the web interface for setting the Work status after selecting the value for the 3 dimensions mentioned above when I click on OK it pops up a message that you are not authorized to change the work status setting please contact system administrator. The owners have admin profiles for auth so they should be able to do pretty much everything.
    would appreciate help on this

    Make sure all the members within the parent hierarchy you are using have owners assigned.
    In BPC terms; Managers are the owners of parents, owners are the owners of members.
    For example the owner might be a clerk entering forecast data for a single/set of entities, (base level members). The manager owns the parent.
    Also, when testing, make sure you login to the system/server/domain/network, (whatever) with the userid you will be testing with and then login to BPC. (Just to be sure.)
    This should do it if you have everything else laid out!

    EVLCK function. I think something is blocking/filtering retrival of data.

  • BPC 7.5 - Multiple Usernames in the owner property for Work Status Update

    Good Day,
    We have an issue in our BPC system, where our organisation dimension(entity) has an owner property which is maintained with multiple usernames. The issues comes in when we have to update the Work status for locking. The system recognises the first username as the owner property and only that first username can change or update the workstatus in BPC. We have a problem with that because we have a team of people that manages process.
    The error that we get when one of the usernames other than the first one tries to update the work status is - "User not a Manager/Owner, Work status cannot be updated".
    Please advise of the solution we are BPC 7.5 SP17
