Workflow 2013 task list

In a workflow 2013 there is a workflow task list that I would like to ask the following questions about:
1. When I want to access the task list, I do not know where to look for it? Thus can you tell me how to locate the task list?  My worklfow 2013 does have stage names.
2. Sometimes when I am testing, I get email messages saying a task you been assigned to a particular person (which includes test accounts). How these email messages being generated? Thus would you show me what I need to look at find find what generates these
email messages?

I assume you are using SharePoint workflow on 2013 platform based on Workflow Manager.
Since 2013 workflow can only be designed in SharePoint Designer, then if we access workflow settings page in Designer, we can open associated task list and history list.
After publishing feature is enabled, you will find a task list named Workflow Task which is the task list of 2013 workflow by default. You can access it via
http://sitename/WorkflowTasks/AllItems.aspx .
With Task action, workflow mechanism will send email notification to task participants, and another email notification will be sent along which you can customized it in workflow design. Here are the references for task action in workflow 2013:

    Hi,
    I am wondering whether the setting 'Workflow and Task List Notification' in application settings is functionality that I can use: I would like to setup the e-mail notifications for planning. One of the tasks on a standard task list that we would like end users to be able to do is to inform a particular user/group that a particular task has been completed. I would not like this task to be a workflow task, can e-mail notifications be sent for standard task list items?
    Options that I have reviewed:
    - Custom button on a dataform - not sure whether I can send parameters through to this, however I could use the form name as a description.
    - A *.jsp page that accepts two parameters 'Description / form name' and 'e-mail address' and the page then sends off an e-mail (Lotus Notes from WebLogic 9)
    - Workflow - although this inform task is not entity driven. Also the notifications are across plan types i.e. one cube enters in Information and then informs users of the second cube that figures are required - which we then import using xref.
    Any advice would be much appreciated. I know it can be done, I am just looking for the easiest way to implement this using standard planning functionality where possible.

    The default email solutions in planning are using workflow or task lists, though the task lists are based on due dates.
    If you wanted a solution where an email is sent out when a task list is complete, then one route could be to have a business rule attached to a task list and then the business rule uses a custom CDF to send out email notication.
    If you are interested in sending emails from business rules then I did write a blog on the subject a while back.

  • "Send e-mail when ownership is assigned" SharePoint 2013 task list

    I've found that the option to "Send e-mail when ownership is assigned" isn't available in SharePoint 2013 (enterprise) task lists. I've found that this functionality is now included the 'issue tracking' list template.
    I'm unsure why this very useful feature has been removed from the task list template. I’ve tried adding the task content type to an issue list; this works fine and the notification is sent. However, the new ‘task aggregation’ feature
    in mysite only picks up items in an task list, so those items stored in issue lists get ignored. Fairly frustrating. 
    I wonder whether anyone from MS can fill me in on when this feature has been removed?

    Although this works, are we now expected to teach users who create Tasks and want to automatically notify all involved via e-mail Powershell skills? MS really needs to take a second look at this faux pas and bring the "Send
    e-mail when ownership is assigned" option back.

  • Sharepoint 2013, MS Project 2013 - Task List not updating when the project file is changed

    I have created a SharePoint task list and timeline from a MS Project 2013 file on my PC. I have then created a new Project file from that task list which then places the new project file in the site asset folder and provides me with a synced copy. I now
    only use the SharePoint copy of the project file in my MS Project as any change I make to the project file should be reflected in the Task list and vice-versa
    However if I add some tasks into the middle of the project with MS project, the SharePoint Task list is not updated to show these additional tasks. If I open the SharePoint task list with MS Project - from the task list toolbar - the project file shows the
    added tasks.....so the MS Project file in the site asset folder is correct  but the tasks in the SharePoint task list is not being updated
    Anyone seen this before ?

    Hi Esben,
    According to your description, the error occurred when opening the task list with the content approval enabled in Project.
    Per my knowledge, when we enable the content approval for the task list, the field named Approval Status which is required will be created in the list.
    However, if a project plan doesn’t contain a field that is required in SharePoint, the plan won’t sync.
    The error occurs because of the required field Approval Status when the content approval is enabled in the task list, so we need to add the required field as a custom field in Project.

  • *** Email sent everytime when Comments are saved in Task List JSP Page ***

    Hi BPEL Gurus,
    I have a very critical production issue.
    Whenever a user enters or updates Comment in Task List JSP Page, an email is sent each & every time
    when he clicks on the update button for Comments.
    I tried removing the <action> sub-tag for 'ASSIGNES' under <notification> tag of SomeName.task file.
    The above works fine, but now this creates a different problem.
    No Email is send to the Assignee when the Human Task is assigned to him.
    As a work-around I created an Email activity just before calling the Human Task.
    In this case, the email is send properly to the Assignee just before the Task is assigned to him.
    But now suppose if that Human Task is a Sequential List of Approvers instead of Single Approver.
    No email is send to all the users belonging to that Sequential List of Approvers.
    Please see my below code for sending email to all users belonging to Sequential List of Approvers :-

  • Issue In Task List, When I select any SP13 task item its updating task status to "Completed" automatically

    A strange issue I am facing in SharePoint 2013 task list. When I just select any task its updated the task status automatically to "Completed". When I unselect task its updated task status to "Not Started" automatically. I don't know

    It is by design in SharePoint 2013, you can quickly mark tasks as complete by clicking the checkbox.
    If you want to select the item, please check the “select” column.

    Hi, Is this possible to create a new form for SubTasks in SharePoint 2013 task List
    probably using Infopath. Out of Box, Sharepoint opens datasheet view to add the subtask for a main task. just want to know whether it is possible.

    Hi Ram,
    Per my understanding, you want to create a New Form for creating sub tasks.
    By default, the subtasks can only be created in the datasheet view, which means that there are some fields of a task cannot be filled in when subtask created, what’s
    more, there is no OOTB feature can meet this requirement.
    Actually, a subtask is also a normal task, the difference is that it can be connected with the parent task through a property “ParentID”. Let’s say if there is a task
    with “ID” 1, then the “ParentID” of its subtasks will be “1;#1”.
    Thus, as a workaround, you can create a custom New Form page with the extra “ParentID” field to be filled in. After submitting, a new task will be created, because
    the “ParentID” has a value which points to another task, this new task will be a subtask now. This can be done with Client Object Model programmatically.

  • Integrate Sharepoint task list with exchange server

    First question is it possible or not? I have tried to search a lot on this topic but does not find a way to achieve this. I know how to integrate task list with outlook but I want to integrate it with exchange
    server. Any help in this regard would be highly appreciated.

    In SharePoint Server 2010 , tasks lists are blindly synced to the local Outlook desktop application. You can see SharePoint Tasks only on the client computer to which the SharePoint task list was downloaded.
    If you log on to another device, you must sync the SharePoint task list to that device in order to see the tasks.
    But in SharePoint Server 2013, SharePoint Server 2013 task lists use Exchange Server to sync, tasks are updated in real time and can be seen on any device that you use to access Microsoft Outlook. When SharePoint
    Server is connected to Microsoft Exchange Server, and all client computers are connected to Exchange Server, client computers receive information from the task lists directly from Exchange Server.
    For a workaround, you can use 3rd Party tool  to connect Exchange Server to SharePoint task lists. For  more  information, you can refer to the blog:

  • Workflow 2013 Breaking Role Inheritance On Workflow Task list

    When breaking role inheritance on the out of the box Workflow Task List (2013), a custom workflow is suspended when assigning a task
    (System.Collections.Generic.KeyNotFoundException: The given key was not present in the dictionary. ).
    As soon as task list is inheriting permissions again, the workflow is able to assign tasks. (Similar issue: http://social.msdn.microsoft.com/Forums/en-US/8c60da76-8299-436c-8528-802fa5a594c3/2013-workflow-with-unique-permissions-on-task-list-ends-up-suspended).
    I have not found a solution to this issue so far.

  • Item level permission on workflow task List using sharepoint designer 2013

    Hello All,
    I have created a custom approval workflow. Workflow create a Task in Tasks List.  Now suppose A task is assign to user1. 
    User2 should not able to edit\approve\reject the item.
    How to give item level permission using SharePoint designer in SharePoint 2013 workflow.
    SharePoint 2013 workflow doesn't have impersonation steps also.
    Please suggest how to give permission on task list based on assigned To field.

    Unfortunately this functionality is not available in SharePoint 2013 workflows :-(
    The impersonation step still exists, but it is now called "App Step" in the SharePoint Designer 2013 Ribbon. This step is disabled, though, until you activate a web site feature called "Workflows can use app permissions"

  • Related Item link is broken in DispForm.aspx for a task in Workflow Tasks list if file name contains " ' " (single quote)

    We have created a custom workflow in Microsoft Visual Studio 2013 and SharePoint 2013. This Workflow is associated with a Document library.
    This Workflow starts as soon as any new item is created OR updated in Document library and creates a Task in Workflow Tasks list.
     Related Item link is not working in following scenario -
    Upload a file that contains “ ' “
    in its name, in a document library
    Navigate to Workflow Tasks list
    Open View Item form (DispForm.aspx ) of  Task Created by workflow then click on link in Related Item fields
    OUPUT:
    Related Item link  truncates after “ ' “
    Eg.
    Original Link: http://<Site URL>/Documents/te'st.txt
    Related Item Field: http://<Site URL>/Documents/te
    Is this known bug in SharePoint 2013 OR any hotfix available to fix it.

    As I tested per your description, I can reproduce the issue as well.
    From what I have found out, it seems SharePoint resolve single quote into different code in different place. During the test, if I set Task Name to Document Name, single quote will be resolved to &#39; , if I set some field to Document encoded URL, single
    quote will be resolved to %27 . For now, I haven't found out any article talking about this issue.
    As workaround, we may find out a way to change the Related Item field. However, it is OOB field in workflow task (SharePoint 2013) content type, and this content type cannot be modified in form.
    I'd suggest you add new column to get document url and place in the form in Task content type settings.

  • Error occurs when I open the tasks list in MS Project Professional 2013 from SharePoint 2013

    Hi,
    I have created a SharePoint 2010 workflow for a tasks list that updates a list item column if the Date Complete <= Today's date & Percentage Complete = 100%
    I used 'Set Field in Current Item' in the workflow & the values are updated in the list for the current item.
    However, when I open the tasks list in MS Project Professional 2013 from SharePoint 2013, then I get a error "We can't write task - taskname to the SharePoint site. This is either because tasks list is in read only mode or because this task has a column
    that requires unique value."
    If I remove the 'Set Field in Current Item' in the workflow, then the error does not occur. However, the 'Set Field in Current Item' in the workflow is required.
    Please provide solution to this issue ASAP. Your reply will be greatly appreciated.

    A shot in the dark here.  I'm not convinced the error is from the workflow.  What is the definition of the list item column in SharePoint?  Have you set the column to requiring a unique vale?  Look at the column definition.

  • How to get workflow task list ID?

    I created simple workflow in Office 365 SharePoint 2013 using SharePoint Designer 2013.
    The action Assign a task to user (Task outcome to Variable: Outcome |Task ID to Variable: TaskID) was used.
    The variable TaskID had a value something look like
    902aa0e9-0d58-47c0-a3ba-da96ebd47651, but I need ID from a task list.
    How to get the task list ID in SharePoint Designer Workflow?

    I created dictionary and create two variables:
    Name: Accept; Type: string; Value:
     application/json;odata=verbose;
    Name: Content-Type ; Type: string; Value: application/json;odata=verbose;
    Output variable: JSonRequestHeader.
    I called HTTP web service:
    https://xxxxxx/_api/web/Lists/getbytitle('WorkflowTaskList')/items?$select=ID
    I used Count Items in Variables: JsonRequestHeader(Output to Variable: count)
    The output variable count had value equals 2.
    When I printed service url in browser it gave me xml with all the items ID in the
    WorkflowTaskList.  There were eight .
    How can I take data from web service and put them in dictionary?

    Tested workflow for other list, there's no problem.
    Could anyone can help on this issue?
